Let's hop in here and kick this off. Welcome everybody to another event of the HubSpot Admins Hug. We're here every Tuesday and today we're having a show and tell, which is awesome. It's my favorite event. Those of you who are presenting, thank you so much. Those of you who are here watching, thank you so much. And let us know if you ever have anything you want to present. We don't do this on any particular specific cadence. We just do it as often as we have people ready to go. So let us know if you've ever built something you want to share with the group. So this is our homepage, our events page. You're here. We're at show and tell. Next week we're learning about lead scoring. Then we're going to have a session on reporting and a couple of weeks after that we're going to go deep and breeze assistance. So keep your eye on this page. We are building it out. We're getting our events all, all lined up so we're gonna have more coming soon. We also have a, a YouTube page where all of our recordings go, including today's will be here as soon as we can get it there. So if you ever miss a session or if you want to review a session or share it with someone, you have them all here. We're up to 203 now, which is pretty, pretty great. Curious. Before I go on, Deanna added links to all these things in the resources section of this webinar. So if you look at buttons along the bottom or however Zoom is arranged, see if you can find a resources tab and if the links are there, let us know in the chat. That could be a handy tool for us to use in the future. Again, show and tell. We do as we have people to present. This is the form wherein you tell us if you have something you want to present. So let us know if you've built something you're proud of or if you've learned something that you think would be helpful to other people, just fill out this form or reach out to me and or Deanna specifically. But if you fill out this form, we can aggregate them together and see when we have the three or four or five people we need to put an event together. We have a space on community HubSpot.com Historically, honestly, we've not used it a ton, but we're starting to use it now. Recordings are going here. We have some communication restraints with the ongoing migration from the previous webinar platform to now Zoom. And so maybe Bookmark this page, maybe visit it sometimes. Thanks to the 12 of you who joined since last time, we're now over a thousand members. Love that and this is, this is a good, reliable place for us to, to communicate for now. We also hang out on LinkedIn a lot. Me Indiana. It's a good place to connect with people. I'm getting messages actively right now. Surprise, surprise. But if we have a group, we have a handle. This is a, this is a fun place to interact. Also, HubSpot Academy Boot Camps are here. Their registrations are open. The Super Admin Boot Camp, no surprise, is full. It always fills up fast. But there are lots of good ones still open. If you or anyone you work with needs help with connect calls, for example, or CRM customization or discovery calls, the Rev Ops Boot Camp is open, which is, I feel pretty relevant to most admins. There's a video strategy one, check them out, let people know. These are free, multi week, once a week cohort based live trainings delivered over Zoom. And I think they're, they're definitely worth checking out again. We are here every Tuesday. If you have requests or ideas for a speaker or a topic you'd like covered here, let us know. Submit this form or reach out to me or Deanna directly. We want to make sure these events are as relevant and helpful to you as possible and we really treasure your feedback on how we're doing. All of these pages I've shown you today and more have been collected together onto this resource page Deanna built. So check it out. Everything you'd ever want to know, all here on one page. Super helpful. That's enough for me. We're up to 30 people in the room. Thank you everyone for persevering and coming in. We're glad you're making it, but we are gonna kick things off. We are going to go alphabetically, so I suppose. Erica, you are first.
Thank you. Yes, I am. All right, thanks everyone. I am also, like I said before, also hug leader. So I had our first one last week. I know the pain of getting into a new Zoom, so thank you for coming to watch. All right, let me share my screen. Okay. I just did a couple of really quick slides because I have like one small workflow to show. So just wanted to go over what the issue that we had was and sort of how we fixed it. So like many people here, we were facing an issue with multiple product lines. We're a HubSpot partner, but we're also an Oracle partner and we have multiple lines of business within there and we have separate teams for each line. One of the issues we had with conversion tracking was that we had a lot of overlap. People kept having multiple business lines, which is great for us because we get to sell them multiple business lines. But we couldn't assign our leads properly to the right team because we didn't know which product they were supposed to be part of. Because in the multi select property for business line or for whatever property line, whatever you have, it was alphabetical and it just would pull if it was included at all or if it was the first one, you couldn't say which one it was. So we wanted to be able to track the last line of business that had been added to a contact record would work for companies too.
