Mike Minutes Mastermind 01/26/2023

Live Q&A hosted by Mike Andes (Mike Minutes Mastermind, 01/26/2023). Mike walks through internal feature planning for Augusta Lawn Care and its Copilot/Command Center product (sharing a Monday.com board, mid-February target launch, and client-portal ideas like "hours saved" and "frequent flyer miles"). He then answers audience questions on Google Ads strategy (favoring keyword intent over competitor-visit targeting), recommends Tiny Scanner for receipt scanning, and discusses mileage vs. expense write-offs and CPA guidance (mentions $0.62/mi standard rate and tradeoffs).

Nine thirty. Nailed it. Hello, Gustination. Let's go and get started. There's like 15 questions that came in, so we'll get right into those. Let me just drop this into link YouTube.
Give me a second here. Sorry. Now I have to do this live because they don't let me do it prior to a live stream starting. So let me just change this over so it's in the right playlist.
And then copy this link in for everyone on Facebook. All right.
Here.
Sorry. By the way, I did update the automated social post. So if you have not yet connected your Facebook and Instagram page for Command center, we'll post for you a few times a week. There's a new video on the academy and I also put on the Facebook group yesterday.
Why? Oh, all right, here we go. Sorry.
Switching. Okay, now I'll drop the link in. Okay, there's my YouTube link. All right.
Streamyard present. Share screen. And it gets more complicated all the time. All right, we're in business. Fifteen questions. Let's do this. Okay, see here, Ken from Fenton, Michigan says I just watched the two videos on Copilot two and a half hour live stream and interview with Lee. I know what you mean by not trying to have every feature in the serum and why you're not interested in people's input. I'll just be patient to see what Copilot comes out with. Thanks Mike. Yeah, I don't mind, honestly. Feedback from Augusta Nation. It's the fact that the public. I really don't care right now because we have literally. I'll show you actually guys here one second. I can show you guys this sort of thing. Just please don't share this outside because I'll share this with the public in bits and pieces as we're coming up to features. But I'll show you exactly how I'm rolling this. So.
Present now I stop that screen, I share this one then I switch the window over. This should work. This is in Monday.com. you can see this is all the stuff we're working on right now. These are the things we have to get done basically to launch.
Shooting for a mid launch in February. A lot of honestly connecting code. Then we have on the deck features. We need a better job of filtering to customers something service off. I think really it does well is filtering gotta do email links. That way we can do one click estimate emails, integrated Google reviews and really still continue to work on the 3D notification side of things. That will be like literally an ongoing project forever. But when you know, I want to get in the first like 30 or 40 prompts. Those are like the on deck features. But this is the feature list for everything else we want to do throughout 2023. 2024 is automated scheduling. Other stuff. 2023, this is kind of all the things that we were working on. There's a ton of stuff. So, yeah, like in the. I know in the live stream, I said, like, hey, I'm not like open to taking new features. However, like the other day, Cameron had the feature request of. Or he posted a video of Layla making a comment about showing customers, showing the user how much you're saving them and things like that. So that was a great idea. I already put it in the feature request. I can actually show it to you. I took screenshots, but that was just screenshots literally from this page. So that one was.
Gonna find it. Now I put it pretty high up, I think. Yeah. Showing how much is open. So here you go. So one would be for the client portal. We'd literally show them how many hours they saved. We take the clocked hours. Originally I said budget hours, but the problem with that is if someone doesn't use budget hours, it wouldn't have. It wouldn't have any data. So we just use how many clocked hours were on the property, multiply it by two, because we're typically much more efficient than a homeowner.
And then I just made these up. Obviously, I'll change them down the road. But this is kind of what I was thinking, like, if we would show them how many hours we saved them. But then we'd also say, like, that's enough time to fly to Hawaii. That's the equivalent of what you have showered for the past two years. That's equivalent of an entire month working at the office. So they actually get a real world application. How much time they've saved by using Augusta Lawn care or whatever Lawn care services, using Copilot. But then the part that is.
