*Stream like the Podcast Pros Our Exact Video Podcast Live Workflow Revealed

Tom and Tracy Hazzard walk through their exact setup for streaming a podcast live across multiple platforms at once. They use Zoom, Restream, and Google Vids to coordinate the technical side, handle scheduling, and promote each broadcast to maximize audience reach.
This is Feed you'd Brand with hosts Tom Hazard and Tracy Hazzard.
Hey, everyone. Welcome to Feed you'd Brand. I'm Tom Hazzard along with my co host, Tracy Hazzard. And today we are going to talk about going live and what really share what our workflow is and what we do going live. It's. There are many ways to do it, but I think hearing what we do on a regular basis, it's going to be very illuminating and really separate people between those that really do want to do it and go live everywhere at once and those that don't. Because this is not for the meek or the tech challenged.
I will say I think it's more than that, Tom. I was like this. It has a lot of steps. It's not that it's highly technical. Like, I mean, you're going to see I've, like, got it down to a system. But if you can't think like this, if you can't prepare ahead of time, if you like to do things off the cuff, forget it. This is not the way to go. Just jump on YouTube and go live whenever you want. Like, jump on Facebook, go live.
That's what I was going to say. If you really want to do it, the simple way that you can do it is simply you got a phone, you got on the stand, you use your phone camera, because that's the right proportion for a lot. Well, not everywhere, but a lot of social channels. And go live to one place, you can repurpose that and rebroadcast it in other places with other tools that let you do that. But we're talking about using a tool like Zoom. We use Zoom, other people use streamyard or other things. But using a tool like Zoom and going live to multiple places, multiple platforms at once, that's really the more complex workflow we're talking about.
And using it as a promotion tool or a membership nurture tool. And so that's what we do. So just to kind of explain how we go live on our podcast every week, that it's not about the podcast being live, it's actually about the coaching that we're doing in our membership group that matters to us. It's our purpose, our first and foremost purpose. That is the thing that we care about the most. And so we need our audience, our members, our subscribers, our users, our clients. Substitute whatever word you want in there. We need them to know what we're going to podcast live about. The reason we're going live, though, is we are getting it out there. As a promotionary tool to the kind of coaching we do so that somebody could pop in and see a sneak peek as to what it would like to be a member of our group. Because remember, unless you're a member, you can't ask any questions.
Yeah. If you're not here live with us on the webinar, which is the source of what we're going live from, we cut it off at the end of the recording of the episode and stay live for the Q and A.
So you still get it on the podcast, you still get it on the video, but you don't get any of that one on one coaching that comes or the group coaching that comes afterwards. And so you don't get to ask any of your follow up questions. You don't get any of that immediate. How do I apply this to me? That's the difference of what we're doing. So our purpose is to make sure that we have a zoom to have the group that is there live asking questions so that there's chat and engagement, that it's out there on social in whatever places we choose. Now we have a lot of places and I'm going to go over them in a moment because I'm going to actually demo our workflow. My workflow, because it is really mine.
It is Trace's workflow. I'm going to admit this, folks. I mean, I'm. I do technical things too, but this is Tracy's area of focus. She wishes I would do it because it's actually quite. It's a lot involved and I really feel for her, but I don't do it. We divide tasks and she is the expert. So really this is going to be Tracy's demo walkthrough and I'm the sidekick.
Right. So I can do it in about an hour.
You mean the whole process for an episode to prepare to go live?
Yep. Before you actually start recording. I can do it in about an hour. But I've also been doing it over a year and a half now.
That strikes me as a really long amount of time to prepare, but you're.
Going to see why.
All right.
Okay. So this is soup to nuts. If I sat down to do it from the very beginning of wanting to go, to take my podcast and go live. This is that pro podcast live workflow that I use. And then the link is there and then we go live. Right. Like, and so that part is the easy part, actually. You just log in. So. So we'll show that at the. Well, we can't demo that because we are live, so we can't demo going live. But I'm pretty sure most of you have ever done this where you've streamed live from Zoom. So that part's the easy part. That's the very end.
Well, that I do, actually, Tracy.
I mean, you know how to do that part.
I launched the webinar and we're on there. And I said, all right, Tracy, you ready to go live? Yeah, let's do it. Fine. And then actually go under the 3 dot more button in the live and it goes to live stream and you say, go live to custom streaming service. Now that, I mean, I'm driving the car. Tracy built the car, so. Okay, show us.
