Mike Minutes Mastermind 06/22/2023

A June 22, 2023 YouTube 'Mike Minutes Mastermind' session with Mike Andes where he answers audience-submitted questions. Key points: Copilot will get a client signature block and later video+signature integration (estimated late fall); website images should be uniform across locations and personal photos are better for social media; employee lateness is viewable on user profiles and marked automatically from timecards; large ceremonial bonus checks are for optics while payroll bonuses should be run through payroll for proper taxes; prefer Capital One for multi-employee credit card setups over Chase due to QuickBooks reconciliation issues.

Hey, guest nation open. Good. Let's get started.
You will see in the video tomorrow. We had quite the turn of events yesterday, so I won't spoil it for you. You'll just definitely want to watch tomorrow's video.
What's really funny is the behind the scenes video that I'm making for you all literally was like complete opposite of what I said it was. It. It's quite horrible. I jinx myself pretty hard. So anyways, let me just drop this in.
On YouTube one second here.
Minutes. Cool. All right.
Okay. So started the Memphis meetup starting tomorrow. So best of luck to everyone over there. I was actually like for a moment in time debated whether I could just quickly fly in on the weekend. However, you will see in tomorrow's video why that's no longer going to be possible.
Yeah, anyways, let's go ahead and get started.
I think there's several questions that came in. Yeah, four. Cool. Let's get started. Number one, Caleb from Mare Island. Will Copa have a feature where the client gives their signature at the end of a walkthrough after a property cleanup or landscaping job? I figured this would be a good way to prevent employees from trying to skip or lie about the fact that they did a walkthrough with the client at the end of a job. Yeah, we're gonna have the signature block in there and then what you could do is make a form and make have a signature block in the form. So what you could do is just have a form attached to each project and then in order for them to close out, they'd have to click on the form and do the walkthrough with signature. So.
That will be coming, I would say probably late fall by how we have that done. But yes, it is definitely on the feature roadmap. Kevin from Bloomingdale. I have a selfie of myself in front of my city sign. Is it possible or even worth putting on my website? I wouldn't put worry about putting on your website. We really want to make sure the sites look as uniform as possible so that when locations do go, when someone does move between locations and happens quite often now that it is a much more uniform look. What I would recommend is making that like the banner image on like your Facebook page, Instagram, stuff like that for sure. But we really do not want to change pictures and images on the website. We want to be as uniform as possible. That's why we make sure that the pictures and videos on there are as vanilla as possible.
So there is a cohesive look between all the locations especially for people that have multiple.
Properties across. Across the areas. Yes. Like this for example. Great. This would be awesome to like in Instagram. This even your profile picture on Instagram, your profile picture on Facebook. It's a square. You could square this off and look great. I would. I would definitely go in that direction.
All right, next one here.
Came from Boomigail and vp. What's the best way to go back and see when I marked an employee as late you should be able to go to their profile. I was actually literally thinking about this last night. So I'm actually gonna do it.
You should be able to go to their profile here and you should be able to hop into here and then you should be able to see it show mark dates and it should have them all here. So as you add in mark dates it'll add it in here. I'm thinking down the road we'll probably make this an accordion of like by month or year or quarter or something because it's going to get quite a few. But for now you could you see it all right here. So lates would show up right here. It automatically gets created if on the time card you mark them as late. If you click that button it'll automatically create that marked event inside their account.
Present Share screen.
Garrett from Glendale for large checks for a 90 day hiring bonus of 500. Is the check real and they take it to the bank or deposit it. That's hilarious. Do you give them the check and a bonus on the next payroll or on an off cycle payroll or give them the check and hand them the cash? Yeah. So the big check is not real. You cannot take it to the to the bank and deposit it.
It's. Yeah, you're doing that really for making an impact to them. It's kind of fun especially if you're trying to make a statement to with other team members. Just kind of showing them that there is the opportunity to make profit sharing or the bonus for the 500. You can absolutely do that on the big one. But it's really more of optics. The actual how you would distribute that is either a just as a bonus on their next pay period they're going to have to pay taxes out of that. And then if you give them cash you're not going to take that as a deduction on as payroll. So sometimes I'll just take the hit and do cash in order to be able to just actually see cash being handed out at a team meeting. But the right way to do it is to run it through payroll As a bonus, that's the correct way to do it.
All right, we got another question. Come in. Do you get a credit card for all your employees? We do debit cards to one account. I would not say that's necessarily the right way to do it, but we mostly do it because of the multiple locations. It's easier to do it all from debit cards on one account instead of a bunch. I would highly recommend, though, don't use Chase for credit cards with multiple employees. It's a pain in the butt in QuickBooks. I would definitely recommend Capital One. They're the best I've seen. Because you can have one account with all the employees underneath one inside of QuickBooks versus a lot of these credit cards. You'll have like an account for every single employee, and it becomes an absolute chaotic mess to reconcile. So it's literally like when you call in for QuickBooks and you ask about reconciling questions. Command center knows this. Like QuickBooks literally asks you, do you have a credit card from Chase? Because it gets so much more messy. So if you're going to credit cards, I would do Capital One. Really nice interface. And most importantly, there's one account inside QuickBooks that all the transactions funnel into versus having this have a separate account that all gets reconciled from.
This. Is someone going to Caleb. I also require my guys to take a walk through video of the job if the client is not there just for that added bonus. But I love the added extra part of the signature. That's a great point. I like the idea of doing a video if the customer's not home. They're like, oh, we couldn't do a walkthrough because they weren't home. Great. I need a video, right? So you could definitely set that up down the road. We'll have video and signature integration stuff inside Copilot. Like I said, probably late fall.
Also, for bonuses, if you run it as a separate check, it takes out less taxes as compared to adding their bonus to the P4P bonus portion of a normal paycheck. It just depends on your state. This is not true in all states. For example, in Washington State, all of the money is going to tax the same. So every state's a little different. Depends on how your state runs its taxes as well as how it runs its workers compensation. For us, it's lni, labor and Industries, et cetera in Washington state. So it's a little bit different for everyone, just depending on which state you are in.
But Connor, you're in Indiana. Like that. That could Very possibly be true. Obviously, you want to check that with your local state employment.
Board or whatever.
There it is. Okay. There you go. Sorry, I was trying to quickly look it up, but yeah, you got to do a little thing. And honestly, the easiest way to do is sometimes call the agency and just ask them directly. Like, hey, if I give bonuses a different. You can look it up online. Usually they have it there, too. But some states are like, any revenue given to an employee is going to be taxed as nominal income, whether it be bonuses, whether it be only thing that typically is not as reimbursements. So be careful with the reimbursement things because if you got an audit, they're going to ask for receipts.
All right, well, that's all for today. I'm glad it was a quick one because as you will see tomorrow, we had quite the turn of events here in South Park. I'm not going to ruin it for you. I want you all to watch tomorrow's video and embrace the pain that I'm going through. I'm just joking. All right, have a great time in Memphis. For those of you that are there, it'll be awesome time. Make sure you post some pictures so we can all be very unhappy that we are not there with you and hope you have a great time. I'll still do the mastermind tomorrow morning and appreciate all of you. Take care. Have a great day.
