How Fortune 500 Companies Are Using AI and What SMBs Can Learn

In this live presentation, Johann Nogueira, founder of AI Tech Advisory, explains why AI is now a core value‑creation lever for businesses of all sizes and walks the audience through a practical framework for adopting AI responsibly. He outlines five common adoption stages—curious, experimenting, deploying, integrating, and AI‑first—highlighting the pervasive market confusion and the risk of “shadow AI” when employees use personal AI accounts. Nogueira shares concrete ROI‑driven case studies, such as a $5,000 chatbot that generated $50 million in revenue and a support‑ticket reduction that cut 90 % of tickets for his previous company. He then demonstrates the Prism platform, showing how it can map an entire organization’s workflows in under an hour, calculate time and cost savings at the user, department, and executive levels, and generate AI roadmaps and reports for CEOs and CTOs. Throughout, he stresses a human‑first advantage: identify work that only humans should do, automate repetitive tasks, and let AI handle system‑level processes. The talk concludes with a call to action offering a complimentary AI road‑mapping session and a free trial of Prism.

I don't want to stop, stop the show, but Johann, I'm, as you know, thrilled to think about how this platform is going to transform small business. And the more we can get the message out and explain to people how we're differentiated and how this is the right approach, I think we can really transform and change the trajectory of success for small businesses. So I'm here and I just, you know how much I believe in this. So I'm excited. Every time you present, I learn something as well and think about things in a different way. So. Thank you. Please take it away.
So AI is here. It is the next value creation lever that all businesses are leveraging right now. We're 4 years into this new era, and then it's no longer about are we gonna adopt AI? It's, and it's no longer about which tools, but it's where should we create value first? There's, there's too many choices. Who agrees that there is so much AI? There's a lot of confusion, right? And so when we talk to companies, most of the companies that we talk to, uh, in the hundreds of millions of dollars range, and what we find is there, there's these 5 stages. They go from curious, then they start experimenting, then they they start deploying, then they start integrating. And very few right now are actually operating as AI-first companies. And we'll walk you through exactly what that looks like. So as I said at the start, the market is really loud. Confusion is, there's too much confusion. On this little diagram over here, you can see there's over 15,000 different technologies that we have. Each one of those little dots, it's not, it's designed to show you why people are overwhelmed. One of those dots is a CRM. One of those dots is a marketing technology. We've all got access to all of these different technologies, but it's got to a stage now where there's too much. And to find a specialist who knows everything in any one of these technologies is it's— they're unicorns. You won't find them, right? But what we have is we have AI. AI can figure out exactly which technology to put in at which point so that we can then leverage it. Staff— there's a big problem with staff using AI and leaking data into the ecosystem. So what do I mean? If we went into a company, this company does $500 million a year, right? So you'd think that they've got some pretty significant systems in place. And the first question I ask is, tell me your name, tell me your department, tell me, are you using AI? Now, this is a made-up name. She puts her hand up and she says, hey, I'm Chloe, I'm in finance, I'm so excited. And she didn't even breathe. I use AI for all my reports, for all my, you know, creating all my spreadsheets, etc. I said, cool, what AI are you using? And she said, I'm using ChatGPT. And I said, okay, and whose account are you using? And she said, I'm using my personal account. Now, her personal account, it's a $500 million a year company that's been there for many decades. The CEO and CTO are sitting there with their hands on their heads going, oh my God, this is crazy. So that's what we mean by shadow AI. If you don't Don't allow your people to use it; they're going to use it anyway. You need to be able to show them, give them permission, and show them exactly how to use it and why they're using what technology. So we've heard a lot in the in the you know through the news, etc. AI is a fad. AI who believes AI is a fad? You don't believe it if you're here. ROI is not happening. All these companies are spending hundreds of millions of dollars. Why is there no ROI? The answer is because it's back when you know twenty years ago when the internet came out, people used to look at me and go, "Hey, like it's got to that stage, right?" Where people like, "Hey, can you do AI? Can you just go do some AI stuff?" And then they'll hire some people in and they'll come in and do some AI. stuff, but the AI stuff, there's no guidance in there. And so that's the reason why AI fails in organizations. And I'm going to show you how we rectify that by going from top down. So what we did was we compiled 120 real-world case studies to show you exactly how the big names, the biggest names in the world are using AI and then different lessons you can learn from them in order to get access to those strategies. In here is a chatbot that cost $5,000 that then yielded a $50 million ROI for the company. And it's one of the companies that you will know. you can scan the code and