Mike Minutes Mastermind 04/07/2025

This is a transcript of a Mike Andes "Mike Minutes Mastermind" session (04/07/2025) where Mike answers community questions. Major threads: product/support (notifications bug for accepted estimates; a requested filter for accepted-estimates sorting; Field Force mobile app as the offline/native solution and its MVP planned for summer), product design/testing (A/B-style tests on pricing display and mobile conversion), business growth advice (hiring/scale decision for a first-year solo operator), and fundraising/admin notes (Carta SAFE edits and current round commitments). The session mixes tactical fixes, feature roadmap clarifications, and practical hiring/operational advice.

Hello Augusta Nation. Hope you're doing amazing or back on the road. I have learned from my past we are not doing AirPods while doing Mike's Mastermind. We're gonna do this little handsy fancy Dancy headset, so hopefully audio is a little bit better for everybody. Let's go and get started. Share Screen.
Boom. We got six questions this morning.
Jump in. First one is from Thomas from Littleton, Colorado in regards to the COPA issue specifically related to the notifications for accepted estimates not functioning lately, would it be a healthy lift to implement a filter on the accepted estimates page that allows us to display the estimate by the most recently accepted rather than numerical order or when they were created beyond the notifications not working lately, it seems this filter would be beneficial in many ways. Appreciate your brother. Hey, you could submit this on the.
Feature request. I think this might be one of their paper cuts initiatives. I'll check on this. I think it's Filter by day on estimates page, so. Okay, I'll make sure. I think it's on what's called our paper cuts initiative for this year. Little stuff like this filtering, etc. So I'll take a look at it.
Avery from Vernon PC Hey Mike, looking for your thoughts. First year solo models 6k in the bank I still work 25 to 30 hours a week as a contractor for Canada Post 5 to 6 hours a day Monday through Friday which brings in 6 to 8k a month and covers all my personal expenses. This lets me reinvest 100 of revenue back into the business. I'm currently booking and completing around 25 to 30 budget hours a week in landscaping, not including drive by estimates booked out four weeks and leads are still coming in still early in the spring market. We need to we tend to be two to four weeks behind the coast. I'm abating hiring a part a full time person $22 an hour 2 to 3k a month cost to expand a 50 to 60 budget hours weekly while I keep contracting for Canada Post. Alternatively, I could quit and go full time, but I need to draw $4,200 a month from Augusta to cover my expenses, which doesn't seem reasonable at my size. Should I expand to expand? Should I hire to expand while keeping the day job? It just. Honestly most times it's hard to find an employee that's willing to work while you're doing another job. That's what I've found. I've found a couple people do it and it works really well for them. You know, several owners coming to mind that Started off before they went full time and they had a really, really good employee out in the field. It's just difficult to find that person that's willing to be motivated to work by themselves when they know you're working at another job. That being said, if you're able to go and take 25 budget hours to 60, or let's say 30 budget hours total, like you should be able to bring in an additional.
