Mike Minutes Mastermind 08/24/2023

Mike Andes hosts a mastermind session (08/24/2023) answering franchisee questions. Key topics: how to contact Command Center (use Connecteam/text or help@augustalongaservices.com rather than general call email), the collections department handles automated follow-up/calls (not only sending accounts to agencies), P4P weekly payroll reports intentionally omit efficiency/dollars-per-hour details (those live on timesheets/timecards) though he is open to adding granularity, Copilot rollout is first-come-first-serve with onboarding starting late August/Sept and larger customers advised to wait until fixes by end of year, and personal productivity advice emphasizing reducing morning startup/wind-down time (example: doing workouts at home to save ~1.5 hours).

Hey everyone, hope you're doing super well. Let's go ahead and get started.
Just drop this link into Facebook real quick.
I don't know how many questions are but I know someone just emailed me one and I told them to put it in there so if they don't get to it, I will crawl from there too.
All right.
Cool.
Announcements. I don't think I have any. Let's hop in. Present share. Where's the mastermind form? There we go. Cool. First up.
Is Alex Stanwood Camino number one. We have basic servers with command. Do we have a way to connect with command staff via text? I currently send email requests to call@augustalongaservices.com Response time has gone up considerably since last year. Yeah, emailing call GustAlongerServices.com is not the way to do it. Let me pull up the dashboard.
Pull up the directory. All right, here you go. You got the directory right here. Email help I gus longer services or call your phone line or text via connecteam growth model. So Alex, you are growth model. You do have a connect team line.
And so you'll need to establish that you probably haven't used it forever. So text or email helpust longo service.com and they can help you make sure you get that set up. It is already set up if you are a growth model and so you can establish that connection with them because yeah, call it. Augusta is not built at all and as we've departmentalized command center there's not people actively looking for requests from command from franchisees Inside that email number two I used to able to ask command center staff to call clients remind them to make a payment. We have a lot of retired clients and they just need a reminder command center staff. Command staff keeps asking me to sign up for collection service but I don't really want the collections, the full collection service or to go to collections. Just help with calling a customer and remind to make a payment. Is this by design And I can't ask them to do that anymore. Yeah, so when we call it the collections department, it's not just like actually sending to collections, it is the whole process of reminding people to get payments, etc. And so if you're in the collections department, that means that the automations for follow up and calling them etc. Is going to go to the collections department. So when we say collections it's not actually like a where we're sending the credit agencies and all the rest of it. We are simply getting your automations. We're following up with them via email or following with phone calls, etc. And that is the way to do it. You potentially might help, have someone help be able to help you out one time at command center, but it's not going to follow a system and, and that's really not the most ideal way to do it. It is to be in the collections department to where that your automations are going to them to remind them to call, reminding them to email, et cetera.
Number three, what is good communication channels or make suggestions on software development? Why Weekly reports in P4P software do not show efficiency numbers for the week? Two weeks or maybe per hour pay for employees. We look at those numbers and at the meetings and I manually calculate them every time.
Why weak real reports in P4P software do not show efficiency numbers for the week.
Feel free to send a screenshot.
To franchisegustalongo servers.com and Mark what you're talking about here, I'm not 100% sure. So weekly reports, you want to see the efficiency numbers. Okay. Or dollars per hour. So I'm guessing you're talking about.
I'm assuming you're talking about on reports. And the reason we don't on reports is because reports are meant for payroll. So I'm guessing you're talking about like here. If I do like a week, it's my show here. I'm gonna do like a big long time here to.
Here. I'm assuming you're talking about like on here, wanting to see the dollars per hour, et cetera. The bottom line is because the reports are not meant for figuring out dollars per hour. That would be on your timesheets or potentially even on your time cards. And the same thing with efficiency percentage.
I don't see why we couldn't add it in here. It's not like a big deal, but really the reason we have it as simple as we do here is because we want it to be where it's like, okay, how many hours do they work? Put that into QuickBooks or Gusto or whatever. All right, what was their base pay? Okay. 279. Great. All right. What was their payroll bonus? 130. Great. Their total money for the on the paycheck? 409. Great. We want to keep this as simple as possible. So that's why we don't include any extra data on this page is for when you're running reports and doing payroll. If you're wanting to get other data though, I, I don't think we have percentages on here though. Which isn't a bad point.