we're gonna— we'll send it to you with the replay. So all is good there. But these case studies are real companies, real names that you already know and understand. So who are we? We are AI Tech Advisory. What we do is we help businesses multiply the effectiveness of their people with AI. So we're not a let's go cut headcount company. We're about amplifying your people with AI because we believe that when you give them the right tools, they can really make your company shine. We've gone into companies, we've created hackathons, etc., and then they are there The people are thinking about it at night. They're working on the weekends because you've given them the right tools. Then they're building systems for your company to make it better. You're really energizing your people again. So giving them the right tools is key. All right. So this is, this is who I am. As Hannah said before, I've had 4 exits so far. This is not a bragging slide. It's just a slide to show you that in my last company, which we sold in March, we had 2,500 clients. Now, everything I'm talking to you about, we've implemented in our company. So in our last company, 2,500 clients, we put in AI and it cut down 90% of our support tickets. It was one of the biggest things that kept coming up. We have 20 staff just on support helping people. By putting in the AI, we used Intercom, by the way, it took away 90% of our support tickets. Our Trustpilot scores went through the roof. Our people, our clients were so happy. Our team then could focus on, rather than support, they could focus on customer satisfaction, call our most loyal customers, upgrade them, upsell them, those sorts of things. So it's freeing up the humans to do the human work, right? So this is what we did. This is how we work. We figure out exactly the work that only humans can do. the work that only AI needs to do, and then the system can remove— we can redesign systems. It doesn't have to be the same way it's always been. So I'll give you an example of each one. Work that only humans can do. So back in my company, one day we just realized, oh my God, 50 accounts got canceled. We've never had 50 accounts get canceled in one day. So I called up my head of customer service and I said, hey, what's going on? How did we lose 50 clients overnight? And she said, well, you set the rules that after 3 failed payments, cancel the accounts. So the AI did exactly that. It canceled the accounts. I said, well, can we just open up a spreadsheet and show me the CRM and show me what the people are doing? And, you know, who are they? And so we open it up and she goes, huh, that person just had an accident, that person's having a baby, that person's just moving house. And she knew every one of those, you know, 50 people. So I said, can you please call them up and win them back? And so she did. She called each one of them up, apologized, sent them an email, and then they went on the internet, left us reviews saying, oh my God, this is the most understanding company. You know, I was in a strife and these guys have helped me out. So we got to win them back, but it was a failure on our part because we had this rule, right? So work that only humans can do is where judgment, relationships, creativity, care. Work that AI can prepare, our sales team before every call gets an email with, hey, you're about to have a call with David. This is everything that David— that we know about David. David was just on holiday in Hawaii and, you know, this is his family and whatever. Not being too stalkerish, by the way. You have to make sure that that's there. And so then it allows them to build instant rapport. Before that, our sales team would spend 45 minutes going and doing research on the person they're about to talk to. So the AI can do that and it makes the meetings much more efficient. And then work that the system should do. So, you know, sales team. So another one with the sales teams is the sales teams Suck at putting in data into the CRM, correct? Anybody work with sales teams? And so we'd have after every call, the sales team would get a call saying, "Hey, who did you talk to? What did you talk about? Is this confirmed?" And then that email comes to them and they just go, "Yes, approved," and then that updates the CRM. It saved our sales team eight hours a day per eight hours a week. Sorry, per salesperson. So that's the work that the system should do. That's why we have AI. So we have tools. The tools can improve tasks. We have systems. When everything is connected, the systems work together. The company grows and scales. If you scale a company that's in chaos, you're going to create more chaos. So we don't want that. So first thing we do is we systemize everything, build a knowledge base, then we plug in the tools, then we educate the people, and then you have a systemized business. Leadership determines exactly the order of how we're going to roll that out, and I'll show you that in a second. So what do we do? We remove all the friction, we remove the repetition. Any, any task that any of your people do 2, 3, 5 times a week, we need to remove that. We remove the delays. So delay is, hey, in this one company we went to, they're a very significant company. They would take 3 days to get an invoice out. Can you believe it? So they do $500 million. They take 3 days to get an invoice out. How can they take 3 days to get an invoice out? And so I'm talking to the sales guy. He says, hey, I'm talking to the client. The client says, I want 30 units of X. He has to email his warehouse manager. The warehouse manager has to send out his warehouse dude to go out on site, check if they've got enough