Mike Minutes Mastermind 02/06/2024

Mike Andes (host) gives a candid update about persistent technical problems with the Copilot CRM. He apologizes, explains the engineering nature of the issues (server capacity, email throttling, webhooks/texting infrastructure), describes short-term mitigation steps (server reloads, email queuing), and provides a testing hack for one‑click/mass emails; he expresses confidence these decisions will pay off in 12–24 months and briefly states he avoids franchise financing.

Hello, destination. If you're doing well, I'm gonna pop in here real quick. Oh, notification. Oh man. I'm gonna have to put the YouTube link in afterwards. So the way for YouTube link just I'll post it afterwards. It was requiring me to do this verification thing for YouTube. Okay, so let's jump in. I just looked at the question, there's only one and it had in reference to a slow of I'm going to talk about. So I wanted to stay beginning and then we'll jump into the one question that is there.
So.
Obviously today was a little bit brutal with copilot.
I'm well aware and I know it stinks. And what's really hard for me is the fact that I can't do anything about it right now. This is an engineering problem. I know exactly what needs to be done, but I do not know how to do these things.
And even if I didn't know how to do it, it wouldn't be helpful for me to jump in and do it because it would be a small dent in what is required.
Things like changing over email surveys would typically be done in three to six months. When we did it in three weeks, there's going to be massive issues and we've created those.
Same things like things like webhooks, like changing the infrastructure of texting, things like that. And so I apologize. I have done that already and I'm. I'm sure many are, even if they're quiet, are sick and tired of me saying sorry because like, you're just unhappy that things aren't working. And I get it.
When things are reloading slow, if the app is not working in a spot where there's low cell service, things like that.
In the short term.
You know, I want to bail. I want to quit. I'll just be honest.
I never wanted to build a CRM and I anticipate it'd be hard, but going in December, I didn't anticipate any of these issues. I anticipated most of our issues revolving around not having things like chemicals done by March.
And so.
It stinks that I can't jump in and help. I know it needs to be done and I'm doing everything I possibly can in terms of hiring ancillary service help, in terms of quality assurance, etc. It stinks because then when you have these many problems, it also slows down air traffic control because there's issues they don't know how to deal with either. They shouldn't have to deal with these sort of bugs. They shouldn't be pushed into production.
So I apologize. I have done that too many times. And I just. I just know you want it to work. And I am doing everything I can to make that work happen. There is no doubt or.
Question in my mind that in 12 months or less, we will look back and we will know it's the right decision. But. And I know, I know there's a lot of people supporting me, and I appreciate that. I also know there's plenty of people that are quiet and they're pretty mad. And I address. I. I want you to know that you're heard. I know how it feels. And I was like, I am doing everything I possibly can. And it even hurts me, like, being away out of town this week because I spend usually about three hours, two and a half to three hours with that owner. And during that time I am locked in with them and I don't have my phone.
And so, yeah, it stinks. And I'm sorry. I am going to probably just stop saying that. I am doing everything in my power to make this work.
And if there was a button that I could just push and fix this stuff and pay every dollar I have, I just do it because it. It. I. I don't really care a whole lot about the public users right now. It is the fact that all of you are in there and it's affecting your business. And I'm very sorry.
And I know there's a lot of really, really nice people in Augusta Nation that won't say anything, but I also know it's affecting people's businesses. And some of you are very mad and not saying anything about it. And to you, I am apologizing.
We are focused exclusively on fixing these problems, and a lot of them are simply a matter of how fast we moved last year. But then adding a whole bunch of users when things broke, we fixed them fast. And when you fix things fast, things like infrastructural massive server loads like emails and the entire way of throttling messages and security because the spammer trying to get in early in early January, when you do those things that fast, we just, we did stuff that honestly, I didn't know because I didn't know that I don't have the technical background. Like, that's just the honest troops. Um, do I wish I had a co founder that knew more of that stuff? Yes. But honestly, the engineers are acting like co founders. These guys are working like their butts off. Um, and I send them the messages. And the engineering leadership team, I have full confidence that they are like. Like, I know one of them worked 14 hours a day, and he's still working, um, because I sent him a message of one of you just, like, being pretty unhappy, and they take it super personal. Um, so in the short term, do I want to retreat? Yeah, a hundred percent. I want to quit. I want to talk. I want to go back and tell myself why in the world we do this. I never wanted to do this. This is absolutely stupid. I'll just be honest. I guess it's the actual. But I absolutely 110 have no doubt whatsoever that in 12 months, we need this. In 24 months, it'll be like, It'll be a. It'll be a bygone conclusion.
I am. It hurts that it causes pain for you in the short term, and it does not go by me. And I understand the horrible offense of me even being out of town when the sort of stuff is going off. So, for example, like, today, we had to bring the server down to increase the speed, increase the capacity. Well, when you bring the server down, you got to pause email. You have to pause these things, like, certain aspects. Like, for the past two hours, I had to queue the emails, and now they're going back out. Like, that's frustrating. That's annoying. It shouldn't have to do that.