So I'm going to share my screen with you, and I'm going to talk through some things that I do. So the very first thing is, first off, I have a drive folder, because if you don't start with this drive folder and keeping everything in one place, this is the tracking of all the recordings, everything that's going on, all the assets. I just keep it really organized in OneDrive folder. So I give it a, like, kind of a working title, if you want to think of it that way. So it's kind of like, what is my topic about? So I'm actually going to demo scheduling next week's Live for us. So you're going to see that I'm doing it. So what I've got here is why guests on my show. That's actually not the title I ended up with, but I'll adjust it right now.
Tracy, I just want to take a second to let our listeners on the podcast apps who are listening this recorded know that this is visual. You are sharing your screen. It was done on the video and they can go watch that at the blog post for this episode on podcasters united.org. there will also be screenshots there in that episode. But Tracy's pretty good at being very descriptive, so hopefully you can follow along, even though if you're listening to audio only.
Yeah, this is like the, you know, the cooking show where you can't taste it, you can't see it if you're listening. But I will describe everything I can. I'm just going to change the title because I've now titled the episode. I did that part beforehand, so I've spent about 30, 40 minutes on it already before we get to this piece of it that I'm going to demo for you. So I now know that it's SEO title is benefits of podcast guesting. So that's Usually, typically what I like to put in my title of my folder because it helps the production team know what the keywords I care about are. And it also keys into me what we were talking about. Right. So there are a couple of items already in this folder. Normally it would be empty, but I've already done some things. So here's the first thing that I do. The first thing that I do is I make a preview video. I think I talk about it like it's a. I use Google Vids. It's my latest fun tool. You can use Zoom Clips. If you've got a paid version of Zoom, you can do longer than two minutes. If you don't, you can only do two minutes, which isn't bad because you might want to use it like a video short. So two minutes is perfect for that. But somewhere between two and three minutes is the perfect length for a preview video where you're just going to record and talk about what the episode is about. So I record it as if I'm talking to you, my audience, and I just hit this little record button here and I record a video and it gives me like the little screen. You have probably seen it and done it with Zoom clips before, or Zoom in general. Just pop on Zoom and do it for two minutes and you just start. And this is perfect because it's 10 minute, like your 10 minute maxed out on Google vids. But there's also AI tools that work with it. That's why I use it. So it's just super simple. And it goes straight into that drive folder because I launched it from that drive folder. So I went over here and I go, new Google Vids. And then it just opens up a new window and it's automatically saving it. So you can see it here. Why guest on my show? Because I didn't know what I was going to call it at that point, but I already recorded the two minute video. It's already here.
Tracy, that was really cool when you demonstrated going to Google Vids because you know as you're sharing your screen and you're very small at the top of the screen. Right. Your window. But in Google Vids, it actually was. The video was live and as you're speaking, its sync wasn't really delayed. So we saw you a bit bigger. It was great seeing that window for how you then record that little promo.
Yeah. And if you're thinking about it like a promo, that's why I like to do it. If I thinking I'm recording a YouTube short, like I'm thinking that in my head a little bit longer than that, because I might want to break it up into three YouTube shorts, which is actually what we do with ours. So I think I want to cover three things. I want to get you excited about joining this episode. I want to tell you what it's about, like what we're going to cover in it. And I want to make sure you know that you're the right viewer or listener for it so that you, you know, if this is going to be a pro or a starter or both. And in this particular case, it's actually for both. And so I want to make sure that you know that you're the right person for it. So when I cover those three things, those are going to give me three video shorts with the right kind of angles on it, but it's also going to cover everything I want in a description paragraph, everything I want to title this episode for. So I'm prepping my topics as I go by doing this first. And really all I really care about is, I mean, it's great to have the social promo part because I want to get people to come to the live, but I really care more about the AI being able to use this and understanding what this episode is going to be about. Because if I ask it to create a title for it, it is going to give me the worst guest title. Tell me something about why you should guess on a podcast and it's going to get it totally wrong. It's going to think it's about podcast guesting from the guest perspective, and then you're going to spend all this time getting frustrated and trying to correct it. Where I basically said here is I'm the podcast host and I need to tell guests about why they should come on my show and why it's so valuable. So now I've given it its direction already, so I already did this for you. But link to the blog post of this episode. I'm going to give you our template. So I have templates here that our team uses all the time and I've got a potatoes topic prep template. So if it's a topic show like ours is, you can go there. If it's a guest