Account management in ClickUp – a proven system based on 2700 consultations

This is a YouTube live stream titled "Account management in ClickUp – a proven system based on 2700 consultations" recorded in March 2024. The content features a detailed presentation and live demo by Jakub (Kuba), ZenPilot's content marketing manager, and Jeff Seifer, the productivity professor at ZenPilot. They discuss and demonstrate a comprehensive system for managing client accounts within ClickUp, focusing on structuring tasks, client folders, and dashboards to improve clarity, productivity, and profitability for agencies and professional services. The session includes audience interaction through live chat comments and questions, but it is primarily a two-person presentation rather than a multi-speaker conversation involving George B. Thomas.
Hello, hello, hello everyone and welcome to the Zen Pilot live show. It's been a while, hasn't it? Hi everyone. Hello, dear watchers and listeners, welcome to the show. With me on the call today is Jeff Seifer, our productivity professor here at Zen Pilot. Jeff, how are you doing today?
I'm doing great, Kuba, as I always say before we start these live streams, I always wait for these just because of the. Hello, hello, hello everyone. Sure, everyone out there is pumped to hear it too. It's sort of his staple now. So I'm good. How are you doing?
I'm doing very well. It's late ish here in Poland, but you know, as I like to say, the hard part is over. I hate waiting for these events to happen and I do love running them. So let's get this show on the road. Everyone leave us a comment, let us know that you can hear us and see us. We should be coming to you live on LinkedIn and YouTube right now. If you're watching the recording, well, leave a reaction or comment or hit the subscribe button or whichever you can see. Either way, I'm going to pull up the slides real quick here. Let's see that. Do it. No, that doesn't do it. Remove add to stage. That does it. So we've got slides here this time around, which doesn't always happen on our live streams. Today we'll be talking about account management in ClickUp and we'll be showing you our Zenpilot proven system based on over 2,700 consultations, because that's around as many companies as we've helped in terms of ClickUp, project management and getting their operations in order. I need to switch to here to switch the slides. So a little bit of housekeeping. First of all, you probably have questions like what about Q and A? What about the recording? Let me tell you all about that and let's get that out of the way. So first of all, ask your questions as you have them. The Q and A will be kind of continuous. We'll be grabbing your questions from the comments section here in the chat, so ask your questions there and we'll try to answer them as soon as we can get to them. And don't be shy in the chat. Please let us know if you can see and hear us Drop a comment where you're tuning in from. What are you having for lunch? I saw, Jeff, your post about like I think you were saying about pizza. Now I feel like having pizza. So thanks for that. And about the recording, because people usually ask about that, the recording for this will be available. You're probably watching this on YouTube or LinkedIn. The good news is the recording for this will be available under the exact same link both on YouTube and on LinkedIn. So you don't have to sweat about that at all. And in case you have to dash in just a second, I do encourage you to follow zenpilot both on LinkedIn and on YouTube to catch more of our streams. Another good idea might be to go to zenpilot.com under resources. You can subscribe to first class operations, our newsletter. And I do send out an email about each of our events because sometimes we do webinars and those webinars won't show up on our LinkedIn and YouTube. They're kind of closed. You need to sign up for them, but you'll be informed first about them if you subscribe to First Class Operations. We do have a webinar coming up in two weeks. We'll tell you about that at the end of the show. Let's see, Steve is saying all good for audio and visual from Annapolis, Maryland. Which state Island, Maryland.
Not too far from Maryland.
Okay, awesome. Another person on LinkedIn is saying I can hello, love and use ClickUp too. We love ClickUp too. Nice that we found each other here on the World Wide Web. Cheers from Ecuador. Awesome. Let's get into it. Okay, so that's the this for the housekeeping slide. A couple words about ZenPilot. First of all, if you don't know us, what we do is we help agencies and other organizations really marketing teams. We've got, you know, service based companies of other shapes and sizes also use our services as well. We help those organizations cancel chaos and create clarity. How do we do it? Primarily through the power of ClickUp. So here's a slide about who will be presenting today and a little bit more about us. We have been ClickUp's highest rated partner since 2018. Fun fact, we actually were the first partner of ClickUp. So we got a little bit of experience here, you might say. And we've got a full team of ClickUp certified experts teaching what we call the Zen Pilot system, which is a comprehensive approach to how to set up ClickUp the optimal way, making full use of its features, avoiding the pitfalls and helping you use the tool to save you time instead of spending additional time on maintaining it. So we do that through training, coaching, we set ClickUp up for our client organizations and much, much more. And as I mentioned, we we have over 27, 700 teams served and we also have the largest asset library to deliver fast results. We've got templates galore and if you want some of them, there's ways to get those from us too. But we'll get into that in a second. Oh gosh. There's a bunch of comments coming in. Ferris saying hello from Atlanta, Ga. That's, that's Georgia, right. I'm learning those.
Well done, well done.
Okay, Mexico in the house. Hello from Greece. And I remember you, you came, you're coming in from Facebook, right? That's very nice. Polly love ClickUp from the uk and hello from South Africa. That's what I'm talking about. This is nice.
Worldwide right now we just need anyone from the west coast of the us Maybe some Australia too. We're basically almost have every continent here. It's exciting.
And if anybody's from Poland. Yeah, anybody from Poland like I am, you have got to leave a comment. Okay, let's keep this rolling. So as for myself, hi, my name is Jakub. My friends call me Kuba. You can call me Kuba too. I'm Zenpil's content marketing manager. Primarily a lot of what I do is running these events, asking smart, hopefully questions and getting people engaged. Jeff, you want to share two sentences about yourself?
Yeah. Everyone, I'm the productivity professor. If you haven't gone to any Zenpilot shows, oftentimes I'm on those. So love ClickUp. I've been with Zenpop for a while now and basically helped a ton of different teams, ton of different agencies through their implementation. Now I'm sort of on the marketing side of the business, but working alongside Kuba to help everyone in the world be more productive.