And.
And we also wanted to be able to use this in conjunction with a bunch of other signals to determine what the converting business line was whenever we had an mql. And then we wanted to use that conversion information to accurately assign our leads to our reps and to report on conversions per business line. So what we built was a custom coded workflow to capture the last line of business added whenever a second product line was added to a contact record. And it also captures previous and the date for troubleshooting reasons. And then also we did a workflow to set the converting line of business based on either the last line that was added or the last action that they took if they did not have a line of business manually added to their record. So this is the last line of business workflow and all it is is looking at any time that the line of business property that we have changes. It just goes and sets the last line of business added with this custom code. Now, I am not a coder. I did not write this. ChatGPT wrote this for me and it works really well. I didn't have to make almost any changes to it and I didn't have to engage our development team. So that was really awesome. All it does is it looks at that multi select field, it checks which one was added most recently, every single time one was added, and then it sets the values for the last line of business added, the last line of business added date and the previous line, and then we just copy those over to matching fields in our CRM and we can use them for all of the reporting. I got to move zoom out of the way. Then we have a converting business line workflow and this one is just looking at our lead score. That's how we determine qualification status. And it is just branching on a couple things One is form submission and then the other one is actions related to our business lines. So form submission is both form submission on our website and form submission by reps. Like manually to add a line of business. And in this case we're using that field from before. So if they were added manually or they added themselves manually, it just sets the value the last line added as the converting line. If they didn't do that, the other options are looking at things like website pages, email clicks, and it's just looking at the name. And if the name, we have a very strict naming convention. If the name contains the line of business, then it puts that as the converting line. If there was no manual add of a business line. So that's just to cover those other bases as well. And then I'll point out this one because I always. People always comment on this. In every workflow where I have a branch where every single person in our system is supposed to have a value for one of the options, I always put under non met a workflow error notice to myself because then I can tell if somebody went through it without an option, this would not be an error in your workflow errors or whatever field in HubSpot. So this is a way that I can tell if somebody has a missing data point and they aren't supposed to because I just have this little error notice to myself and I always get comments on that. So I thought I would point that out as well. And yeah, then we just take the values from converting line of business and we use those directly in our lead assignment process. So if converting line of business is this round robin to that team and it's kind of as simple as that. So it solved. It wasn't that hard to do and it solved a really big issue for us. So that was what I wanted to share.
Amazing. Thanks, Erica. And I agree with whoever it was that said they're pleasing curves and lines. It's a beautiful workflow. It's complicated, but when you know what it's doing, it makes a lot of sense.
I'm a big fan of go to action. So a lot of those lines in my workflow.
Yeah, Absolutely graceful.
Thank you.
Nice work.
I also do the send myself notification if end of branch because you think. You always think you got all of them, but you never do.
Great. Hannah, should we. Should we go ahead to you?
Yes.
Let me share this. And you should be seeing zoom start. Okay. Can you see budget to actual slide? Yes.
Cool.
