Best Practises When Giving Access To Facebook Business Manager

Hernan Vazquez explains how to set up Facebook Business Manager access for employees, agencies, and freelancers. Clients should own their own ad accounts and assets so data stays with them. Use multiple ad accounts with separate payment methods and keep at least two admins to protect against bans.

I know that this can sound really complicated, giving access to Facebook Ads Manager. Like, what is the best practice? What's the proper way to share accesses with maybe a colleague or share accesses with an agency that's running ads for you? You know, Facebook doesn't make it easy. All right, so in this video, I'm gonna share with you the best practices and what we do at ScaleDriven so that you can give proper access to an agency or to other people to your Facebook Ads Manager. Hey everybody, Hernan Vazquez here with ScaleDriven.com, and this is a question that I get a lot. This is something— this is a process that we go through every single time we have a new client coming in or we have a new student coming in at ScaleDriven, and I want to share with you some of our best practices that we use at our company to actually gain access and give access to business managers and pages and ad accounts and pixels and all that stuff so that you know how to do it. And these are going to be best practices based on what Facebook is telling us, okay? Or Meta is telling us. And Meta, as a Meta certified agency, you want to always use best practices to gain access. Now, this also comes to play depending on who you're working with, right? Let's say that you have a new employee coming in or you have a new agency coming in, and depending what they want to do, this is how you want to set up your accesses for the Business Manager and whatnot. Let me tell you, this is what we do at ScaleDriven, okay? At ScaleDriven, we have the philosophy that we are visiting, quote unquote, okay? When we have a new client coming in, we are running ads on their own assets. We are running ads on their own ad accounts, on their Facebook pages, we're using their Facebook pixel. The reason behind it is because the client is funding the ads. We are kind of working to get them to work, but the client is funding the ads, so our philosophy is, hey, if the client is funding the ads, they need to retain ownership of the Facebook ad accounts and the pixels and all that. Because when you're spending money on Facebook ads, what's happening is that you are collecting all of that data into your Facebook pixel, and you wanna retain that data. Your Facebook pixel, the more you advertise, the bigger and better of an asset it becomes. So you want to make sure that you're retaining that data. So this is our philosophy when it comes to, quote unquote, visiting or working for a client, and I'm going to share with you the best practices that we know that work the best. Now have in mind that this might not work for everyone, especially if you had an agency working with you before or you have a business manager that has been banned or some stuff restricted. This might not work, so you need to find workarounds, but I'm going to share with you the best practices that we know work the best. So let me share my screen. I'm going to go through this process really simply, okay? So let's say that you have your Facebook Business Manager, and this is where everything stems out of, okay? The way I see it is that the Business Manager is kind of your umbrella, okay? And then all of the assets of your business are going to be into that umbrella or below or under that umbrella. So out of the Business Manager, you will have your Facebook page, okay? So your Facebook business page, not your profile, but your Facebook page, right? Think about your Facebook business page or Scale Driven page or Hernan Vazquez page. I have my own Facebook page, but I also have my Facebook profile, right? So your Facebook page is going to live in your Business Manager. Then the next thing that you might have is an ad account, okay? So I'm gonna put it here. So it's gonna be an ad account. Now ideally, when you're starting this process and when you're creating a new Business Manager from scratch, you want to create more than one ad account, all right? I explained that in some of our courses like our Facebook Domination Workshop and our Facebook Troubleshooting Class, why you want to have more than one ad account. But just so you know, you want to have more than one ad account, ideally with different payment methods. Okay, so you want to have different payment methods in each of these ad accounts. Okay, so let me zoom in a little bit. Okay, that's better. So you want to have different payment methods in each of these ad accounts that you're having. All right, just for security purposes. Now the next thing that's going to live within your Business Manager is going to be your Facebook Pixel. Okay, or your Meta Pixel. Let me do this proper way. All right, there we There you go. So your Meta Pixel is going to live in your Business Manager as well. And the other thing that's going to live in your Business Manager, provided that you link, you can link your Instagram profile with your Facebook page, okay? This is going to be your