Automating course, community, and asset Delivery | Coaching Corner #006

David walks through automating course enrollment, community access, and digital asset delivery in ClickFunnels. Attach an Automations workflow to your funnel triggered on purchase, add actions for tags and enrollment, then customize the system emails. You can also set product-level purchase actions so one product grants access across multiple funnels.

Foreign.
What's up everybody? What's going on? Welcome back to coaching Corner.
Good to be here. Good to have you. Happy New Year. All the above. Yeah, yeah.
Last, last day of the year, everybody. We made it. We did it.
Literally made it through 2025. You're right.
Yeah.
That's very accurate. I like that.
Yeah.
Somehow it landed on a perfect day. We're looking to help you set up things properly for the new year. That's the goal for the day.
Yeah.
Yeah.
So welcome into the call today. Today we're going to be talking about, we're going to be doing a deep dive into Automations workflows and specifically around automating course community access and also asset delivery. So if you have downloadable PDFs, guides, we're going to walk you through how they can get it, how you deliver it automatically through workflows and where they actually download them from.
It's going to be a great time. Hopefully you're, I don't know, sitting down because you're going to want to if. If not. All right. Yeah. Just as David said, we're going to kind of walk through those things. You want to share your screen? You have it pulled up.
Let me see you go for it. So welcome in. The water's warm. Grab the coffee.
Here we go. This is probably tiny.
We do this.
It is. Yeah, we're good.
There you go. It's better.
Yeah, better.
I think the people can see that. Can you see that people?
Is it great?
Now give me, give me a thumbs up in the comments.
We'll say it's great. I think I did 150 last time and it worked out well. So cool.
It looks perfect here. Let's go.
So the first thing we're going to start off with is using a workflow to achieve this setup where we can automatically have people enrolled in courses added to a community assets delivered. All good stuff all in one go. I mean you don't have to do one, one sitting but you can automate the process so you don't have to think about it at all after the fact of it being set up, which is fantastic. Right? Yeah. Okay. So the main thing that is going to be used here for this particular setup is going to be the Automations app inside of the platform. We won't necessarily be diving into Automations directly inside of the app center or anything, but it's going to be directly used when we connect it to a funnel.
Yeah, yeah.
David, you want to walk us through how to use Automations inside of the funnel? How to actually set this up.
Yeah, yeah, for sure. So let's go ahead. You have already started sharing your screen, so let's go over to a funnel.
I have a funnel.
And here we go. So for those of you that have been using clickfunnels for a little while, this view might be a little different to you. This is kind of foreshadowing of something that we're working on, something for you to get excited about. It's a little bit different of a view from what you are probably seeing on your end. What you're probably seeing on your end is the current model of the funnel ui. And there's going to be a little lightning icon just to the right of each page of each funnel step.
Yeah, just hover directly on the step and it should appear on the right hand side. Otherwise, if you see this view, congratulations. It's pretty fun. It's a nice little makeover, but it's a nice upgrade.
We're working on a. This is a way to help streamline and speed up all of the things that has to do with your funnels, which is great. We've been testing it out. We love it. It's coming.
Sure thing. Before we actually attach this, I probably should specify how we even got to this point. If you're unaware and you're just completely new to clickfunnels. First off, we want to head over to funnels in the left hand navigation up here in the top left. From there, it'll bring us to the page we're looking at right now. This is the funnel overview page, where we can see all the different funnels we have added to our account. At this point, we're going to go ahead and use this funnel as the example. But obviously you want to head to your funnel that you would like to set this up in and then we'll be right back where we were a moment ago. Yes. Okay. Now from here, where should I go? David? What's the next step?
Let's scroll down to that order page.
Okay.
And specifically because today we're talking about course access, community access, and asset delivery, we'll touch on asset delivery maybe at the same time.
Yeah.
So usually it's going to go along with a purchase, a product. Okay. If you're in the expert path in the One Funnel Away challenge, you're going to be selling usually the map to. To. To take somebody from A to B. And that map is your course usually. So we're going to attach the workflow by clicking on the red lightning icon.