prep, I've got an interview prep for it here. You can use it the same way you could do the intro for your guest already. But typically you don't need it because you can use the bio to help generate the information. And it's really, if you're going to go live with a guest, it's all about the guest. So you don't really need all the prep that I've just shared with you. You just need the guest name and their bio and why they're so great and their information to link to. Right. That's what you need to do if you're going to do it that way. The next thing I have to do, though, is create headers because I need graphics. So I've got descriptions and stuff like that. And you can see here, I wrote my titles and my description and my subtitle. I've got it all here. I've got my focus keyword up here at the top. Benefits of guesting on a podcast. I picked the title Be a guest Magnet. Benefits of guesting on a podcast. I've got a subtitle which is used for my blog. This is not for this place here. Although I do use the subtitle when I'm using it as the start of the description. I've got a descriptive paragraph. I've got a call to action to come and join me live and when it's going to be. And then I need my images. So I have to create some images ahead of time. And so I do them in canva. I already have a template. It's super easy. I generate an AI image to go behind it because this is just a compelling thumbnail. The real thing is going to be the video, right? And so what's going to follow with it? So I just need a thumbnail that is going to have that short title on it and get you attracted to my show. You can do that in YouTube, but you'd have to set up your show in YouTube in order to do that. And we're not going to do that here. We're going to set up the show in a streaming platform called Restream, and that's the next step. And we need this image in order to schedule that episode and Restream and have it show up in LinkedIn, in YouTube and other places that we want to do it. So these are the main things that I need. I need ahead of time. Title, description and image. That's it. And then from there I'm going to go and start scheduling. So that part took me 30 minutes. That's what I just described to you, getting that because, you know, because you've done it after the fact, right? You've done it after your videos, you've done it after your podcast episode. When you go to title write the summary descriptions, they take like a half hour of time. Maybe you create your own thumbnail at that point, lots of you don't do custom thumbnails, but many of you do because you're going to share it on social. That part does take time and now I have to do it to prepare the episode and that's where the length of time is taken up. Now we're going to go start the technical scheduling. Now Tom and I have spent a lot of time choosing things and we have chosen Restream. So you can see we're actually live in here. So it's a little confusing because it normally doesn't look like this, but we're actually live in Restream right at this moment in time. And I'm going to create a new Restream. I'm going to create a new scheduled post.
Are you sure it's going to let you schedule a new one while you're live and restream? I sure hope so.
I am not going to go all the way through and schedule it, I don't think. Unless it won't let me, but let's try. So what I do is I simply go to. I mean this is the homepage that I have, which is, you know, yours might look a little different because your dashboard might be a little different. You might have a different plan. I have a. It's like a $300 a year program or something like that that we have with them and it allows us to have a certain am, save spaces in memory and other things like that. So I create a new stream and what I'm going to do is because I'm going from Zoom, I'm going to do an encoder RTMP type stream. And so what this is going to allow me to do is create it so that we go live from Zoom to everywhere. If you wanted to, you could just go live from Restream everywhere and skip Zoom. But because we're having our coaching call and we're interacting with our members, we need to be in Zoom first. So if you're going to do it from any kind of membership group or you're going to do it with people actually live asking questions, you need to do it there. If you're going to just do it and all you care about is distributing it out, you can do it through the Restream studio. If you've already pre recorded your video and lots of people do this and you want to just play it after the fact, we do this at the holidays. You have to record it as if you're live and then you play it later and you stream it out later to all the different places, but we're going to do this one and I clicked it, but it's slow. Maybe that's because we're on it. Does it crash our restream?
No, no, it's looking good, Tracy. So you already have our Restream account configured and connected with all the different channels we're going contribute this on. So we're not sharing how to set up your account or are you going to cover some of that?
Yeah, I'm not going to show you how to set up your account. So you see, all I do is copy and paste stuff here from my document. That's why I have my document. See, I'm just copying and pasting the title of it. And so I want to set up the stream. I want to put a title, a description, a thumbnail. This is how it's going to appear on YouTube and LinkedIn and every place else. So I want to make sure it's correct. So I will double check, make sure I didn't spell anything wrong, make it's right, make sure it's size, it fits. I am actually getting this off my desktop just because I happen to have it there. Oops, that's the wrong one. See, I grabbed the wrong one. I also have it, but I loaded it, as you saw before, it's loaded into my Google Drive. You can get it from there as well. You can navigate there to get it, but I happen to have it on my desktop.
