Grok Bot Training: Build an AI Team in 3 Days

In this live demo and discussion, Johann Nogueira and Kyoko showcase how they rapidly deployed GrokBot to automate and scale their respective businesses within a week. Johann recounts his early excitement, the creation of a virtual board of advisors (featuring AI personas of industry leaders like Steve Jobs, Warren Buffett, and Alex Hormozi) and the hierarchical team structure managed by a central "Donna" bot. Kyoko describes her journey from a solo financial‑planning entrepreneur to building a multi‑bot ecosystem that handles video editing, content repurposing, social‑media scheduling, course creation, and weekly news digests for her Happy Rich University. Both emphasize the ability to train bots via extensive prompts, set guardrails (e.g., draft‑only publishing, 24/7 operation), and integrate external services such as ChatGPT, Claude, Manus, GoHighLevel, and cloud storage. They discuss practical challenges like credit consumption, ensuring bots learn from mistakes, and the flexibility to create custom workflows and teams without needing separate hosting. The session concludes with Q&A about the underlying infrastructure, confidence in AI‑generated personas, and the future expansion of team‑based AI agents.

check it out because when somebody says you got to check this thing out, you got to check it out. So we checked it out. I got an account. Kyoko got an account. I've been busy all week. But 3 days into what, 3 days after getting access to it, my wife is just jumping around and dancing around the house like I've never seen her dance before. And I'm like, something is— this is amazing. Like, what's going on? And she's like, you won't— you have no idea. So she was just calling me Jon Snow the whole week. She's like, you have no idea. You have no idea. I've done all this stuff. I'm like, cool. So then she started showing me all the stuff that she's doing. And then I have— I've got into GrokBot one day, right? That's— I've had it for a week. I've only got in one day. And I went, okay, I got to get into this after seeing what she's doing. So guys, we are only a week into this, but it is revolutionary what it has done already. So it was just a, let's get some friends together, show them what we're doing, and then they can jump on it, which is now, it was meant to be 2 or 3 friends. We've got 18 people here. This is amazing.
Okay, so I am, you know, ex-financial planner and mortgage broker, business consultant, and board game designer. So I've done a lot of stuff. So I sold my business, you know, financial planning and mortgage broking company 3, 4 years ago. And since then I've been doing fun stuff. And then last year I decided to go to coaching. You know, a lot of my clients are Japanese people living in Australia and I'm kind of rare to have this skill set of being a financial planner. There are a lot of accountants, but financial planners are rare in the Japanese community. So I thought, okay, I'm gonna, you know, create a hub, which is, you know, information hub. So I called it Happy Rich University and I created that last December and then I have run some courses and cohort workshops and, you know, all that stuff. So I used to have a team, but, you know, when I sold my businesses and I didn't need them anymore. So I let them go and I was just on my own. So I'll show you what I have done. Can I share? Is that okay? Can I share? Sure. I'll share my desktop. Right. So if you see, well, this is my university, oh, in Osaka. So Happy Rich University. So I had Happy Rich University, which is a lot of learnings of different things that I did. So this is what I was building with AI. So I have superannuation tax, social security rules, superannuation checklist, you know, what you can do, resources and everything. So I was trying hard, working hard, you know, if I can create one asset in one week, that was a great week. And I had a lot of assets. So last one week and a bit, I have been consolidating my stuff that I had. So let me show you. Happy Rich. So this is my university website. And then I was talking to ChatGPT Because it has like 5, 6 years of my data. And then I was like, okay, how can I streamline everything into my funnel and nurture and all that, you know, client journey I was thinking about? And it says, okay, you should create a money check assessment tool. Okay, okay, I can do that. So I