Custom GPT Example For Small Business

David Jenyns shows how to upload your business docs, spreadsheets, and processes into a custom GPT to create an AI trained on your specific work. He walks through prompts that outline client flows, generate them for a bookkeeping business, and improve existing ones. A $20/month ChatGPT subscription gets you access.

I have been playing around with their custom GPTs, which is a way for you to train the AI on specific material. So I'm going to just show you what I've got here and we'll share this with you.
There we go.
So this was the spreadsheet that I was talking about where we're cataloging things. That's on the buddy sheet, but that's not what I'm here to show you, it's this one just here. I'll have the link for you to get to this custom GPT inside the community and also Ivan might post it now, but I've uploaded a range of material in the back end. I've reviewed a whole lot of critical client flows and we've got them transcribed and loaded into a custom GPT. I have uploaded the systemology book. I've uploaded and trained it on things like minimum viable systems and a handful of things. The plan is to just keep making this bot smarter and smarter and smarter and have it trained on Systemology material. So I'll share this. Unfortunately, at the moment, the way that they've got custom GPT set up, you need to have a paid subscription for OpenAI. I'll give you the link. I mean OpenAI and ChatGPT, it's about 20 bucks a month and it might be worth just signing up to for a few months if you don't already have a subscription and then you'll be able to access this particular training, trained AI. So firstly, and I've got a couple of prompts I'll that I've pre prepared, pre planned. I'm just going to cut and paste this one in using the information I've provided. Can you please provide an outline of a CCF based on the Systemology explanation? So I'm going to first ask it that it's going to go away and.
Do that for us. And then while it's doing that, the next prompt that I'm going to put in here and the way I want you to think about it is when you're doing anything in your business, think of ChatGPT like a research assistant. Think of it as a second brain to speed up what you're already doing and shortcut some of your thinking. We don't necessarily want the exact output that comes from it, but we can definitely get some ideas and speed up that process. So the first thing I've asked it to do is to outline the critical client flow. The next thing I'm going to ask it to do and I'll put these prompts for you inside the community is great. Now can you please create a custom or create a CCF based on the following best practice for a.
Let'S do bookkeeping business because I think Trin in the group has a bookkeeping business. So now we've basically said, right, I want you to tell me what a critical client flow is. Then we're saying now based on everything that you know, chatgpt, can you tailor that based on best practice for my particular industry? So I know this breaks a little bit of the rules of capture what you're currently doing, not what you would like to be doing, but this gives you a way to think through this and go, oh, okay. Identify the target client, understand their specific needs such as managing cash flow and you might get little nuggets and insight. Well, what are some ways for lead generation? We're looking at website inquiries, referrals, social media. We get down into qualification and it'll give you some ideas again on how you might improve. The last thing that you can do it's actually getting okay at reading PDFs so you can also say after you've got it to suggest best practice for your industry. Can you please suggest any improvements on my CCF with your best practice? I've attached what I have and I'm going to go attach here and on my desktop somewhere. There we go. So that was the first version of Trin's critical client flow. Before I'd given her some feedback. I'm going to upload this and then I'm going to ask it to now give me feedback to basically say, well this is best practice, this is what you have, what suggestions have you got? So then it will go through and underneath each of the different steps give you some ideas. So the reason I show you this is, I mean I'm thinking about this stuff every single day, day in and day out. I've now trained my brain to think maybe I can just ask ChatGPT to help me with that. Now first you need to change that with yourself and get yourself to that point and then you obviously want to transfer that to other team members as well. We need to start to build the habit and the muscle of relying on AI to accelerate tasks that we're already doing. So this is a great first one for you to play around with. Who knows if you're that way minded, maybe you'll follow the, the rabbit hole a little bit deeper and you might train your own custom GPT. Maybe I need to create a separate little training on how that's done. It's pretty simple, just uploading information from your business and then having that layer sit over the top of ChatGPT and then engaging with it. Imagine training a custom GPT that your team can engage with and ask particular questions about.
The accessibility from ChatGPT. I mean, they make it very simple. There are other ways to take this to the next level where there are different other AI models that you can deploy and train it even better on your material. But I just want you to get the idea. And all the way through this program I'm going to keep coming back to how do we build AI into this? Thinking of what you do and how you think about business and how you do your day to day tasks. So again, I'll give you the prompts, I'll give you the links, you can play around with it. And I suggest that you upgrade your ChatGPT so that you can access that. I mean, it's not a deal breaker if you don't, but I, I would suggest that you do.
Just a heads up, that clip was taken from a session in our Systems Champion certification program, which is the world's first and only program for systems champions to help you build a systems culture and develop an AI first approach and roll it out inside your organization.
