Don't Use Google Sites To Document Your Business Systems!

David Jenyns explains why Google Sites fails for business documentation: it's built for websites, not systems, and puts all maintenance on one person. He recommends Google Docs for small teams and a dedicated tool like System Hub for growing ones.

In this video, we'll be talking about why I will never recommend Google Sites to build out your business systems and your processes. And in fact, I would be more likely to recommend Google Docs and Google Drive before I ever recommend Google Sites. The short version is Google Sites does a horrible job at building your systems and processes and developing a systems culture. Google Sites was developed to build out websites. So, so my question to you is, when you're going to build a website, who do you go and see? You go and see a website builder or a website designer. It's someone who knows how to use the tools and gets you a great result. Now this is very different from what we're trying to do. When you build out your business systems, we want to build a systems culture. We want to get the entire team on board. We want to make it easy for all team members to create and update, edit and maintain your systems and your processes. Now, if you build your systems and processes in Google Sites, I can tell you what's going to happen. The responsibility will lie on the shoulders of one or two team members. Things will not get updated frequently. In fact, they'll very quickly become out of date. The only time that you'll end up looking at Google Sites is when a new team member comes on board and they tell you about all of the systems and processes that are broken. Now, what you want to do to build a systems culture is find something that's easy, that everybody can get on board with. That's why I say if you're a smaller team, you would be better off using Google Docs and storing them in a Google Drive and getting at least everybody knows how to edit those documents, which gets you infinitely further along. Yes, there will be some challenges as the team grows and it does have the potential to become an unorganized folder of Google Docs or Word Documents. I understand that, but it's still a better place to start. As you start to grow beyond that, you're going to want to look for a purpose built platform like System Hub because what it does is it removes the complexity around creating business systems. It makes it easy for your entire team to get involved in. You're able to take full control over permissions and assigning responsibility for your systems through to individuals. You can assign systems to a role and then you can assign roles to individuals so they're only seeing and able to edit the systems that are relevant to them and their particular role in your business. Long story short, System Hub solves a variety of problems that Google Sites and Google Docs will never be able to solve because they haven't been purpose built. So go ahead. Trial system Hub today. And of course, if you've got any questions, reach out to us here at the team.
