How WebSavvy Systemized Their Business - Case Study

Trevor Henselwood, head of Facebook Advertising at WebSavvy, worked with System Hub to document his tacit knowledge into repeatable processes. The agency had strong AdWords systems but Facebook advertising lived only in Trevor's head. Documenting daily workflows for code-checking, tracking, and sales calls cut single-person risk and made hiring and delegation possible.

My name is Trevor Henselwood and I'm the head of Facebook. Advertisement for WebSavy. At Web Savvy we are a digital agency and our goal is really getting other businesses customers and we are founded by somebody who's really famous in the AdWords space. And we had all these great systems in place for AdWords and I came along and started the whole Facebook side of the agency. And some of the challenges that we were having is we had all these fantastic systems for AdWords and that's really where our core business was focused. And I'd created this effective system for businesses to get customers fairly cheaply. But if I got hit by a bus, we were going to lose all that stuff. So we needed to have and also we needed to hire and I needed to do less of the day to day stuff. Web Savvy was a System Hub client for ages. We used them for some of our HR stuff. We had some for a few of the systems that we had in place. However, we were looking for options to generate systems and if it was relied on me to make the systems, we would have lost them, but it never would have happened. What we did was we got into Systemology, which is where Dave from System Hub took me through this whole process of basically picking my brain. And it was really useful because I was able to really kind of lay down what I did during the day and presented with situations where I kind of normally wouldn't think about it because I'm not really a systems guy. It's great because when I've got a new staff member I can't spend my whole time with them. So I'm able to really say, okay, well this is this particular system, for example, checking code on a site, making sure we're tracking everything in the right way. I can say just follow this, you know, and where you get lost, then you can flag me and that that saves me from doing it myself and then making sure that they retained it and they actually get the hands on aspect. So already it's really been helpful and I actually use it more than I thought I would where things like sales calls. It gives me a place to organize my thoughts and really focus on how a sales call is happening. So I sort of thought that I was taking this on for training purposes, but I find that I'm leaning on it as well. One of the huge benefits for me with Systemology was just getting somebody to really go in depth and ask some of those questions that maybe you think you have an answer for until someone actually asks.
