How to Use Workspace Attributes in ClickFunnels 2.0 | Coaching Corner #028

Tyson and David show how to use Workspace Attributes in ClickFunnels 2.0 to update content once and apply it everywhere. You can create text or select-type attributes, add merge tags to pages and emails, and use them for footers, dropdowns, webinar times, and dynamic links. Enable the dynamic toggle in Advanced settings to make it work.

Hey, hey, hey, hey, hey, happy Tuesday.
What's going on everybody? Welcome to ClickFunnels Coaching Corner. How are you doing? Where are you watching from? Drop it in the comments. Hope you're doing well today. We got a new feature to talk about.
Yeah, this one's gonna be a fun one. Uh, God, I gotta stop saying that. I gotta come up with something else.
Tagline.
Always a fun one.
We need to make shirts for this one's gonna be a fun one. Yes, that's great.
If you run a business that has moving parts as far as like offers or offer dates, or like you run a lot of webinars perhaps where the date changes or anything like that, I think today is going to be particularly enjoyable for you. Yes. Um, wouldn't you agree, David?
I would agree.
I would agree.
Yes.
There was a new feature released here 2 days ago, yesterday?
Yeah, yesterday.
You guys are going to be the first to know about it or second. I guess we would be the first because we're relaying it to you. Regardless, it's going to blow your mind. There is an ability for you to go in and essentially create a place where you can update information in one area and use that information in multiple areas and have it all updated at once. Kind of like universal blocks. I know this already exists inside of the platform, and that's amazing, and that's definitely something you should be using, but this kind of goes beyond that, uh, wouldn't you say, David?
I would, because you can't use universal blocks in the emails.
That's a big one too.
Yeah. And so if you want some text to change and be universal and change everywhere, even in your emails, then stay tuned. This is a great feature for you.
Okay.
Yeah, very cool, powerful new thing. And as you can tell by the title of the, of the video, they're called Workspace Attributes. So this is live right now already in your accounts. We're going to show you where to find it and how to use it.
Yeah. Okay, what a great time. I'm gonna go and share my screen here. We can kind of walk through this together. Workspace attributes, update once, apply everywhere. That's the concept that we're trying to press upon you, I guess. Something that we— I don't know. This is going to be something very useful if you find yourself in the editor all the time making updates to something that doesn't have to be updated every single day. I don't know. We'll just say that if you want to stop making updates on every single page for one piece of information, like the year perhaps in your footer, The year is something that I find this to be super useful for because it's something so small, but it's also a lifestyle feature where you can kind of just make an adjustment in one area and all those years will change on every single footer. They're using that— this merge tag, or in this case, it's a workspace attribute. Yeah. Anyways, what we'll be covering, we'll be covering how they work inside of the ClickFunnels platform here, how to set them up to your funnels and your emails. Uh, that can be both for your broadcasts, so one-off emails, one-to-many emails, or your automations, uh, or workflow emails, right? We will walk through both of those scenarios. And I don't know, some other practical ways that you can end up using this and implementing it for your own sanity. I don't know, for your benefits, shall we say.
Yeah, yeah. For ease of life. Ease of life. Let's save you some time here.
Yeah. I'm going to go ahead and jump over to— actually not that workspace. I'm going to go to this guy right here for right now. Let's say you're starting from scratch, you're not sure how to get started or where to go. That's okay, follow along. The first click you want to make here is down here in the bottom left side of your screen, right on Workspace Settings. Once you do this, it should take you to your general settings here by default. And from there, just scroll down until we see the option for— keep going, keep going— Workspace Attributes. It's gonna be the second to last item here on that left-hand navigation. Once we click on that, you'll be presented with this beautiful-looking landing page here. Uh, and not even landing page, just a screen that we can start the next part of this process. Uh, let's go and click on the shiny black button here on the very, very center of the screen. To create or add a new workspace attribute. All right, it's gonna look very simplistic, and that's because it is meant to. And, uh, yeah, it's not meant to be overwhelming. In this case, we're trying to make it as easy as possible.
You have got two options here.
