systemHUB Review - Humane Society

Julie Justin at the Humane Society of the Pikes Peak Region adopted systemHUB to organize scattered procedures across 190 employees and four locations caring for 24,000 animals yearly. Staff liked the intuitive interface, affordable nonprofit pricing, and ability to embed videos. The platform consolidated documentation, improved training, and tracked whether employees actually read the processes.

Foreign I'm Julie Justin. I'm the director of strategic initiatives for the Humane Society of the Pikes Peak region. We're based in Colorado in the United States, and we care for over 24,000 animals annually. And we have 190 employees and four locations. So we were looking for a platform to help us manage our standard operating procedures. We had experienced a lot of growth over the last 10 years specifically, and our infrastructure that was supporting our employees as far as onboarding and training and making sure they knew how to do the job we were asking them to do. Our infrastructure had not grown with that. So we were. We had bits and pieces of paper procedures, and some things were online and they were in different locations and different departments were doing what they thought was right, which was different from this other department. So we just were scattered as far as. And we had no consistency in format, in language, or how these SOPs or standard operating were being updated, how they were being released to our teams, if there was any sort of acknowledgement that they'd received it, read it, provided feedback, we were a mess. So this platform, when I found it and I had done quite a bit of research looking for platforms that we could use to help us organize and just do a much better job at documenting processes and disseminating it to the teams and making sure that they had a method for feedback and we had a method of tracking. If they saw it, they read it and they understood the information. So this particular platform definitely stood out to me for a couple reasons. One is it was much more intuitive and easier for staff to use. And as well, it was something we could afford. We're a nonprofit. We were not a huge corporation with unending pockets. So it was something that we could actually afford to use and put all of our employees on once we release it fully and we have piloted it in a. In a medium sized department. And the feedback from staff has been great. They like the format. We love the opportunity to be able to insert video links, videos that we've either recorded for mechanical processes or processes of how to clean a kennel or how to properly leash a dog or put a cat in a cat kennel. And the other piece we really love is the ability to insert access to a screen recording of a. Because we have a very extensive database where we store all of the information about every animal that ever comes into our care. And there's a lot of complicated processes around how we record that information, how we process a transaction with a customer. So being able to record those screen recordings and have those as part of the process in System Hub is just invaluable. When you're going from strictly just paper and a Word document or some screen scrapes to what we're able to do now, it's great. And it'll be a lot better way for us to onboard new team members as adults learn in different ways. And if we're able to provide them with multiple ways to learn how to do a process, whether they read it or they watch a video about it, or see a screen recording, we want to be able to hit as many of those adult learning styles as possible so that we make sure that we're giving them the information in a method that they understand best. My experience so far is the staff supporting System Hub have been very responsive. Whenever I had questions or a problem that I couldn't figure out, they're helpful. I think when you have a trial period, you don't have any risk. So I would say take it for a spin. Assign a few people that you know are process geeks, so to speak, to take it for a spin and put some information in there as test processes and check it out. I think you'll find that it's much easier than some of the other products appear to be out there. And it's no risk to give it a test time, a trial period and take it for a spin. I think you'll see you like it. It's really going to hit all the marks for us, especially the acknowledgment part where we can tell whether somebody's read it or not. And that for us to be able to hold people accountable, first you have to make sure that they were. They were able to read the process and that they acknowledged that they did read.
