ClickUp 3.0 | A Walkthrough to the New Task View & Layout

Maggie from Zenpilot walks through ClickUp 3.0's redesigned task view, showing the new layout options, subtasks management, activity views, dependencies, and custom fields to help you work faster.
Hey everybody, it's Maggie, your friendly neighborhood client coach from Zenpilot. And today we're going to go over all the shiny new features of ClickUp 3.0's new task view. We're going to dive into new features, we're going to take a look at where things have moved, we're going to look at some best practices, and we're going to show you guys some of Zenpilot's favorite new things about what you can expect to see and and ClickUp 3.0. Let's dive in. When you are ready to turn on ClickUp 3.0's new task view, jump into a task within your workspace, and at these three dots you're going to pull up the task settings and you should have the ability to switch to task 3.0. And once you do, you'll get the new lay of the land. So let's take a minute and talk about what's different and what's new inside this view in comparison to what we all know and love. First things first, you have the ability to change what this looks like in terms of layout. It's like a Goldilocks. In the Three Bears scenario though, you're going to come up here to this little squishy box that says Switch layout. What we see here is default. You've got 2/3 of your screen with a description and the meat of your parent task. And then over here you've got your activity view. If we want to switch to full screen, then it takes up the full screen. If we want to switch to sidebar, then we have the ability to see the list view behind the task view. And the task view simply takes up one third of your screen. This is not my favorite thing. I much prefer this default view. It gives you a good lay of the land. Another option that you have in this new task 3.0 view is the ability to see parts of your task in full screen. So we just looked at what a full task view looks like in full screen, but now let's take a look and see the description in full screen. This looks more like a ClickUp doc than a description. So if you are housing SOPs or a content brief, for instance, inside of the task description, this would be a more full size view of that information scrolling down. Ooh, shiny. Custom fields. You also have the ability to view these in full screen. This is more helpful if you have long text fields that you're utilizing. This would show you all the words on the screen and you'd be able to scroll up and down. If you're utilizing a whole bunch of custom fields within this particular list, scrolling down one more. This right here. We're going to get to this in a second, so keep watching. But this subtask section is really the best part about the new 3.0 view. But much like the other version, much like the other features within this task, you have the ability to see this within full screen as well. This comes in handy when you start adding additional pieces of information to this subtask table. And we'll get there in just a minute. One more new layout thing that you can play around with in task 3.0 view is this sidebar of subtasks. You have the ability to pull up the parent and all of the subtasks in the sidebar. You can see them visually here, while I still have the full task view over here on the right. And if I want to, I can jump into one of those subtasks. Previously we had to scroll down to where those subtasks lived and if I jumped into it, I was no longer able to see or easily access any of the other subtasks without having to scroll with those tiny little arrows at the top of the screen. And so this gives us a one click, hop, skip and a jump away from any of the parent tasks or subtasks within this view. Over on the right side of Your new ClickUp 3.0 task view is this new like hub of relationships and dependencies and activity related to this task. You can see over here we've got Activity view, which is of course where you would be able to comment or add attachments to your task. You also have the ability to filter out and in the types of activities that you care most about. So those of us who are familiar with an activity view inside of ClickUp, this is an activity view within the task itself. So that becomes super helpful. If you are a graphic designer and you really only care about which attachments are being added, you can surface just those attachments over here. You see this little plus sign? Ta da. This is nifty. This gives you the ability to check out any sort of dependencies that this particular task is waiting on. You can also add dependencies from this area as well. I can see I'm waiting, I'm actually waiting on this particular communication, coordination and QA subtask. I can then add a dependency and then this gives me the ability to select which of these tasks which are these subtasks I want to link this dependency to. I can also add any sort of custom relationship. And lo and behold, everybody, this is the new custom field manager. But that's a video for another time. You can add a relationship or a roll up or a link task via that button as well. I can also link a doc. We've got all sorts of connecting URL platforms to choose from. This is a much easier way to start dynamically assembling more information from other locations on this one task. In this one task, thanks to ClickUp 3.0, hopping back into the activity view, let's talk about watchers. Watchers can either be a blessing or a curse. And so with any good Zen Pilot implementation, we walk you through the proper settings for notifications so that you are only being informed of what truly matters to you. So if you want to become a watcher or you want to no longer be watching a task, this little bell here allows you to watch, unwatch, or assign watchers. I did not mean to zoom into that screen, but now you've got a really close view of what that looks like right next to it. You also have this magnifying glass, so now you're able to search through all of the activity. So if you're looking for a mention of your name or a specific word, or you're like, hold on, we talked about this, I'm going to go pull up the receipts on that one. Now you can search for it in your activity view. Let's talk about my favorite new thing about ClickUp 3.0's new task view. Let's hop down here to the subtasks, because oh my gosh, now you can surface all sorts of information about the subtask in the parent task. Previously you only had the opportunity to see like one or two pieces of information about the subtask within the parent task. Now it's like the sky's the limit. So let's take a look. I'm going to pop this back out into full screen because I'm going to try and add as many pieces of information to this as possible. I don't even know if there's a limit. We're going to find out together. Here we can add new custom fields, we can surface existing custom fields. We can show all sorts of information like how much time is estimated and what list does this thing live in and what's that task type and work category for this particular task, and oh my gosh, is there a status I can see? And it's all right here in front of you. Instead of having to click in to every single individual subtask or even have to look at it in a list view. Now all of that information is right here in your task 3.0 view. Wow. Amazing. Not only is it visible, it's touchable. Watch now. I can update custom fields within the subtask within the parent task. It's like Task Inception. It's a beautiful thing. I also have the ability to multi select and we can trash them or we can do all sorts of things from the Multi select toolbar. If you can't tell from my enthusiasm and tone of voice, this is revolutionary in terms of functionality of the task itself. You no longer have to wade back into the list view or another view. This is so much easier and so much more visually pleasing. And the UI on this is Chef's Kiss. One of the things that confused me the most when 3.0 turned on inside of my workspace was where did the due date go in order to set the due date? Previously it was tucked over somewhere towards the right. Now the due date, time estimates, assignees, anything like that about the core functionality of assigning out work is now shifted towards the left of the screen next to the Task ID itself. You can see here this little due date calendar is now way over this way it still functions the exact same way that you're used to, but now it just happens to live in a slightly different location on the screen.