Yeah, two options. One is going to be text field, and the other is going to be the select field. Both have different use cases. Uh, David has a really good example for the select field. We'll show you exactly what to use that for. But for now, maybe we say, I don't know, maybe we want to make an adjustment to, again, the year. We'll use the year as the example. If we go and type in a label, we'll call it Footer Year.
Cool.
Go ahead and create the field. We'll leave it as text field for now. And after we do that, it should bring us to a page exactly like this, where we need to set up the second part of this, which is going to be the value that is going to be associated to the footer year, right? That label. Um, all we have to do to make that happen is just click on this area right here where it says Set Value. There's a little pencil icon right next to it. If you click on this, it should show another little pop-up here where we can start typing in the actual text that we want to use inside of the live page. Alright, this might seem kind of crazy for now, you are not following what I'm saying. That's okay. Let me just do it as an example. And we can come back to it and expand further. So for now, the year is 2026. If you haven't updated your footer yet, this is maybe a reminder to go do that for 2024 or '25. Either way. Um, after we type in the value we want to put in here, click on updates, and now we can actually go to the funnel itself that we want to make this adjustment for. Funnel, um, workflow, email, or whatever you want this to be, or even a broadcast. It can all— it can be used anywhere. Now we're going to click on the back arrow here on the top left, and from there we're going to go ahead and click on funnels. Cool. We'll do some profile links for now. What do you think?
That should be fine.
In our example from last week.
That'll work.
Cool. We'll go in the editor for this first step here. You know what I should have done? I should have remembered what I put for that label.
Geez. Yeah.
Hold on.
Here's your friendly reminder to open up new tabs.
I usually would probably keep it in a new tab. And that's what we're going to do right here. Okay, footer here. I'm gonna go and just copy that.
So you're gonna have to copy that, look for it again. We are having conversations on how to make it more selectable inside the editor. So right now you have to copy it, but maybe in the future, you'll just be able to click a button here and select it. Yeah, that's okay.
We're working on it. We'll go ahead and I'm just gonna add another paragraph here just as an example. Cool. Your business name.
Copyright.
Copyright. Jeez. 2020. Actually, just kidding. I was about to type it in. This is where we can actually use the magical thing that we're talking about today. We have to type in curly brace, curly brace. Space and then paste in— or sorry, actually type in workspace space dot the value or the label that we just created. After that, do a space and two more ending curly braces there. So look, something like this. In your case, it'll be workspace dot, uh, whatever, whatever it says here for you, right? Whatever the key says here for you. Um, After that, we have to go to the settings for this element to make the magic happen. And from here, just go to Advanced over here on the top right and click on this little toggle switch right next to dynamically populated. After that, boom, it actually already did it right there live in the editor. You can see it's now saying 2026. We hover over it, you'll see that it changes back to workspace.footer, right? That's it.
Yeah, that's it. Okay, so now if I save it—
Go change it. Yeah, I'm going to save it here. Save anyway. You can preview the page, go to the footer. Okay, there we go. Saying the—
Boom!
Boom! All right, very simple explanation, but it's— I don't know, it's going to be huge for any— anyone that's doing these types of edits, uh, across the board, for anywhere that that is being used, right? We'll change this to what, 2028, as an example. Update the value. If we go back to this page and refresh—
boom, boom! Instant! How gratifying is that? Yeah, so good. And that— the big picture here is you can do this and you can have these all over the place, like across your pages, across your website, across your emails. Across your courses and it will always update to what you have in that one place. How awesome is that?
Yes. It seems like such a small uplift in usability, but this is gonna change the way I operate inside this platform. Email footer specifically. Oh man, there's like, there's links in there that I need to go and update so I don't do this ever again. Yeah, anyways. Yeah. Did you have another example that you want to show?
Yeah, let's—
your dropdown example or the, the select field option.
I think it's really good work on that. So now we're going to look at the other field type, the select field. And this one is good for if you, you have previous options or other options that you don't want to delete, and you may want to come back to in the future. Okay, so a good example for this is open hours, like your working hours, select field and allow multiple selections. If you do not have multiple selections, then it will allow you to select one of them, like a radio dropdown. Okay, so now we're just gonna type in Monday, Tuesday, Wednesday, Thursday and Friday. Okay, and we're going to copy this. Boom. Going to go back to— by the way, you're using your keyboard wrong. Did you know that? If you hold Ctrl or Command if you're Mac, and then you click on something, it will open up that link in a new tab.