So.
So now I've got my thumbnail, I've got my description, I've got my steam. I'm going to say update all, but I'm going to schedule this. So see what's happening here is they're starting to populate in all the different. But I haven't turned any on yet. And so it's populating this. And so I'm going to hit schedule event first because I want to make sure that the date is right. So this is next week's date and we always start at 12pm Noon Pacific Time. And so it's here that I hit the schedule. I've got it right. Everything I already put in is there. And now I'm going to go to all the things that I've loaded. So you can load channels, add channels right here. Mine are already preloaded. All you do is you do that verification that just logs you into Facebook, logs you into LinkedIn, connects the app. It's super easy. Restream does not have this difficult. It does break on occasion. And you'll see this, that I just Literally had to reattach Rumble right before our live stream started. So all I have to do is turn them on so I can turn them on. I'm going to actually. We can only have one LinkedIn at a time, and because Tom and I are on it, we have to decide between the two of us who's going to be live, because I'm the one that went live on this week. You're going to be next week. We just trade off. And so I simply turn them on. Facebook's getting turned on. That's our Facebook group. This is the Facebook channel. This is YouTube. This is the YouTube Poditize, and this is the YouTube United we pod. So you can actually have more than one YouTube channel it's streaming to at the exact same time. So everything's all set and I just hit schedule. It's going to draft. Hopefully it's not going to crash anything while I do it, because like you said, Dom, I've never done this where I was scheduling one while we were in one. Yeah.
So when we're actively live. Yeah. I mean, it's impressive.
Yeah. It does take a few minutes. But I'm going to go to YouTube and show you it in YouTube, so you can see it over there. And then I'll go to LinkedIn and I'll show it to you in LinkedIn. So it looks like it worked. So I'm going to go back to our homepage and. Oh, so it ended up with a little extra here. Sometimes that happens where it thought I was going live right away, but the schedule is. Sometimes that happens. But so you see, it's scheduled. It's scheduled. Right. Everything is done. It. It's the right image. It looks right here. So now my next thing is to make sure that it's ready to go. But one of the things that I do for my own purposes is I to this thing called the embed stream. The stream is a code. So I just copy the code here. And this is your stream URL. Ours is always set the same. I go and I put that in my document. Because sometimes when Tom and I are on a call, the stream fails. We've had that happen, right?
Yeah, absolutely. Where we go live and it fails, or you go live from Zoom and that field where this code goes is blank. And you want to have it in a document like this, handy. And I've done it where I've had to just copy it, paste it in and then continue and then it'll go live correctly. It's usually something breaking down in the connection or system, but it hasn't happened in a really long time.
Honestly, I try to double check it all the time, but it can happen. There could be like, oh, you hit a, you know, you missed, you added an extra space is typically what happened when you put it into Zoom. Just mistakes like that happen. So having it here handy because Tom and I use this prep document when we're going on our call because we plan so far ahead usually. So this is a drop in episode that I've substituted. So I made a call because it was asked for us by our partner, Juliet Clark for one of her clients. And so we said, well, we'll record it live and we'll record it next week for you. And so we substituted it in. So I'm making an adjustment. But I like to keep those extra links here. It's really easy if somebody asked me at the last minute. I just got a text this morning from somebody I met at a networking event yesterday and I needed to text him the link. So I want to have my Zoom link. My partner shares Zoom link because we use an affiliate for that there. I might want my YouTube link as well. So that's actually missing on this document, but I will add that in. I want my YouTube link. So those are all the things that I want to make sure I have easy access for. So this is the YouTube channel I'm showing you now for Podcasters United when you schedule a live, it also goes here. I'm refreshing the page because I did this right. So you see here, we're going live. Go Live Pro Podcast Live workflow. You see it's live and it has got a little live icon in the bottom. This is the new one that's scheduled. Someone can go to it, you can start promoting it now and they can click Notify me and it'll notify them when you go live on it. So it's really great that it's here, but there's a little problem in that I want it to be a part of the podcast. So I have to take an extra step and save it to the playlist for the podcast. But luckily I can save it to both the playlist on Potatoes and I can save it to the playlist here on Podcasters United. So you can save it to more than one playlist across multiple channels, as long as you have them all saved into your playlist here. So it's now if I looked at the podcast here and I went to it, you see it Sundays live in six days. And you see all the other Ones here. Now this is where you get the link. This is really important. Do not hit the share button. Hit your control, right click or whatever it is on a PC, I don't know, and copy the video.