Yes. Okay, so a little bit of background on me and the company work at I work at a company called Property tech. We're a SaaS company. We're the parent company of two companies called Shamo Joe and Tennant Turner. We're leading providers of leasing automation technology. Basically our customer group is property managers. They're super busy and our technology helps solve leasing automation, which we kind of define as the time period from the time a property manager lists a property to the time they lease it. So all that stuff, scheduling, showings, you've rented apartments, you know how crazy it is. So we help kind of build tech around that just as a background. Okay, so here's kind of my context and kind of problem statement. So like any kind of SaaS company, we have goals for demo, set demo held, close one and close one kind of dollar values, standard SaaS metrics. We receive these goals in Excel, right, from our finance team. And this is actually like our data that's live, so some of it will be blurred out because. But I assure you there are numbers in here, right? So we're projecting to say we need X amount of demo sets from trade shows, from SEM, from Social, Organic, Direct, blah blah, blah. Okay, fine, great. We'll get these in Excel, obviously, as we all are here for HubSpot. Our leads are tracked in HubSpot, right? With attribution, dates, amounts, all this kind of good stuff. So I often get the question, how are we performing to goal, right? And people want to know this. Like when people want to know we've experienced, they want to know like right now, like so of course I can export all of my HubSpot data into this Excel. Do the join there, right? But there's always a delay because I'm a one person team. Asks are frequent. So I'm like, how do I just put this in HubSpot? Can I do this? So that's kind of what I'm talking through today. So how do I get like all this stuff from Excel right here? This kind of goal line. This matches what was in the Excel file to my actuals that are live in HubSpot, right? So centralized automated goal versus actual reporting by month and by source. So I will say like goal and budget. I mean the same thing. Like you use them interchangeably at my
company
and we do use these. Last time I looked at this report was literally this morning to see like, okay, how many BDR demos did we. And what was our goal? Some considerations I thought about before doing this is can this be done in HubSpot? Obviously yes, because I just showed it. But I was really excited when Data Studio started allowing us to upload Excel files in a HubSpot that's really, really powerful. Should this be done in HubSpot? I'm a realist, right? Could you do this in a BI tool? Probably. There's a couple of reasons I wanted to do it here. I personally were in the process of changing BI tools, so I didn't want to build anything. Net new in there because they always say they're going to move all your stuff over and they never do. Two, it develops and builds trust in HubSpot, right? In this reporting to show that you can do this level of stuff. 3. Audience. My audience is kind of our executives and sales and sales and marketing. Again, like being an on tool, like seeing everything here. Four, I had to really think about is our data clean? Are we really set on what we consider these channels in the attribution to this? The fifth, sorry, sixth consideration was any Data Studio and somewhat of a general knowledge of data sets. I think you can do this with Data Hub Pro, but we have Enterprise. I'm not really sure about the sales part, but that's what I was thinking about when I went to go tackle this issue. Okay, so it's like seemingly three easy steps, right? Versus you upload the Excel document to Data Studio. Two is you join data and data sets. And three is create reports. Easy peasy, right? But wait, when you do the join in HubSpot. So this is kind of the UI from like where you can kind of do this join. This table is my Excel file. This table is my leads. Let's see if I put in here you can only join on one field. I can only join on one single match key, but I can join multiple matches. If you remember. Look at that ink. Hold please. This is my fake Excel file to HubSpot. Pretend this is my goals file that we were just looking at. These are obviously just fake numbers. The goal is For January, for SEM to generate five demos, trade shows to generate 10 in February, SEM 15. Right? HubSpot is basically saying you can join on month or you can join on source. I cannot join on both. So like if I were to just upload this and say join on January, it would give me all January tied to all January, but that's the end. It just doesn't make sense. Like because you can't join on two. If you think about, if you ever do like a next lookup in Excel, you can always join on two, but current limit just. I've confirmed this with the product manager. Current limitation is that you can only join on one. Okay, so what do we do? No problem. Whoops, that was supposed to come second. Sorry. Introducing the join key. So, super simple solution. The join key is just a kind of a field I created on my lead records will help fix this. So here's kind of that same concept. On the left is your Excel file and on the right is kind of a sample records. Pretend this is like your HubSpot leads records. The join key combines month and source into a single standardized field. So HubSpot can join on that one field, right? It's like HubSpot can only do one. Fine, we will make it one, no problem. Right. So then this is what my file looks like. So here's my Excel file, January SEM demo count and here's my join key. It's basically saying, okay, join everything in HubSpot that has this key to this row, right? And then I can, then I can do the compare. So