It'll save you loads of time. Learn it. What kind of anchor hook is that?
Hey, I'm just doing what I see other people do. I've seen so many affiliate marketing videos where they— that's their opening line.
Yeah, I do that too. Yeah. Change the way you operate.
Helpful little tip. You got lots of golden nuggets here. You know, sometimes they just fall from the sky. Again, that is hold Control or Command on Mac and then click something and it will open up— that link in a new tab. Okay. And now you can do— We're— something like we're open curly bracket curly bracket workspace and office— sorry, open hours. Make sure there's no spaces in there. Now Tyson showed that you have to have a space on both sides of this, but actually whenever you first create it, you don't, because it will actually save, and when it saves it inserts those, it injects those spaces for you. Check it out. So no space, and then whenever we do this, it'll do it right there. Oh, wait, wait. So it's giving us some funkiness here.
What'd you put in there?
workspace.openhours.
Refresh.
Oh, you know why? Because I haven't—
Oh, you put a value.
Okay, so that would be why. This is live. We're gonna select Monday, Wednesday, and Friday. Update that. And there we go. There you go. Did it easily. How cool.
Okay, you have friends with issue. Now you know what's going on.
That's right. We'll see how fast it does it. Do I have to refresh the page?
I do. Or you just go to the live browser and refresh. That was really fast.
Either one.
We're doing that one.
Yeah. So how cool is that, right? Another good example is for live webinar start times.
Yeah.
So let me touch on that one here in just a second. One little caveat note that we need to cover If you— let's see. Okay. Yeah, important. Okay. Let's go ahead and start fresh with the headline. If you enter in the curly bracket curly bracket workspace attribute first and you do all the right steps, it'll operate on its own. Okay? And this is something that I think we're going to work on. We probably will. But just as an observation, and you may be like, you may be confused, you may have to reach out to support. So before you do, watch this video. Here's what's going on. If you type in the workspace attribute first, and then you start typing other text, it right now breaks it. What?
Yeah. Only, only sometimes. All right, for me, I haven't been able to replicate this. Dave is a special case. If you're like Dave, I guess so special. Reach out and say hello. That's perfectly fine.
Yeah. And even if you clone it, then it clones over that, that broken piece or whatever. If you type in something afterwards, then it's still like that. But if you type in the text beforehand, okay, just like we showed you. Then it works just fine. Do it like that. Don't give yourself a headache.
Cool.
Actually, does it work whenever there's the default? It doesn't look like it. Well, you actually have to clear it out.
What do you mean? We enable the— You're right. The extra step there is that after you create any text and you use this, Workspace attribute, you need to go to advanced settings and turn on the little dynamic.
That is true. I forgot that. Thanks for—
There we go. Just like that. Yep.
Very good. Cool. Rock on. Now let's go talk about webinar start times. So let's call this the activator Workspace attributes webinar, long name.
Jeez, definitely copy this. There's no way I'm gonna remember this.
No, not at all. Right. So I don't really foresee you needing to save these with a select field because it's always going to be a future date. So text field is fine and create that. And let's say this is a webinar in the future. We're going to say that this date starts on— actually, let's just go ahead and type in that whole thing. We get started on June 21st, 7 PM. Cool.
Cool. Go live.
Okay, there we go. And we're going to copy that. Boom. And now let's go to a webinar funnel. So previously, one of our recommendations as coaches and funnel builders is to not put the physical date, like manually type it in, in a bunch of different places. Simply because this feature was not here yet. Because otherwise, you'd have to go and update it everywhere manually.
Or put it in a universal block or something if you can. Like, at the very, very least. But then that becomes super tedious. I don't know, it becomes a whole other thing.
Yeah, so now we can just do workspace.paste that really long one. And there you go. We go live June 21st at 7 PM. And now we can do like up here, uh, same thing. Okay, maybe let's do there at the end. Oh, so good.
Wait a minute, dynamic. Hold on. Oh yeah, dynamic. Oh.
Oh, yeah. Nice.