It'd be just the right mouse button on that. That's all right.
Mouse button, yeah, there you go. And you copied that URL. And the reason for that is, is because when you send it out to somebody and you say, hey, I'm going to be live in six days, right? And they go here, YouTube is going to serve them up a bunch of junk videos over on the right, unless I use the playlist video. And that, that's the way to get the playlist video. So I'll just show you again the difference here. So if I hit share, you see there's live here and it says featured. If I hit copy video URL, I'll paste it over here and you'll be able to see it. It has the word list in it.
This is really a critical tip, folks. You really need to get this. This is so important. This is true not only of this link to the video. So when someone watches it, they could search more of your stuff at the end, not other people's stuff. But when you use an embed code on your website for any of your videos, when, if you put it in a blog or you have a video page, you want to use the embed code from the playlist item because it's for the same reason. So this is really important.
Right there is copy, embed code, copy video, URL. They're both there, so you can use them both. But doing it from your podcast playlist or any playlist that is your playlist, if it's your company playlist, we have playlists that are like, you know how to guest on a podcast, right? Like, you know, we might have a playlist that's all about guesting. We can copy the video URL from there and that way it makes sure that when they go and they say notify me or like share, you know, save it, because I want to save it or be notified when they do that. That's great. But what's it going to give them next? Because you're not live, you want it to give it the next video in the list. You want them to be able to see what else they could consume so that they can go, oh, I want the one hour podcast social media plan. I didn't know they recorded that. I'm going to go get that. And it's only 28 minutes. Perfect. Like I have 30 minutes before the call starts. You know, you could do that. So this is really one of these critical things that I've discovered. Now I'm going to open up LinkedIn. I hope I'm on. Yeah, I'm on my LinkedIn. I want it to be on my LinkedIn being not yours, Tom. I'm going to go to Tom Hazard here on the LinkedIn because I'm going to go to his page and look at this is his profile on LinkedIn. I'm going to go down here because he now has an event that was created. So see Be a guest magnet Live. This is all created and there's an event page created by Restream in Toms. I'm going to say that I'm attending and now I'm easily able to share this as an event, as a co speaker, as an attendee. I can add it to my calendar here too, but that's my LinkedIn calendar, so I'm not going to do that because I have it already and I'm already on it because I'm a speaker. So I'm already going to have a guest created from that.
So wait a second, Tracy, this is something that I think needs a little clarity and emphasis. Why did you go to my channel, my LinkedIn profile, to do this and not your own?
Because I haven't been invited to it yet in LinkedIn. This is because I launched it in your channel.
Oh, because this is in my. That's right. You said we alternate between doing yours or mine. So for the typical person, if they're the only host and it's configured in their LinkedIn, they would do the same thing but just go to their own profile, not to their co host profile.
Right, exactly. And so you can see here is like, look, you're not here on today's.
Yep, yep, you're right. Because that went live on yours last week.
Yeah, because we're live on my channel. So I did that on purpose today that I didn't. I normally log in as you. You just do not tell the LinkedIn people. But I normally log in as you and then go to events and then I would go here and I would. If I do this, I hope the sound's not going to play and we'll end up with like double. But I would go here, I would click in join as you. Right, got it. Okay. Now this is how someone actually is in LinkedIn joins us live. That's how they do it.
So they don't leave LinkedIn because it's in their events. You mean if they are following us?
Yep, exactly. So this is where you would go and you would click join. And I usually go in and do it for you. I just didn't today.
Yeah, yeah. I think it's fantastic that Restream connected with the LinkedIn account, the one that you clicked that it was to go to. That LinkedIn account automatically creates that event in your LinkedIn. That's fantastic.
Yeah, Here we go. I was like, how do I get to our Rumble? So, like, you can see in Rumble, like, Rumble doesn't work quite the same way. It restreams later. You can't see us live here right at this moment in time, unless you're on the Live tab and you're subscribed. And so it will be here, but it always is after the fact. It. So some of the channels work differently. So I don't know why that is in the way that Rumble works, but that's the way it does. You have to be following in a different way. Like I think that it is. It adds it to the person first. So if we went to here and then you'll see, see, we're live here. And then you have to add it to the channel. So it has to get added to the channel later. So save to the playlist. Same kind of thing. Save to watch later. Or you add it to the channel. And so these things have to be done manually. And I'm a little behind. I haven't done it the last two weeks.