no problem. Like pretend these are all my SEMs, right? I got, you know, whatever, seven of these, these all join to this one and I can compare this seven to this five, right? So you're just, you're saying, okay, this just needs one field. I will make it one field, no problem. Whoa, Again, okay, so how does this join keep populated? This is really simple. Basically I know every time a demo is set and I know what my attribution is. So in our business this is a workflow trigger branches. And that's a very simple workflow that just runs in the background that's constantly populating the join key for demo set. In January it's always going to be this. In February it's always going to be this. It is very much a set it and forget it type of workflow. So it just quietly runs and I don't really touch it. So then my HubSpot as this is quietly running in the background, this is my leads index page. Looks like this. All these have this join key that tells me what it's going to join to into that excel file in HubSpot. Oh, those are supposed to come second. Okay, so here's that page for the join for the data set again, right? I have my table here. That is the Excel file, right? Table is the leads. And I'm using these join keys, right? Those join keys that I just populated. I've over inked the join keys that just populated based on this, right? Here's my trade shows that we just looked at. And that's all going to join to this, right? So I'm joining many of these to actually it's this one February trade shows. Right. So these three will go into this 20, right. Then it's as simple as building the report. Right? Because I've told HubSpot how to do the join. Oops, sorry. And I can do by month and channel and then I have calculated fields for goals, actuals and a variance. Pretty simple, right? Again, this is all coming from Excel. This is all coming live from HubSpot. And that's it. Right? And then you can kind of build out like line reports, you know, pivot tables. You could drill down into just BDR month over month if you wanted to see that or, you know, sales outbound or what have you. But this has been really helpful for us to have this constant quick check. You can check it every morning and be really confident in our data. And it was pretty fun to build. I didn't think I could do it. And then I was like, I'm just going to keep trying and keep using chat and keep asking why I can or cannot do this. So yeah, that's it.
Amazing. Love that. Thank you so much. Great. Nathan, should we just power on to you?
Yeah, I love that. It's good to see everybody. It's so awesome to see too. Erica and Hannah, I'm so jealous of both of your solutions. I hope that I have something reasonably good to share too. The thing I wanted to talk about today actually is custom code actions. I have been absolutely geeked about these since they first came out. They initially were introduced, I want to say around the end of 2022 and there was this huge like, well, what are these for? Right? What are some use cases that I might have for this? And I remember in December of 2022 I actually started like learning coding, right. I was a solutions engineer here at HubSpot. That is not a core part of our skillset or anything, but I was like, I want to see how this works. I have some good news on that point for just a minute from now too, because that is no longer such a thing where you actually have to go and put things together and go to Stack Overflow and try to figure out why things are working and then have a bunch of people who are actually developers yell at you. But I wanted to talk a little bit today about some examples of custom code. I really do think that these are an excellent way if you have Data Hub Pro or better, you probably have a use case for a custom code action somewhere in a workflow because what they really do is they help you unlock that flexibility that you might not be able to get otherwise. Just like everybody else today. I have a little rubric for when you might think about using custom code. Number one, make sure you have DataHub Pro or better. That is a base requirement to unlock this in your HubSpot portal. But I basically have three steps. There used to be a fourth here. The fourth was access to a developer or the willingness to kind of build coding skills that has since been deleted. That's no longer necessary nowadays. But basically if there's no built in action in HubSpot's Workflow Builder, right, for what you want to do, I need to accomplish something and either the action doesn't exist or I might have to buy like a rather expensive or complex add on just to do this one thing. That's a great indicator that custom code might be able to help you there. Number two is it's a point solution. It's going to do one thing right. So just like Erica was showing she had that custom code in her workflow, that's doing one thing, one particular thing. What we're not doing is building a full on integration between say like HubSpot and our homegrown ERP that might not be such a good use case for custom code. Same thing. It's not the same as say building like a UI extension or a full app, right? And then finally, is what you want to do repeatable and is it based on some kind of logic? So if you answer yes to all of these things, I think you can build custom code actions because I can build custom code actions and I am not a high bar when it comes to coding. And I wanted to show just a few examples like so if you guys ever run into things like this, I have a GitHub, you can go there and copy code. We also have a beautiful data hub use case gallery that you can grab things and use them. First example, let's pretend, right that I'm running a business where I need to assign some sales reps, contact owners essentially to contacts