created assessment tool, right? You just answer 16 questions and then once you answer, then it upsells my course. So this is my course. So these things were there, but it was never part of the funnel, whole thing. And then also I have this community apart from, you know, university is a free place, like information hub, but I created an inner circle last July. So this is a website of my inner circle. You know, it's about the environment rather than your will or skills. It's just that environment is important. So I run courses, you know, all the resources available, but inner circle is about the connections and environment and having those friends that energize you and inspire you so you can take action. So you know, I have my masterclass, member catch-up. Also, Jim came to do an expert interview, you know, he did an amazing masterclass and, you know, everything is in one platform, you know. Also, I do a Q&A, my, you know, friend accountant comes because it's about money, business, and mindset. I put everything in here for a paid membership. This, you know, is great. Then, you know, also this money course is about the money. I'm running a money intensive course. So all this stuff is happening, right? It's like, it's a lot happening. So, and, you know, I want to create more learnings in Inner Circle, and I'm running a workshop. But after I do a workshop or, you know, Q&A, all these videos are sitting there, and I didn't have the time or resources or tools, mind space to think about how I'm gonna do those lives, right? So I knew that I had to hire somebody. I was thinking, okay, well, I need somebody to down, like, take all these recordings and cut up to reels and promote and someone to schedule and then do all that stuff for me using GoHighLevels. Oh my God, that was me, right? So GrokBot helped me quite a bit. So GrokBot was amazing, right? So I first, I had one bot and then one bot is a delegator. So, and then there are a lot of templated bots and workflows already created, but I thought, well, My business is mine and the process that I do and things that I do is different. So I wanted to use my own bot and create my own bot. So I didn't use anyone else's flow or automation. I spoke to my bot first and then I thought about, okay, what I have to do is to dump everything into this one bot. So I was just talking, consolidating ideas with ChatGPT first because ChatGPT had a history. And then knowledge about me and in my business. So I consolidated and then put that into Grok. And then also first night I thought about when I was in bed, I was like, okay, Grokbot, you go to ChatGPT and get all my history from there and then understand who I am, how I run my business, how I talk, you know, the processes and what I have done so far and how I manage everything, right? So overnight it downloaded all the information and then next morning I tested. Did you talk to ChatGPT? Did you get everything? It said yes. this is the thing that I learned about you and your business. I confirmed that, yes, that's correct. And then so I started to build stuff. It's like, well, what's the important thing for me? It's like, well, in one week or in one day, I was like, the biggest hurdle for me was video editing because I was gonna hire somebody because my live and everything is in Japanese. I had to hire somebody who understands Japanese, right? I couldn't hire Tim. So that was the biggest hurdle for me, right? So I thought, okay, I need somebody to do it, right? So I said to Grokbot, can you do this? And then he said, yes. I wanted to push the boundary a little bit. So rather than me downloading, can you go to my inner circle and then download it yourself? So yes, I can do that. So that's great. All right, do that and show me what you can do, right? It's always about show me what you can do. And then Grokbot downloaded a live, cut it up to 5 to 10 pieces, and then show me, Kyoko, there's 10 pieces of content from one live that I found. They're all great. It's like, okay. All right, we need to create a template. How are we gonna do the template? Well, we wanna add my logo. I wanna have some text. You know, you need to position properly, not too big on my face. You know, all that stuff, right? I was working out on the first day or 2, and then we decided on a template. Now I tell ChatGPT Grokbot to go and download, and it cuts up, you know, the how they do the captions, timing, the