Mike Minutes Mastermind 04/21/2023

Mike Andes leads a Mike Minute Mastermind live session covering operational policies and product roadmaps for lawn-care franchises. Key points: updated Command Center protocol to "trust the customer" on phone-given measurements, instant-quote door hangers and estimates are valid for seven days, guidance on when to include an initial visit price, and how Command Center handles contact-form/chat entries (sometimes creating incomplete contacts). He also discusses notifications for live sessions, costs of mass texting, app feature requests (filters vs. multiple schedules), and answers audience questions about scaling business size, truck counts, and handling out-of-area contacts.

How's it going, everyone? Let's go ahead started.
All right, I wanted to go over instant quote door here. So give me a second. I want to talk about that.
First. I need to get the YouTube link so everyone on Facebook can join there if needs be.
Mike Minute Mastermind. I have this thought that after Spring rush, I want to try to figure out, and that is if there's a way that somehow I can somehow like set up a text or something whenever I go live on Mike Minute Masterminds.
I don't know if I can do that. We'll see. Anyways, let me drop this in Facebook.
All right. There have been some questions both from Command center and from some of you about door hangers. So let me go over it and clear it up once and for all. There was some confusion on Command center side too about this around initial mos. So we this morning at Command center did a training video specifically around this. So we are in the clear. I know that we messed up a couple for Chuck as well as Dustin Bjernink. So sorry about that. Around this. These. So let me, let me explain. And this is similar to what the information we talked about at Command center today. The big thing with Command center was though, we are going to trust the. Trust the customer a little bit more. If they're calling us and they're saying numbers, we're going to roll with them and then ask for them to send us as confirmation. Instead of being like, yes, email that to us, because a lot of people might not tech. They obviously picked up the phone. So we're going to take their word for it. Um, and yes, maybe one out of a thousand people are going to try to scam you, but it's better than hanging up and asking them to send you an email because they had to take a picture on their phone. So we're going to trust them more and we're not going to like double check your math on square footage or anything like that. So that's what we were going over at Command Center. For all of you, I wanted to go over these specifically in terms of a couple things. Number one, good for seven days up here should be the date that you are putting them out on the property. So that way at Command center we can validate, say, okay, just so just to make clear, what. What does it say in the top left hand corner? Oh, it says April 3rd. Okay, that's like three weeks. Now we're gonna have to redo the estimate and then they could literally on the phone do the square footage and give them a price and give them the initial mo price being at the dollar whatever per minute per man. Whereas if this is within this first seven days, there's no reason to have an initial mo price. Right, because you were at the property. The whole advantage of doing door hangers, instant quotes is that you walk to the house and if there is an initial visit price, you could give an initial price right at the bottom here. So I would assume if I was everyone doing instant quote, door hangers is assume that you're going to be mowing that person's property in one week and they're going to accept this in seven days. So keep that in mind. If it looks a little shaky, you might want to have an initial mode that say, 80 or 90. You might want to do that. But we're not going to require you to write anything here. You do not need to write in the notes and say no initial mowing. You do not need to do that. We now are making sure at command center. It's very clear to everyone here, they do not. If someone gets this, we are not sending them the dollar per minute. It gets way complicated and they feel like we're trying to scam them. So please, please, please, if you need an initial visit done, write it down here. This is the advantage of doing door hangers and that is that you can write in here the actual price for the initial visit because you're seeing the property. And again, all of your estimates are only good for seven days. So I think it's enough said. Basic command center, they're going to get the phone call, they're going to trust these numbers and they're going to ask them to send this as a picture still to your email check just to validate it. But there's. We don't want to prevent the lead from being accepted because the customer forgets to email it or emails it incorrectly or whatever. We're going to take their information, we're going to set this quote up, we're going to take these prices, we're going to set the estimate market accepted so you get notified and you can put it on schedule. All right? If you get the email, then great. You can attach it to their profile, whatever. But just to know everyone's on the same page, there should not. You do not need to write right here. No initial mowing visit. You do not need it. Customers will get confused. All right, do you not need to write that in there? Command center will know exactly what you mean and what the customers mean when they hear these. Now all right, let's see here.
