Business Process Improvement Case Study

David Jenyns shows how Carney and Company, a regional accountancy firm, used Systemology to document and delegate work. They recorded process videos, broke audit preparation into subsystems like Xero extraction and report filing, and freed senior accountants for higher-value work. Junior staff handled more tasks, and the firm grew across all divisions.

A great way to think about it is always through example. And there's a guy, Chris Mulkhani from Carney and Company, he runs an accountancy firm in regional Victoria and they focus on agricultural businesses and farms and they help those farmers with cash flow management and tax planning and all of those sorts of things. The when they first got in touch with Systemology, that was a division of their business. So the farming and working with farmers was a component. They actually had some other divisions as well. And Chris had read the E. Myth and loved the idea, but never really made it stick because he. It was what was missing was the action plan. Effectively a big part of what I've shared with you today is a very detailed action plan on how do you actually implement a lot of the ideas that you'll learn from the E. Myth and Systemology and many of the great books that have come before it as well and give you, hey, here's exactly how it's done. Here's the training, here's the examples. Instantly he fell in love with Systemology and he reached out, wanted to do some work with Systemologist. Together we identified his systems champion. There was Amy, she was actually the lead, but that's Amy there in the background over here is also Rachel. And he ended up having two systems champions because he's like, hey, I really want to kind of hit this out of the park. And they started meeting with the Systemologist on a regular basis and they just went to work. They started off with the critical client flow. Chris was involved with those calls. We moved on to the DRTC and the SAS and he was involved with those. And then after that, Rachel and Amy started to take over. And I, I remember as they went through this process like starting off, recording the videos and they saved them into their System Hub account and the Systems Champion, both the girls, we, we started off, we did an overview system for it was the. The preparation of like a financial audit report that was the primary product or service that they identified. And we did an overview system for that. And then the systems champion started. They get went to work on all of the subsystems, like the little tasks underneath the system that I had captured as the Systemologist, which was the overview system. And they were looking for the effectively the essential, delegatable, repeatable tasks that they could pass down to more junior accountants. So effectively all of the little detailed steps around preparing one of these financial audits, doing the extraction out of Xero, preparing the reports, saving them into the Google Drive folder where they, the main accountant would review it and Basically, having everything prepared meant that the accountant could just focus on their bit where they added the most value. So they were able to significantly increase the volume of work that that accountant could work on, because all of that administrative work had been taken care of. It started off with recording the videos, then we kind of worked together and we taught the systems champions how to do the documentation and the system ologist. I was working. I was the systemologist and I was working with Christian actually, as my documenter, and we worked with him to create the gold standard for the girls. And then the girls would basically cookie cutter that. And I mean, what they built over the course of a year was, Was truly exceptional. And they're still growing and they started to have the systems bleed into the other divisions of the business as well. And it just changed the way that they do what they do. It's. It definitely wasn't a magic button. Like, I didn't have a, hey, press this and we'll instantly download all of the systems into your business and you're done. It took a lot of work, but Chris will tell you the rewards have been worth it for them. And they've consistently grown and continue to grow. And this is now an essential part of the way that they. Things like this is how we do it here.