based on something like their postal code. Last time I checked, like in the United States There are about 42,000 separate zip codes, right? We are not going to accomplish this need with if then branching and workflows, right? We'll, we'll run out of branches and even if we could make that, that would be nuts. You're going to make your HubSpot admin like CRY, cry, cry if you tried even to do that. So what we can do though, if we have that flexibility to use code, we can say, well Anytime someone shows up and their postal code either becomes known so it changes, or we just add one to begin with. We can use custom code because what that's going to let us do is essentially say, hey computer, here's this super long list of zip codes. It can rip through that in like a second and it will assign them to users again. You can go ahead and grab this from our gallery or from, from my LinkedIn because one interesting thing here, we'll go ahead and test it on Theodore here and see how we go. But one really cool thing is if you have custom code, like if you get an example and it's not working because I will tell you guys, one of my examples for today. It wasn't working. Like I had done something, I had changed something, I had messed something up. Ask an LLM and it will help you. Right? But now that we've run that, if we go here to Theodore's record, his contact owner should now be populated as me because I take care of the Grand Rapids, Michigan area because that's where I'm located. You can see in my background. Another example that I've run into is things like parent child company relationships in HubSpot, right? So I have Nathan Delong Parent Incorporated. Nathan Delong Parent Incorporated is maybe associated with some contacts. Maybe for whatever reason, because of my processes, whatever those are. I actually want to say, well, if we add a contact to this parent company, I want to bring that association into this child company and always keep those in lockstep with each other. This is actually something I ran into from a specific HubSpot prospect. It was very important for their process. Like they think they were tracking like franchises and they needed to have the same contacts on all records. Even though like maybe this is like, let's say like Dunkin Donuts headquarters. This is Dunkin Donuts location. 1, 2, 3. They wanted to copy those contacts. HubSpot doesn't really give us a great way to like do that. So again, we can use custom code here and we're essentially just saying every time we go through and see changes. So we have our workflow triggers obviously. Right, let's go ahead and run this. We're going to go ahead and run that association and then this is where custom code can be very helpful to you if you are learning how to code. Like I was like back in 2022, you have your code editor right here in front of you. You do not need to learn how to download and use Visual Studio code. Although I have since done that. You also have Full flexibility in saying give me the outputs of every step of my code. So if I'm building this by myself, right, I can ask HubSpot give me every step along the way and we can make sure that every step is acting the way I want it to. If we go here and refresh, our child company now should have three contacts. These really bespoke and interesting things, right? Like, and again, it's always logical, there's always rules behind it. I just need to get HubSpot to do that. Custom code is how I can tell HubSpot to do those things. Last example, and I won't bore you guys by making you watch me do this, but essentially if I have incoming data that's in a flat file, how do I take that and kind of blow that up again and create associations and create additional objects. So in this case we were ingesting like deals just from a table in Snowflake, right? The deal had an email address for a contact and it had a domain for a company. What we need to have happen is bring in that information and then if the contact doesn't exist already, create a contact for me. If the company doesn't exist already, create a company for me. If either of those things already exist, just associate with the existing records and custom codes. What's driving this? So you can see roborock, they weren't a company. Let's go ahead and create them and create that contact. On the other hand, Rania, she's already a contact that we know of. We won't have to create her. We won't recreate Apple right when we're bringing in that data. So I think the sky's the limit with this. And Remember, remember, remember, LLMs have made this so much easier, right? You can essentially now ask something like chat, GPT or any other tool that you like. I am building a HubSpot workflow. I need a custom code action to and it will walk you through and help you here. It started with giving me JavaScript. I prefer Python custom code actions support both. So I asked it eventually to let's change that to Python. And then I'm testing and here's what I'm finding and we get to a point where we have working code and this probably took 20 minutes yesterday to do all of this. If you want more examples, Data Hub Use Case Library is a wonderful place. And last but not least, I am in no way at all associated with this resource. But this is the book that I particularly used to pick up Python and I would highly recommend it because it made it so easy that I could figure it out. And again, not a super high bar, but that's it. I just wanted to show some neat examples of custom code actions. So I hope that these get your gears turning as far as like all of the cool things that you can do with this because you're no longer kind of limited by what you can do with the built in workflow actions in HubSpot and you're no longer limited by having to be a developer.
