Mike Minutes Mastermind 05/01/2024

Mike Andes covers operational issues: email delivery failing on about 1 in 100 messages, a new CRM tag for leads outside service areas, WhatsApp and Zendesk coming back online around 1pm EST, and a Stripe bug that times out when charging more than 10 invoices at once, expected fixed by May 3.

Hello guesstimation. Hope you're doing good. I'm probably sending you this as the recording and not the live stream because I am driving and so I didn't want to mess anyone up if they're live and it's bad service. So a couple quick announcements. I will still send this text out and put on the Facebook group once I'm done recording.
Two good things. The email as of yesterday, it's kind of across all systems. It looks like even if you send from your personal Gmail account, Copilot's having it service autopilot's having it. One out of like a hundred emails are just randomly not going through and they're being blocked. So I don't know if this is like an email server issue, but it's definitely not isolated to us or Copilot Augusta or anything. I got my own personal email, an email back yesterday from someone I was just messaging that I've always messaged. So don't know what's going on there. We are looking into it, see if there's anything we need to do. But it looks like this is kind of across the board a random failure on somewhere someplace. So I would not be concerned about it. We are looking into it and making sure that it is resolved. Whatever email servers have gone down from somebody, but probably nothing in our control. Next thing, talk to U.S. command Center. Most owners want the leads that come in inside of their CRM even if they're outside their service area. But what we're going to do is we're going to start tagging them as out of service area if we're putting them in your system. This is mostly happening because of instant quotes and that is someone either accepts or rejects a quote, but it's an instant quote outside your service area. We already have their information. We're going to put them into your system but then tag them as out of service area. The reason you want to do this is because if you ever do want to expand or second location or just expand your service area, it'd be really nice just to be able to down the road see where all your out of service area clients are and then know which direction to move. So the reason I say that you'll want to filter them out if you're sending out a one click estimate email in the future. So that'll start happening this week here in May as as we want to make sure you still get the lead. They already gave you information, they already potentially accept an estimate. We will still contact them, make sure they're they're happy. They know they're outside the service area, but then put the information inside Copilot so you have it. I do believe it's valuable information, especially if you say in three, four, five years you do want to move into a new area. If you already have a couple hundred emails, not bad. Especially if you have accepted estimates at certain price. You could potentially spend a couple weeks in the winter really mining that data and then expanding service area or starting a new location in areas that are already bringing in leads.
All right, that's it for announcements.
Very cool.
All right, the WhatsApp number for copilot should be back in operation within the next couple hours from the time of this recording. So 1:00pm Eastern Standard Time. They took it down while they upgrade the Zendesk last night went smoothly. And so for your invoicing today, we are seeing timing out on strike if we are overloading with a ton of payments. But when we do bulk charging, basically it does a whole chunk at the same time. That's how Stripe processes them. And since like Monday we've been seeing anything above 10. It just takes a long time to process and then it will never process it like times out and then you won't see it in stripe and it won't happen in Copilot. So you're like, oh, it auto charged and it'll move on. When nothing happened in stripe and nothing happened in Copilot. An easy way to check on this, if you accidentally do like 12 or 15 or 20 and it turns out it just checked stripe, make sure that it didn't go through, it would not have gone through and then just chunk it down to like five or 10 invoices at a time. We're in touch with Stripe about this work. They kind of told us what they think they need to change. We're hoping by the third this has changed. But we actually told them we don't want to push any changes until after the third because we don't want to change it midway through end of month billing. So I expect this by Friday or Saturday them to fix this. But just an FYI, it's not like it's not processing, it is processing but times out in their system and then it's not going through to Stripe. It's not processing on their end. So we have the alert on the invoices page. That's why it's there. Anything more than 10 invoices we're seeing as a risk of just not going through and timing out processing time. Okay, questions.
Present.
Okay, we got seven. First one up is from Mr. Anonymous. Oh, you know what? These ones are from yesterday. I forgot to delete them. One second.
Just going to delete these ones from yesterday.
All right, now.
Oh, maybe we don't have any questions today.
Okay.
The recent Facebook post our account sign Augustine floating spikes, tattoos, messy hair and beard doesn't make him less a human no FR a nice guy and good worker but this image is not professional and doesn't full the brand to be client facing on social each owner can decide what they're comfortable with but I just I. It'd be nice to avoid this type of stuff for our widespread marketing I will communicate that with the media team.
Cool. I think that's all I got. Sorry, I thought I have a whole bunch of questions in here. It looks like it is.
Those are all from yesterday so. All right. Well then I guess that's it for today. Hope you all a fantastic Wednesday. I'll be back in the office tomorrow for a regularly scheduled programming and that is it. All right, thanks guys. Take care.