Still keeping the lightning Bolt icon intact. Like it?
Yeah, yeah.
Let's see from here. Was it close at the bottom though? At the very bottom.
There we go. Everything else pretty much from this point. Well, actually this is a little bit different from what it currently is, but very similar. Go find your workflow, search for it or create a new workflow.
In this case, let's just start brand new. We'll start from scratch just for you. Just, just for now. We'll call this assets.
Course.
Asset slash course. Oh, what the heck.
It's always the most difficult thing typing.
On a live stream.
I don't know why.
Community access. There we go. Appreciate forward. And then you mentioned going based off of a purchase. So we just click on the event types, drop down here and we should see an option for order successful purchase. And from here just create the workflow. Click on that little yellow button there.
Yeah.
Okay, workflow's been created. Now we just have to actually access it. Perfect, we're in it. Okay, now we're on the same page. This should be the page that you are brought to once you went through the process of creating a new workflow, right?
Yes.
Okay, now what should we do? What's the next step we should. We want to take here in this case?
Well, now what I normally like to do is add some tags and some notifications. So let's go ahead and click to add a tag.
Tag. We'll click on a little plus icon there on the line and then on the right hand side we can select what we're actually trying to do. You said you're looking for a tag?
Yes, and there's all sorts of awesome workflow actions that you can find over here. And if you don't see what you're looking for, then we also have third party integrations and webhooks. Okay, that's a different topic for a different video later on another day. So add tag search through there, type in course and just see if you grab. Okay now quick point of conversation right here. If you don't have the tag already created, whenever you're typing out the tag here, be sure and click on the blue, the blue banner right there to create the tag here. Otherwise it won't create the tag. Cool. Now we can go and once you click create step that actually created the tag. Perfect.
Cool.
One, one thing I also like to do is type in a notification for myself. So click that and then click notification. Now this is a great way, especially if you're first getting started, to give you a little notification heads up in your email that, hey, a new person just bought my course. Awesome. You want that little ding in your email saying that it's working. New course. Yep. And what I normally do. Yep. Enrollment. Perfect. And then I do like a dash. And then I do first name, last name, email, and let's show those merge tags. Okay.
You said name and email.
Oh, let's show the merge tags.
Yeah. Okay, perfect. Yeah. Name, name. Click on merge tags over here. And we're doing first name, first name.
Space, last name, space, email.
Click on it again. Last name. Are you still in one line?
Yep.
Man, I like to label this sucker.
Yeah. So for those of you out there that like to make this look nice, it actually does take on the. The rich text formatting. So you can add emojis, you can add line spaces, all of it.
We did that the other day. It actually turned out pretty nice. It was nice to see it actually come through and is intended. Yeah.
Now I normally just click email the notification one. That is going to be like a little notification bell inside of your clickfunnels backups. There's like a notification list and your clickfunnels backups.
Okay. Yep, Fair enough. If you find yourself in clickfunnels all the time, maybe that's useful. Um, but if usually you have your phone on you and an email is probably the easier way to go. Perfect. All right, good stuff. And now we're ready to start giving out assets.
Yeah.
Ready for the next step here.
Right? For the next step. Usually what I do is add an email. Let's go and do that real quick. Just. Just as a blank thing. Just so people see what we normally do. Send email. It's like a welcome email.
That's not the right one. Don't. Don't do. I just did. Don't. Monkey, Steve, Monkey. Don't do. Okay, hold on. Instead of send message up, we're going for send email in this situation.
There we go. Select any email you can find your previous emails or select one of those new templates. This here, what I normally like to do is add some kind of like a. Just a little nickname of what it is. And I usually add email1.
Let's see.
Yeah. So it could be like course delivery or welcome.
Right. Cool.
And then subjects. Just anything right there. Or congrats, here's your link inside. Something like that. Okay. And then create all that can be customized. We're just trying to go a little fast here. Okay. Next we're going to click the plus icon again. And now we're going to actually start giving enrollment Access to the course and the community and any digital downloads you have. So let's scroll down until we find. Enroll in course course enrollment.