Love that. Thank you so much. Nathan, I. My sense from you on your LinkedIn videos is that this is kind of your M.O. here I am doing technical stuff I feel I have no business being able to do, but here we go. And it always turns out so well. Amazing. So we do have a. I have not been at all paying attention to the Q and A and I apologize. Michelle, what prompts do you use in ChatGPT to create this code?
I don't.
I don't know who that question was for. It was before Nathan.
I think it was for Erica.
It was for Erica.
Great. Yeah. Honestly, my pro, I can share it, but my prompt was literally how can I find out which option of a multi select property was most recently added? However, I really want to call out Hub Helper Harry. The GPT. I don't know if we can share the link to Help or Harry, but
Hub Helper Harry is a Gianna's looking off screen. She's. She's on it.
That is trained on HubSpot and I have found him. I call him. Well, his name is Harry. I have found him to be extremely helpful in this because you don't have to first give him context about. About HubSpot. So I literally went on Helper Harry. I said how can I find out which option of a multi select property was most recently added? I didn't even have to say like in. I didn't have to say in House. Well, I didn't have to give it any context. It gave me two options. One was an API, which I wasn't about to do, and the other one was the custom coded workflow action. And then it just started sending some information. I asked it to put it into the actual code and then I gave it the real internal. So the internal value, not the name but the internal value of all the properties that I needed to use. That's important. You have to give it the real value. It's going to put it into the code and that's what it references. So I grabbed that internal value. I gave it all of those ones that it might need to reference and then we just worked through it. When I had an error in the message, I sent it specifically the exact text of the error message and it worked through that as well. But honestly I credit most of it to Hub helper Harry because he's great. And one of our marketing team members has also built a custom GPT for some stuff that HubSpot marketing stuff in HubSpot. So if you do have the like capacity to build yourself a JPT on your HubSpot instance and then also on like generally HubSpot, like what Harry has, that is a recommendation as well because that can be really useful.
And I had actually you're reminding me too with this like whole question area, right? And I just wanted to show something really quickly. I just came across this a couple days ago. You know we have like Breeze and HubSpot now, right? Breeze is really great because it doesn't just know like what's in HubSpot but as you guys know, it can also kind of reach out and do some of that like retrieval, augmented generation. So if I hop into my assistant, I can absolutely ask questions like, hey Breeze, help me build a custom code action. I want to use Python and associate contacts and companies. It will give me responses back and we can work that way too. So as far as like, I just think I saw something maybe in the chat about like is this coming to Breeze or Breeze should be able to be used like to help with this. You can absolutely use Breeze in that manner if you'd rather. I guess I'm like, I don't know, like with LLMs, I feel like even two months ago was like old fashioned. So I'm old fashioned and I still go to like chat GPT. But I would highly recommend like if you want to just have like that full end to end HubSpot experience, definitely experiment with that in Breeze too.
Yeah. And I see Paul's question in the Q and A. This may be what you were referencing, Nathan, about whether this kind of functionality will come to Breeze. This is, let me be your HubSpot feedback guy, everybody. If you try this out and it doesn't work, let me know, DM me, email me whatever you like, send me screenshots of of what you got and tell me what you were hoping for. I recently learned I got an insider look into the process of how we give Breeze new skills and abilities and how we train it on stuff and that team is really excited about understanding what you all would like to use it for. And teaching it to do those things. So I would say yes. Follow Nathan's advice as a first step. If you're thinking it'd be nice to have AI help with this, try it in Breeze Assistant. Hopefully it'll do it and you'll be like, great, we're done. But if it falls short, if it gives you something inaccurate or if it's incomplete, send that feedback to me. I can route it directly to that team and maybe we'll get on the roadmap. I don't know. They have big dreams and good processes for building AI. They are hungry for intelligent user feedback on what they should prioritize. So that's where you guys come in.
