David Jenyns (YouTube, July 14, 2024) gives practical advice to reduce scope creep in video projects by centralizing client communication and clarifying roles. He recommends routing client email/support through Help Scout, having a project manager communicate via Asana with team members, and avoiding direct client-to-videographer emails that blur responsibilities and invite unapproved changes.

Probably a couple of things you probably need to think about. One is the communication. So the client's going to be emailing backwards and forwards. The project manager will oversee the project and communicate with the team member through Asana. All of the support and any sort of email inquiry goes into Help Scout where it's either depending on the team member they might answer it directly. In Help Scout it'll get assigned to that person. They can reply but when they reply it comes back from support because I want to have a little bit of a space. It's a bad place to be where you've got the client emailing the videographer directly because then it's the can I make the little change? The scope creep starts to happen. The salesperson may have clearly outlined and you've quoted on a particular deliverable but then when the discussion starts happening with the videographer things start to change and the lines get blurred and then that's where you come unstuck.