Enroll. Contact this guy over here.
There it is, there it is, there is.
Click on that, right? And then the pretty cool thing here is that it'll show everything on a granular level, which is nice either if you want to enroll somebody in an entire course, you don't have to do anything deeper than what you're looking at right now. You can just click on the checkbox. But I like that you can expand these and be very specific with access points.
Yeah. So if you have like a, like a couple of tiers with your courses, then you can have like, you know, just like the basic Tier gets module 1 and 2 or like you know, the mid level gets module 1, 2, 3 and 4 and then the elite level kids, you know, 1, 2, 3, 4, 5 and 6.
Yeah, exactly. Especially if you have like upgrades within the year. Course itself. We can talk about it in a future video that's. These are. We have some things planned around courses, but for now just know that you can create some sort of upgrade or ascension option or setup within the course itself. And so maybe you only give them access to one module at this moment in time. If you want to upgrade to see the rest of it, they can upgrade in the future at any points by clicking on it. It'll take them to the place where they can buy that. Pretty nice.
Do we have time to. Do we have time to show that in this video?
I don't know. No, I think we have to jump. We already have enough left. Yeah.
If you have a question about that, reach out to us@outreachlickfunnels.com or comment on this video.
Let's go with the first course here just as an example. And from here I'll just give all modules here as part of this example. From here, click on Create step the bottom right. And now we have that new step that we're looking for to enroll contact. That simple. They will now get an automatic email saying hey, you're in. Click this button, come hang out with us. View all the content, all the good stuff. Right. It'll do that automatically. Now that this is set up here, the next step that we were talking about was community. Correct. I believe that was the thing we were talking about. So click on the plus icon again and on the right hand side there's gonna be another option for community specific access. That's what I'm here. Very similar to what we're seeing in the course side, which is cool. It's all pretty consistent. I don't know if I. I can't say I do this part very often, but either way it's set up the same way as courses. Like you can do specific topics that they can have access to. You can make it so they have access to all of them, which is nice. If you click on a little checkbox here at the very top or by the name itself. Pretty nice. Makes you easier in your life. For this example, we'll just leave it as is. Work out with me, right?
Yes.
Cool. Perfect. All right.
And then if you have any downloads, go for that.
Downloads. Okay, again, we'll go back to that plus icon. And on the right hand side, we're looking for Send Asset. It's going to be different than the internal actions here. Actually be up at the top right under Send Email. This guy right here is going to allow you to send out digital assets that you've uploaded inside of your accounts. If you don't have them uploaded. Pretty cool. You just click on New Asset and you can upload it right here. And that's it. Basically PDFs. I've seen people do images. You can do a lot of different things, but this is going to allow people to download things directly from. When this gets the email. Well, actually it gets added to the workspace. We'll show you that in a second. I think David added that to one of the slides here. Yeah. But in the drop down we have two options to go off of already, which is nice. So we're going to pretend that we've already uploaded our assets and we'll show you how to access that or how to upload that in a moment. But again, click on New Asset here and it's basically walk you through the whole process. We'll do new Asset pack, anchor step.
Perfect.
Boom. Okay, just like that. We've automated the process. I mean, how easy was that? Cool. Do that like two minutes.
Okay. There's a little bit more customization that goes into play. We'll show you guys a little bit more on that. So stick with us and we'll show you kind of the rest of it and also where to find the download. So a common question that we get is, okay, great, we just delivered the asset to our customers, but where do they go to find their download? We'll get to that here in a minute.
Let's do it.
Go back to that real quick. Go back to that real quick. Go back to the. Okay, cool. So, yes. So heads up, everybody. Each One of these steps, the enroll the grant community and the send asset will trigger something called a system email. It is a pre filled out generalized email that will give your. That will be automatically sent to your customers. And it actually is dynamically populated. It changes to reflect the product or course or community that they just got access to. And we'll show you where that is and how to customize it.