Well, it's because Rumble is not making it fully integrated and easy to do from restream.
They aren't. But we are going live on Rumble. So if somebody's following the United wepod profile, then they would get that whether or not they were in the channel itself. And so these are the way, like I told you, there's a bunch of different ones. Like, we're in Restream, right. We have all these channels here, right. And so you can go to Facebook. You can see it on Facebook in the same way. So here's the Facebook where this is the Podcasters United group, right? And look, there we are. And we always have stuff running at all times in here. Events are running and events are scheduled. And then we have Auditize. I think we're the binge factor. It's running in the binge factor as well. So upcoming events. See right there. I don't know why that has no image, but maybe it hasn't loaded yet. Sometimes when you just load them, it takes a little while to load. So you can see all events.
You can see the go live one says it's live now, so you could go to that if you wanted.
Exactly. And then this one, I think it will get an image when it's done. With this one, I think when you schedule ahead, sometimes they don't show up right away. So those are some of the nuances of it. Now there's one more thing we have to do, and that's assuming you want to go and be in zoom. You have to create an event in zoom and you can create a meeting, you can create a webinar the way you normally create one. We have an event hub, so we have to do it here. And I'm not going to create one for you because it's very complicated and you have to have your own personal settings in everything that you do here. But I'm going to show you what it looks like behind the scenes here. And so you can see eight people are coming. There's total 10 registrants, which is really amazing, seeing I only put it up 30 minutes ago or an hour ago, so I didn't actually do it earlier.
Well, I think it speaks to the fact that the topic is of interest that when you did put it out, people notice and they wanted to come. So that's great.
Yeah. When it says tickets sold, it's free, so nobody pays anything. But you have your event configuration here and that usually has your image. See, it's got our image here and it'll have some descriptions of some things. We got registration, you can pre register, you can get extra links. And this is something that I do. You can see I have a registration link here. You would copy it and you would share it out. I can do special partner tracking. So when I do like I give this one to Juliet Clark or to Fran Acero and I'll give them the partner tracking. So I know when they decide to promote something out, like next week. Because this is about guesting on podcast and it was requested by Juliet. I know she'll want to share it with her community. So I will get an event link for her and share that out immediately. So these are all things that you have to update and you know, how long are you going to keep the recording up and. And who's going to be your speakers and you know, event cop. So here's our speakers, here's Tom and I. Right. And so you can have some of this pre programmed in and working for you. But the key is, is that when you go in here, you want to have that event Configuration for the live stream. And that is here under what they call session. And so you see I have the live stream here and that stream key you have to copy and paste in there. And that's where the mistakes tend to happen. But what I've been doing lately is changing the live streaming page URL from being restreams page to being that list from YouTube page.
So if the playlist page.
Yeah. So what happens is if somebody's livestream fails, it'll serve up a click this link and go here. It'll send them to YouTube instead of to restream. And that's been my trick lately. That works. And then the last thing that I do is I put this in our newsletter. And I'm not going to show that because the newsletter is like a whole nother setup thing, but I actually put the whole links, everything that came from that document, almost exactly the same thing that you see there, I put it in the newsletter, which then goes out either a day or a couple of hours before the episode goes live as a reminder to people.
So, Tracy, that really doesn't seem that complicated. No, I'm just kidding. That's incredibly complicated. There's a lot that Wayne. Look, I mean there is a process and a procedure. I mean there is like a step by step that, you know, you do the same thing every time. Is putting in a newsletter a part of your one hour of time or is that additional time?
I usually. Because I tend to schedule them way ahead of time and I only have this week's in the newsletter. I. It's separate. It takes me 15 minutes to update the newsletter every week.
Okay, so that's not bad. But that's critical because we're letting our entire community know what that topic coming up is. I mean, today we have more people than a lot of days probably because that topic. Did you put it out in the newsletter this week or did you not?
Yeah, but the newsletter only went out at 11am today.
Right, but people got it just before. Actually, I wonder if putting it out today just an hour before means that we had more people attend because, hey, it's coming up right now. We have to may have to rethink the day of the week. We do that.