end, you know, graphic call to action, how they write the description when they post. Everything is automated. And that was done in 2 days, and I was like, wow, blown away. The biggest hurdle, and I just didn't have the time or energy to explain to everybody, and, you know, the team. I didn't have any of that, right? So, but now just chatting to GrokBot did everything for me. It's like, wow, this is great. So, and then GrokBot is about creating these teams and put them together. Each bot has a specific skill set. So apart from the main guy, I have a compliance officer. I have a researcher, I have a builder, I have a domain person, or, you know, a domain bot. I have a video editor, graphic designer, all these bots that I needed in my business. If I had to hire those people, easily $300,000 to $500,000 a year. So all these specialists in my Grokbot team, and then main guy just delegate everything to those NMP bots. And I, I thought as I'm building, I thought, okay, I'm getting overwhelmed. Every night you need to send me a list of the things that you have done and then what's outstanding, what's waiting for me. Every morning you check all my emails, emails, my inner circle and the university comments and all the communications that I have to reply back from GoHighLevel, check everything and then send it to me. If anything you're waiting for, give it to me, right? So I instructed bot to tell me what's outstanding. And even though I took— even though today I was saying, okay, I don't want you to wait for me, like I might miss a message. So if I don't reply back in an hour, just nudge me. I don't want any bots logged out and doing nothing. I want all the bots working 24/7. I have a high expectation for you because you are AI, you can work. So I'm trying to make them efficient. So every time I say, hey, I didn't like that, hey, why did you make a mistake? Grok bot enhances itself. So I said, I want you to evolve every day. I want you to start thinking like me, act like me. So if you make a mistake, learn from that mistake. And then each day you think what worked, what you didn't, what it didn't work well, and how you're going to overcome that. So I gave that instruction. So every time it makes a mistake, it thinks and said, okay, next time I'm going to do it this way. I'm going to do it this way. So now I was asking it to build a course yesterday. And then, you know, they were trying to match how to insert the course, building a course in GoHighLevel. And it was thinking, okay, these slides didn't match the description. So main bot said, hey, I made my decision to build this way. So it's like, oh, I like that. You know, it made its own decision to start thinking logically what works for Kyoko's business. So I was just honestly blown away and things that I thought it would be nice to do, but I never got around to it. So weekly Finance Digest news in my university. It's written on Monday, graphics made, and then automatically posted on my— in my group. That's amazing. Okay, that's great. Before my weekly workshop that I run, I want a reminder email to go out. Can you schedule that? So they scheduled everything. Every month I need an event calendar created and email created, send it out to all my members. It created. I want all the reels and carousels and text things that I created to be scheduled. It's all scheduled until December. In one week, I've achieved so much more than VA or just myself. So I was just blown away.
Well done. Well done. Awesome. And do you wanna show anything or I can play show and tell as well? I'll show you guys what I've done and then we'll open up for discussion. So as I said, I am 1/10 of the way where Keoko is. And so I loaded it up a year ago, actually. We built this thing called Rockify. Rockify was a board of advisors, a virtual board of advisors, which would educate, you could set up your own board. And we were gonna sell this thing to millions of CEOs, et cetera. And then GrokBot came out. Now, well, back then we got busy selling our business, et cetera. We sold the business in March. And so all of that fun stuff happened. And then literally 2 weeks ago, it was on the books to, hey, let's launch Rockify. And then Elon launched this. And I said, well, now we don't have to launch Rockify because Elon's done it over here. So I'll show you what I've done. And here is my Grokbot. Can you guys see my screen?
Yeah.