Exactly. Awesome. I've got, sorry, only NY, NY I assume hi from New Zealand. So we got that. Netherlands, Orange County. Okay, from now on I won't call out every comment, but I'm just super excited about the world wide global audience we've got here today. So let's get into this, shall we? So look, I wanted to show you one teaser about what's possible with the Zenpilot system before we move on. This is primarily targeted at the agency or professional services audience. So you might be looking at this and thinking how this is connected to tracking your work in ClickUp because especially since what you're seeing the screenshot here is not in ClickUp. But tell it like this. When I was talking with one of our co founders, Andrew, he told me about this, like this kind of the top of the mountain, the end point that you can get to. If you actually get all of your work in one system and you start tracking projects, tasks, subtasks, time tracked on particular steps in each process and really get everything under one roof and organize and build consistent habits around how you're using the system and this is what becomes possible. This is a full unified view. We call it Zenpilot Profitability Reporting that you can use to track again in an agency context, profitability by client, by service line. You can check out your account managers, how they're using the budget, even individual team members, billable versus non billable hours. You can track all of that in one system. But this, what you're seeing here, this is all based on ClickUp data. So before you can have a dashboard like this, which a lot of our clients say is something that they would love to have, before you can have that, you need to have a unified system for tracking your information within ClickUp. And what we'll be talking about here today, this account management system that we'll be presenting to you, that's one piece of this larger puzzle. Okay, so I won't spend too much time on this, but if this sounds interesting to you, look up Zenpilot Profitability Reporting. We've got a full demo about this on our YouTube channel. So this is just a teaser. Meanwhile, let's get into the agenda proper, so to speak. Jeff, I think I'll pass it over to you. I know you'll be showing our ClickUp instance in a second. So, dear professor, what have you got for us today?
Awesome. Thank you for that amazing introduction, Kuba. So before I jump into this, and we're going to jump into ClickUp after we go through this last slide, don't worry, we're not going to spend too much time in slides because we obviously want to get to the good stuff here.
But.
But I have one question for you all. Just to show ClickUp some love, I'm curious to what everyone's sort of favorite feature or favorite part of ClickUp is. I know we have a lot of ClickUp fans out there, so I'd be curious. Let us know what your favorite ClickUp feature or part of ClickUp is and sort of what maybe you like about it as well. But obviously today as you're answering that question, the things we're going to be talking about is specifically for account managers in ClickUp. So if you're an account manager that uses ClickUp, this is going to be a great webinar or live stream for you. If you're not account manager, but Maybe you're the director of Client services. This is going to be great for you because there's going to be a lot of things that your team is going to want to implement and ClickUp, just to make you more organized, more productive, as well as more profitable overall as well. But the first thing I'm going to talk about today is we're going to jump in what we call sort of our account dashboard or client health tracker. Essentially, this is a centralized place where all of your account managers are going to get everything out of their head and put it into the system so that you have one central place for all of your account data. You might have this in a CRM right now, but it's super important to get it into your project management system like ClickUp, so that it's right where your delivery team is living. Because oftentimes your delivery team is not going to be in your CRM. So you want to make sure this is inside of ClickUp. So I'm going to walk through that and sort of some best practices on that as well. After that, we're going to talk about how you actually should be structuring ClickUp tasks for clarity. So a big unique piece of zenpower, and really our system, is how we structure tasks inside of ClickUp. Not everyone follows this methodology, but this methodology is super important for everything else to work. So I'll go over all of that to make sure that your account managers can have clarity on where a project actually is, because we all know how important that is. They want to have confidence going into a client call. They need to know where things are every single day. In addition to that, I'm also going to talk about structuring sort of client folders. So if you're familiar with the ClickUp sort of hierarchy, you got your spaces, underneath your spaces you have folders. So we're going to be talking about how those folders should be structured to help you take notes as well as organize tasks, track time, create things like client portals, as well as communicate with clients directly inside of ClickUp. And I'll even talk about how this is actually going to help you with ClickUp ClickUp Brain. So if you have ClickUp AI, ClickUp Brain, you'll be able to use. And if you get everything into the system, that'll make that sort of AI feature and ClickUp that much more powerful. So I'll go over a little bit on how to use that as well. And then after that, let's talk about the results. So ClickUp or Cuba shared with You a little dashboard of what sort of after all this can look like. So I'll kind of go through, once you get everything set up, how you can create amazing dashboards and things like that, amazing views for your account managers overall to be able to sort of track progress and see burn rates and things like that on all of your clients and contracts. So given that, Kuba, if you want to hand off the screen to me, I'll jump into ClickUp and let's talk about the first piece of this which is going to be going over the health tracker. So let me share my screen real.
Quick, see if I can do this correctly. You asked about people's favorite ClickUp features. We've got a couple answers. The new dashboard as a view, that's a cool one. And Vera is saying the most recent update I am loving is task types. Yeah, Jeff actually did a whole video about task types, or was it 2 on our YouTube channel, so you can check that out as well. My favorite, by the way, nobody asked, but I'm going to say is slash commands. Like I use them all the time. They make me feel like a wizard each time how quickly you can set tasks up using those. Anyway, you wanted the screen. Okay, I guess, I guess. Okay, here you go.