And then I change it one spot. That's so amazing. Yes.
Yes. That's gonna be—
it's small.
Yeah. And also, this would normally be on several pages. That's another part of it to see. Webinar starts in, or we get started on. Okay, so Oh, oh, there.
Boom.
And then you just go add it to an email. And same thing. Now over here in the emails, this is a little bit easier, actually, because check it out here. The over here. It's called it, it's called a merge tag all over the place. It's called a merge tag. Okay, so now here we have an option with a button to select it. And if we scroll down or type it in—
You scroll to the bottom because it's the newest attribute created. And it won't say contact in front of it, it'll say workspace. Differentiator here.
Yep. Yes.
Workspace.
Boom. Is there anything else to that?
Just to clarify what I just said, there's two different types of custom attributes inside of the platform here. We have contact attributes and now we have workspace attributes. Contact attributes are going to be those custom inputs or, you know, custom questions maybe you have people ask or answer on forms. Like their first name. Yeah, or, well, yes. Yeah, yeah, exactly. First name, email, stuff like that. For the ones you're creating right now that we're walking through, the workspace attributes, it'll have workspace in front of it so you can clarify what you're looking at a little bit.
Yeah. Okay. Let's see if it'll do it in the draft or the— no, not in the draft, but maybe a saved content. No. So I heard that this has to work. It's, uh, regular whenever you send it out.
Yeah. Yeah. So you'd have to send a, like a draft or a test email.
First, I wonder if it'll do it. Change this. Let's pull up the chat. Oh, okay. How about you go share something else while I give this a test? Okay.
I will continue to expand on that. Actually, there's— here, I will share my screen again. So the other thing worth mentioning here is that you can do this for subject lines inside of emails. Right. Instead of clicking on the three dots here and clicking on edit email, like David just did, we can just click on the center of that. Right. So directly right here in the name of the email. And from here, we can actually add this right here under subject line. Right. Um, you can use merge tags here as well. Click on contact field. It should show a little dropdown that you can scroll all the way to the bottom of if you'd like. You'll be able to find again the workspace options here, those workspace attributes. What I use here, open hours, I believe. There we go. It'll just populate with whatever information you put in there. Pretty cool. Again, it's just meant to be dynamic. It's another tool in the tool belt here when you need it. Man, use it to your advantage because it is otherwise going to be something that you have to think about. More extensively. Say you had like a, a link that you need to update. We've actually used this internally for links that need to be sent out in a bunch of different emails. The problem is, is that then you have to go to each email and you have to go and update the link one at a time versus going to directly to the workspace attributes and just updating the value there. That changes everything.
Yeah. Uh, what we're gonna say So like if you are sending an email in a workflow that goes to a different Facebook group, like each week, or to, you know, a different whatever, but you want to keep the same workflow, then this is a good reason for that. You just append it to the backend of the link and it works. So it's pretty dang cool.
One other place to mention this probably is gonna be, what do you think, in,— in courses, I just thought of, because you can use merge tags over there as well. Uh, if you go to like the— we'll go to Workspace Settings real quick, and from there I'll go to System Emails, because again, it's just another email that you can end up creating here. Uh, courses, orders, all that. Actually, all these guys, you can end up using this. Let's go to maybe a course enrollment notification as an example. And right here we have merge tags as well. It's another area. Merge tags are scattered throughout the entire platform. So if you find an area where you can use this or where you wanna use this, you can. Click on merge tags and again, you'd scroll to the bottom until you see the option for— workspace is probably higher. Regardless, you'd put it right here. You can even just type it in and that would probably still work here in this case. But in the email itself, we go to Customize. It's the same scenario as what we just looked at with David, right? We can type, type in the text. We can go to Merge Tags. We can— I'll do it for a new element, actually. New paragraph here as an example, right? Highlight it. So actually, we just click on that element, click on Merge Tags, and then from there, same scenario, scroll down until you find the one you're looking for.
Boom.
How crazy is that? There's other examples here and I'm going to go back to the slides, but hopefully we covered that walkthrough well enough for you to understand what to do first, what to do second, and what to do third. If not, maybe we should just reframe that or talk on that for one moment just so we have a clear goal.
