Mike Minutes Mastermind 01/06/2024

A recorded Mike Minutes Mastermind live session (01/06/2024) where Mike Andes and a co-host answer member questions about business operations and their software products. Key topics include how to set up seasonal jobs and quick-dispatch for snow in Copilot, upcoming time-clock and PTO tracking integration across Copilot and P4P, one-way sync behavior (Copilot → P4P) for timesheets, payment-processing options and fees, and Command Center texting/department options. The session ends with roadmap notes (templates, Canva assets) and low-priority feature commitments.
Chapters
Ladies and gentlemen, boys and girls, welcome to a special edition, a weekend edition of the Mike minutes Mastermind.
Let's go get started. Put this into Facebook.
Thank you all for the love. In the past 24 hours I have.
Needed has been hell. We will make it through and as promised, we will finish the questions from yesterday. We did not get through them all.
All right, I think we're on number 10.
Yeah. There we go.
Cool.
All right, we're just gonna jump right into questions. There are no announcements.
Please watch the video I made yesterday.
On the Facebook channel just in regards to Chuck.
And we'll leave it at that. Let's move forward.
All right, questions.
Present.
Share screen.
Boom. And for those of you asking, I appreciate your concern. I am not sleeping right now. I need to catch up after yesterday and then I will rest because I don't do very well when I'm way, way behind. So this was not in the cards for the spring craziness and so I.
Just need to get caught up a little bit and then I will probably.
Unplug for a few hours. Okay, Kyle freeze is next up. Again, we are starting at question number 10 because yesterday we got through question number nine and then we had to cut it off. So let's jump in. Kyle freeze.
Oh, I'm sure my microphone is good. One second.
Very good.
All right.
Rock and roll call.
Freeze. Bloomington, Illinois. What is the best way to add social media snow removal jobs and list in copa? I'm currently not seeing a way to add on on demand job. I'm sure I'm missing something.
Lol.
You're going to be looking at quick dispatch. Likely there are two different ways to do snow inside of copilot and if you go to copilot university or even just the YouTube channel, it'll walk through both of those options.
But you're probably looking for quick dispatch.
And because you don't have like hundreds of snow jobs, it'll work just fine for you. We are adding a lot more functionality.
Around snow next summer, so before next snow season.
Next question is from Mike from hudsonville. Sorry if this has been answered already, but is something like pto atem off something that we will be able to track in copilot in the future? We are implementing it here for the first time next year and discussing the best and most convenient ways to track it. Yes, you will be able to track it in copilot as well as P4P. You'll be able to kind of choose the best of both worlds.
We are. You're going to See more and more time clock functionality inside of P4P. I will say that it's going to become a really good time clock. I said that somewhat otherwise at command at.
The conference we had in Louisville. However, I have retrained my brain on that because I realized that everyone needs a time clock. Everyone really needs P4P, but they don't think they need it as not as needed. So my plan is to create a really good time clock that really makes it simple for them to migrate into P4P because it's built in. So that's going to be the goal. My strategy to convince people to use P4P. But yes, inside of Copilot it will be there. It'll also be in P4P though, so you can kind of choose whichever one you would want.
I don't really. I can't say with confidence which I would prefer because.
We haven't built it. But I think I would probably want it in P4P because I want everything to do with money inside of P4P. I don't know that yet.
But is.
In the playing cards of making sure it's in.
Marcus Ribera I'm like, I'm ordering fall cleanup marketing material off the Pro Shop. There's quite a few that mention the holidays in the text. Could we get options to leave the holiday text out? All the leaves in my area, fall after the holidays. Thanks. Oh, nice.
Yeah. So we're gonna be doing a whole bunch of templates in the next several weeks from the media team, and they're all gonna be Canva templates, which you'll be able to edit, and then they'll make them available as downloads on the dashboard so you don't have to go through Pro Shop and then you can just take the template and go into Pro Shop if you want, or you can print it wherever you want. So with looking forward to that, it's probably about 20 templates.