Thank you everyone. Let me know if this is a good visibility, if you could see this. If not, let us know. We'll make sure it's out for you. But yeah, just going off task types, that is a big part of this, especially as I'm talking about sort of this health tracker, account dashboard, whatever you want to call it, because the way that we're building ClickUp is not all of these tasks and ClickUp are going to be legit tasks or actionable items. Like in this case with this health tracker that I'm going to go over. These are sort of records. So again it's helpful to have that task types just so you can distinguish between maybe an actual task and ClickUp, maybe a non actual task or maybe a more of a record that you're storing inside of ClickUp because this is a very versatile tool. If you've been using ClickUp, you probably know that there's a lot that you can build in the system and one of those things is going to be this health tracker. So again, the importance of this health tracker is essentially going to be a place where your client services team, maybe your head of client services or anyone in your leadership, they need to have a place that they can go that they're able to see sort of what's the health of all of our clients, what's the status of them? Is there a reason that maybe a project with that client is off track and they just want to have one place that they can go to to see all the information. That way they know if maybe the head of client services needs to jump into a call or maybe we need to bring in an additional resource like a designer to get that project back on track. Or so we need to have sort of a mission control place for us to go to see all of our client information. And again, you want to know like, hey, is this client ready for a testimonial? Can we ask him for a case study or something like that? Or is this client sort of on fire right now? And we need to put this fire out because it's not going super well. So we want to make sure all that information is in here and part of that is just extracting the information from the account managers to get it into this system. So as you can see here, how I have the set up, essentially it's just a space inside of ClickUp. It's going to be separate from my growth, delivery and operations work. So if you've been following zenpilot for a while now, you know that's sort of how our hierarchy is set up for agencies and professional services firms. Essentially your operations space is going to be for the operational work that you do, like HR stuff, finance stuff and all those sort of things. Growth is going to be for sales and marketing, actually growing your business and then delivery is really where everything else is going to live for your client services. So it's important you have those three main buckets. Those are the different sort of parts of your business. But then the health tracker is going to be a separate space that's going to live alongside those different spaces to again track all that clients and contracts and to make sure that they're going well and so we can get good NPS scores and things like that. Anyways, moving into how this is set up and sort of how you can use it. So essentially as you could see in here I just have a list within this one space and this is just kind of a health tracker list in here. I have a bunch of different views at the top, which I'll go over some of these and then I have a bunch of tasks in here with a lot of different custom fields. So as you'll see in here what I'm doing is essentially every single client or contract gets their own task in here. So as you can see, I'm an office fan. So if you've seen my content, you'll know I have a lot of office references in here. So hopefully you enjoy that. But as you'll see at the top here we have Dunner Mifflin, we have Athlead, we have Laverne's Pies, Michael Scott Paper Company all the way down to Shrut Farms. And so those are basically just the names of the clients. And so again, this is not an actionable task. This is more of a record type tasks that would be in a CRM system. But in here I have things like due dates, which essentially the due date is sort of when our weekly or bi weekly review is with them or that weekly call. I can have that be listed as a due date and I'll tell you why a little bit later. But then in this case we have a status. So are they onboarding, are they active, offboarding or inactive? What's that health score? This can be a one to five scale. It can be just a green, yellow, red really however you want to do it. The most important piece of that is that that's documented for your team to know, sort of okay, is this what does a five actually mean? What does a four mean? What does a three? Because this is an internal score, this is not necessarily anything external. It's just what the account manager says this client should be rated at. In addition, you can pull things like MPS directly into this. So you could set up an automation that essentially pulls maybe from a system like retently, it pulls that NPS score from the customer and puts it directly into ClickUp so that we can see side by side what is the account manager saying that health is and then what is the client actually saying what their sort of health score is per se. So we can put all that in one system. In addition, you could track things like what's the actual service that we're providing for them, who's the delivery or that account manager. We can use the comments, which I'll show you what that means in a second. Objectives. We want to make sure all this is documented here in one place. In addition, things like billing, start dates, end dates, contract type, our budgets, you can basically just get a lot of different fields into one place here to track all of that information. But the most important piece of this is going to be sort of the process that your account managers need to follow. So in this case what I'm doing is every single week or bi weekly or maybe once a month depending on sort of when you meet with your, your clients, because that's going to be when you really know what the health is of that client. Your account managers are all going to go through and they're going to provide in a weekly or again biweekly or once a month update on each of these clients and update the Health Score. So the way that we do it here at zenpal and what we've taught sort of all of our different agencies that we've worked with to do is essentially you're going to have a template for what this looks like. And as you'll see here, I have this weekly update and I'm going to be answering four, four different questions. So the first one is going to be why would the customer be unhappy? After that, are you happy with the account? Have there been any changes in strategy or timeline? And then what do you need help with on this account? So every single week I'm going to come and do that. In addition, I'm going to make sure all these custom fields are updated. Like if I have to update the status as well as the Health Score, because again, that Health Score is great, but I want to provide context to why I'm giving it that Health Score. So that's where the context is going to be in this weekly update. So that way everyone knows, hey, do we need to bring in anyone? Do we need to bring an additional resource into this account? I'm going through and I'm answering that right now. So if I want to mention maybe the delivery lead or the head of client services, if I want to mention them here and say, hey, we need to bring on another designer to get maybe this website project done or something like that, I make sure all of that's out of my head and it's in the system so that everyone knows what's going on. So again, the four questions, why would the customer be unhappy? Make sure you answer that. Are you particular happy with this account? Like, do you like them? Maybe they're. The project is going well, but you're not super pumped about the client and the relationship, so that could be a red flag there too. Have there been any changes in strategy or timeline? So maybe the client has sort of pushed deliverables or the project back, or maybe it's been us. So provide detail on that. And then again, what do you need help with on this account? If they're, if this is behind when you bring in a designer, copywriter or whatever, we put all of that in here inside of this weekly update. So again, what this is going to do is it's going to create a central source of truth for all of my accounts. And as you can see here now, I'm aware, like the leadership team or whoever can come in here and know, okay, all of these projects are going great. They're at the scale of five, but Troop Farms down here is at a three and their NPS score is a five. And I would be able to get all of that context from here as well. So that my leadership team knows, hey, we need to bring additional resources that we're going to save Shruit Farms. Dwight in particular is not happy with us, so we need to make sure that we get this client account back on track. And then the cool part with this now is that in addition, I can also come here and create a bunch of different views that I can get all this information and see it in different ways. So, for example, Jeff.
Yeah, sorry, Kuba, before we get into that, we got a question in the chat and sorry to stop you. You know, due to the little bit of a delay between us, I have to do it like that. Diana is asking the questions that you were just showing. Are those answered by the client?
No, sorry, this is all answered by the account manager. So this is all going to be an internal dashboard for the account managers to again extract the information from their heads and get it into ClickUp. Because over time, if I come in here into this Dunner Mifflin record, as we'll see, we have all of our custom fields, so all the information we're going to need to know about that client, similar to how a CRM would be set up, but it's all going to be there again with objectives, the hour, budget, contract type, revenue, so on and so forth. And then all the weekly updates are going to be here as well. So we're going to have a lot of good data and information on how this relationship went over time. And then you can really learn from all this because you can sort of look back to see where projects maybe went off or maybe where they got back and sort of why was that? All that information is going to be here inside of ClickUp, which is going to be great.