And more importantly, like, this morning, the reason we had to bring the server down, increase capacity was because load times are getting way out of hand, especially on the customer page. So I just want you to know, and, like, again, I know 50% are like, hey, we understand. We get the vision. Let's go. 30% are annoyed as all get out, and they're like, you better fix this by March. And I'm doing everything I can. The other 20% are freaking out mad, and they're not saying anything because they're super nice. And to you, I'm sorry. That's the only reason I'm mostly saying this. And just know this is not. I am not blind to the issues.
And, like, this is horrible. Like, this is so bad. Like, if this was like this in December, I would not have put Augusta in.
I wouldn't buy this. These things were not happening.
And so I'm sorry. Like, I messed up, but I could have done differently. We probably could have ran essay and copilot together a little bit longer, so that way someone felt really trapped. They could move over. But, like, even this past three weeks, like, training people at command center is so much better with just copilot. I know that they've given the feedback on it. You can train people so much faster. There's no duplicate of different accounts. There's less errors, because there's one way to do things. I know it's the right thing, but, dude, it is painful. So accept my humblest apologies. Just know that I do not think everything is fine or good and everything's perfect.
And every moment, you do not see me on the camera and I am not with. In these. In these current turnarounds, for about two and a half to three hours a day, I am working on this. And that's all I can say. That's. That's all I can do. Like, the only thing I can look at to keep my head even right. Right now is the fact that I know we're making progress and I know we have a strategy to fix these things.
So, yeah, I know when I say these sort of things, I get 50% of people saying very nice things and encouragement, and I appreciate it. Thank you. I don't need those right now. This is hell, and I am just gonna get through it. We're gonna work through it. And for the other 50% of people that I know are mad and et cetera, I just Hope that in 12 months, you also feel the same way that I do, and that is. It was worth it. It was painful in the moment, but we had to do it and tear the band aid off. That's all. I can help. All right, let's move on before I get emotional because I'm just tired.
Present.
I think there's just one question. It was about emails.
Okay, here it is. Can you see this? Yes. Alex from Stanwood. I'm like, some people are posting on Facebook without having email problems. Is the system ready for one click? Best in the email blast. Should we wait and give you a heads up when it's ready, Test and stable? Thank you. Yeah. So we take. We took it down for the past two and a half hours because we reloaded the server. We added a bunch of more capacity to help with the speed. We are also having to do it tonight, but it won't affect anybody. And so we had to do it in two segments. Otherwise we have to take it down for a lot longer. Emails are going out. They're being queued. They are already queued up. And they'll be sending out in terms of one click. Estimate emails. If you ever want to test it, here's the hack. Send it to two emails from the customer list. It does the exact same process as if you sent it to 500 people. So if you Ever want to test whether or not the one click estimate email works? Go to the customer page, select yourself and one other person and send an email.
And it will go out usually within three to five minutes. That one's a little bit slower than transactional emails, mass emails. But anything more than one email is treated the same way as if you send 5,000. If you ever want to test it, just test it to you and one other email. That's it.
So you can always test it yourself or just ask command center. If they're doing sending it out, they can test it for you too. But that's the way to test email. There's only two ways to send email and copilot is transactional email and is mass email. A mass email quantifies anything more than one email being combined. So you can test it yourself.
All right, that's it. I will. I need to verify my YouTube thing and get this code thing done and then I will put the YouTube link into the Facebook post and I am flying to Phoenix and I am going to be visiting with the founder of keep, which is infusionsoft and their big software company and hopefully learning a few things because obviously I need to learn a few things. My goodness. So.
If you need to spout off a little bit because you're mad, I can take it.
Just get it off your chest. I apologize. Like, yeah, it just stinks. It stinks that I can't do anything about this problem.
If it was pushing like during the spring rush when there's the guys are behind, I can jump out and I can help. I can like, let's get them. All I can do is have meetings around structure and leadership and create infrastructure for the team and it's like, go get them boys. Because I can't get in there and code. I can't restructure things. So.
Is there such a thing as franchise finance to help us develop our land we bought for a landscape company? No, I've purposely stayed away from financing.
When we first started, that was a big thing with consultants. When we had them is like they really pushed that because that's where we can make more money because we have a very limited fun like way to make money for the franchise. And as like we cap out at 1200 so there's no expansion revenue which is like in franchising like what you're supposed to be doing. So they really pushed us towards financing. I'm not a huge fan of it. I don't want to be your debtor or your lender. I should say I would potentially do something down the road to future people. I'm not going to do it to to you destination.
Because, like, the. The debtor or servant to the lender and I don't want that relationship. The thing I wouldn't, like, want to, like, loan money to my family and close friends. Like, it is weird. And that's why, like, even these issues with copilot hurts so much. It's like, I literally feel like I'm like, I just, like, hurt my family and it. All right. I hope you all have a fantastic evening. I'm gonna hope this plane eventually leaves in Calgary, so, like, there's snow and it's been delayed a bunch. But thank you. Appreciate you all for your understanding. And.
I'll see you tomorrow. Love you all.