Can you text us? Like, technically I could do this, but this would be a manual process. I would rather it be automated. And secondly, it's extremely expensive to do what I do with the course member side of things.
Sending one of those out costs like a hundred dollars. So if I did it every day, we're looking at like two grand a month just to send those out. So I think we can do it in times Apia though the challenging part is basically every instance it would send one out. So like every time someone posted into the Facebook group, it would. It would potentially be sent out. So we'll figure something out. I want to be able to hopefully get a better notification system because I know sometimes I go early, sometimes I go later, just depending on my schedule. Around 9:30am Pacific Pacific Standard. Okay, jump into questions.
Share screen. Present. Boom. All right.
Evan from Red Deer. Hey, Mike. I hear you say the 500 800k model is the best. I live in 100k town. Let me be very clear, it's not the best. That is typically where I see a good balance between being able to find GMs easily and then being able to manage the employees and profitability. What is the Best is a $10 million business that has 25 profit margins. It's just much, much harder to build that and find management that can run it without you. It might take you 20 years to do that versus being able to pump out these other models. So it's not. They're better, they're not better. It is simply a matter of balancing the fact that it's easier to find management and managers and team leaders that can run the business without you being there. At that size.
Living in a 100k town, how many trucks do you figure to get there? We move from May to September, about 20 weekly mo. So move from November to Aprilish. I bought your Long Care Millionaire book on Audible last night and heard you say you could do 500k with three to four trucks. Yeah, you could absolutely do 500k with three trucks. Mooresville's knocking on the door of this with two trucks. So we were debating should we get a third truck? I think we decided no. We just like let's fill the entire both of these with two employees in both. Raise the prices over the next few years. Just keep optimizing price, price, price. Fill their 120 budget hours a week with just mowing because I think they're like 100 right now. And yeah, we wouldn't have time for projects until the Summer. But it'd be very efficient. We just keep slowly moving prices up. I think they raised prices in July last. Connor from Evansville. I know in terms of copilot features, there's already a roadmap in the future. Will there be a way we could potentially have multiple schedules on the app for jobs and estimates? Multiple schedules on the app for jobs. For example, when I'm by myself it's not an issue. But when I'm with a crew on a job or training and we have shared schedule, sometimes it's just clunky to have both tasks on all one screen. I wish there was an option that had a drop down or way like I could only view jobs that are jobs and not estimates. Hopefully this makes sense. I just think essay's way is a little clunky. We don't have that now. But this is one of those things where like we could absolutely do pretty quickly. For example, this would be a filter. This would be what we would do is we would filter out. You only see estimates, you only see projects, you only see to dos, you only see tickets from Command center, etc like so that would be pretty simple. If that's the main thing. Having two schedules would get clunky. More clunky I think. Honestly, I think you'd rather want is a filter. But yeah, this is the type of thing that like mid 2024, you guys are going to be the first ones I turn to in terms of these type of things. We do have a very clear road map. We do have a lot of stuff we got to get done for Augusta really going to push in April and May here because I need certain features for my June location to be up and running so I can connect with Command center correctly and everything. So. All right, third one and for Marietta.
Okay, two. Two new entries were put into our database by Command Center. Both are outside our service here. There is a note in their profile stating that fact. Can you advise as to why their information was there saved into our essay database? Knowing they're out of our service area, should I simply delete these entries? Okay, so what has happened here is you have received a contact form, we have already got their information, we got their email, everything and we've put it in. So I'm guessing that is that. I think I remember this coming up like a year and a half, two years ago. And that was like if we get their information, let's put it in there. So that way down the road, if you ever expand your service area, you have those customers.
But stinks is that they're going to be in your. I know this is where this is going to go. Okay. We also were not informed these entries were made. We happen to look over the client list and because I handle a lot of the back and stuff noted they were unfamiliar. I know when a drive by estimate is scheduled by cc, we get an email. These particular entries took us by surprise because it was a few days before being noticed. We simply don't want to miss something by cc, especially if a client looking for services. What is the protocol for CC and communicating with the franchise owner when putting on information into the database? Or is there a quick way for me to plug in the date to see any new information was entered into essay that day such as customer. Since you can do a filter, you could do customer. Since that being said, I'm just trying to remember if you're in zooper, if you're in sa, I forget because.