Okay, I also answer the question, Diana. Yeah, yeah, she's saying, got it. Thank you. And I think you were going to talk about some views.
Yeah. So essentially a cool part of this too is now with the views at the top here. For example, if there's a ton of different weekly updates that are happening here inside of this, I would be able to create an activity view where essentially I'm just bringing all of the comments that happen in all of these tasks and I funnel them into one place so I can start to see all that. So if I didn't want to go navigate from task to task to task, I could just go to this one place and see all the activity that's happening in here. So again, if I'm the head of client services, I can go to one place to see all that's happening here as well. So that's very powerful. In addition, some other things like that, a nice calendar view with really all of your customer calls. So again, if your due date here is represented by when that sort of weekly, biweekly or monthly sync happens, I can then take a calendar view just like this and say call it customer calls or whatever you want to call it. And I can come here and see sort of when all of those are happening. And then as a head, the head of client services, what I can do is say, okay, Shrut farms right now, health score of 3 MPS of 5. This is in the red. Maybe I need to jump on on Friday into this call just to sort some things out. So maybe I need to have a good conversation with Dwight at Schrute Farms here to see how we can get this back on track. So this is a great view for sort of leadership to be able to see sort of the health scores all color coded here and maybe see where there's a red, maybe a potential fire for us to put out. So this just helps the team be more proactive overall as well as just getting a central source of truth for all of your accounts. But overall, that's again the process that you want to follow. Just get all the data in here, all of your contracts, all of your clients, and then just make sure you have some custom field set up for information that you want to be able to track. And again, the big importance and the reason that we build this here inside of ClickUp, as opposed to having it in HubSpot or Salesforce, is your delivery team is going to have access to your project management system. Like this is where they're living, this is where their work is happening on a daily basis. So it's super important all this is right there for them to know. As opposed to being in a HubSpot or a Salesforce or a pipedrive, your delivery team might not necessarily have access to that system. So they're not going to be able to see it. Plus they might not be trained. Like, even if they do have access on HubSpot, they might not be trained on how to use it. So this is a great place to just have all this information because again, your delivery team is living inside of ClickUp, so why not get that information into ClickUp as well? But anyone have any questions before we jump into the next topic? Otherwise, that's sort of the biggest thing that I want to talk about today. If there's anything you learn from this, this is the first thing. Like go into your ClickUp workspace and set something like this up so that your account managers get into a good cadence and get to a good rhythm of doing this, because it's going to be very helpful for you moving forward just to track all that information in here.
I'm not seeing any questions in the chat right now, but definitely if there's something more you want to see here, you want Jeff to click into something, show you more detail, then by all means ask, because we're doing this live demo for you all. But no, no questions for now, so I think you can move on to the next point on the agenda.
Awesome. Well, again, that's the first thing. The second thing is going to be how we actually structure tasks inside of ClickUp to give your account managers clarity on basically everything that's happening. I'll go into a little bit with the structure and how these are set up in a moment, but want to kind of take a step back and jump into our process library here. So if you've been following Zenpilot content for a while, this is probably going to be pretty familiar to you, but again, it's always helpful to just repeat this over and over again based off how important it is. I'm going to go over a few things in here, but essentially the way that we at Zempile, and this is where we're very unique because not everyone does it, though we believe everyone should because it's so helpful. The way that we set up tasks inside of ClickUp is obviously the first one is all of your processes that you do as an agency should be built as ClickUp templates. That way you can always have a set structure for how that should be built out. So your deliverables, like podcast, episode, case studies, landing pages, press releases, blog posts, whatever it may be, you want to have these built out inside of ClickUp. That way you can get all the additional data you're going to need on that. That way it's all structured and standardized because this is going to be crucial for agencies. But anyways, less about the templates here and more about sort of how these should be structured overall. Let me actually go down to this blog. I love to kind of talk through this example just because a lot of different agencies offer blog posts. But as you'll see here, the most important things are going to be a. The parent task is going to be sort of the name of the deliverable. So as you. In this case it's blog post or if it's landing page content offer, whatever that may be. The parent task should be what is kind of grouping together all the actual work that's going to happen to complete that deliverable. Oftentimes when agencies jump into, or basically anyone jumps into ClickUp or any other project management system, they kind of just use one task that says blog post and it's just a parent task. And then they pass that task back and forth via statuses and leaving comments and things like that. And sometimes that works. Oftentimes it doesn't. Really depends on sort of how small your team is. If you have a larger team that's fully remote, that's going to be very difficult to make sure that nothing soups through the cracks. But your account managers are going to have no idea how far along that blog post actually is. So they have no idea. Maybe it's in client review. They have no idea if it's sort of we're working on the thumbnail, if we're working on that copy, or the first draft, the second draft. So you want to make sure your account managers have an idea for where a project or deliverable actually is. And so that's the big importance of this. In addition, it's going to provide more clarity for the team on what they actually need to do, like what are they in charge of, what step is it and when it should actually be done by. So in this case, as you can see here, I have a bunch of tasks that are all going to be assigned out to individual people, like just creating the strategy and documenting the parent task notes. If that's your account manager, they need to do that. And then they're going to communicate here inside of the parent task so the whole team knows what's happening. In addition, things like writing outlines, scheduling interviews, completing interviews, we want to make sure all those steps are taken into consideration. That way people can confidently close them. And. And then we know, hey, we're done with the blog strategy, we're done with the outline, we're done with the interview. But a couple important steps that sometimes people miss in this is going to be things like sending to clients for review or even review cycles, because oftentimes you might have a blog post but if you don't have a step like sending the blog to client for review and you don't check that off, no one knows where that blog post is. In addition, this is going to give you proof to the client to say, hey, we pass this to you. It's in your hands right now. And this is the reason for a project delay because we never got your review back to us. So again, this is going to help the team confidently know where this is, if it's in the client's hands, if it's in our hands, as well as just provide more clarity overall and be able to let you know, hey, it's the client that's sort of delaying this project. So you see here, you send it to the client for review and then you also receive that and post the client feedback to the rest of the team. So we want to make sure we have steps that take that into consideration overall. But again, this is just subtasks. Yeah, sorry, go for it, Kuba.