I added the admin hug event on March 24 that we're having on the Breeze Assistant. So add that to your calendar, show
up, you can talk to the team directly. Yeah, that would be really good. So yeah, spend the next couple weeks trying everything and making a list of what Breeze Assistant should be doing for you to be a good assistant. And yeah, you can tell the the man in charge of Breeze Assistant himself in a couple weeks. And then Sarah asks do we need Enterprise to use the Data Hub tools and access the Data Hub use case library? So the two different ways HubSpot pricing is divided. Data Hub is a hub and it has starter professional enterprise levels. You do not need the enterprise level for any of the tools we talked about today. So Erica, I point this way as though she's there for everyone. It appears to me she's right here, talked about Data Studio and Nathan, who is probably not here but there he is, talked about custom coded workflow actions. Both of those are in the professional level of Data Hub and some Data Studio things. Some of the data set features have been pulled out of Data Hub and if you just have like a professional subscription, you can do some very very lightweight things with them. Probably not what Erica was showing you, but poke around, see what you can do and that would be great. Joanne wants to know what are all the speakers favorite features of Data Hub? For all us non Data Hub users, I will give you all 10 seconds to talk about that because we're only 37 minutes into this hour long meeting. If anyone else has been inspired and has things you want to show, pipe up in the chat. It's pretty easy for us to give you a presenter mode. I will lead by example. I want to show you something I recently learned in HubSpot. This is super niche. I don't know if this will help anyone, but I'm Hoping there's at least one person in here who has been driven crazy by this very small thing. And. And this will help you. So I got some. I got tagged in a LinkedIn conversation from Tyler Simone Sprunk. I don't know if you all know him, but he does incredible demos of HubSpot. He's a. He's a real true power user, knows a ton of stuff, and he was complaining. This is how niche this is. You guys come along with me. When you're building a calculated property that outputs a date field, if you try to output a null value, you get an error, it won't let you save it. So to put that into not crazy technical speak, you can create calculate properties and HubSpot, you can take into consideration different property values, you can do some math, and then you can do conditional things. This is a conditional statement here that says, if deal type, which is one of my deal properties, is set to new business, we want this property to show the close date, and otherwise we want it to just be blank. We don't want this, this date value to have some random date. We want it to be set to nothing. And you put a null as an output and a conditional in a date property and it says, there's a problem with your formula. And so I talked to the product team about it, took that feedback to them, and they were like, yeah, that's weird. But what's also weird is that this actually does work if you just delete the null statement, don't have an else, basically. So if this is true, we're doing that, otherwise we're not doing anything at all. And now it works. If we set this to new business, we're going to get the value there, the sample output, that's the close date. And if we set it to existing business and test the formula, that is a null value. So that is a weird hiccup in the syntax of calculated properties that they are investigating. But if, for whatever reason you have ever wanted to create a calculated property that outputs a date and sometimes outputs a null conditionally, it is possible. And I just want to let somebody know. So there you go. Okay, you guys, what are your favorite Data hub features?
I would, I have to say custom code actions. Joy.
Yeah, I mean, I don't mean to repeat, but custom coded actions is probably my favorite. I'll. I'll give a call out to the Data Quality Manager because I think it's getting better and better, like, especially the duplicates portion. You can do a bunch more now than you could before. So that's helpful if you have some data issues.
I will say we use custom code. Action is awesome. We use Snowflake data share. So all of our data sits in Snowflake and we can pipe that into HubSpot really easily based on whether you conceptually store a contact or company or wherever. So that's really nice. It also allows us to like, I can like fully run commissions out of HubSpot out of a data set. Like I don't need to buy extra software because I know where I know all the money that comes in. I know all the deals that are, that are sold by my sales team and I can calculate commissions off of that with that. So it like basically got rid of a person for us, which is really great. It's also really helpful for if you have brands like many apps don't consider brands. So like if you use like a Pendo, like Pendo, there's typically only one connector with HubSpot and. But typically like for something like Pendo where it's like, you know, collecting user data on a site, we have multiple Pendo accounts because we have multiple websites, like completely different domains. So we with frequency when we've had as many as five brands. Sorry, I'm like kind of going on a tangent, but I know we have time. Like oftentimes that connector is just one in like the integrations. Right. So the solution, the fairly easy solution is pipe all that data into Snowflake and then I can have as many Snowflake connections as I want into custom objects. Right. So it's a little bit different but it opens up for us to kind of self solve there. I'd say that.