I'm working on that. That was a suggestion from Rasa and I'm trying it. So yeah, so that's how I switched from Tuesdays, which was 24 hours before, to this day of. Which seems a little last minute for some people. But our clients do know that it's every week. So it's just like, ooh, do I want this topic?
So, but that's interesting. All right, we'll have to keep trying this and see if we get higher attendance. That's good. Okay, cool.
Okay, so just to recap that that document is probably the most essential organizational tool to be. Because I'm copying and pasting all the links. So if you have team, if you have anyone who's providing you stuff like I don't create the graphic every week. If I'm planned far ahead, I did this. The one that I just showed you I did because it's a substitute topic that wasn't already pre planned. But I have a month's worth of images already created by my graphic designer, our promo graphic designer. So she had already done them for me and they're not dated. So I can change the dates on them at any time and move them out. That's the key. Don't do that, don't put dates on them. And then I already usually have my promo video ahead of time. Like we try to like record them a couple of weeks to a month ahead of time. So it helps with that description, writing, that title writing. And I don't always do that either. Typically I do do the title just because I want the keyword right. But that's because I'm working on that part of the marketing for our company. So I'm being a little more hands on than I would otherwise. You can sub that out to an assistant.
You can. Wow. So there was a lot packed in there. And boy, if you're listening to the audio only, I really recommend you go check out the video. It's very eye opening. I mean, hopefully it made some sense as you're listening to it.
These workflow things that we're going to go over have like tutorials to them, but you can always get these tutorials@podcasters united.org and they're also in the YouTube. They're also in Poditize's YouTube. So if you forget where they are, you can always go to the YouTube and go to the playlist.
So it really does take a lot to stream to multiple platforms at once and to do it in the best way possible. Having that unique graphic, having thought about the title of the episode, having created a good proper description of that episode. I mean, this takes some advanced planning and some thought. Like you said, it takes you about an hour to do that prep work, you know, every week for each one. Even if you're scheduling several weeks in advance with a few of them, it takes you an hour to prep each one makes total sense. So it's, you know, if you're not interested in that or don't have the time to do that or don't have an assistant, you can train to help you do that. Which would be our preference. I know we had someone used to do this for us and she, you know, decided she didn't want to work anymore. Not she liked working for us, but she needed to move on to do something else in her life. And so you've been doing it ever since, More than a year now, I think. Right.
Tracy and I haven't handed it off. And the reason is because this is part social media, part search engine optimization and it sets the tone for training and coaching our clients. So it is something that I feel very. It has to be resonant with our audience and I can't sub that part out. And for me, because I'm a really good writer and I'm a decent graphic designer, sometimes I can do both just faster than I can to send it out, review it, critique it, get it back. Like it just takes too long.
Yeah. The images in particular, I remember in the past we used to have our graphic team create them ahead of time when we had the assistant who was doing all this prep work. And sometime over the course of the last year you were experimenting with AI images using Canva and that became easier really for you and workflow wise, a little more efficient, I think, than having our team do it. Right.
Yeah. Because it's right there. So it's a lot easier to create it. You can also do it right in the Google Doc. I've done that before, many times, but it doesn't work really well to add the text layers to it. So I end up having to put it back into Canva anyway. So it's just as fast to use Canva to create it because I think their image is already imagen, which is. Is Google's.
Google's image creator. Yeah. Yeah.
So they're the same. Yeah. Or it's one of the many that they use. But it works for us there. So the only other thing that I add to the process, but I usually have my social media team do it, I don't do it. Is that. Remember I created that preview video. I have them throw it into Opus, cut it into three clips and create three shorts, two to three shorts. And they air them in the 15 minutes prior to this going live. So I can't really demo that because it happened already. And so they will do three shorts in the 15 minutes going live. So they'll do one at quarter of noon. Because ours is at noon Pacific time. Quarter of it'll go at, at 11:50 and it'll go at 11:58.
Really? 11:58?
Yeah. Now they schedule them like she's not like they're launching it. Right. It's all pre scheduled but in that document template that you can get a copy of@podcastersunited.org in the blog post for this episode, in that template I have the template that we use where we put tags and all the other stuff for how we do it. She simply takes the video, throws it into opus, gets the clip. But you could also clip it right in Google vids. You can actually cut it too there and create three if you wanted and just save them out. It's totally up to you how you want to do it. That's more work. And we have Opus and I like it. It's simple. And when she gets it back, she drops it into the document, into that drive folder. Right? Drops it into the document and then has the document generate. It says this is a YouTube short. Tell me what I should title it, tell me what I should describe it as and tell me what its tag should be like. You choose the AI and because why shouldn't Google tell you what they want to see in YouTube?