Instagram profile, okay? So anything that has to do with Instagram profiles and Facebook pages, usually they should be connected, and if they're connected, once you create or you claim your Facebook page into your Business Manager, then the Instagram profile will follow because they act as a unity, all right? And you want to have your Facebook page and your Instagram profile in the Business Manager so that you can run ads both on Instagram and on Facebook, okay? Now, can you run ads on Instagram without an Instagram profile? Yes, you can, but it's ideal that you would have both assets in there, okay? So this is the umbrella. You have your So Facebook Business Manager, you have your Facebook page, you have your ad account, you have your Meta Pixel, and you have your Instagram profile. Now the Meta Pixel needs to be installed everywhere, okay? So in all pages, okay? So this needs to be installed in every page that you have at least the Facebook or the Meta Base Pixel, all right? Now let's say that you have this, okay? You might have maybe a Facebook page scatter, maybe you opened it back in the day before Business Managers were a thing, or maybe you have a couple of ad accounts And the good news is that you can go into your Business Manager and you can claim all of these assets. You can claim your Facebook page and put it in your Business Manager. You can claim your ad accounts and put them under your Business Manager, and that's really good news. So that's gonna be best practices, okay? Everything is going to live in your Business Manager. Now, let's say that you have employees, right? So what you're gonna do is you're going to invite these people into your Business Manager, okay? So employees, partners, you know, everyone that comes in will go as an employee or as a person. You're going to invite these people through their email to your business manager, okay? And the reason why you want to do that is because then you can assign accesses, right? Let's say that you have a social media manager and that person needs access to your Facebook page and to your Instagram profile, but they don't really need access to your ad account, so you don't need to do it. Let's say that you have, you know, an agency or wants to do an audit, then you can give different levels of access to the ad account, to the pixel and whatnot. So you basically control who gets access to what by doing this thing. So you want to get people as employees into your Business Manager and you want to invite them as employees into your Business Manager. Now, here's where things get tricky for a lot of businesses, all right? How do you invite an actual agency to work in your business? Well, it's really simple. As much as you invite your employees, you can also invite something called partners, okay? So partners, you can invite them as well. Now, once you invite a partner, Facebook will require their business manager, okay? So basically what happens is that let's say that you invite ScaleDriven as your partner or my agency as your partner. What's going to happen is that my business manager will now start sharing assets with your business manager. That's called partner access, okay? And when that happens, you want to give the partner that's going to work on your ads— you want to give access to your Facebook page, you want to give access to your ad account, you want to give access to your Meta Pixel, you want to give access to your Instagram profile, all right? And that's the best practice. That's the best way to do it. Now, sometimes I get invited to a client business manager, like me personally, right? And if I get invited as an administrator to that business manager, then I can go in and assign assign those permissions. But what's going to happen is that I generally invite my company's business manager into the client's business manager as a partner. So you want to make sure that you're inviting a partner. Now what's going— what you're going to need from your agency or from the people that are coming and running your ads, it's the business manager ID. This is a strong string of numbers. I think it's like 12 numbers or something like that, because when you add them as partners into your Business Manager settings, then you can add their Business Manager ID and then you can give proper access, right, to Facebook page, ad account, Meta Pixel, and Instagram profile. And by the way, they will need access to these 4 things so that they can run ads and they can create ad accounts and whatnot, and that they can actually see and install your Meta Pixel on the different properties and whatnot. Now what's going to happen is that let's say that tomorrow you want to stop working with these people for whatever reason, or you take people in-house or whatever, then you can sever this access. Boom. And that's it. You still retain all of your assets, okay? So you still retain all of your assets, and the agency that's running ads for you, they don't get access to your stuff anymore, right? Now the problem is that if you invite people personally here, or you invite employees instead of partners, they can still get access to your Business Manager. So you wanna make sure that for liability purposes, you wanna make sure that you always use the partner