Hey everyone, I hope you're doing super well. Let's go get started.
Welcome to the Mike minutes, mastermind.
All right, I'm going to enter a quick question because it looks like there's just one. And then I had a couple things to go over.
Boom. Paste.
This is the right one. 28, let's go. All right.
See here. Questions, question, question, question. Okay, let's just knock this question out and I'll go over a couple things in terms of timeline stuff. All right, this question is from Mr. Anonymous. We're having a prob. We're having a big problem with guys calling out. For instance, we have this one guy who missed a day, a week since he has started. Where the four. What are the stipulations for call out? How much notice does Bellingham require in order for it not to affect their profit sharing? What are the standards?
Yeah, so we used to have it where 6:00am call out time. Anything beyond that was, sorry, 6:00am 2. Two hours before their start time.
Which was like 6:00 clock. And we moved it last year and it's been much better in terms of. It is considered a call out if it is not before. I believe they have either a 6pm or 3pm the day before. So I, I have someone now, Lee or Corey can let us know in the chat, in the comments, but it's either at 3pm or 6pm the day before. If you don't let them know by then, it's considered a call out.
And then they lose half the profit sharing like usual.
In terms of P4P, if you really wanted to, you could tie this into P4P and make like a yellow slip out of being late a certain amount of times. I wouldn't recommend that. I would, I would probably. If someone was like habitually doing this, you eventually have to let them go. I'd probably talk to them first, like, hey, looks like you're missing one day a week. Would be better if we just scheduled you from Tuesday to Friday or Monday through Thursday or whatever. See if that is if something you want to do. If you don't want to do that, then it's a matter of like you eventually have to let someone go and create the standard, like, hey, if you don't show up to work, you're going to be fired. So again, until you fire someone, it is going to be a suggestion. So I would recommend to everyone, if you need to make these sort of calls, you do it now during the off season, not in the middle of spring rush. So if you need to establish the culture of the company that hey, you need to can't just not show up to work. You'll need to let people go now. It's better to do that now than in the middle of spring rush. So again, like I always say, like until you fire someone over it is just a suggestion. I would say though, if you really want this person that they're a good worker and you want them on the team and you're willing to accommodate like a four days a week and move the schedule around a little bit. I would address them personally one on one first and be like, hey, like this is not working out. Do we need to make some change? I'm willing to do X, Y and Z. And then if they still can't abide by that new schedule, then you definitely would be putting them on, on the ice. So.
What do we got? Okay, that was all the questions there.
One second here. There's another question that came in.
Here. Hey Mike, will credit cards on file in SA transfer to copa? I need to have clients update. Who is this? One second, Anthony. Yeah, so we've gone over this quite a bit, Anthony. It will not transfer over automatically. You will need to get the client's update. I would recommend changing your invoice email.
To get that new card information and basically you can. And then in the automation sequence of following up on an invoice you can start making it as a follow up, like a header that gets opened up all the time, is your payment was declined or like your payment has expired, please update that sort of thing. It's opened up all the time and then we've made it to where when they, when they pay an invoice for the first time, if they don't have a card on file, it literally just has a little toggle. So like would you like to put this card on file? So.
I still. Yeah, we just haven't seen a lot of issues with that. I know there's one or two accounts that have said that they're really struggling with trying to get their card information on file. And those are the ones where it's like, hey, if you're not doing in, if you're not invoicing them frequently right now, like it's off season there, there's no reason for them to put new card information on. Like they're, it's only upside for you if they put cards card information on that. Now if there's a pending invoice that is, you know, seven days overdue now all of a sudden credit cards are like they will get the card information on file. So.
My website still doesn't have the instant process for mounting on the form that sign up during conference. That's very weird, Vlad, because we have everyone that was on the forms done.
Let me get note here, one second.
All right, I'll check in on it, but I know we have all the ones that we have in the backlog done. We did a couple weeks, so a few weeks ago. So I'll check up in on that. On your specifically. Potentially it didn't go through. I don't know. Well, I'll check and see if it's there. If not, it would not hurt. Vlad, if you don't mind, just fill out the form again because it's like I looked two weeks ago and we had cleared it out. So it is likely we never got it, to be honest. So if you can fill out again, we'll get it up as soon as possible. Like literally within a day or two we'll have it up hopefully. So cool. On that note, the update I was going to give was in relation to just timing around that. So as of two weeks ago, minus flat, it looks like we have everyone's forms done for instant pricing. If for some reason because of if it happened to Vlad, could have happened to someone else. If for some reason yours hasn't been, please fill out the form again. For whatever reason it might not have gone through. I don't know if it was a matter of if you did at conference. I don't know. Maybe WI fi. I have no idea. So please submit those again. We'll get them done right away because those are ready to roll. They're. They're all up and running. Command center is running on that. We are ironing out the processes for the upsell portion. So if someone accepts an estimate, what then? Other services you can offer to them would be all customizable by you. We're trying to nail that process down. So Command center is nice and smooth and then I'll test out my locations throughout January. So I'm expecting that by February I'll be able to have a form for everyone to fill out for upsells to be ready before spring rush. So if you want someone once they buy mowing, they have other additional options for drive by estimates, other projects, et cetera. And then you can change that throughout the year based upon timing, et cetera, which is cool. That should be done in February. Then what we're going to do is really make sure that's nailed. Focus on spring Rush. Both operationally for everyone, each of their locations as well as a command center. This will be our first year. We actually have just one CRM. It'll be super nice. And then in this probably like May, June, I'm hoping to be able to cut out the process of on door hangers. When people have to write in their information, there's just too much room for like illegibility. Them missing something, it raining and smudging all the numbers, a whole bunch of stuff. So what we want it to do is instead the QR codes would align with certain prices and so they'd scan the QR code. The pricing would already be filled in and they just have to put their, their, their information. So we're just trying to make sure it works well with the current forms that are being submitted. We're trying to integrate that directly. So that come from command center's perspective. It would look exactly.
So just a little bit of a technology integration we're working on. So I want to nail that. Then I'll test it at my locations and then wait till the end, the later end, tail end of spring rush. Because I have a pretty good inclination that we are going to be overloaded with leads this spring rush. Mostly due to the fact of Max answering 247 and picking up a massive amount of leads. I just know are going missed based upon call volume in the evenings and nights and weekends, et cetera. And then secondly is instant price forms are going to like, it's going to be a lot. So I don't want to add in a whole nother thing with the QR code thing yet. So probably May June, I'll start rolling out solely. And then that way if you're doing a lot of door hangers, et cetera, especially when it goes in like project stuff, we'd have some options for you there to be able to get pricing done automatically.
And then, yeah, after summer we'll nail that down and then we'll start really working on integrating Copilot with Max AI with all the forms online. So everything would start to be working together. That'll be a big project, but that will be kind of like what we start working on after from the summer forward in 2024. All right, everyone, I hope you have a fantastic Thursday. And if you would like, definitely on Saturday, I'm doing a. It's gonna be a short webinar. It's on just creating your goals and plans for 2024. So if you have no idea how to do that or like you don't really have a framework and you'd like to do it. It's not complicated. It's not difficult. It's not gonna be like anything complicated. So feel free to go on there, register. It's just mikeyandys.com2024 and I'll just kind of show why I used to do planning. I'll have a template for you. We do a one year plan and a three year strategic plan as well. So looking forward to that. And you're more than welcome to join. All right, guys, have a good one. Take care.