I would say probably wait until then, otherwise it's not customizable. Or you could download the Photoshop files on the dashboard that are currently there and then edit the text yourself. If you're not a Photoshop person. I'd probably wait until canva ones are done. Tyler Kukle what is meant by first principles thinking? I hear this term reference offerings by Elon and other great entrepreneurs. Very good. Instead of me giving answer here, let me show you this because I actually think this is kind of a funny thing because a lot of people.
Throw this word around because it's like a catchword and it was really made popular by Ray Dalio. First, personable thinking because of decompressing things down to a fund. The fundamental axioms of. Oh, I'm not sharing the screen here. I just love when I love reading these definitions of like entrepreneurial jargon. It's so fun. All right, let's see if we can understand this. First principles thinking consists of decomposing things down to the fundamental axioms in the given arena before reasoning up by asking which ones are relevant to the question at hand, then cross referencing conclusions based on chosen axioms and. And making sure conclusions do not violate any fundamental laws.
Oh man. Entrepreneurial jargon just cracks me up, man. So basically you're boiling down everything, right? So it's like, let's take it down to like the basic building blocks. I guess if, if you just literally every time someone says that's a. We should think about first principles. Just think about like the core building blocks. Like, let's break this down into simple parts. If you, if you replace the words first principles with that, you'd be fine. That's really all they're really saying. Like if we boiled the. Yeah, there you go. If you replaced it with let's boil this down, it would basically work, honestly.
All right, now I lost my share screen.
Because if you boil it down what the goal is, that you take away context, you take away like political stuff, you take away economic things. Like, let's just look at the actual, actual root of these things and see if they violate like the basic laws that we know to be true, like thermodynamics or laws of relativity, like the basic fundamentals of physics. That's what you're kind of looking at. So like the physics of the economy is when interest rates go up, people are going to spend less money. That would be like a fundamental law. Well then if we are going to make a hypothesis in business based upon whatever and we are thinking that the interest rates are going to go up, it would then, based upon first principles, lead us to believe that people are going to spend less money. That would be kind of how you could think.
But yeah, it is. It is entrepreneurial jargon for. Let's boil it down.
Logan Albers. If we put a credit card on file for our command center payments instead of acs, we'll be charged an additional processing fee. Yes, you will.
If you put acnh, we cover the processing fees. If you put credit card on file, it is going to make you pay for it. I don't even know if it's an option yet. This Is actually something I was talking with Commander the other day. I don't know if they've made it even available to pay with credit card, but if we ever did or whatever reason, yes, you'd have to pay the fees.
Max Harwood Burnaby Regarding the customer knowing who charged the card on file.
Let me think about this for one second.
Oh, got it. We are still concerned whether or not to include this feature. I vote we get rid of it.
With most subscription services you do not.
Know who charged the card. Granted these services are automated. No, in person is manually charging the card.
My point is customers are used to knowing who charged the card. Totally fine with that.
At present I don't see an upside from the customer's perspective. Plus the owner operator is wanting to appear as an employee.
The fact that your list is charging.
The car personally blows their coverage. Here's my opinion.
Thanks for everything the team are doing.
With the new software.
You're welcome.
Sometimes I still feel like a failure, but I just know we are going to make it great.
Yeah, okay. I hear you and I will consider this. This is not our priority in terms.
Of fixing this, but I vote with you.
I agree.
One second.
I need to add this to my list of non priority feature stuff that must get added to my list.
Who.
I have been convinced.
All right now.
So please don't hold me making that done in like a week. That's on the low priority list. But I did put it on my list and when I put things on my list they do get done eventually. All right.