Sorry. You know, from previous streams and events, at this point we often get the question of ClickUp supports these custom statuses. Why not use these to track when a blog post, for example, is in review? Or you know, why not create custom statuses for first draft, second draft, review, etc. Can you talk for a minute about why subtasks do this better?
Yeah, statuses are just going to be sort of a. Like they might work for some teams, but then when you go to create views and stuff like that, the statuses will get all messy. In addition, subtasks are what give people the ability to confidently close something. They give people the ability to time track on a specific step and it gives you way more data overall to know sort of what went wrong in this project or what did we spend so much time on? Because each of these tasks I can come in here and track time on this specific thing to say, hey, wow, we spent four hours writing the blog copy as opposed to 2 hours and 30 minutes versus if you just had statuses in this blog post. And those subtasks, we're not going to know where the actual time to that blog post went. In addition, this is going to give everyone that sort of knowing of what they're actually in charge of doing as well as when it is due. Because oftentimes if you're just changing the assignee on this blog, changing the due date and updating the status, no one's going to see that task on their plate until you switch that due date. And then all of a sudden they, they see A task that comes up that day and you're saying, hey, it's due today, do this. And they're like, shoot, I didn't plan ahead for this. In addition, you're not gonna be able to see workload either because workload is all tied to the due dates, the assignees and the actual tasks. So all of this is gonna build for that. So you're gonna have clarity for your team on what they need to do and how they need to do it. Because you can also build task descriptions and checklists into here as well. In addition, the due dates are gonna help with things like workload as well as just be able to plan that project a bit better. And then the time estimates and things like that are also gonna contribute to better data in the system as well as workload there as well. In addition, you can have custom fields and things like that to be able to sign these way easier and just collect more data overall. So hopefully that answers that question. If there's anything.
Yeah, please let me know. We actually, we actually got a follow up about that. I need to make one other comment. Ivana, I see your question and I have a follow up question to ask that to Jeff in a second. So please reply to my comment. Thank you. Diana is asking, so what should the statuses be then? Can you briefly show them?
Yeah, so I'll get probably into more of this a little bit later, but I'll jump ahead. Um, just for the most part, I think that's kind of the. Let me just end with this and then I'll get to that. Essentially, again, this is how you create your, your tasks just like this. And I'll show sort of why to this by answering this question. But what you'll do now is again, I have these built in a process library. You can go ahead and you can actually save these as templates. Again, if you've been using ClickUp for a while, you hopefully have used this feature. If you haven't, do it, because this is the biggest sort of time saver in any project management system is the ability to create these templates. But again, that's going to help you collect all the data in here, like the due dates, time estimates, all these custom fields, any sort of descriptions in these tasks, any dependencies, all that's going to come with the templates. So make sure you build all these out because that's going to be super important for your team. But if I jump ahead now, the way that we're going to use the statuses and how this really helps Your account managers is in the future you're going to be able to create views like this. So we're kind of skipping ahead to later of what I was going to talk about. We'll kind of jump back after I go over this. But as you can see here, the way that we're using these statuses, as well as how this is going to provide visibility for the account managers is now this status is going to be only really used at the parent task level because again, each of these tasks, these subtasks are all bite sized. Everyone could come in here and confidently close this when they're done with it. And then what that's going to do now is that's also going to fill up a sort of a nice progress view progress bar in here to say like, hey, 62% of the subtasks have been completed on this. In addition, the parent task status here, once something is sent to the client like that task I showed you, once that's sent to the client, I can come to the parent task in market as in client review, just so at a higher level we're able to see sort of hey, this meta campaign for Airbnb Schroop Farms is in client review versus internal view or maybe it's blocked. So that's how you can use your statuses is essentially just kind of using them for the parent task to mark sort of that higher level deliverable sort of what status is it? Is it in the client review, internal review, is it blocked or in progress overall? So that's how I would use it. Does that answer the question? Anything follow up from that?
I'm not seeing anything more, so I think you can get back on track in terms of how you wanted to present the rest of the stuff.
Cool. Well, we'll jump into this views and sort of dashboards that'll come from all that information in a second. But before I jump into that one other template I want to go over and this is really kind of goes into your structure of the delivery space overall is going to be your client folders. One of the biggest things that you're going to want to do is you want to have the structure where it's delivery space where all of my client services work is going to live. And then I have a folder for each client just like this, as you can see. So Shruit Farms, Dunner Mifflin, Michael Scott Paper Co. As you can see, that matches what I had in this health tracker as well. So. So they're reflected there. This is where the work actually happens, and then this is sort of where the updates happen there. But what I want to do to make this really easy to set up those client folders is I want to have a template for that client folder. So as you can see here, I have this structure with this folder and then all of my lists here as well. And the importance of this is because oftentimes we can jump into a ClickUp workspace if we're doing a ClickUp audit or something like that. And they might have the structure of like, growth delivery, operation, setup, which is great. But then you look at their views and things like that they have in all those folders and in the spaces as well, and they're all over the place. Like, every folder has a different view, every folder has different lists, and there's no standardized structure to that. So it's fine like it's set up well, but it can get hard for users to actually use. So ClickUp is known for. It's a great tool, but because it's so versatile, because it's so flexible and there's all these views and different things you can set up, it can be a bit confusing for new users. So we want to make sure it's easy as possible for the team to be able to use it. So in that case, you want to make sure again, you have standardized structure with folders and lists all sort of built out so that every client folder is sort of the same and people know what to expect when they actually jump to one of these folders. And so with a template, if you've used folder templates, list templates, or space templates, you'll know that these templates can bring views with them. So because of that, I don't have to go set up all of my views from scratch. I can just bring them with a template to make it way easier for me to set all that up. So, as you can see here, the important things about a new client folder template is again, this is going to be used anytime I bring on a new client folder or a new client. I can set up this folder using this template. But as you'll see here, I have a bunch of different lists, which, again, this is going to be slightly customized per the client, But I have things like client onboarding, so that process