Yeah. Cool. So over here I have Donna. Donna from Suits. Remember Suits? Donna was the main, the main, she was Harvey's main, you know, manager. So Donna manages everybody else. I built my board of advisors. My board of advisors consists of Ginni, because Ginni was the CEO of IBM. I've got Alex Hormozi, I've got Bezos, I've got Perkins, I've got Dalio, Warren Buffett, Tony Robbins, MrBeast, etc. So all of these people are people who They're either virtual, like virtual as in Donna's not a real person. And yeah, Bobby Axelrod, he's not a real person, but the AI trains on everything that they, that it knows about them online, their books, their frameworks, their podcasts, their videos, etc. So it learns from all of these people and then brings their persona into your business. So here I have my board of advisors and I've been having conversations with them. And you can see here one of the things actually everyone should do is to build a brain for your company. Because once you have the brain for your company, you can talk to it plugged into every other AI. So here's Donna. She's updated the brain so that every other tool that we have plugged into the brain is getting access to that right now. So over here, I'm not expecting anyone to read this, but I wanna show you the interface of how to interact with it. I can type and talk and I can tag certain people and say, hey, this is what I need you to do. This is what I need you to do. Then they come back and here I'm having a conversation with Hormozi. You know, how much do people pay to go for one day with Hormozi? It's $100 grand or something. I've got him now on tap at my fingers. Ginny, I asked her about Go find me, go build me the best distribution method to get into enterprise clients. And so she's written all this up and everybody else in here, Chet Holmes is building out my co-story. Steve Jobs is there. He's my designer. So he's, we're rebuilding our entire platform. So he's gonna be designing my platform and showing me exactly how to build all those things. And then here's, you know, here's me tagging them and saying, hey, here's everything that we do, et cetera. And so then every time Donna's updating the brain so that all the, everything else is getting updated. Now Carla's in here. Hey, Carla. Carla is my EA. She's got access to the brain in my company. So before I was the roadblock, she'd say, I'm waiting on Johann for this. Now she can just ask the brain, which is which she's plugged into, into her Claude, and everything's updated. So as I am working as the leader of the company, everyone in my team now has that as well. Does that make sense? Cool. And so then every time decisions are made, they're all done, they're pinned. And this is what my most basic, you know, we're just starting over here. The reason to bring you all together is to say this technology is now here. It's gonna change the way you work because I've seen Keoko in the nighttime just go, hey, make sure you get all these things done. For me, I want, Grokbot to be controlling all of my infrastructure. You can tell it to go in and if a lot of people here are using GoHighLevel, you can say, go build me all the landing pages and it'll go in and do that and, you know, make sure all the checks are there. But the difference between this and I've got, I use Manus, I use Claude, I use ChatGPT. And the difference between Grokbot and all of those is I cannot have multiple team members in there, multiple points of view, etc., giving me, you know, the team members and the groups is the most important. Now you saw I built my board of advisors. the next things I'm gonna build in there, which we had in Rockify, was teams. So I'm gonna have my marketing team, I'm gonna have my finance team, I'm gonna have my HR team. And so then we can give them projects to go and do while they're, while they're doing what they gotta do. So Kyoko, do you have anything to show? Otherwise we'll open it up to questions and—
I can show my thing if you like.
Yeah. And another thing is we all have access to the same tools, but we all use them so differently. So the way Kyoko uses them is different to the way I use them.
So this is, this is my Grokbot, right? So this is the main guy, right? So I have a video editor doing video editing. I don't talk to any of these guys. Grokbot is the only one that I talk to. So it does a lot of stuff. And then because the first few days I was talking to these guys and I got confused and Grokbot got confused and it didn't go well. So I thought, okay, well, just do one communication center. That's what I did. And then what it does is build a folder on my desktop. So I said, okay, all the reels and everything I need to see on my desktop. So it has here, you've got the review and then there are different things that I did and, you know, monthly, it just creates a different draft. If I say, hey, I didn't like it, change it, you know, can you do this, can you do that? So we were working on a little, a lot of different draft to confirm that template. And then now we are pretty happy with what it came up with. So, you know, now it's building all this other stuff that I asked. Another thing is, I didn't think about was when I asked to watch my video, cut it up, then also it creates a timestamp and what I was talking about. So I can upload it to YouTube or add it to my masterclasses and Q&A so people can decide which part they wanna watch as well. So if you can combine those jobs together, I think that'll be better. But yeah, so video editor is doing their thing. Adi is my admin, writer is Wendy, they do stuff. And then I have a digest team that creates news, weekly news, and then post it. So each one has different jobs that they do. Then sometimes they have their own. So this is a university business development team, and then it builds courses and how they're going to build my university to be the central financial hub for Japanese people in Australia. So they do that. There is a manga team, a research team, you know, and then social media team put it together. So they write, create graphics or reels, and then post. That's their job. So each one has a different skill set, and then that's how they— you build a team or workflows. So that's what I have done. And what worked well was to just build your own workflows, but you have to be organized and think all the steps that you do and then build the flow. And then once you are not— once you try and then you don't like it, you can always change and say, hey, update this. Remember this as a skill. So I only tell once to say, hey, remember this as a skill. Let's say, well, this worked well, or this didn't work well. So, you know, update this skill, make this way next time. So each time we are developing. So I say, hey, in 3 months, I need you to have this engine working without me. Teams are working, everything is efficient. And then I want you to tell me where the gaps are in my business. So I said, you know, today I had this conversation with the bot and say, hey, you are working well managing team and everything. It's good, going great. But I expect, what can you do? What can, what more can you do? And then he was telling me all the things that he can do. And I said, well, what I need you to do, it's good, you are AI, you have all the brains and teams and specialists in this, you know, center. I want you to find a hole in my business and tell me and then work on those items when I'm sleeping. So I said, I don't want you to stop working. I want you to work 24/7. I can't be awake 24/7, but when I'm sleeping, what can you do? I mean, I wanted to, you know, make every time and every moment of this amazing technology.