Also cool is I want to have it where we showed them how much Copilot has saved them. And we're going to call it frequent flyer miles. It's going to be great. It's going to be the top of their cockpit. Like you, your. Your copilot has earned X amount for you so far. And so, yeah, so again, that was. That was a. A suggestion from Cameron. And just don't. As long as you're not, you know, you don't get your feelings hurt if I say we're not implementing that. I don't mind hearing your guys Suggestions. Just realize that yeah, we're gonna have to prioritize things. There's a lot of features I want to get done. So I don't mind hearing from you all. Basically everyone at the public I've kind of turned a deaf ear to for now because my main focus for the next 12 months is getting all the features we need for Augusta Long here and command center to get onboarded. And you know, if other people enjoy those features, great. If not, they can wait. Forest, I'm trying to cross reference clearance A, but the video isn't working. Okay, what are we talking about here?
Oh wait, you guys can't see this? Sorry. Present share screen.
This one.
Checking clearance. Okay.
Okay. This is. Okay, I'll check into this. Give me a second here. Let me just make a note.
Clearance.
Video on Academy. I'll take a look at it. I know there's updates and some of our videos are not linking across. So make sure it gets fixed.
Forest. Following up on yesterday's masterminds about targeting audiences, when you talk about your first segment, is that the headline long title and description where. When making ad? Yes. Not quite sure what the first segment is and where to put keywords. People are searching. My goal is to target everyone. Yes. If your. If your goal is to target everyone, just use the keywords. Don't worry about, you know, traffic that they've been to your competitors or things like that. I currently have three Google Ads running. I have the old smart campaign that we ran last year. Get more calls. Did really well all year long. Then I have the Google maps for mowing and property cleanups. The one I was working on yesterday, I added website and keywords.
Audience is focused on landscape project only. What's the best way to capture all customers all the time? It would be just through the keywords. Right. If you want to try to expand the audience further, you could do keywords or and have the or statement in there. If they go to your competition, that's going to kind of get everybody in there. So you could do that. That's totally fine. But just remember if you're going to go after just your competition's website links, you're probably reducing the amount of your audience massively. You're losing out on the people that have never looked at another lawn service and they're coming brand new in. So keywords are going to capture everyone. If you want to add on that potentially might get a few more clicks if you search people that have been to other people, your other landskeepers websites. But again they might not be looking for service. So it might not be as good of a click through rate because they already got service taken care of.
Okay, this is your smart campaign for get more calls. Okay. 147 your clicks. There's 1.7. That's good.
Okay. This is just your how much you're spending.
And you're going after keywords. Cool. Very good. Yep, that's all very good. You're getting a couple dollars a click. 1.7% click through rate is fantastic. So I definitely keep that that campaign rolling.
Okay, this is your Google Maps 1.1.3. Very good. You're in California so you don't really have a slow season in terms of winter. So 1.3, 1.4. Probably something pretty standard throughout the year, honestly. So that's good. Probably spike up to 1.5 to 1.9 to 2% during spring rush. So that's fantastic. I get all of these.
Okay. This is the other one for landscaping. I think I'm going to answer all those questions. Just kind of showing me these now.
Yeah, that's your Google Max.
Very good.
Impressions. Low ad strength as the one we talked about yesterday. Cool. Yes. I hope I answered your question. If you want to capture everyone use keywords and then do the thing where it says or.
Don'T use and but like it's keywords or they've been to your competition. If you want to get like everyone under the sun, I would just go after keywords because that's intent based marketing. That means people are looking for your stuff then you're showing up in front of them. Right. Keep in mind if you target people have gone to your competition's websites, it could potentially mean that they are not in the market, they're not looking for service. They. But They've been there 60 days ago they were at your competition's website. So.
Yeah, just keep that in mind.
Force. Where do I put my keyword searches in the ad. So when people search and my ad comes up based on your off of our debt. Our ads are killing I think. But the only problem is we're getting tons of clicks but no estimates. What is the reason for this? Feels like I'm getting burned.