is already built into this folder. Overall, I have a list for retainer, which is. I'll get into that more later. But then I also have things like a shared client list if I want to go this route, which I'll kind of discuss that later as well. But also in addition to all this, I have a client docs. So essentially all of my client information I can put into this doc. So that way each folder, each client has their own document that essentially has things like a client overview, as well as a place for me as the account manager to take all of my meeting notes. So as you'll see here, I have places where I can link out to a shared drive, put all the weekly meeting times, link to that client health tracker right here, get a loom overview from the sales team, put some client notes or the client questionnaire. I can get all that information here inside of this client overview. In addition, if I take all my meeting notes in here, it's very easy for people to find that, to know what's going on overall. And this is also going to help with things like ClickUp AI and ClickUp Brain, but more on that in a second. But overall, once I save this structure, I can save this as a template into my template center, just like that. And then I can go and I'm able to deploy that over and over again for all of these different folders. So you'll see all these have sort of a set structure of how they're built out. But the power of that then becomes like, as you can see, as I go into my Dunner Mifflin folder right here, I have things like my Dunner Mifflin docs. And you'll see I have all of my meeting notes in here. So I can kind of come in here. And every single meeting I take or meet with Michael, I can take all of my notes. And a cool part of taking your meeting notes inside of ClickUp is if there's an action item from a meeting, what I can do is I can come here and actually go ahead and create a task like that and put it directly into that client folder as well. That way, again, everything's in one place. I'm able to hold the team accountable and everyone knows really where to find the context to what's happening for this client. So if you ever have a bunch of people that come into tasks and they don't have context for what this tax task actually is, it's super important. If I get all the information into one place like this, it's way easier for people to not have to wait to get that context because it's already inside of ClickUp for them, just like this. So that's what I recommend. Build things like this where you have all your client meeting notes documents inside of ClickUp and everything should be linked out from ClickUp to make it very easy for the team to find overall.
Yeah, yeah, that's. That's one of the things that I love the most is you can keep everything integrated, docs, linking to tasks, and you can even link to specific views that people may find hard to find find. That is all awesome. And now I do have a question. It's a bit of a long one and a bit of a deep one, so I don't know if it's in scope or out of scope for this stream, but let me read it out to you and you can decide. So Geraldine is asking when the deliverable is part of a package. For example, four blog posts per month for a client, how would you recommend tracking that as a group, especially in terms of budget tracking across multiple deliverables in the month? And Geraldine, thank you so much for submitting that question. Very cool.
Yeah, this might be something that we'll have to jump into at a later date just to provide more detail on it. But again, it's like you can use things like custom fields to be able to group all those together. Otherwise, I mean, you could just have four blogs and use a good naming convention to package them. It really depends on sort of the process and the workflow for that. Like, you could also build templates where it could just be the whole sort of blog package in there as well. So there's a bunch of different ways of doing it, but this might be something that maybe we do another video on or another event to kind of talk through those different scenarios, just because I don't necessarily have a demo set up to talk through all of it, but again, I would use either somewhat of a custom field, or you could just put them all in there with a similar naming convention inside of that list, or you could build all of them into a preset package in that template. Overall, if you wanted to do that as well. There's a few ways of doing it, but that's my initial reaction and how I would set that up.
Super cool. All right, sounds like we got the idea for next video, you know, diving a little bit deeper into that. So we'll let you know when we have that ready for you. Thanks for submitting the question. And yeah, no more questions that I see right now, so you can go on.
Yeah, but overall, I mean, kind of going with that question as well. When you do set up sort of Dunmifflin here and have this structure, if maybe you're on a retainer or something like that, if you put all of that work into one list like this, it's all going to live there. So you're not going to have to go chasing sort of if there's a time track on that and you need to put that into an invoice or something like that, it's all going to be easy to keep track of that. And that's the reason that you want to have a structure like this. Because again, if I have four blog posts in this Retainer, Dun and Mifflin list, it's all going to be right there for me. So I'm going to be able to see as the account manager how much time has been tracked on that, what was the overall time estimate? All that information is going to be very easy for me to find. Overall, it's all going to be in one place. I'm not going to go have to go searching for that. And then I'm going to be able to turn this into reports and dashboards later on. As well. However, another thing that I want to talk about, which is super helpful and we often get a lot of questions about, is client portals. So there's a lot of different ways that you can actually work with clients inside of ClickUp. A lot of people will create dashboards in ClickUp for clients. Dashboards are great, but it comes with a warning on that because if you create a ClickUp dashboard and you send it to your client, you might see all the data in there and it seems all great. Just know with that a dashboard, a client has to be actually invited into ClickUp as a guest. So that's the first step, which is fine. You just somehow you need to train your clients a little bit on how to use ClickUp for them to be invited in. And then two, you might be seeing a lot of data because your dashboard is attached to the lists and things like that that are living in the folder for. So all the work is in there. But then when they actually see the dashboard, if you're building that dashboard based off of the list, like Retainer, Dunner, Mifflin, but the client doesn't have access to that list, that sort of widget is going to show up blank for them. So that's a big warning and a big sort of flag I'll put out there because oftentimes people will create those dashboards not knowing that the client has to have access to these lists and then they create that and then it's blank for the client. The client's like, what the heck? What's going on here? So just take note of that. So the Easiest solution to kind of work around that is you can create a portal and again this can be built into your client folder template. You can build a portal at the folder level right here. So, Dunder Mifflin, if I wanted to create a portal for me to send Michael Scott for him to see everything that we're doing and everything that's been done, what I can do is basically create a ClickUp document just like I had for my basic internal documentation, and I can build out a portal just like this. So you can customize it really any way you want. As you can see here, just have a little high team, little message there. I have some links out, some resources. So if you have some quick links that they need to have, like booking a call, submitting a request, you can have a ClickUp form in here for them to submit a request that then the task gets created in a ClickUp right away. You can also link out to a Google Drive and this can really all be customized what you want. But then I'm able to show things like a progress report. And this is again