stock, come back, email him back. Wow, that's delay. And so I said, what would it feel like if all you had to do was text a number and say, I'm about to sell XYZ. Can I have, you know, how many units do we have? And it comes back in 2 seconds. He's like, oh my God, that would change my world. It would add an extra $300,000 to the bottom line. The CEO said, make this happen. And I said to him, I'm like, dude, you're a big company. How can you not have this? You know, we're in the year 2026. He said, well, we just never got around to it. So technical debt in companies is huge. We all know that they should have an ERP system. They should have a stock management system, but they just never got around to it. Remove fragmentation. So same company, sales guy sending out sales, old sales material. Customers are getting it, ordering off those catalogs, and then they're getting pissed off and they're contacting customer support saying, you sent me the wrong thing. And then engineering is saying, hey, we already— we've updated the stock that, you know, on the SharePoint, and you guys, the sales guys, are not upgrading and getting the latest PDFs, and they're sending out the wrong things. So anyway, fragmentation. Data is everywhere. So the first thing to do is to bring data into one source of truth, and then you give them capacity to do what they do best, and that's how we grow. All right, so we're nearly at the demo part. One team member winning is great for that team member, but when you have the whole company working together through one source of truth, now you've got transformation happening. All right, so are you ready to see a live demonstration of Prism? So what is Prism? Before I show you, I just want to give you a quick little explanation. We used to go into companies and do it old-school management consulting style, where we'd go in and say, all right, Samantha, tell me who's in your team, what do they do, tell me all their workflows, and then I'll go and interview everybody and then write down the tech stack and, you know, follow them around, you know, look over their shoulder and say, oh, you're doing that right. Okay, cool. And that would take about 3 months and it would cost a couple hundred thousand dollars. And that is a nut. That company is not scalable. I love building scalable companies. So my time, your time, and the team's time is very valuable. So I asked the question, how can we do this in 1 hour? How can we map the entire processes of a company in 1 hour? It's a big task, right? So that's the reason why we built Prism. So with that, let me show you what Prism is. And, and it's not prison, by the way. All right, here we go. So this is Prism. I'm sharing screen in 3, 2, 1. Here we go. So Prism works on 3 different levels: the user level, which is the base level, then the department level, then the leadership level. So I'm going to show you the, the, the base level. So I'm going to go in here and I'm going to log in as Jack. So Jack is the end user in a department, and what we're going to see with Jack is Jack has 3 different workflows he's come in and articulated into the system. This took probably about 30 minutes, right? And then that's going to save the company 76 days, which is pretty significant considering we've got 200 and something days. So what did Jack put in? He put in that this one task that we're showing you on the screen here. Remember I told you about the sticky notes? This one task is going to save the company 35 days. It's going to save the company cost $16,000 in wages. And that's Jack's calculations. And what are the steps he's going to do? Schedule and reschedule meetings. He's going to prepare agendas. He's going to circulate meeting minutes. The AI goes and analyzes it and says, hey, this is what the current state is. This is the transformed state. And what do we need to put in? They're a Microsoft Copilot company. It doesn't matter if you're Anthropic or OpenAI, whatever your base tech stack is, that's what we're going to use. And then we're going to put in Fathom. Done. We're now going to save the company $16,000. Very quick, very easy. So this is Jack, 3 workflows, 30 minutes of work. Then the next person I'm going to go into is a department head. So the department head is across their department and you'll see there's 12 workflows now. 12 workflows, 268 days, $140,000 saved across that department. And in there we can see this is how people put in their workflows, by the way. They can come in, they can choose a template. Templates are based on their roles. They can type in what they want to, you know, that, and you can edit all these things. Hey, this is what I do. This is how many minutes it takes. This is how many times I do this every month, every day, every week. And then whatever else you want to put in here. And then you submit that for analysis and then it's going to do the calculations. So that's how we get the work in, or we can also record the workflow. So you can just turn that button on, talk to it, or just show it on your screen, and it'll record everything. And then you turn it off, and then that's going to go and calculate exactly the workflow and how long it takes, etc. Now the last person that we're going to go into is Daniel. Daniel is the CEO. So the CEO sees something completely different. They see all the workflows, all the days, and how much time, how much money they're going to save, potentially $2.3 million. So Have I got the person's attention at this point in time? Yes. This took 1 hour for us to figure everything out. When we're doing a workshop with someone, all of these bars start off at zero and then they start moving