How Copilot CRM Keeps You from Overbooking Your Schedule!

Mike Andes shows how Copilot CRM's scheduling tool stops you from taking on more work than you can handle. It tracks your available capacity across weeks and shows where new jobs actually fit, so you don't accidentally overbook your team during busy seasons.

Hey, everyone, it's Mike Andes, founder and CEO of copilot CRM. And today I'm super excited because I want to share with you a tool inside of copilot that some people overlook, but I think it's one of our most powerful features, and it will allow you to never overbook your schedule during the spring rush or when you get really, really busy. Because what it does is it takes all the budget hours that you've put on every single job, hundreds, if not thousands of jobs that are on your schedule, and make sure that when you're booking the next job, you don't accidentally put something on your calendar that's gonna make you be overbooked in three or four weeks. Cause honestly, you have your head down, you're working hard, leads are pouring in, you're booked out four, five, six weeks out into the future, and you're just like, oh, yeah, we'll get to eventually. And you throw it on the calendar. All of a sudden you get to that week, you're like, oh, my word, I'm overbooked by, like, I need, like, several extra employees just to get all this work done when this is all absolutely a solvable problem using software. And that is every single time we you book a job inside of copilot, we're going to show you where to put that job over the next four weeks because we're going to be able to look at your backlog and tell you exactly how much time you have available before you go over capacity, and we're going to use budgeted hours to do that. And so there's never going to be a time where you show up to a week and you're like, where did all this work come from? Why am I so, so crazy busy? I got to work Saturday. I got to work Sunday. I got to get people to work overtime. If you use the capacity charts that we have at copilot, you, that runs seamlessly in the background when you're doing scheduling, you'll never be surprised. You'll never have to ask your guys to work crazy amounts of hours unexpectedly, or work on the weekends, because you'll always know what your backlog looks like and whether you're running too, too close to capacity and you're kind of starting to burn people out, or if you actually have capacity and you have start doing some marketing functions to get more jobs in the schedule, you always know how far you are booked out. It's in a very, very important part of your business, and that is to be able to know when a customer says yes, I want to accept that project. You know exactly where they can fit based upon the schedule, and that's difficult sometimes if you're four, six, eight weeks booked out. But using Copilot, it will automatically in the back end allow you to be able to see when that project is able to next fit on the schedule. And from a glance at the calendar you'll be able to see how many budget hours are on this week, both recurring jobs and project jobs, as well as how many more budget hours can you fit on the schedule without going over capacity and burning people out, not just for this week, but for weeks down the road in your backlog. I truly believe this feature will prevent a lot of burnout during the busiest times of your year and prevent a lot of unexpected weekends that you work late in the evenings and time away from family will all be prevented by simply knowing how far you are booked out and knowing when a job can go on the schedule based upon your budget, hour capacity.
