David Jenyns walks through how to apply AI tools to your actual business workflows. He focuses on matching AI to your goals and finding efficiency gains in the processes you already run.

But first, let's start off with this first one around the fastest path to AI. You may have seen this, this is a recent report that's just come out by MIT and they talked about that 95% of different AI pilots in companies are failing. This is like a bubble. And that normally what happens in a bubble, people throw a whole lot of money at it thinking this is a huge opportunity. Then the bubble bursts and then only a handful of things emerge after the bubble because they're just chasing the shiny object. That's what happens in a bubble. We need to get real and think, how can we flip this on its head? How can we actually use AI meaningfully to help you achieve your goals quicker? The primary reason for failure is that there's a gap between these AI tools and actual business goals. Like you need to have a clear goal and vision for what it is that you want the AI to do to end up getting the result. So then that begs the question, where do you start? Like with everybody being overwhelmed? What are the AI opportunities beyond just, hey, can you rewrite this email for me? What are the AI opportunities that are easy and the low hanging fruit that can deliver greater outcomes for the business? And that's a question I sat on for a while when I was testing AI tool after AI tool, trying different things, going for workflows, and then I realized that the answer was sitting right underneath my nose. Who's read systemology? So you're familiar with the idea of the critical client flow. So it's the way it's the first tool in our approach and we capture what you're currently doing, not what you would like to be doing. And it's how your business delivers value, how your business gets clients, sells them, onboards them, delivers and get them to come back. That's how your business makes money. Now, if you go through this exercise, which we won't do now, you definitely need to go through it, especially with some things I'm going to walk you through. But within the critical client flow, it identifies some key systems. You need a system for lead generation, you need a system to handle your inquiries. You need a system that will convert those prospects into clients. You need a system for invoicing and you need a system for onboarding. And you need a system to deliver your product or service. And you need a system to hand over and then get someone to come back. So these are critical systems that every business needs, that your business needs. And I talk about capture what you're currently doing. And the proven system is the one that's already working in your business. Like you already have ways that you market. You already handle incoming inquiries. Just capture what you're currently doing and make that repeatable, record it, use Loom or Zoom or whatever, get it transcribed and I'll show you how you can feed it into a tool we call Process Pal to convert that then into a documented process and then start to organize it. That's step one. Before you even start chasing shiny objects when it comes to AI. Get your process down first, then this is where the AI opportunity presents itself. In each one of these stages, there is an AI opportunity in your lead capture, like at the start, getting attention, using custom GPTs to help you generate content for that incoming inquiry. It's a lead qualification workflow that goes off in the background, analyzes one of the prospects, does some lead scoring, evaluates it, and identifies for you even before you chat with that prospect. Everything that you need to know to make sure that you're a great fit. It speeds up proposal generation and how you can take the discovery call with the client and feed that into a custom GPT and have it generate a report that's tailored to them and their goals and that will sell them on your products and services. It's in sales call analysis. It's after you have a sales call, getting it transcribed, feeding it into a custom GPT that analyzes the call and gives your sales team coaching on their performance and how they can improve their sales process. It analyzes that discovery call and drafts the email that gets sent to them, drafting the onboarding emails. It's in your delivery. Everybody's delivery is a little bit different. And then after the work is delivered, doing analysis of what you delivered for them and then quantifying wins and the next steps. I tell you this because I want to identify the hotspots for you. Each one of these, there is an AI opportunity in here. You identify in your critical client flow, where is the pain? What is the sticking point? And start there. I have trouble generating leads. Okay, let's look for the AI opportunity in lead generation. I have trouble converting people. Okay, let's start to analyze your sales calls or my follow up or whatever. It is like looking at this and thinking about where is the pain? That's how you cut through all of the noise and you look at what you're already doing. You draft your existing process and then you, you look for the simple AI solutions and the simplest ones at the Moment are custom GPTs and just drafting out instructions to get something like ChatGPT and we use something called Gemini Gems which is a thing Google provides. It's basically the same thing but inside Google, whatever your tool of choice that is the lowest hanging fruit when it comes to AI. Very easy to implement. A non skilled, non technical person can do this with the right guidance. Shannon Schmidt I talk about her, she's on my YouTube channel. She is the poster child for systems thinking and the application of the systemology ideas and way. She runs a company called Smart Business Solutions. She's a couple of suburbs away from me in Mornington. Her first job was McDonald's. So she had eaten or drunk the Kool Aid from day one. That process was the way and started her accounting practice with process saving everything inside System Hub. And about a year and a half ago when this whole AI thing really blew up, she was ready to go. She started taking her processes at the time she was working with a consultant who then she said oh look here are the things I'm already doing. Can you help me build out this now her approach has changed now because the tools and technology so easy. She's now training her team to do this. She doesn't even go through a consultant to do this. And in, in the interview I have with her, she tells this story about just one of the tasks which was she used to have someone offshore log into the ATO portal, which is our Australian tax office for those that are outside of Australia and for every client, every single week, look at what is the communication from the ATO and then would save it into a folder so that it could then be drafted up manually and then emailed to the client, say oh yes, the ATO wants you to action this. And this. She they used to do this, it took about a thousand hours. Over the course of a year it went from a thousand hours down to about six hours. They built a little robot. She said here's the process that I used to do this. She, she went to this consultant who built a little robot that automatically logged in. It would do all the scraping, squirted everything into a spreadsheet, drafted the email and then there was human in the loop. The human would then step in, review the final email and hit send. More than a part time role saved just like that. And then she effectively started to level up her staff and then get them focusing on higher level activities. Now which is the client building stuff, the relationship building stuff, the people weren't adding any value when it comes to cut and pasting and stuff that robots should be doing now. This is one of hundreds now of different tasks that she's been able to automate, streamline and improve. And it's only accelerated probably in about the last six months, because she shifted into. Into empowering her team and then showing them how to do it, not even bottlenecking. Now, through a consultant, the whole team looks for these opportunities. So that's the fastest path to roi. Get very clear on your critical client flow, document those core processes, and then look for the opportunities within that. It just makes sense. Like, I'm not saying anything that I think none of you wouldn't agree with. This is an obvious opportunity.
