Let's talk about the first thing that you need to build, which will be this business brain. What if you could have a brain that's powered by AI, so it never sleeps, it remembers every detail. You could ask it any question. What's my biggest bottleneck? What's my most profitable product? Why is a particular team member drowning? And then it instantly knows the answer there yet. But I believe this is where this is going. Tools like, you know, G Suite, where it integrates Google Meet and you'll record, imagine using like a Fathom or Google Meet. You're recording every single call and then all of the calls that are going on inside your business is all going into this big repository. And whether you as the business owner are in the meeting or not, it's all getting fed in and transcribed and then the AI can tap into that and then it has. It will have extraordinary visibility across everything that's going on in your business and where the problems are.
But we're not quite there yet. And I want to kind of show you the cheat code and the hack to, to get there now with what's available without killing yourself with unnecessary administration. You just have to understand that ChatGPT is one big blob of knowledge. It has, it's scraped everything and it's just got access to so much information and.
People come to it with generalized questions and then they get these generalized results. That's where most people go wrong with this. What happens when you start to seed it with your information and what's relevant? You highlight different bits inside this big sphere of knowledge and you let it know by highlighting and adding to it what is important, then it can start to go. I can not think about all of this peripheral information and I can just focus in on these areas because now I have the context to understand what's important. So that's when it comes to training custom GPTs and AI, why your data is so important. And there's often discussion around data is the new oil. And the data inside your business is so valuable because these AI machines can help you mine that data and, and then give you these extraordinary insights. But you have to think about how do we get this data out of your business and into a way that it can be fed into the AI. One of the ways, if you haven't already, this is a job for your systems champion, is to build out a folder in your office suite software and start to organize the knowledge, put the different departments and then start to save information related to those departments into those folders. It's scraping your website, it's transcribing sales calls, it's getting brochures and pricing and sales recordings and customer tickets and your staff handbook and things like. That's part of it. That's level one. And I've talked about that before. The bit that I haven't talked about is what we're doing here with it's like a business brain. And the way that I'm doing it, I'm going to give you a bot that will build this for you. But inside here I have this thing which ends up being a manual that covers things like our company vision, the team.
Our product mix, our target client, certain analytics data. And I've created it into now inside System Hub. And I can, using a function we call the print manuals, I can now very quickly print these little custom manuals that when I create a GPT, I can go, ah, this, this is going to be relevant. That's going to be relevant. That's going to be relevant. Okay, let's build that into a little manual and then we attach it as a knowledge source.
This has been the game changer when it comes to quickly getting very great results. And there's this business brain in particular is something that I want to teach you. It's you end up building out a manual that looks like this. I'll give you a link to this thing called the Business Brain Builder. And in fact, Jill can just pop that into the chat for you and I'll show you what it does. This is not for now, this is for you guys to do afterwards. I'm going to go, let's begin. And what it will do is it'll take you through a journey like here, what is the name of your business? Or do you have a website? Can someone just type into the chat, Just maybe type your business website in here? Okay, perfect. So I'm just gonna grab that one.
I'm gonna go to this business brain builder. It starts off by.
Scraping the website to just quickly learn a little bit about the business and then it'll take you through a series of questions here. Are you operating as a sole proprietor? Is this a corporation? So I'm gonna go here, just do sole proprietor. I am the owner.
Perfect. Next question, Tell me more about what you actually do. Now, if you've got different resources, copy and paste off your website, upload it, just whatever you can, even do the voice mode and talk into it. But put aside an hour and I want you to go through this exercise then back. Basically what it's going to Build for you is an output like this.
And it's effectively all of the context about your business. Now you'll be able to use this report in any LLM that you go to. Because now this can be. If you're asking business Y type questions, you feed it this manual and say, here is the full context about my business.
And then straight away it gets you and then it starts to give you much better output. This has been huge for me. Like this idea alone was worth you coming here today. And you'll see how every problem now that I try and solve, I think, because I thought, oh, how could I get everybody here to build this business brain? Because I did it the long way. I manually cut and paste this stuff and did it one at a time. And then I thought, why don't I just build a custom GPT that takes them on the journey, that asks them the questions, that then gives them the output. You'll start to rewire your brain to every problem. You go, oh, how can I build out a custom GPT to do it?
So once you've got that output, we can get one step closer to, to building out this custom GPT. And I just want to explain a little bit of the difference between general chat projects and custom GPTs. Has anybody used the three of them? Because there's three different modes effectively. Okay, Johannes, has anyone else used a few of them? Yeah, Joseph has. Okay, Simon has. Okay, so there are these three different options. You've got general chat. There's no special setup. It has access to all of that knowledge and each chat that you have with it is independent of the next. Effectively it's great for quick questions, brainstorming, problem solving. One off type things where context and things aren't really that important. If you did want to give it context, you could just quickly upload that business brain document once you've got it. Sometimes you might save a chat and you come back to it and it has this learning thing that's one type that's just. You're all familiar with that Projects is it's on the little side nav. Here you can create a new project and it's just a way to organize information all to do with a particular topic. So it's like a dedicated folder where you can save specific information to to that project, plus you can give it some instructions, plus you can save all of your chats. Now this is great for building the business brain that I'm about to show you, but it's not easy to share with your team. But there are Some other benefits why you might use it. There's a whole bunch of when they release different features, it generally gets released in this main area first before it gets released inside the custom GPTs. So there's things like access to deep research and agent mode and some of these other options that aren't available inside custom GPTs. One of the reasons you build out the business braid is more for you. This is not something necessarily that you'll share with your team. And then lastly there's the custom GPTs. Custom these are the tailored ChatGPT versions with preset instructions with specific Here is the input and I want this as the output. This is effectively the execution of certain parts of your SOP and you can tightly define what it is. So this is obviously process pal, that was a custom GPT, so you just need to understand.
The difference between each of those and to play with them so you know when to use what. The one I want to talk about now, which is the first one I'm thinking I want you to do, will end up being this business mind. You'll end up watching this later and watching the recordings. I want you to go through the steps of hitting new project.
And then you'll say my business mind.
And then inside here I want you to add some files and you'll do the output from that business brain builder GPT. You'll upload your avatar if you've got it, your product mix and a range of other extra material as well. It can't hurt to load it in here. It's really easy to do. The only other thing I'll suggest that you do actually is come down in here. Go down to customize ChatGPT, not customize, sorry, come down the bottom and go to Settings and then just go to the data controls and just switch off the improve the model for everyone else. Now.
Who knows really what OpenAI is doing with your data here. So only share what it is that you're comfortable with and later on I'll talk a little bit about how and why. We've made a decision to use a lot of Google's suite of AI tools because some of it centers around the privacy stuff. But we can turn off that setting which is meant to then hopefully keep more of your data secure. But you basically upload a lot of that data into here. Position descriptions in System Hub. I can come into our print manuals area here.
New manual and then I'm going to go to our policies. That's where we hold our position descriptions. I can click this button here and then I can just go create manual and I basically end up combining all of our position descriptions together in one go. But you can see here the information I've uploaded my writing style team handbook, position descriptions, the book, the output from the business mind and this ends up training a very smart instance of ChatGPT that knows a lot about your business. That was a clip taken from our Systems Champion Academy, which is the world's first and only community designed for systems champions and business owners to help them build the business of their dreams.