Mm-hmm.
If you're starting this off from scratch, again, just to recap here, You go down to Workspace Settings in the bottom left-hand side of your screen, click on that. From there you'd go to the option for Workspace Attributes on the left-hand navigation. All right, after that you just want to go ahead and click on Add Workspace Attribute. If it's the first time that you're doing this, then you'll see a black button in the middle of the screen here, and, uh, it'll allow you to then create a label that you can use throughout this— the ClickFunnels platform, right? That can be either a one-off text field or a select field. Personal preference, it depends on what you're trying to do this for. Example, create the field. Once you create the field, then we want to go and actually set a value that's going to end up being populated anywhere throughout the platform that uses this. That's pretty much it. That is the gist of using this.
Yeah.
You then just take this value right here and you type in something like this. I'm going to type it in at the top. The screen here, just zoom in a little bit. If you type in angle bracket, angle brackets workspace dot whatever the key is right here, you can just copy and paste if you'd like. Well, as an example, I'm searching, so it's not gonna actually show up, but workspace.example curly brace curly brace. This will then sub out what you're typing in this, this merge tag with the value that you have entered in right here under the current value. That's it. That is the gist of what we just covered, and it is usable within funnels. Uh, I've seen it used for buttons so far, footers, links, and emails. Um, it could be one-off emails with like broadcasts. You— we've covered most of that. Uh, here's some other examples if you want to check it out. Right? Phone numbers, contact information. Cool. David mentioned webinar and event dates. That makes sense. Uh, pricing. If you're running a specific offer or something, or yeah, maybe that offers changes frequently, I don't know, right? You can end up doing that for the scenario. I guess that makes sense. Um, promo or sale details, right? Business name or branding, disclaimers. You get the gist. You can use it for a lot of different areas inside the platform. Please use it, enjoy it. If you notice any other cool ways of using this throughout the platform, let us know.
Just let us know in the comments.
Either reach out to us, put in the comments, or come hang out with us live in open office hours and teach us. You never know.
By the way, we do have open office hours Monday, Wednesday, Friday, 2 hours each day. At QlikFunds.com/office-hours. So feel free to stop on by, ask any question that you want. We'll work on your, uh, your— we'll help get your questions answered live with you.
Yeah, uh, one question here: why? Uh, Kabir is asking why, why do we use this? What's the point? Uh, the point is it just saves you, uh, editing time. That's it. Because if you're using a little piece of information across the board for a bunch of different pages, instead of going one page at a time inside of the funnel here, inside of the platform, you can just go to workspace attributes, update the value, and then that information adjusts everywhere. Everywhere.
Sounds great.
I mean, that's it. That's efficiency, but also just a quality of life measurement, you know. Honestly. Yeah.
One last thing that I want to test before we go. Yeah.
What you got?
I want to see if it changes the text on a button itself. I don't think it will.
I did. Really? It does.
It definitely.
Wow. I confirmed. I've seen people doing that. I actually did that earlier today. I wasn't— I remember the workspace, but it does.
Let me pull this up. So we're here editing a button. Am I doing the same thing that you're thinking of?
Yep.
Oh my gosh, it does.
It does.
Oh yeah. Nice.
How nice.
So amazing.
Use this to your advantage. I don't know, we had more of a hands-on training today. If you have questions, comments, questions, I don't know, concerns, feel free to either send us a message directly at outreach@clickfunnels.com. If you have anything you need help with around what we covered today or outside of what we covered today, feel free to hop into our open office hours that you can kind of see at the bottom of this, uh, of this stream here. And that's pretty much it. Oh, if you need the link for today's, uh, Coaching Corner notes— what is that? Hold on.
So we're in the banner section.
There we go, you got it. I was gonna put a link in the chat, but that works too. Do that too. Um, Go check out the notes if you need it. That's it. That's all we have for you. All right. I hope this is helpful. Do you have anything else you want to add today, David?
Go enjoy the new feature. Have fun. Play around with it.
Go nuts.
Let us know what you do with it.
Couldn't have said it better. All right, guys. We'll see you next Tuesday. Have a fantastic week and ciao for now.
Bye.
Bye.