Heck yeah. In other words, if they sign up for Course xyz, it'll say you're enrolled in Course xyz. They click the button, it'll take them exactly to that right spot and you don't have to do anything. It just does it by itself.
Yeah. All right, now let's go back to our slides.
The other. Yeah, yeah. The other thing to cover was the product purchase actions. So it's the same thing, but you can based off of a purchase of a specific product versus maybe just a purchase in general on a specific step, which is nice. If you happen to use a product in like 20 different spots. You don't want to create a new workflow every single time or something like that. That is super common. So basically to access the product purchase actions, all we got to do is we got to go back to our main funnel overview. So I'm going to click on the back arrow in the top left and it should bring us back to this page right here where we see all of our different funnels. Right at this point just head over to products in the left hand navigation top left and then we're going to go to all products in that secondary navigation. Okay, now from here let's go to the option for the hoodie here at the very top. I'm going to click on this. And you can do this for any product. Doesn't matter which one you are trying to do it for. Just click on it directly. Should bring you directly into the product settings just like so. And we're going to scroll down just a little bit and underneath shipping we should see an option for actions. There we go. How fun is that? This is going to be basically the exact same thing that we did inside of the workflow, except you're configuring it for a product directly. Again, the difference here in my situation, what I found is like if you are applying the same products to 20 different funnels and you want to give the same access to whatever assets, course or community for anybody who buys that product, it will automatically happen every time. You don't have to set up a new workflow, you don't have to do anything like that. If you don't mind about, or you don't mind, I don't know, around like timing, you don't have anything you want to customize, this will do exactly the same thing with basically zero effort. So. Yep. So for example, as far as setting this up, if we click on say like Digital Asset Access, click on the little plus icon here, it should show a little pop up on the right hand side or a menu there on the right hand side and we can go and choose the asset we want to give access to. Very similar to the workflow. You can also create a brand new one, a digital asset right here as well. Going to go back and show courses as well. There we go. It's very similar. If you want to expand the course itself and show all the different modules, click on the little arrow icon here and it'll have a little drop down kind of walking through that or allowing you to select as granular as you want. Right. So if you only want to give access to one module, you've done it. That's it, just click on it, save and that's all. I'll go and save that for now.
That's a very nice easy way to do it without having to do it in all of your workflows.
Exactly 100%. And if you want to go back and adjust it at any point, definitely can. Nothing that we've set up at this point is set in stone. It's all customizable, it's all adjustable and all you have to do is go back to the gear icon to edit that and then you can customize however you want. Same thing in the workflow.
Yes. And just like in the workflow, whenever somebody buys this product with, with whatever access that you give them here, it will trigger one of those system emails. And so here on this video later we're going to show you where to find those and how to customize them.
Yeah, Heck yeah.
I think, I think next we can go back to our slides and show the downloads. Did you have any other thoughts before we get away from that?
No, that's pretty much it. If you guys have questions on this specifically, if there's anything you're getting caught up on around what we've covered so far, I can just reach out to us@outreachoutreachlickfunnels.com and we can answer any questions. But basically it's going to be very similar between the workflow and the product settings. Just know that you have to go in and add whatever access you want to grant for whatever it is, whether it's a digital assets course or a community. That's it. Right. Maybe one other thing to mention is after you have this, make sure if this is not clicked up here, update product. Usually it should save, but if you see that this is still lit up as yellow, make sure to click that. I know something small, but I've done it before and I forgot and sold a few of them and no one had access to anything. It was very, very sad. Don't be like me. I want you to win.
We won. Happy Panda. Not sad Panda.
Yeah, today's that day.
All right, so now where do they find your downloads? So whenever your customer gets their the access to that asset, all they got to do is going to appear in. Actually they're going to get that system email. There's a button on there that says, here's your access to your new download. Click here and then they have to log in. Yeah, here's exactly the system email that's going to show up. And this one here was for a course and it is going to be a little bit different for the course, the module, the community, the asset, but it's all very similar to this. So whenever they click that button and it's going to bring them to a login screen and it's going to bring them to their dashboard where they can click downloads and then they can access all those downloads.