Actually, I have a couple of questions. So that board of advisors that you have looks slightly similar to the chats or the things that you just showed, Kyoko, where you've got your weekly digest and the Grok and all of those things that are managing your business. Was that all built
in
Grok?
No, no, no. That's the Grok interface. So you can change the labels, you can change the name, you can change the little images. So Kyoko's got cute little You know, the default Grok stuff. I like to see who I'm looking at and talking to. So that's why I put those images there.
Right. Okay. And then so, Kyoko, you were saying that you taught it to not make the same mistakes. Now, for me, I find I get really irritated with Manus and ChatGPT because I'll get it to do something, then I have the mistakes, then I have to say that's a mistake and do it over and over again. And you end up finding that credits are being wasted and it annoys me. Are you saying that Grok is different, that it'll actually make those mistakes once and not do it again?
I think there's some things they're good at and other things they're not. The one thing I found GrokBot not good at is generating beautiful images. ChatGPT's been working with me, so it creates amazing images that it knows me. So I told GrokBot, every time you have to generate an image, go to ChatGPT, generate there, and then use that.
I think it's this fear that we have right now of I'm not giving access to everything is the same as our fear back in 1996 when it's like, you're a moron if you put your credit card on the internet. And now it's like, oh yeah, cool, put your credit card. Yeah, sure, no problem. Done. You know, we do it without thinking.
One thing, one thing I make sure is so far nothing stupid has been posted because I always check. They cannot delete anything. They cannot make it live without me confirming everything. So they do all the stuff, keep it as a draft. No email has been sent unless I check. And I said the first 1 month, 2 months, 3 months, I need to check everything. And then once I'm happy with it, then maybe you can send. But at this moment, I'm training you. I'm ensuring all the processes. So Until I confirm, don't do anything, you know, don't make it live. So that is a guardrail that I set with my bots.
Thank you. Okay. Johann, thank you. Just a very quick question. So when you're setting up your, you know, your Grok bot, did you have to set up your other bots there, like the video editor? Did you have it set up before as a skill, or did you tell the main bot, hey, I need to have a video editor, can you go and create it for me? And just went and created that as a skill.
Yes.
And Johann, I guess the same question for you with your board of advisors. You said, I want to have a Steve Jobs advisor, go make it for me.
I said, yes, exactly. That's what I did. I said, I want Steve Jobs, I want Humasi. These, because these are all the books that I have on my bookshelf and because I've read them, I know what they're, I know the frameworks and that's, so my brain works that way. And so it went, learned and put everything together and I'm like, it's amazing. And then in GrokBot, you can put them into groups. So I put them into a group and called it my board of advisors. The next things, my next things to do is to build my marketing team, to build my you know, lead generation team, to build my sales team, to build whoever, all the different teams that we're gonna have and then put those people into those teams. And then I only talk to Donna and say, Donna, how's sales going? And then she's gonna, you know, report back or have a conversation. I can jump in there if I want to. Yeah. So I think it's, that's the way I'm going to be using it. And then I'll have my development team, I'll have my, yeah, my Facebook ads guy, which will be, so another thing that Kyoko said was she uses OpenAI, she uses ChatGPT to control GrokBot. I'm going to be using GrokBot to control Manus because Manus plugs into— Manus has, you know, got access to all the Facebook Ad Manager, etc. So yeah, you can now go between them. Before, we were restricted to one.