Because basically command center is touching your account. You're gonna get something unless it is extremely passive. So for example, this, they're not going to notify you likely that someone's been put in the database. The problem with this is going to be if they said they're outside your service area, we need to make sure you have like a. Do not contact them there. Don't put their email address. And I'm assuming. I wish I had a picture of this. Okay, so you are an essay. Got it.
Also at this as this is the second time a client was put in with only their first name. Yes. This is always your contact form. So when things like this happen, I can talk to Liz about this. We'll create a system. I know we talked about like a year and a half ago. We ironed this all out. So I know they're using something and I, I believe we, everyone agreed that we want people's information in the database. If you ever did change your service area or expanded it there, you have people there. But I'll talk to them in terms of making sure that those are like mark, do not disturb or we don't have their email in, for example. But whenever you see like a first name of someone, for example is almost guaranteed to be a contact form or they're on chat and then they drop the chat. And so if someone comes on, they're like, hey, my name is Sarah, here's my address, I want a lawn service. We literally take that information we put in your account, then they drop off and we've already created a customer inside of your account and then we go and see, oh like they're out of your service area. To be frank, we are paying for the CC service and data entry at that point and are not getting the full information. I am then having to follow up and seek out additional information that can easily be attained while they have the potential clients line on the line. I simply want to get that feedback, you know, great feedback. Just keep in mind that almost always when we have looked into these, when we look at these as yellow slips, almost always not say that this has not happened.
Is that.
Is a client is a web online estimate request form or a chat and they dropped out of the chat that the last one's the one that kills because like I've done it before, I've been in chat before and like you have everything you need besides one piece of information and then they just leave the page because I think they think they've given everything that you need or they just kind of ghost you and you're kind of sit there like okay, are you going to come back? So it's a little bit of annoyance. But almost all the ones that are submitted feel free to submit these like to the yellow stuff and they can take a look at this and exactly diagnose this. But that's usually what happens in terms of the incomplete data. It's usually the case in terms of this part. Let me talk to Liz. I forget we talked. We took her and I addressed this a couple years back. I just forget exactly what our protocol was on this. I believe it was everyone wanted the information in their database but we need to make sure they take their email out and then market that is.
Out of the service area. The reason for that is because we've already taken the time to get all that information. Right. We can't. It's just weird. If we get the information, we've already spent that time. So it's like, okay, well we might give that lead to you, right? That contact, I should say it's not a lead, it's a contact. So let me address that with Liz though. I apologize, I don't have a full scope on that one. But again, when it comes to incomplete data, feel free to submit those to yellowslipustalongerservices.com just know that when I've seen those, I'd say 95% of the time it is it's a web contact form or it's a sorry web chat or a web contact form that the incomplete data was shared. Same thing with a lot of incomplete email addresses and phone numbers. We are copying that information from a contact form. And if they did their address wrong, if they did their phone number email wrong, like that is what is going to be inside there. Because if we can't, if the phone number's wrong, we can't call them and get confirmation. And if they didn't put their email in. Right. So there's a balance. Because if you require every single thing on a contact form, eventually you'd have a form that's 20 fields long. And yes, it would be perfect when it comes in, but less people are going to submit it. So sometimes it's a matter of like get what you can get the lead and then once you lock them in as a customer, you can get like their last name or like, you know, triple check that their CC email, like their secondary phone number or something like that is okay. So yeah, hope it makes sense. I'm not trying to make an excuse there. It's just a matter of I've just seen that a lot, so. But I will confirm with Liz. She watches these so she'll touch base with me in terms of what the process is and if we need to change that. Because the main thing I'm actually concerned about when I hear that is if we put the information in because we spent the time already to get the information from them, great. But we need to make sure that they're not going to get like one click estimate emails and they've somehow been put on dnd like do not disturb. So cool. I'll circle back on that one. I'll actually leave that.
My form here. I will not delete that question. So that way Monday I'll readdress it.
Awesome. All right, you guys have a great Friday and an awesome weekend. Take care.