depending on who's in the room and what workflows they're plugging in. So now they can make an executive decision saying, okay, we see that we clearly need to put some time energy into operations and then sales, then whatever they want, right? They've got the hierarchy here. And so then the CEO has to report to the board. So we come in here, let's go analysis and reports. And then we say, okay, cool, generate me a master report. I can get department reports. Reports, etc. I'm not going to go too much into detail because there's a lot of information I'm already giving you, but just know that you can generate the reports and your board will be like, wow, okay, cool, this is our executive AI transformation, this is what we can do, this is how we can save, and then all the numbers are here and this is, this is what it articulates to. So also with this, we have CTOs in the company. So let me just go to the AI roadmap. So every person in the company will have their own AI roadmap. Now in this AI roadmap, it's showing you This monthly board pack preparation is going to save the company 260 hours. It's going to save $52,000 in costs. And it's going to say 3 out of 3 steps can be automated. We can do it fully automate this entire solution. And how are we going to do that? And it gives you the step-by-step, hey, go to Claude, do this, and then go to NetSuite and do this. And this is how we're going to, we're going to build your monthly board pack preparation. So the CTO of the company can come in here and follow these steps and make it happen. And if the CTO doesn't have enough capacity, send it over to us and we'll get it done. We also have Ray. Ray goes through Prism. There's 2 different modes here. We've got consultant mode and support mode. So if you want some consulting, you say, okay, you know, give me a CEO executive dashboard summary. How's my company going? How can I, you know, increase profits this month? And because it knows everything about the company, it'll show you exactly that. And if you need support, you can say, hey, how do I find my AI report, etc.? So guys, I have given you a whirlwind of information, but just know. Come in, spend 1 hour with us. We'll articulate all your workflows in the company depending on who's in the room. We then find a champion in each department, and then we get little wins. One, you know, one agent might be $1,000, $2,000. It doesn't matter. It's just tiny little wins to get them used to going. Oh, so I'll give you another example. We have a lady who's been doing HR for 25 years, and I said, "Hey, tell me about you know what's your bottleneck? What do you hate doing?" She said, "I've been writing." 44 position descriptions this month. She goes, I'm tired. I go, how long does it take you to write a position description? 3 hours. Why does it take you 3 hours? Well, I have to go and find it on seek.com or monster.com. I have to go get approval from the finance officer. I have to get approval from the CEO for this salary range. I need to go and find my old templates, put it all together. There's 8 different steps. It takes me 3 hours. She's been there 25 years. So in 10 minutes, we built her a bot that can do all of those steps and get sign-offs, etc. The CEO gets a new text message and says, hey, this is what we're going to do. Do you sign off on this? Yeah, of course. I sign up for No issue. And now her work, her three position descriptions were done in thirty minutes, which usually takes her nine hours to do. Her shoulders drop. She goes, "Oh my God! Thank you so much." Now I can go and be with the people and integrate them into the business rather than being stuck at my computer. So this is the kinds of things that we do. All right. So let me. I think I've got about two slides left, and then we will open it up to Q and A. All right. Share screen. Our agenda is to make every person worth ten times more by giving them the right tools. How do we do that? We find the work, and so we pinpoint the work. We find the friction. We intervene. We simplify the system. Then we measure and manage. That's our steps, and that's what Prism stands for, as you can see on the screen there. So human-first advantage: We believe that companies that will win in the next five years will not be the ones with the most tools. They'll be the ones that give the people that they have the conditions to create more value by arming them with the right tools. If you had two companies, both with let's just say 500 people. And one is reducing headcount down to 300, they've lost a lot of human capital and knowledge. Whereas the ones that have kept those and amplified them and given them the tools and sparked their creativity again, now you have 500 people working on the company again, which, you know, it's no longer just boring because you give them different assignments, etc. And we can talk about how to make it more fun. But once you arm people with these tools, they just have so much fun. So what do we cover? We covered that staff will use AI if we give them the right tools. Leverage the human capital that you have. Design your company with AI first. And my offer to you is book in a complimentary, you know, roadmapping session with us. We'll work with you, with your team. You can have access to the software. You can bring your whole team. You'll walk away with an AI roadmap which you can use in your company. You can give it to your CTO, and now you become, you know, AI ready. And this is all free. This is— there's no catches or anything. You can have access to the software for a week. And if you want to work with us, we're always here to work with you, and we love helping companies.