Okay, so, yeah, send me a picture of what you're asking for. If you want on timesheets or reports. I don't think we'd put on reports because I want to get as simple as possible for running payroll, but I see the validity of doing it on timesheets. That being said, we are going to be adding more granularity around.
The efficiency scores because you can get those right now. If you go to your complete list here, you can see these. But I can see what you're saying. Like you want a period of time where you want to see their efficiency score and they can run a report on it. I can see the validity of that. So, but if, for what you're asking, give me specifics and see if we can make it happen. Just send me a screenshot franchise@augusta longcaservices.com and if you can mark it up with what you're specifically asking, then that'd be super helpful.
All right.
No, didn't work. Look at that. Okay, Therehere we go. Three. Number two, Brady Morse. Is there a list to get set up on Copilot starting next week? So there was a sign up from a few weeks back that we posted and a lot of people are on that. In the first come, first serve next week we have people starting in Copilot. They're getting onboarded this week. They're getting put in next week or September 1, probably two weeks after that is when we will start on that list and it's first come, first serve. Now again, Braden, you're perfect to be able to go into Copilot. Totally fine. If you are a larger company, I'll be very honest, watch what I'm doing and not just what I'm saying. I am going to wait until the end of December as the larger companies, if you're smaller, if you have less than 5,000, 6,000 people in your database, if you.
Don'T currently do text messaging, if you do less than 100,000amonth in monthly revenue, you're probably good to go. You should be on that list. I think it's going to be simpler for you. But if you're larger, I would still wait. If you, if you are a power user of service, autopilot specifically, I would wait. Unless you're so frustrated. I know a couple people are pretty frustrated with the whole merge tag thing, not working on some of this. Like, you can just. I've been very clear, like, I need till the end of the year for what I feel is going to be a replaceable product.
But yeah, that list is pretty long though, to be perfectly honest. Braden, like if you haven't signed up for that.
It is probably realistically going to take us a few weeks to get through that list.
This coming week we're training all of command center and then September 1st moving into, well, some of them already trained but getting everyone finished. And then September 1, people from the cohort of July are starting and actually like phone calls coming in and getting leads. And then probably a week or two later, that's when we'll start trickling in locations that want to switch over. But we will probably wait at least a couple weeks there, get any kinks out of the system, etc, and then we'll be ready to roll. Okay, this other question, let me just pull it up. I'll read it off of my email.
I know it was just submitted, so I won't read the person's name because they potentially might have emailed it to me because they didn't want it shared. So let me just screenshot.
And then I'll share that. That way you can see it still. And I'm sure he probably would not mind me sharing his name, but I don't know that for sure because it's not like a super personal question or anything. Stop Screen. Present. Share screen.
Okay, pull that there and I just screenshot that. Share. Why is this not showing up? Oh, I have to point into Chrome, right? Drop that image in there. Pull this there.
Present your screen. Aha. Gotcha. All right. I didn't read the whole thing through, but I figured something.
All right, cool. Hey Mike, I've got a personal question for you. What did your daily schedule look like the first few years you were starting up? Mine looks something like this now. 3:45, wake up. 5 o' clock gym 7:30, get to shop. 6:00pm Head home. 10:00pm Sleep. I feel like I'm. I'm always exhausted, especially when I have some bigger product to go out and do. Some days I will be so tired I physically can't get out of bed. I guess I just need some advice for someone who has been where I'm at now. Let me know what you think and advice. So first off, the person that wrote this, I know two things. One, you. You're still very young. And two, you've grown extremely quickly. Extremely quickly. And so. And now you're like really for it. Like it's even growing more. So keep that in mind that this is somewhat common and normal. This is what I would say for most people should be looking at. And it's right here, four hours from the time that you wake up to the time you're getting to the shop. I feel like that is where most people could really take a look at what's going on in their life in terms of efficiency. So that four hours, let's say you are awake for 16 hours out of the day. That 25% of your day is where I see the most waste. All right, so, and again, I'm not, I'm not saying this is specifically at this person.