the importance of setting up the tasks like I mentioned earlier, because all of this is going to be very easy to send the client. And I'll show you how these views are set up in just a moment. But again, I have a progress report for basically what we are doing, completed projects for what we've done for them. And then in addition, the analytics, if you have like data box or something else you can embed directly into ClickUp like this and I can show them the results as well. That way everything is tied together for them. And again, all of this is public. I don't need to invite them to click up. All I need to do is turn this document into a public link, send to Michael Scott and then he has one place where he can see that and it updates automatically based off of us actually completing our work. So this is sort of the easiest way of doing that overall because then I can come in here, sharing of permissions, copy this public link, and I can send it directly to Michael and he'll be able to see that. So if I come here just like this, as we'll see, that's what that's going to look like. And we have all these views, these are all public for him to see. They're not going to be private, so he doesn't have to have access to all the work that we're doing. So see here it's all going to look like that. And I can put in meeting notes here if I wanted to to send Michael, I don't have any in here as an example, but you could put those in there. And it's cool because then you could search pages. So if you have a lot of different meeting notes or things like that, you'll be able to search it. And it's a good interface, good experience for the clients overall. But again, that's sort of the easiest way of doing it if you don't want to invite your clients into ClickUp. And in terms of creating these views, these are also public views, as I mentioned. And again, the reason it's so important that you go ahead and create tasks like I mentioned is because as you can see here, I have the parent task and then all the subtasks. When I complete these subtasks like this, you'll see this progress bar actually goes and updates a little bit. So that'll move up from 31 to 38%. So it's tracking progress. As those subtasks are complete, there's nothing else I need to do there. This is all automatic. And I can take this and I can actually create it as a public view and send it or embed it into that portal overall so that they can see it in here. So as I come back here, you'll see this information right here is what is reflected reflected inside of this view. I have this build out over here, so I'll show you what that looks like. But we have deliverable progress. I have this in a table view here so you can see inbound account management status of it, the overall due date and what the progress is. I just take this and I turn this into a public view going into sharing and permissions copy public link. And then I would embed that into my client portal for the client to have. And again, that's gonna make it way easier for all of this to manually update. When you finish a task, it's just going to update that progress bar and then you can also use the status to help update the client as well. So that's the easiest way, providing a portal for the client overall. I'll pause there though, Kuba, if there's any questions that came through, we can answer those.
You read my mind. We have one question coming in from Daniel and I also wanted to know. We've got however many minutes, like we're 13 minutes out from the end of the session. I remember we have this discount code that we wanted to share near the end of this session. So I wanted to make sure that we get to that fairly soon. But for Now Danielle is asking and thank you for the question, how does your team see all of their tasks across all of their client folders? I imagine the My Tasks view might be part of the answer here.
Yeah, good question. So there's a lot that's the power of ClickUp is the ability to take this information and then create views for certain users to see the information that they need to see. So I'll go over first where your specific like individual contributors would see all of their information so you can create what is a what we call at zenpile is the My Task view. So essentially this view is going to be at the everything level. The way views work is if I come here to the everything level, essentially that's going to show me work across all of these different spaces. If I create a view, say at the delivery space, I can't see work in the growth or operations, I'm just going to see work across all of these different folders and lists that are in delivery space. If I create a view here at the folder level for Shrut farms, I'll only see work in that specific folder. But the everything view or everything level allows me to see work assigned to me across my whole workspace. So you can see if I come here, I create a My Task view like this. What I'm able to do is I can take all those subtasks and I can move them out as separate tasks. That way, if I'm assigned to a subtask that's in one of those like blog post deliverables that'll funnel this up, I can then come to my filters and just show where the assignee is me. That way it's going to pull up only the tasks that are assigned to me. I can group by due date. That way I can see what's overdue, what's tomorrow, what's Friday, and as you'll see, I have a task on Sunday. So clearly we need to remap and reschedule that one a little bit. But in addition, if you want to show things like breadcrumbs to be able to see, as you can see, this is the space, this is the folder, this is the list, this is the parent task, and that's my actual task. I can also pull up my task locations, subtask, parent names, and things like that. So that's how your individual contributors are going to work. Again, they're not going to need to go into a folder or a list to find their work. They can create one view and essentially this is where they're going to live each and every day. Because this view then I see my tasks, I see when it's due, I see what the time estimate is. I can track time right here and I can also click into this task and if you have a task description and checklist items in here, all that information is going to be there as well. But as it pertains to account managers, the cool part about this now is we actually use a custom field called Account Manager that allows me and I can automate this process that let's say I'm an account manager for Shrut Farms Dunn and Mifflin and Michael Scott Paper Company. I can take that a custom field called Account Manager. Say I'm Steve. I can apply that custom field to every task that's going into these folders and then I can create a view where I'm actually filtering at the delivery space level because I don't want to see work Advanced Refrigeration or Athlete, I don't care about those. I only want to see work in these three folders. I can create a view at the delivery space that shows me where the account manager is. Steve that way, as you can see here, I'm only seeing Schrute Farms work, Dunn Mifflin as well as Michael Scott Paper Company and it's all gonna be right here for me. Be able to keep track of progress in terms of what are the deliverables, what are the due dates, how much time has been tracked, what's the progress summary and things like that. So I can create one view for my account managers at the delivery space using that custom field, which is super great for them because again, this is the problem with other PM systems. You can't create views like this that give you an overview of all of your different accounts where in ClickUp you can Any other questions that came out of that?
Kuba There is one, although I'm not sure if I'm understanding it correctly and I think we'll make that possibly the last one before we go into all the goodies we have to share and everything and we need to talk about the next webinar, etc. So Diana, and thank you for being so active in the chat today is asking what if a parent task has simultaneous subtasks like from different assignees? How would the status work? I mean the way I understand it is there's like multiple people working on multiple subtasks. How does that affect the parent task? Status is how I understand it. If I'm wrong about that Diana, do correct me, but I Think that might be it?