Eight to $10,000 a month in doing that. And so if you just need to bring 42,000, 4,200 to the bottom line, I think you do that if you can get to this amount. So what I would probably do if I was you, Avery, you say, okay, once I hit 60 budget hours, then that's me full time and one other person full time. Great. In order to bridge that gap, I've got to get from 25 to 30 to this point. And I would overpay someone to kind of intermediarily be the person on the field while you're still working your job. And then once you hit this point, you'd say, hey, then you're going, you know, not that person. I'd be hiring someone else full time. Cause like, it's just a very different position to find someone when you are working a full time job and they are working out in the field by themselves all day long. So I feel like if I was you, I would probably set a target like right now at 25 to 35 hours, you're almost working full time landscaping plus your other job, right. So you're kind of at capacity. You need someone essentially to go any further. So I would probably try to get someone to know. I'm guessing in the weekdays, so I'm guessing you're doing like weekends and then week evenings you're doing the landscaping. So if you can find someone that's willing to match your schedule and get this to, you know, 50, 60 budget hours, I'd pay them a little bit more and just have them try to work with you. I'd pay them like 25 an hour. But they have to work in the evenings on the weekends. Right? Something like that, if you can find them. And then once you get to that position and you're ready to jump full time, then you go hire someone at 22, use P4P and they'll work with you in the truck full time all day. So I think you get to the 50 or 60 budget hours without having to quit your current job if you do it. The route of hey, I'm going To go overpay someone to match my schedule, which I'm assuming is weekends and evenings. That would be my kind of intermediary play. But the long term play I think of you going full time, you know, if you got 4,200 out of $10,000, that's essentially like a 40%. If you, as long as you're 40% gross profit, you'd be hitting that number. So Ricardo for Alexandria, sorry if you answered this before, but when is the native app for Copilot coming out? And what about offline mode? And I'm not talking about the Field Force app, but the actual native COPA app, not our web perfection. Thanks. So the Field Force app is the only thing that is coming out. There is not a separate in addition to the web app that is currently there for the copilot side of things. Like if you're like hey, I want to like adjust settings and do emails like the current app is all that will be there. The Field Force app is the one that's going to be offline, will allow for uploading photos, clocking in and out, looking the job notes, etc. While offline. So. But there's nothing in addition to that coming. So the current web app would be if you're like trying to do all the current settings and edit templates and all the rest of it that's not changing because like the dispatch board for example, it's not optimized for mobile. But you're never going to get dispatch a dispatch board that's truly optimized for mobile if you have hundreds and hundreds of devices or hundreds and hundreds of stops. So we will, we don't plan have any plans on removing the current app, but we're not making offline mode of like the dispatch board for example. It'll just be the Field Force app which, which is meant for your crew, much simpler, much less functionality. And the mvp, the minimum viable product that we come out with this summer, it will not be the end product. We have iterations on it. But the minimum viable product is we want to get out into everyone's hands and get feedback on it first.
Mr. Anonymous, I've gotten multiple accepted estimates notification. Thank you. Yeah, sorry about that. There was this weird thing they found and it only affected several accounts, not several, like a small percentage of accounts I should say. And so but it was essentially how the estimate was being accepted if it was done a certain way. I forget exactly. It was like I think if they had a card on file. I forget what exactly. To be honest, I Think it was if they accepted it through the text link or something weird. That's what was causing that. So thank you to like there's like three or four people that reached out. We were the track inside of accounts and then fix it. So I appreciate that. It's just so much better when we get someone working with us and like what is the actual account which is the estimate, which is the customer. So we were to track that one down within a day or two. So thank you.
Mr. Anonymous. Is there a way to edit the investing amount on Carto with the safe? Yeah. So if you get your documents back from Lindsay who is sending out the safes, she sent them all out last week. If you haven't got it, check your spam. If you haven't got your, your documents from Carta, if you want to edit that, you do need to actually message Lindsay back. So I think, I think you should just be able to respond back from there. If not, it's lindsay.gal g a l l@copilotcrm.com maybe I'll put her her thing here actually I'll put it here. I'll put it in the comments on YouTube here in case you had any problems with this copilot CRM. So she has to actually edit it on her end. You can't edit on your end because it needs to all be in writing. So if you want to change the investing amount, contact her, she will resend it and then you can sign on it. So I would recommend everyone's asking like do I need to do it now? I would move on it sooner than not. It's filling up. I'll give everyone a heads up. So it's not like a mad dash for like 24 hours but about 1.2 out of 1.5 is committed currently of the round. So I'll give you updates as we get closer but that's where we're currently at now.
But yeah, in terms of editing that amount, just respond back to Lindsay. I put her email in the Comments here on YouTube. Joel from Lafayette. I remember Brian saying it seemed like cross crossing out the price and door hangers and riding a lower price increase conversion. Has your team ever tested doing this on the website? Instant quote like in the attached screenshot? Yeah, I'm playing with this right now.