That's it? Yeah, it's inside of your, your customer center. Just click on the little circle icon there and then it should show the drop down that David's talking about downloads and then it'll take you directly to that tab.
Cool. Yes.
That's awesome. Now, we kind of alluded to this earlier on that we want to actually show you how to customize this as well, just so you can have some sort of, say, some sort of, I don't know, customization over the experience people have when they opt in or join a course or any of these system emails. Right. So in order to do this, let's head back to click models. We'll kind of walk through this now to actually access the system emails. First you want to do is head over here to the bottom left side of your screen and click on workspace settings. Do I need to zoom in or is this large enough, Dave?
It's large enough.
I think I go one more. Is that better?
There you go.
Boom.
Okay, that's even better.
It's super clear now. All right, we'll want to head back or head over here to the bottom left side of the screen, click on workspace settings and then we should see a new set of menu items over here in our left hand navigation. Just scroll down until we see the option for system emails between shipping and styles. Right over here. From there we're going to click directly on system emails and this is going to be where the magic actually happens. Take it away, David. Where we should go next? What's the next step?
So from here let's click on courses and you'll see on the right hand side you see that there's a template. It says default and then there's another column that is enabled. So you can actually disable these system emails if you don't want them to send or not.
Okay.
You could completely customize and completely. Take care. Take each course access granularly and manually in each workflow. If you would like to do so by toggling off the the system EOL for course enrollment. Okay.
Which is pretty nice, honestly. I liked when they did that. Just because there's some emails that like you just don't always want to go out every single time. It's nice to have control over that. But anyways, sorry, take it away. I didn't mean to cut you.
It's all good. Now the system emails are very good for quick and easy setup.
Okay.
Just so that you get on, you know, get launched and going and running. Okay. I would recommend that you customize them just a little bit. Let's go ahead and click on course.
Enrollment notification down here at the bottom. Cool.
Yep. So you can click either the gear icon or the name. Now let's click that actually right there where it says subject. Just so you guys know, you can change it to be whatever subject line that you want. I have seen like the way it is now is just fine. Click back on our slides real quick. I have seen this subject come from other course creators. Start learning today. Access your course here.
I like that.
So yeah, you can enter that and it will show up. Yes. So that enter something that will get them to actually open the email. Okay. Then click customize. Yeah, there you go.
Party started.
There you go. Yeah.
All right, cool.
And now you do need to click save to save that part. There you go. Now we got to go back into back out.
I didn't need to make that change. I just wanted to. Okay, cool.
It actually took us right into editing it. Very good.
Perfect. Well, this is the next spot we're going to go. Save takes us into the editor. But also the customize button will take you to the same spot the same editor we're looking at right now.
Usually what we get is people want to remove the ClickFunnels logo at the bottom. They want it to just be their branding specifically. So you can click on that powered by ClickFunnels and you can just swap out the image for your image if you'd. Or you can delete it with the trash can.
Okay. Yeah, I'm going with this one.
Beautiful.
I don't like the size. Let's make it larger.
Nice.
Yeah. Now we're cooking.
Awesome. And then you can just edit some of the text up there if you want. But the one part that you can't change is the part right there where it says it's those double curly brackets. Course title. Don't change that part because that is what will be dynamically populated with the course name.
Yeah, I mean, you can. You can change like text color and stuff. Or if you want to make it larger, you can definitely don't change up. Like, if you add, like, I don't know, anything inside of there, it's going to end up messing it up. So. Yeah, I usually tell people, stay clear of that as well. Unless you want to customize it because you can make it say, I don't know, red, crimson, red. Yeah, let's do that. Now that stands out. It probably doesn't match the brand color, so probably wouldn't do that. But you can. It's definitely something that's available to you. Yeah. Let's see what else you usually customize in these emails.