How confident are you that, you know, the bot advisors created actually captured all the information you're after, whether Steve Jobs is— sorry, everything that's—
I think you got some background noise. I'm finding it hard to hear. Say that again.
How confident are you that, you know, once it's all your main bot, go create me Steve Jobs, that actually get all the info about Steve Jobs and get it to think?
Yeah, so I'm a control freak. So I actually, from my Rockify, Kyoko and I and Walt, we built Rockify a year ago. And in that, we had each prompt for each persona is about 80 pages long. So I just took that and put that in there because that's, I have 100% confidence in that prompt, which, you know, built the mapping of the brain and the framework of those people. Telling it to just go say, hey, just spin me up a Steve Jobs, again, control freak. Don't know what it's going to do, so I prefer to upload my prompt and say, this is how I want him to be. Cool. Thanks, man. You're asking about time. So guys, promise not to laugh when you see this. That's my usage so far. I've used 1%. Coco, on the other hand, Coco, now you play show and tell.
Let's see what you do. Yes. What did I do? So last week I ran out of some credit in 3 days. Today, so today's a Friday, mine ticked over on Wednesday. So I used 22%. So not bad, right? Not bad. Last week was an exception, I think, because I had to train it. So the bots were doing a lot of reels and templates and redo and redo and redo. So, but I think this week I'm managing well. But because I got over the limit and I didn't have any more credit for 3 days and that was a torture. So I added $100.
Computer happening in the background. Actually, that's a good Good point. So GrokBot gives each agent its own computer. So this is a key. So that's why they can run 24/7. When I shut down the laptop, they're still running. On that, they also have memory. So the top, the big brain, so in my case, Donna, Donna has access to everything. In each of my other bots, my legal team will only have access to legal contracts, for example. Other teams will have only access to— the video team will only have access to the video editing or whatever it is. They don't need to know the financials of the company. Makes sense? So now you can build out all these different teams and give them access to different parts of what access that they need. So they don't have access to everything. Donna has access to everything, but she manages all the teams. And if you picture this, what I'm drawing here on the screen, you have Donna at the top, then below her you've got, you know, 6 little, 6 other team leaders, and then below them you've got their own teams. So they can all talk, they can talk amongst them. Donna talks to them, they talk to their teams, or the team members can talk to the teams as well. It depends on how you wanna set it up. Now I've set up the board of advisors. You can also set up, hey, this is my, you know, my Christmas promotion team, and then pull in your marketing finance guy and Whoever else, your sales guy, and go, "Hey, I'm thinking of running a Christmas promotion. This is what I am." And because your finance person's there, it's like, "Hey, we've only got a budget of twenty grand for Christmas promotions. You know what? What can we do for that?" And then I'm Ozzy or Mr. Beast. They're going, "Hey, let's create a viral campaign. Let's do ABCD, whatever it is." And then that's how they have those conversations. Did that make sense? Awesome, Mr. Mario. Over to you.
First of all, I want to say massive thank you, Kyoko and Johan, for sharing and just opening up. You know your screens. I think that is is great. I think most of the questions that I had. So the first one you mentioned, Johan, that you don't need to host Rockbot. So basically you don't need to have like a hosting or anything. So as soon as you close your computer or your laptop, Rockbot will continue working. So does that mean that the empty files and the brain will be stored in the cloud? Is that, is that the way that it works?
So yeah, so I think Kyoko's got it set up differently. My brain is set up in GitHub. So GitHub is always updating through because I'm connected to Manus, to Claude, to all my AIs are plugged into the GitHub repo. So that's where my one source of truth is. And so that's Kyoko.