This is mostly a commonality I see across the board is the amount of time it takes people to get ready for the day, the amount of time it takes them to drive to something like a gym, et cetera. So for example, I did not have a gym membership when I started Augusta for the first four, at least four, potentially five years. Let me think, give me a second. I came back, so I would have been. Yeah, so I didn't have a gym membership until I got the gym again. So when I bought the gym, that's when I started going back to the gym. So it was the first five years of Augusta after I quit working as a trainer to the time when I bought the gym, that was like four and a half, five years. I didn't have a gym membership. I had everything at home. Everything was body weight. And it was for this reason the startup cost of going to the gym in terms of cost of time is huge. Shower, hauling all your your stuff there. I would simply do all my workouts right next to my bed. And this was a matter of I could be from bed, working out, showered, and at the shop within about 40 minutes, 30 to 40 minutes. Because I only lived about four minutes from the storage facility where I started. So that's where I see the most time opportunity for most people that are trying to be more efficient is startup time. Same thing as down, winding down. Right. So let me look at this again actually. So, yeah, head home, set, six to ten o'. Clock. That's obviously family time, dinner, etc, but that's also the time I'm really honing in on. Because if I look, look at that four hours, six to 10. And look at the other four hours at the beginning of the day and I'm looking at the time that you worked in between. It's these the spots you really, really want to analyze. Right. And it's, it's more so usually startup. That's what I see like people's like, because like, hey, end of the day you want to wind down, relax, etc, like that's, that's fine. But when people are like, I'm waking up at 3, 3 o' clock or 4 o', clock, it's like, okay, well when do you start your day for work? Okay, great. Every time, every minute in between there I want to like really analyze. And so.
Obviously as a guy, it's easier for any of the ladies listening. Like, you know, you all look good, so, and that's great. And you take longer to get ready. That's awesome. But for myself, it was a big thing at the beginning. I was like, I cut off my gym membership because I was personal trainers. Like that was what I did. But for four and a half, five years I didn't have an anytime fitness gym membership and I didn't even get one until I bought the club. And it was for this reason, by the time you change, drive to the gym, dink around, finding equipment, talk to people, work out for 30, 40 minutes and it's always slower doing that and then shower there, have a change of clothes, come back to the house, grab something to eat, and then head to the office. That's two hours. And so that two hours is a 30 minute workout. So you, you basically burnt an hour and a half going after that 30 minute workout that potentially could be done next to your bed with some body weight and a few dumbbells. So I would really, really look at that period of time.
Yeah. And so even when I go to like the gym now, for example, it's like I'm, I'm very cognizant of the fact that I am burning an extra 30 minutes of my day just to go to the gym. If I can do it at home all that times, like you can literally get out of bed, go do your workout, hop in the shower and be changed and 40 minutes later you're ready to go to work. So it'd just be something if you're really trying to squeeze every minute, right? Like, hey, not every moment in life needs to be squeezed or needs to be the most efficient. And if you enjoy going to the gym, awesome. But if you're really trying to squeeze those first few minutes of the day and really those first few years of your business, I always look for the time from the time you wake up, the time you start working. And I see a huge amounts of weights in there. People like packing clothes, spending lots of time doing things that are not necessary, driving places, getting coffee at places like that's where I see the most waste. Like that's four hours. If that can be cut down to an hour. You just have three hours. You can now getting off at 3 o' clock instead of 6 o'. Clock. The question is, can you get all that done in one hour? And I think most time people can. You know, if you have prayer, meditation, devotion for 20 minutes, you go work out next to your bed for 30 minutes, it's 50 minutes, right? Where's the other two and a half hours going, you know, or sorry, the other three hours going? That's the question that needs to be asked.
So I just think a lot of us take a lot of time to get going. I fought this a lot at the beginning and now it's just a matter of like when I wake up. There should not be a four hour morning routine, right? As you have kids, things like that. And I'm talking to someone who's also single in this regard. As you have kids, you have family, there's way more stuff you got to add in that in that morning routine. But for someone who's single and or like the business is your thing right now, the next three to five years you're pouring in, I'd really analyze those minutes of the day. All right, everyone, have a fantastic day. Have a happy Thursday and we'll see you tomorrow Friday. Take care.