Yeah, yeah. So this is something we're playing with and seeing if this is something we can add in without causing too much. It's the mobile device. So see how you see how you have four numbers here. Are you guys seeing this One second. Yeah. See how you see four numbers here? We're seeing a bit of confusion when we do this many numbers on a mobile device. You think on a mobile device all this stuff gets crunched, right. And so it starts to show a bunch of numbers. So but it's, it's more important is does this stop people from going moving forward? The conversion, that's a big piece. So yeah, the door hangers so far, you know what people have seen it works better or like they, they again like it's just so difficult. Cause sometimes what I've seen people do this cross out on like the most, the peak season like when everyone's needing service and so it seems like it's so much better. So I don't know if it's like a perfect. But I do think that most people have done this like from week one week to the next they do see an increase in conversion. So this is something we're testing on the site. But the mobile part is where we're seeing a little bit of a drop off in conversion. So we're just trying to fix the design of it because four different. As soon as you have four numbers, anything more than three, people start to get confused. And so even like all this text like with the red, it's like their eyes. I don't know if it's. Their eye gets confused. I really wish we could have one day when we have enough money we'll do like where we do eye tracking. Because I think what's happening is people are kind of like floating from here like, hey, what's this? And then, well, we got limited offer and then they got to understand weekly and bi weekly, which is already a bit of a feat. And they got four numbers here, so. But we're working on it. We're working on it. I was talking with Tori and the web team the other day. There's a lot of stuff we have on the site. Last year we did the full redesign, kind of like the new trucks and everything. There's several more things we want to do the website from an SEO perspective. And it's just this year we've improved so much. I don't want to change too much right now because the new sites that are going up are tracking almost 50% faster in terms of to the first page of Google than last year. So I don't want to mess anything up right now in spring rush. But later this year you'll probably see some new updates design. I like the on the trucks having the black a little bit more of the black integrated into the design on the website. We want it to be. When someone goes to the website, it looks very much like a truck because the uniformity of the truck and the uniform needs to carry over to the website. So there's some design changes, but mostly some SEO stuff that work on like page load speed. There's a couple little images that we need to do a better job of rasterizing and optimizing. So there's always that like tension between a well designed site that looks cool and then a site that performs well, optimized for SEO loads fast, et cetera. So that's always like the tension. So we're testing a few things here and this is one of them. So thanks for bringing that one up. Joel too. Actually, like, I'll probably screenshot what you got here.
For the web team just to kind of see because they're playing with a bunch of different stuff, so. Alrighty everyone. I hope you have a fantastic rest of your week. I'll be traveling to a couple Augusta locations and a couple turnarounds. So this week I'll be kind of in limbo traveling, but I'll be doing the mastermind throughout. And again, appreciate everyone last week for giving the feedback on tracking down that notification issue. The three or four of you that did that. Thank you. Thank you. We were able to track down exactly how and why that happened. So you know that there's a couple of locations today that mentioned the texting thing on Thursday. They really optimized the page load speed time on texting, but there's been a couple accounts that noticed that for some reason they got infinite load. I expect that to be finished today because they all jumped on it and swarmed on it this morning as soon as they got in. But thank you to the two or three people that mentioned that. And then we can take your account information, actually work on it, but it's not happening across the board. So it's very difficult for us to replicate things like that. But, you know, it's kind of like a new customer portal once we put it in. You know, we tested 100 different ways, but if people can get in and give us feedback on it really quickly like you did, it's super helpful. We can fix it quickly. So I expect the same thing to happen for the couple counts. I know Ogden was having a problem with this and I think East Colorado, East Colorado Springs. So we have both of your accounts. We're looking into it for why that texting page loading is just keep going. But for everyone else, it should be like 95 five times faster in terms of the page for text loading. So anyways, I hope you all have a fantastic rest of your day. We will stay in touch and we will see you tomorrow.