Yeah, in this case, I mean, again, you're just going to build those all out of subtasks. If they're being worked on at the same time, you can just have the same due date for them and then they can work on things at the same time. Obviously some cases you might have dependencies where one has to be done before the other, so you can either have hard dependencies or not. But again, yeah, those should be built out of subtasks assigned to different people. And then you can just sort of work through that workflow like that. And we always use the parent task for the communication so it doesn't have to just live in subtasks. Make sure you're using the parent task to put all of the communication of what's happening across that project. That way people have context into what's happening. So just make sure as you're working through this, don't take this as just because we have these subtasks, I don't need to communicate with the rest of the team. Use the parent task to put your comments or reviews or even smaller deliverables, like a thumbnail image in here for the team to review and check and just get all that communication centralized for the team to be able to see all of that in one place. But that's what I'd recommend there. Kuba, let me go over one more thing of sort of what all this comes down to before we jump into everything else. And I know we missed a couple of things, so maybe we'll have to do a part two of this because I know there are some AI things I want to talk about and whatnot. Love that we had a bunch of questions here for this webinar, but there's so much to talk about inside of ClickUp. But anyways, the cool piece of this too is the ability then to create dashboards. And again, I mentioned some views earlier, but the dashboards are super powerful. Kuba brought this up a little bit earlier in terms of sort of what's the end state. Obviously the end state is the ability to take all this data based off of your structure, based off of the time tracking and things like that, and all these folders. But then I can take that and I can actually pull it out of ClickUp. So one service we provide to the agencies that we work with is we actually have external reporting where we basically pull your ClickUp data, combine it with financial data as well, to be able to get things like profitability, to get utilization and a lot of different metrics. Like that. But in addition you can create nice dashboards like this for your account managers. Again, some of this can be in ClickUp, but sometimes it's easier to pull it out just based off of limitations in the system. But as you can see here, I can sort of see for and this is another reason for that account manager custom field to be applied to all those tasks is now if I'm Daniel or Sarah G. I can come here and I have a dashboard that as I'm Sarah I can see the estimated versus tracked and this is all the tasks that are applied to the clients that I am the account manager for. So I'll get a high level overview of that information. In addition, if I want to come here to sort of see what are those like burn rates where what's the time remaining in this month, how much have we consumed? So as you can see Apple or Facebook, we're a little bit over. We've tracked more time than was estimated. So I can see all that information in here and there's just a lot of data that I can pull overall. So again this is a external dashboard but then I can embed it back into ClickUp to see this information and then I'm able to take this and I can pair it down with sort of the views I showed you earlier where I'm looking at open projects for all of my different clients. I can see all those here like this to again just give me a good overview on what's happening across the clients. In my book of business. I can see the closed projects here as well, completed tasks and things like that. So it's much easier. Once I get all this information, all these tasks, all this data, all sort of organized and actually built into ClickUp I can start to see all of this and have really good visibility as account manager or leadership overall to see what's actually happening across our different clients. So that's really the end state and where we want teams to get to so that they have this visibility and they have this clarity instead of chaos overall. But Kuba, that's really the last thing that I want to cover. Again we had a lot of other stuff we could probably get to. We'll probably have to do a part two of this if anyone's interested in but again that's the basics. But overall, again the big thing I'm going to recommend is everyone today. Go build out something like a health tracker and get your account management team filling this out because this has been a game changer for a lot of agencies and for Us overall, awesome.
Amazing. Jeff, you deliver the goods to such an extent today. Everybody leave a clapping emoji. Raised hand. Hands emoji. What's an emoji? That symbolizes the office paper emoji for Jeff here today. Right. So this is where we would. Okay, Everybody's saying part 2, 3, 4, 5, 6 is what Diana's saying. Love that. Okay, we'll definitely let you know about a part two. So we should talk about the goodies we've got for you and the upcoming events and the discount code. So let's get into all of that. So first of all, you know, some marketers in the audience might know that CTA time. So what can. What more can you get in terms of goodies from Zenpilot? First of all, we invite you to visit our resources page on the zenpilot.com website. We've got a full. What is it, 57 page ultimate guides to ClickUp over there in ebook format that you can download on the resources page. We've got a separate ultimate guide to ClickUp for agencies. Just for agencies. Also on the resources page there, these are some of our. In terms of our content. It's kind of the flagship content that you've got, our iPhones of downloadable resources, if you will. And then next up, how about you tell a little bit about the client health tracker ClickUp template to our audience here. Jeff, would you be keen on talking about this for a second? Yeah.
So the template that I went, went through, that health tracker account dashboard, whatever you want to call it, we actually have that available on our website. If you go to zenpilot.com agencyclienthealthtracker Kubik, we get a link posted, either you or me.
It's already in the comments.
Oh, wow. You're way ahead of things. Anyways, if you go to that link, you can get this template rather than you having to go set it up inside of ClickUp. So everything I walk through that is a template that essentially is gonna really make it. So you can set it up today and get things rolling. You can go to that link. There will be a HubSpot payment page, and if you type in the code Zen Pilot 30, you can actually get 30% off that. This is going to be available for the next 24 hours, if we're generous, maybe 48. So I highly recommend you go grab this, get your team to start using it today, because again, this is the thing that I would recommend the most. You can go through all that structure. That's gonna be super helpful. But A lot of times they this having this in ClickUp is going to solve a lot of issues when it comes to client fires and things like that. So if you want your team to be more proactive, you want to make sure that your team's getting everything out of their head into the system. I highly recommend you go download the client health tracker ClickUp template. Probably the biggest benefit out of everything that we can do inside of ClickUp. So highly recommend it. Go grab that because the coupon is only going to last for 24 to 48 hours. We'll see how nice and generous we are.
Yeah, so that's time limited, everyone. I left the link in the comments on LinkedIn. At least go visit us on LinkedIn if you're on YouTube. Sorry. And you can get that there. And finally, we are planning to keep it going with our events in terms of account management in ClickUp. We'll think about a part two, definitely. But for more from Zenpilot and to dive more into. Yes, Matt, I am seeing your comment. Yes, this is being recorded. It will be under the same link as you're watching right now. So don't worry, don't worry. You already have the recording, you've got the link. So anyway, our next event also with Jeff here is going to be.