That makes sense. That makes sense, right?
Another option is, is throw it right into YouTube and use TubeBuddy or whatever other tool you use and it'll help you optimize it and you never have to worry about anything. You just let it do its thing and let its default because it's a promo for this. So the only thing that you have to remember when you drop in those shorts is that it's pass through link. The thing you're linking to is the live stream that is about to happen. And because you schedule it as an event, it is appearing as soon as you schedule it as an event. So now you have that link to use. So that's one more promo step. If you're looking to draw audience into your live streams on YouTube, you can't do the same thing in LinkedIn. You have to go create a post.
Fascinating stuff. Well, so you can see podcasters especially if you either don't do live streams traditionally and you pre record episodes, you don't have to think about what the title is and the description is before you record it. That's done after and for most of our done for your customers. That's how they record and they don't choose their titles. They don't write the descriptions, they don't create that artwork. But if you're going to go live and you're going to promote it ahead of time and do it right, as Tracy showed you, you've got to do some of those things ahead and do it yourself. Obviously, AI tools can help and make that go a little easier. Otherwise, you're going live with your phone. Or you could do it with your computer, where you're just going live and you want to talk about something and you're going live to one platform and you're not doing it to multiples. That can be a little easier, too. That can be cleaned up and stuff made after the title, the description, and the thumbnails after the fact. You got to update them if you went live in YouTube, for example. But, you know, you have some different choices for how to go live. And obviously, this is just one process with Zoom and Restream.
Right, Going live from Restream, Tom, though, where you go live in their studio, you still have to give it a title and description. And so you can still go From Restream to YouTube to LinkedIn to X. You can go to all those places, but you still are gonna have to come up with a title and description. Even as you're going live. It's gonna make you.
All right. So in Restream, you can't, as we say, wing it and just go live. You could live to LinkedIn or Facebook and, you know, if you wanted using your phone or using.
Yeah, but you could always use something generic. Like we used to have a generic coaching call, one that we used, because that you used to not be able to change it in Restream. So way back when, it was like, here's our coaching call and a picture of you and me and a microphone. And it said weekly coaching call on podcasting. And then we would do the titles and descriptions we were able to update, but we couldn't update the thumbnail. And so that's the way it used to be. So you could do something like that and at least make your job a little easier. So there are always workarounds. What I'm giving you here is like, I've refined this over a year and longer. Right. Because Nazanin refined it for us before that, so she was amazing.
Well, with her process.
Yeah, yeah, yeah, with her process. And then I took over a process that wasn't quite working for me, and I adapted it into what it is today. You've got to make your own. But what I'm trying to show you is that the workflow matters, what you start with and what you're going to need. If you're constantly going, oh, I need a title. And now you got to go over to, you know, a chat GPT and make a title, and then you got to come back and you're like, oh, I need an image. You're going to make this take longer. And so if we start from our drive folders, where we're going to store everything that we're going to use when we go publish our podcast. Right. When we're go submit our podcast to the portal to the client portal for potatoes. I already have everything I need there. The only thing I ever do is send that folder as a link. Everything ends up in there, including my recordings when I'm done. So they have everything they need to be able to create that. So I've created that workflow from beginning to end, and it ends in the same place that it starts. And that document is my governing place for me to save everything that I might need to get Tom to know about, to get the team to know about, to get the social media team to promote from. They've got it all in one place, too, and it's linking to all of those different things.
Wonderful. Sounds very, very well organized. I could definitely not have done it better myself, so well done, Tracy.
I'm sitting here thinking, Thomas is like, oh, God, so glad I don't have to do this.
Yeah. And, you know, I do appreciate that and appreciate the work you do more. And, yeah, I mean, if you absolutely need me to take it over, I would do it, but I would. Would not enjoy it and it would probably, you know, there'd be good and bad aspects of that. But anyway, this is the way it is, so. All right. I think it's a place to wrap up this episode because, boy, that was a lot. Definitely. You know, there are going to be links and resources in the blog post@podcastunited.org so please go check that out.