Amazing. Thank you. Anybody else want to share anything? You all work so hard to get here.
I can, I have a really interesting beta that I. When I was in our hug last week, everybody was like, oh my God, I didn't know about that. And everybody like loved it. So I can, I can share that.
Yeah, let's go.
Because we got so much like it was supposed to be about workflows generally and the only thing we got feedback on was me pointing out this beta. So I will share this for you. So this beta, I just jumped into our demo portal so we don't see real people. But this beta, it's like kind of hidden up here and it's called Find and Replace Users and it is the beta that lets you find where your user record is mentioned in workflows. As somebody who has had to replace team members across like a thousand workflows this has changed my life and I would love to point it out to everybody. Not. You don't even have to do the replacement. If you just want to know, you can just come in here and click through each individual action. Even in the workflow, nevermind the whole workflow. You can see specifically which action that they are referenced in. So this is like my favorite beta in the last very long time. Um, and I, I really wanted to make sure everybody knows about it cause it is a tiny bit hidden if you didn't keep up with the, the product updates really fast.
That is amazing because you can't do like the team round robin, which is what I, you know, I use like the team round robin for like a meeting link or something. But yeah, you're just like lost and then.
Yeah, I know. And we, yeah, we. Every time we show this to someone they're like, oh my God, I didn't see that before.
So yeah, it's happening again in the chat.
Yeah, yeah, the best.
So I hadn't thought of the use case of just using it as a way to look up where someone is used. But yeah, it was designed with find and replace in in mind. So for those of you who are seeing this for the first time, you can like say, great, now everywhere that person, that user appears, change it to this person. It'll just do it across all the different workflows.
It's so cool because yeah, you can just actually change it everywhere. But like sometimes we have one where we don't change people who leave on deals, but we do change them on contacts and companies. So we only go. We go through the workflows specifically and then just click on them all and manually change them for that. It would be cool if you could change it per object.
That's really interesting. Add some like filter requirements to the Take that feedback.
I love those little updates where it's like it's not that big, doesn't deserve
a whole big to do.
But then you hear it and you see it and you use it. You're like, whoa, that saves me hours of time. Love it.
Cool. Well, thanks everyone for being here. Thanks again for persevering and hopefully this will get smoother as time goes on. We do have something to share with you, Deanna. This is. This is. You built this. You want to.
No, it's okay, go ahead. I want, I want you to share it.
Okay.
We know for you all.
I don't know how much context to share, so we. I'm starting to dream much bigger about what it means to be a admin community. The hug has been great. We will continue to have the hug. We hope that we get the webinar wrinkles ironed out soon. But we want to be able to connect more in person in more ways. So uptake on HubSpot community has never been huge among you all. It hasn't been huge among me either if I'm being honest. So we're trying to. We're going to start experimenting with stuff and Deanna last week or two weeks ago anyway, whenever we had our huge chat failure on the webinar last week Kyle Wow. Was it just that long ago? And I spun up like a really shady chat room that some of you were brave enough to jump into and you probably got angry emails from your IT team about Deanna was at the same time doing a more robust thing and spun up a Slack community. So I go ahead and drop that in the chat. Deanna we let us know what works for you all. I know a lot of you are teams users and so let us know if Slack is just like a non starter from the beginning but we, we want to figure out how to be more connected, how to be more interactive, give you opportunities to connect and chat with each other directly. Our webinars have never been very good for that. So yeah Deanna, you got did. Yep.
I dropped it. Yep.
Join us on Slack.
There it is.
I see it. And give us your feedback. Let us know how we can make this community more community. Ish.
Connected. Kyle.
Connected. More connected. And yeah, we'll. We'll just iterate our way to something that's actually really special. So
love it. Definitely join it. Let me know when the link dies because there's so many of you joining. I love that but I'm happy to to update it constantly so make sure
to check out all the channels.
There's all kinds of resources in there and we'll see you in there.
Sounds good. Enjoy your Tuesday everyone. See you back next week for hopefully a smoother experience here at the Admin Hug.
We'll try.
We'll try.
