systemHUB Review - Financial Fanatics

A short YouTube interview (host: David Jenyns) with Chrissy, Sales & Marketing Manager at Financial Fanatics, about how Financial Fanatics uses System Hub to run and scale their bookkeeping operations. Chrissy explains that System Hub centralized documentation (docs, videos), reduced onboarding and training time, improved operational confidence and turnover, and enabled faster scaling. They use System Hub alongside tools like Asana and Loom; the team grows systems organically by addressing biggest priorities first and allowing team-wide contributions. A named systems champion (Sandy) helps maintain and add processes. Contact: www.financialfanatics.com.

Hi, it's Dave. I'm here with Chrissy, sales and Marketing manager at Financial Fanatics and I would love to hear a little bit about what you guys do and how you're using System Hub. Yeah, what do you guys do?
Well, we are a bookkeeping company and we take care of appliance onshore Australia. And SystemShop has been one of the miracle workers that we've had so so far in terms of operations because it has streamlined our process, it has lessened the friction in terms of transitions for new team members. It has also improved our process as leaders in terms of making sure we communicate the right quality of work to our team members as well. And one thing that we really love about Systems Hub, how easy it is to use, like anyone can use it. So not all, all of us are really extensive in terms of like being techie. But with Systems Hub is we found out how easy it is and how all in one tool it is so you can have documents, we can have videos and we don't have to go elsewhere. Everything is there in this one magical tool that we have. And it did. As a result, now we are faster in terms of operations, we are more confident in terms of turnover to, from team members to clients to onboarding, we're more confident and as a result we're scaling even faster than we thought because everything now is in place. So that's. So for us it's really been a very good experience with Systems Hub. You guys should try to, I think.
Because you're in marketing, that's so natural for you to kind of process how to talk about System Hubs that you use System Hub and you use it with Asana as well. Yes. That's your project management.
Yes, correct. So we use System Hub not just as standalone. You do have tools with it. We have Asana, we have some, some, some time tracking tools as well. And we also have some marketing tools, internally marketing tools as well that we use. In fact, we even have like Loom also integrated to it because most of our demonstrations and, and screen caps are through Loom. So it's very easy to, to really use it with Systems Hub.
Yeah.
So in terms of teaching, so we don't really have to, to be there physically. We just have those, the videos and it's, it's, it's organized in a way that it's like. It's, there's a. We, we found it very organized in terms of the indexing, in terms of, especially in the video content because, you know, video content is one of the Challenging parts that we have because we want to make sure that these are the right topics. And we found it easy because we've. The videos are seamless and it's. When you look at the entire dashboard, it's easy also to understand that any user, even our new team members that we onboard, can do it themselves. There's not a huge learning curve for system.
So all new team members learn how to use System Hub. That's where you host your own systems and processes. So imagining right from their first week at Financial, getting familiar with the way that you do things.
Correct. Because all the processes are there in terms of operations, in the introductions, the company culture, everything is there. So it does, it does improve in terms of operations for the team leaders as well, because if they have questions, they need more references, they need more information, or they need to learn or train something. Because there's a training part of Systems Hub that our team members right from day one would be taught how to do. Because then at their own pace, they can go back and review and train in their own pace.
Something you mentioned, and it was before we started filming I thought was really interesting, was the way that you think about systems growing like organically over time. Because I know so many people, when they think about systems, they get so hungry to have it all just right and everything documented. And then the reality of actually making it happen can be really different. I don't know if you can share any insights as to how, how you guys have grown over time. You're quite a large team here in Cebu in the Philippines, and this is not something that's happened overnight. It sounds like. Yeah, I don't know if you can tell us a bit about how you work.
So initially, one of the biggest challenge we were is because the question was how ready are we to scale? Right. What systems do we have in place? Because our business is focused on systems, because obviously we're in the bookkeeping industry and the finance industry, so we're big on processing. Do we have that in place? And since Systems Hub, what happened is that we took baby steps at a time like, what is the biggest elephant in the room that we need to address first? So these are the XYZ reasons or XYZ topics. And we started off from there and as we did the process, as the entire team did the process, we figured out, oh, we missed on a little detail here. So do we need to place in another system system? Is that available? Yes, we then we place it in the system as well. So in a sense that in terms of Your question of how we are able to scale is how we are able to scale as a business is that now, before, it would take a while for onboarding, it would take a while for training, it would take a while. And obviously time is really something that we're conscious about. And because of us using Systems Hub right now, we've cut short the time in terms of development, of learning, because we already have a systems in place and all we need to do now is to implement, to introduce and then implement and then evaluate. And the good thing about Systems Hub too, and that's why we're able to scale, is because it's open. It's not just for the leadership team. The rest of our team members can contribute as well. So that's where we can scale that. Oh, we figured out, oh, we've had this experience in the past. Where can we find more case studies about it? It's in Systems Hub. We can just go back. Okay, that's where. That's where we can have some reference. And that's what we're currently using too. In the sales and marketing department, we're trying to place as many case studies too, so that the processes we've done in the past, can we replicate them, can we improve them? So that's how it is.
And do you have anyone on the team that you'd say is like your systems champion? I know you're building this culture and getting everybody to contribute. Is there someone who's like the person really driving it forward?
Yes. So that's very critical. Very good question. You asked me to have somebody in the team, in the leadership team that is really the champion for system subs. So that's Sandy as of the moment. And Sandy is. She's an angel because, you know, sometimes in the daily operations, we do have tasks at hand that, you know, sometimes you forget. And she would be the. Oh, it's a good idea. Might as well just place this in systems. How they're not in a separate Google sheet. At least it saves you a lot of time. It's already there. And the good thing about Sandy is that, you know, it's. It's fun. Like, gone are the days that, okay, we have to do a process, we have to do a manual, because we do manuals and stuff. We have man processes, manuals. That's in Systems Hub. It's now fun. Yeah, because it's more interactive and everybody can collaborate. You know, one process does not have to involve just two people. Like all of us have a say on it. Does this work or not and ideas pitch in. So that's the beauty about Systems Hub right now. It's really fun to be on. It's really fun. It's practically fun in a sense. So Sandy's doing a good job. So shout out to you Sandy for doing a good job.