That's. So for me, that's about it. Go back to our slides real quick. Let's just show you how I did mine. Got my logo there at the top. You're enrolled. I didn't change that. The course name. I didn't change that. Then I just added a little bit of text. I said, thank you for choosing our course or thank you for purchasing one of our products and our recommendation for the system. Emails make this language generic enough so that it can be applied to any of the courses.
Okay. Don't.
Don't make it course specific there.
Yeah. Or you get access. Well, yeah, you could say thank you.
For purchasing, you know, and then you have to enter in the dynamic code right there. Go and show them that.
Yeah, you could. This guy right here. You can also do emerge manually.
Type it out. Yeah. So it could be thank you for purchasing. And then here's the course title. Course doesn't have all. There you go. Yeah, perfect.
There we go. It'll do the same thing.
Yeah. And Then just add. What I would do is add any kind of call to action type language. So to begin your learning journey, simply click on the button below to access the course. Something like that.
You see how many times I have to backspace when typing. This isn't just due to the live stream. This is all the time. Learning journey. Click the button below. Yeah. Boom. Okay, looking good.
Perfect.
Okay, the button as well. Something you probably wouldn't want to do here is also you can change the text. You can change up this guy right here. You can change the button color and everything if you click on this element inside the editor. But the one thing to stay away from in this case would be the link itself that's in the URL. I would leave this as is the magic underscore link dash URL.
Yes.
Reason for this is again, it is dynamic. It's. It's going to be bringing people directly to the correct course based off of what they were just granted access to. That way you don't think about it. There's no errors. It just takes them to the spot where you want them to go. It's fantastic. Let's see. Let's go ahead and dive into the other emails too. So let's.
Well, hang on. I think that was enough for now. You guys can do the other emails on your own. Let's go publish and exit. There is one other thing that I wanted to make sure to include in this video because sometimes we have people that ask, well, if I turn off the system emails, how do I give them the links to my course in my regular email? So let's go show them that. Okay, let's back out to the workspace. Oh, by the way, before we go away. Yes. Toggle on custom template. Make sure if you. You customize. If you want the custom one, toggle that on and click save.
Save. Boom. One last thing before we dive. I. We will go to the other one. But the other templates or other things that you're looking for for system emails are going to be around community and that's pretty much it. So if you go to community over here, you'll find the other enrollments.
Click on. Click on orders. Also, I think there's one in there for the asset delivery. Oh yeah.
So this one as well. Under orders. It's the second one down from the top and same process. Click on the name or click on the gear icon and it'll bring you to the settings where we basically do the same thing we just showed a moment ago.
Yeah, exactly.
Now the other place that you want to go is the course directly. Am I correct?
Yes. So two things. If you want to send somebody directly to the course, and then also if you want to send somebody to the customer center itself. So let's go find the course.
Cool. Course. So we head over to courses on the left hand navigation. Click on that. And let's go with home gym setup. I think that's. That sounds great.
Nice. So that link right up there at the top, there's a little copy button on the right. We're going to copy that. And that would be the email or. Sorry, the link that we put in the email itself that'll take them directly all the way through the back office directly to the course. Okay, so that's that one. Now we can go over and find the customer center if you want to direct somebody just to the customer center overall itself.
Got it.
Okay, that's site and blog.
Site and blog. Oh, I scroll past it up here at the top. Site and blog, Customer center, Customer center. And that secondary dropdown, Secondary navigation.
Perfect. And it's right there. So if you want to send somebody to your overall customer center where they can see all of your courses, then this is the one to use.
Okay. Just like that. Okay, cool. Guys, we covered a lot in a little bit of time. If you have any questions at all around anything we covered today, replay this video or do that too. That's probably fine. But yes, reach out to us@outreach clickfunnels.com we're happy to help. Happy to. If needed, hop on, a short call, get you up and running, get you going, answer questions, whatever. But for now, that's it for today, guys. Happy New Year. We look forward to seeing you in 2026. And that's it. Have a fantastic rest of your day.
Yep. Thanks for coming. We'll see you in the next video. Talk to you next year. Yeah, see you guys. Bye for.
