Your Whole Business On One Page

David Jenyns presents a live demo (YouTube) showing how to map a company's 'critical client flow' using the System Hub platform. He argues that profit leakage and repeated team mistakes stem from undocumented systems trapped in owners' heads. Using a plumbing/kitchen-renovation example, he maps high-level stages (lead generation, clarification call, quoting, follow-up, acceptance/signing, onboarding, delivery, final inspection), advises color-coding problematic areas to prioritize fixes, and frames this work as the first step to document systems, remove key-person dependency, and improve margins. He closes by inviting viewers to start a free System Hub trial.

Your business is leaking so much more profit than you realize. And your team, they're not making mistakes because they're sloppy. They're making mistakes because your process, how you do, what it is that you do, it's trapped inside your head. So today I want to show you how we can fix that fast. And I want to give you a simple template that you can use to identify your most important business systems. From there, you'll know which ones you need to document first, which ones are broken, and it'll be clear to you how you can go to work and get it fixed. Fixed. If we haven't met, my name is David Jennings. I'm the best selling author of a couple of books, Systemology and Systems Champion. I help business owners get off the tools out of operations and build businesses that give them true freedom. Now, most business owners, they think that they've got people problems, which they don't. They've got missing systems and processes. That's their problem. That's why jobs run late, margins disappear, and the team keeps coming to you asking the same questions again and again. None of this is random. It's all predictable and most importantly, it's fixable. So the big question, where do you start? Well, you need a map of how your business works. We want to know exactly how your business makes money. Because when you get all of this onto one page, suddenly the chaos starts to make sense. You know exactly where, why you're losing time and money, and more importantly, you know where you need to go to work to fix it. So that's exactly what we're going to do right now. Live. No theory. I want to make this really practical for you. So by the end of the video, you'll have the template, you'll know exactly what needs to be fixed. So let's go ahead, we'll jump over into System Hub and we'll make a start. So let's navigate to the critical client flow template. I'm going to go ahead and just duplicate this up into my account and go ahead and edit this. Now, I'll leave the details up the top here. This is really the template that I want to focus in on and I think it's probably easiest if I just walk you through an example because, because it'll make it easy for you to then think, ah, how would that work in my business? Now the critical client flow has been designed to capture the linear journey that the prospect and then the client goes through to deliver our core product and service. So we actually start off by getting clear and identifying well, what is the target client? That dream client who pays our advertised prices is a pleasure to deal with and refers friends and family and then we identify well what is the primary product or service that we sell to them. For the example, it's probably easiest if I pick a business. Let's say I run a plumbing business and my ideal client are high end builders that might engage me to do a bathroom or a kitchen renovation. With that in mind we're going to capture the linear journey that we go through for that high end builder and what we would do to deliver a kitchen renovation. So there are a couple of rules for the critical client flow. That being we only capture what we're currently doing, not what we would like to be doing and we just keep it very simple, very high level. Because I want to explain how your business works in this one graphic. So let's start off. I'm that plumber and I get most of my business. The attention I get to my business is through word of mouth. Maybe I run some Google Ads and I post on social media. Now once I've got the attention of those builders generally the next step is they call me and I'll have a clarification call where we find out a little bit more about their project. The specs, I want to understand the timing and the goals and we walk through that on the clarifying call before quoting to make sure that we're a really good fit. The next step after that is we might move into the quoting where I'll use some of the templates and and I've got some pre written emails and I've got some plug and play components so I can quickly price things up and get back to the client really quickly. After that I might follow them up if I don't hear from them or maybe they're getting a few quotes from some different providers. I want to make sure that I'm engaging and I'm on top of this lead to make sure that they end up working with us. After that, when they're ready to go, they might have some sort of accepting and signing. That's generally how we do this. This is where I just want to make sure that they're happy with the quote, the timeline and everything feels right and it's more of a formal acceptance. We get a contract signed and we can start to confirm some of the the steps within the job. I might even get a little bit of a deposit. Then we onboard now for onboarding. There might be a handful of steps, maybe we enter them into our jobs. Management platform. Maybe we start to order some of the materials and do some of the scheduling. Get some sort of handover meeting from the sales team as it moves into the delivery team. Then for delivery, this is where we actually do the work. So I'll just call this one deliver. This one's probably the one that's most complex and has some of the different milestones that would need to be completed to get it done. As you can imagine a kitchen reno, there's probably a few moving parts. I'm just going to capture it high level for now and then we move into the final inspection, the handover. This is when we deliver to the builder and then get them to have a look. So by doing this you'll very quickly be able to see high level how your business works. And we haven't gone into great detail, but you can start to think about in this journey, where do the challenges pop up? Where do you have a problem? What are the biggest bottlenecks and pain points and bits that rely on you? Maybe it's that handover meeting when it moves from the sales team to the ops team. I want you to think about color coding the areas that are most painful. Red, because that ends up being a great place for, for you to start. Now we want to make sure, I mean the long term goal here is to be able to deliver this critical client flow without key person dependency. Each one of these boxes will end up becoming a documented system. You'll have a documented process for the way that you run your clarification calls. You'll have a documented system for the way that you quote. This is the stepping stone to identifying those issues and going to work on them and making sure that things are really smooth. Now in System Hub, as you start to build this out, this almost becomes a bit like your action plan. And you'll build out systems. I'll open one up here and as you get them complete and done, you would just highlight it green, you would add a link into the system and then you're done. And then the aim of the game is to color code all of this green and get all of those core processes done, which it's actually super easy to do inside System Hub because we've got a range of built in AI assistants that do it all for you. But before I get ahead of myself, we've done quite a lot and it's time now for you to get it done in your business. So let's go ahead and sign up to a free System Hub trial. I'll pop a link so you can just go visit it. And then I want you to load the critical client flow template, and while it's still fresh, build out your critical client flow, get it mapped so you can identify the problem areas, and then we can go to work on those. It really is easy once you know how to plug these financial leaks. So sign up now and I'll see you on the other side. Sa.