Kyle Tarvin from Moore, Oklahoma. Anytime I make edits to timesheets in copilot will automatically send that change to P4P. Or is there something special I need to do make sure it reflects accurate on P4P. Fantastic question. Remember, it is a one way sync from Copilot over to PvP. Any changes made in Copilot will reflect in P4P. Changes made in P4P will not reflect in copilot. We are building something that honestly we should have done from the day one and that is the ability to unsync individual time cards. So you can make changes in P4P without having to go back into copilot because that's annoying.
So you're gonna have a little lock thing. You'll be able to from the time card be like oh, I want to change this on the time card. Even though it says something different in copilot. I will unsync it real quick and I will change it. But right now, yes, anything that you Would want changed. You'd have to go into copilot to change their times, et cetera. Because it's a one way sync going from copilot over to P4P. But next week we will have that individual time cards where you could just say, okay, I'm going to pause the sync so I can make changes inside P4P without having any interruption from the sync.
Wait, did I skip something? One second, one second. Let me try and skip something.
All right. Cal time from Oklahoma. I'm setting up our winter services in copilot. Is it better to leave them on indefinitely and just set up an off season for winter services or would be better to end the service when mowing season starts and start up a new.
Job for winter services next fall.
I would just do it as like if I was you, I would set up mowing service and winter services for the customer. Off season for winter services. What I would do because guess what you're gonna do? You're gonna send an email to everyone that has that.
Has mowing at the end of the season and if somebody wants to opt out, fine, they will opt out. But it saves you the time having to put another job on the schedule. It's gonna look the exact same next year. If you need to move your off seasons, it's super easy now because you get to the end of the fall, you're like, oh, I need to mow an extra couple weeks. Great. I'm going to just move the off season for mowing and I'm going to move the off season for winter services and bam. Everything will be reflected. So it's going to save a ton of time. I would highly recommend doing that. Do an off season for winter services that just basically mirrors the off season of your mowing season.
Kyle's Harvard Moore, Oklahoma. Sorry for all the copilot questions lately. That's totally fine. I've been a power user of SA for the last eight plus years, so switching to copilot has been a bit of trouble. I understand.
I agree.
During onboarding call into copilot, I was told there was a command center text opt in where command center can text customers through copilot. I looked on the dashboard, I didn't.
See anything on this.
Are we able to get into that program yet? One second. Let me understand what you're saying.
I got what you're saying. Okay. You're talking about the new texting department.
Give me 44 seconds.
Okay, 34 seconds. Give me 34 seconds.
I know they were talking about changing the form on the dashboard to include the text department at command center.
So let me check and see if that was done yet or not.
Oh, no.
Do I have to really do this? Sign in. Oh, brother. Okay, coding. Let's see. Here.
It is in here. So if you look on the.
Let me just share this tab.
So on the form or command center or for. Yeah, for your. Your options at command center. Right here. That is the texting department. That's what they're talking about. So basically, if you want to be in the texting department, they would manage your inbox inside of copilot. And we made this separate from email because sometimes, especially if you are out in the field, but you want to do all the texting yourself, you can just do it yourself. But you want your email handled because that's stuff that can usually be more on the back burner. That's fine. Or you can have command center do your texting inbox as well. It does not take very long, honestly, because you don't have spam stuff coming through there. So usually you only have a few if you're a smaller location.
But it is pretty cool.
There is some cool stuff I want to do with the texting thing down the road. I really look forward to getting through the next six months and then being able to improve and refine instead of.
Just constantly being behind the eight ball.
All right, where are we going now? Share this tab.
Is this last one?
That was it.
How we bombed through those questions.
Is that all of them now?
Let's delete these.
Fantastic.
All right, well, I think that's all we had for today. I hope you all have a fantastic weekend. And.
Is there anything else I need to go over?
I don't think so.
You all have a fantastic weekend. I will see you Monday. I love you all very much and hope you can get over all the craziness that happened yesterday. Can feel like a gut punch. I understand. Trust me.
I feel.
I felt it many times and I have cried enough. We move forward. I appreciate all of your support and we will become stronger for it. Thank you all.