Yeah. So just make sure you have a keyword because again if you're getting a lot of clicks it could be because if you're targeting your competition, they're not actually looking for service. They're just, they just were there within the past couple months. I'd be going up to the keywords only. That's when people have intent to buy. That is the power of Google. They have intent to buy. They're literally looking for your services. So that'd be my recommendation. Go after keywords. Eric from Largo, Florida, I know you've mentioned a few times, but can you refresh me on the app you use to keep track of your business receipts? Yep. It's called Tiny Scan. Let me see if I can pull it up. I think it's still called Tiny Scan. I think they changed the name of it. Yeah, no, Tiny Scanner. Tiny Scanner is what I use. I think it was like five or ten bucks for the pro version. I bought it. I use it for scanning documents all the time. I use it this morning for scanning my W2 so I don't have to have to keep the paper. Kyle Tarvin, my accountant had asked us to keep track of mileage in our truck work trucks. But over the years we have been keeping good notes but we haven't been keeping good notes as we've been using paper mileage logs. How do you have your GMs track their truck mileage for taxes? So you can do that by mileage or you can do where you if everything on the truck is being used for business, you should be able to just write off the expenses of fuel, maintenance, etc. Thing you got to get the mileage is when you start using some of it for personal, some of it for business. But if you're using it exclusively for business, you should be able to just write off the expenses of the vehicle and just do regular expense. You got to do the mile as though if you're doing it using it for personal use.
So and then they have a mile a dollar amount per mile.
Thomas From Littleton Double O1 I spoke with my CBC, my CPA and he is explained that I need to change our process towards the fuel expenses for our trucks three trucks. Moving forward the explanation is as follows. I need to be paying for the truck fuel out of my own personal pocket. Keep equipment fuel the same as.
I then write myself a reimbursement check periodically not the end of the year from the business at 0.62 per mile this would be mean that a truck getting 15 miles per gallon would be $9.30 per gallon within Categorize that expense reimbursement check under mileage deduction. I would need to track all the mileage.
For the vehicles and turn that in every year. Sounds like a job for Zubi. This would be a this be would this would be a way to save much more money on Taxes. For my current situation, three trucks. Once we get five trucks, we'd have to change strategies. Since we have considered a fleet. My question to you. Have you heard of this or should I be concerned about the CPA I've been using for several years? Equals audit nightmare fuel. I would say this is too much of a headache. Keep in mind that when they Talk about the $0.62 per mile, that's including maintenance and everything else. So you're calculating just the fuel cost of $9 per gallon. But that's not all that goes into a vehicle. You know, there's, there's brakes, there's tires, there's damages. There's a lot of things that go into it. I would rather write those things off directly instead of just keeping track of my miles because it's a pain in the butt.
I'm not trying to discredit your cpa. I just think it's, it's, it's not going to save you as much as you think and the time it costs you is going to be significant. You can book a call with Brad if you want. He can look over it because obviously he's a CPA and take, you know, take a look at actually the difference between what you'd be doing if you just wrote everything off looking at last year versus using the 0.62 miles.
But personally, I do not want to spend any time tracking miles. So I just make sure that all the trucks that are on, on the job are being used 110% just for the business. And I write off the expenses for fuel, for brakes, for tires. I write it all off because if you're going to take that 0.62 deduction, you can't just like write off the tires that you bought for the truck because that 0.62 deduction is, is for per mile for the truck usage. So just keep that in mind. Now, you're gonna have to break up your P and L because you can't take those expenses. So, yeah, I would personally just book a call with, with Brad, see what he's thinking and go off that. My personal opinion is I do not want to spend time tracking trucks truck miles. The, the incremental amount of savings I might get on, on taxes for the one year that you might have. This still applicable to you. I just don't feel like it's worth it. Just Zubia alone is going to cost you.
What, like almost a thousand dollars for those three trucks probably for the year. So I just don't think you're gonna save that much, Let alone the time you spend, Let alone the fact that all your other maintenance time.