access option so that if anything happens and you don't wanna work with these people anymore or whatever happens, then you can sever that access and they, boom, they just don't get access to any of your stuff ever again. Now, another best practice when it comes to your Business Manager is that you should have at least 2 administrators in this Business Manager. The reason why you wanna have at least 2 admins Right? Like, it can be yourself and it can be a coworker or spouse or family member or your kids or whoever has a Facebook profile. The reason behind it is because sometimes what happens is that Facebook will trip over the red button, okay? And they might pause or restrict your profile for no reason, and this might happen. So you want to have another admin so that person can go in and check the ads and check the Facebook pages and whatnot. So generally speaking, that's what we recommend. When it comes to best practices to access the Business Manager, you want to have more than one admin. And if you're the only person in that Business Manager, that could also happen if you don't have any employees, then you want to add another person and turn that person into an admin, okay? So again, it can be somebody from your family. It doesn't have to be somebody that works with you, but this is a best practice just in case that your profile gets shut down or banned because if you only have one admin in your Business Manager and your profile goes down, then— You're screwed. you lose access to all of these assets. In fact, that's a huge liability because some ads might still be running, but you cannot do anything with them, all right? So this is kind of a preventive measure. So you want to have more than one admin. You want to have more than one ad account with different payment methods. You want to have more than one Meta Pixel. Sorry, you want to have more than one ad account. And then what I would also recommend that you do is that you have more than one business manager. Each person on Facebook can have more than one business manager, okay? So you can do that. And you know what? Inside this business manager, you don't need to have anything. Like, you can just have a couple of ad accounts that you can create, and that's it, okay? But this would also be a best practice. Why? Because if this business manager goes down, unfortunately you lose the pixel data, but you can start anew. And that is the name of the game. You want to have options. When it comes to advertising on Facebook. And again, provided that you're doing everything well and everything by the book, you can still get shut down, which is kind of a pity. But if you're battling with that, I have another video on how to get your Facebook Ads account unrestricted, or what to do if your Facebook Ads are not getting approved. So you can go watch this video and let me know what you think, okay? There's going to be a link somewhere around here so that you can watch it. And you can also give partner access to this company or this agency that's coming in and work for you, and that's the way that it should be done. Now again, these are best practices, okay? There's like a million variations of this, but these are literally best practices by Meta. And what's going to happen if you're an agency— this is for business owners, right? If you're an agency, it does benefit you to have this set up because if you have these ad accounts in your Business Manager As partners, what's going to happen is that the ad account spend is going to count towards you as an agency, so that will give you a better chance at going into an upper echelon, if you would, because it's all based on spend. If you're spending $500 a month versus if you're spending, you know, $5 million a month or something like that, you will be treated different at Facebook. And that's what happens at ScaleDriven is that we're a high-tier agency because of all of the spend that we're accruing based on all of the money that we are managing for clients every single month. Now this is not our spend, this is client spend, but it counts toward how much money you're managing as an agency. So it does benefit you to actually have this set up right here. Okay? So I hope that this is helpful. Again, you always want to use a Business Manager. You want to put everything under your Business Manager, and then you want to use the partner access to give access to partners like agencies or freelancers and whatnot. And then you always wanna have more than one admin in your business manager, more than one ad account with different payment methods, and more than one business manager whenever possible with again more than one admin, okay? So I hope that is helpful. Again, we lay this all out in many of our courses like our Facebook troubleshooting class and whatnot. We also lay this out, I lay this out in another video which is how to get your Facebook ad account unrestricted. And how to prevent your Facebook ads from being banned. And I hope that this is helpful. And again, if you have any questions, feel free to reach out, post them in the comments below or somewhere around this piece of content, and I will be more than happy to answer those comments. Hope that is helpful. I talk to you guys soon. Bye-bye.
