HubSpot Helpline #HubSpot

George B. Thomas, Rob Jones, Kyle Jepsen, and Casey Hawkins answer voicemails about HubSpot features. They tackle custom object associations, report building, and quote attachments in a conversational helpline format where the team solves real user problems.
Sa.
Happy Friday. Welcome to the HubSpot Help hotline hotline for help. We're still workshopping the name a bit, but I'm joined with chat gbt, George B. Thomas, Casey Hawkins and Kyle Jepsen. Lurking somewhere in the shadows is Chris. Carolyn. He may pop in and out. Chris, that's your cue. There he is. So he's here, bearded and. All right. I wanted to start off by just saying thanks for the three of you, the experts being here, and for me and for Chris. Chris, you can unlurk now. I think setting a foundation for what this is for kind of made sense. So this should be. Chris, if you want to take this away and then go lurk some more, you can. But. But I'll. I'll try to start off. This should be almost an on demand. Like you can call in during the week, leave a voicemail and get difficult problems or normal problems, really any type of problem solved by HubSpot's chief evangelist, Kyle Jepsen, somebody who literally cloned himself, or Casey Hawkins, a person that was panicking earlier for no reason at all. It's very communal oriented and that's where I will start. I've. No, I. I wore this as a tribute to the orange hat. Kyle, I thought you'd get a kick out of that. But, Chris, what were some of your thoughts whenever we decided to do this Friday afternoon hotline?
Well said, sir. I think that's why you're the host. Said everything that needs to be said. Hopefully it's easy for everybody to just call in and. And get some help with HubSpot from some of the greats.
Yeah, let's get one of the most important questions out of the way. It's boxers, not briefs. Let everybody know that real quick. No, I'm just kidding. That's not why we're here. HubSpot questions. Make sure you call in, please. You. It. This show is literally. If there's any show that is literally for the humans, the humans of HubSpot, it is this show. So please call in.
One point of clarification, you will be leaving us a voicemail. It is a very. It's worth calling just to hear what Rob Jones recorded, but then you could just leave us a message and we will, we will work through them. We will not. We have not quite figured out the technology well enough to be able to answer calls live, maybe in future iterations.
But yeah, I think that makes it less stressful, though, as a caller. So. So to start, you might.
You might prefer that you're talking from your own spirit. There are many a human out there would be like let me get on the show.
I We have a. We have a few voicemails. We have some good things to work through today. One, one a thing I want to mention to anyone listening who's thinking about calling. Some of the good folks who called called and left their name which is great, would love to know your name. Also left their phone number. We're going to be playing these recordings live. I will mute it when people's phone numbers are spoken. Don't leave your phone number. We're probably not going to call you back. We're just going to answer.
That may have been my fault because in the taken spoof voicemail that I left I did say leave your name number in a detailed problem may need to redo.
They're just doing what they're told. They trust you. Rob.
Yeah, I'm not coming.
I will. I promise not to call you about your Nissan Altima's extended warranty or saving money on your taxes. I'm not going to do any of that. But we will figure out a way to blur that out. We have some transcripts. I think we're three or four minutes in now. So the producer is doing a great job keeping this under the five minute window. But we'll really quick. There's a lot of stuff that we're going to give hopefully to people that call in in the form of help support is there real quick for Kyle, Casey and George. Is there something that you're hoping to also get out of this aside from just giving support, giving answers and giving, you know, HubSpot expertise?
I'm. I'm hoping to learn from Kyle and.
George same that's why I'm here from Casey and George. I don't see we're gonna learn quickly how, how, how little I know.
Well see, I don't even think that. So here's what excites me about it because always here to learn from everybody which what's fun is we're all here to learn from each other. But what excited me about this was the potential layer upon layer upon layer like the immediate ideation of somebody's problem and how we're going to come at it at three, four different ways. And so that excites me because by the way, I don't know everything. I mean this is literally why I created the clone. So the clone could know everything. Like let me just put the. Like I'm getting old, I'm starting to forget stuff. Pretty soon I might need A cane to get up on the inbound stage. Like, I gotta. I gotta hit it while I can, people.
Well, and I'll say too, I. People call into HubSpot support and support helps them and that's great, but that. That learning is never shared. Right. And so here we're gonna. We're gonna problem solve in public and. And we're gonna be figuring some of these things out and you're going to hopefully, if you have the same question or if you encounter it later, you now will be, you know, empowered with whatever we cover here. And also you can get a peek into how we go about figuring things out in HubSpot.
The other thing I love about this too. And then I'll shut up, I promise. That's probably going to be the hardest part, is we need like a virtual cane to get me off the dang stage. But it's like people. People want raw, people want real. People are getting real tired of scripted. Ladies and gentlemen. This ish is not scripted at all. You. It's going to be raw, it's going to be dirty. It's going to be like in the moment. And so like, if you truly want like the real deal, how do brains think about HubSpot?
You.
I'm not saying it's always going to be pretty, but you're gonna see it if you watch this show.
Yeah, yeah. I think there's. It couldn't be better timing either, considering the announcement Wednesday. Right. About HubSpot launching the first deep research connector as far as the CRM goes. So for me, there's also this element of continuity in being able to solve problems that may themselves evolve over time. Right. A workflow problem or whatever the problem is as HubSpot continues to evolve, update and release new features and functionality. That's a different problem to solve in potentially a week, two weeks a month down the road. So that's the intent for me. I also to raw reel all of that. I'm not orange in real life, but the air conditioning in my house is weird. That's about as raw as it gets. This is not a filter. This is just me being very red human being. All right, let's get into this. Chris. I think we can go to the first call if we want to start there. And Kyle, did you want to share screen and read the transcript or did you want. We wanted to play the call, right?
I'm going to play the audio. Yeah. And I would love if people want to sound off in the chat just to let us know you're here. For one thing. And also, like, just let us know that you can hear this. This first one is. This is the first voicemail we got. I was so excited. And I'll let you all evaluate the best way we can solve this problem. Right, Here we go. Hello.
This voicemail is from comcast Xfinity. The 50% discount on your monthly bill is no longer applied to your account.
Wow.
If you want to correct this before the billing cycle closes, call back right now using your caller ID and keep your discounted rates active. Thank you.
That's one that we're not going to be able to solve. So let's just move immediately on to the next 100.
A scam call.
God. I'm like, really? That's our first call?
Like, the number wasn't even born yet and already Comcast is trying to get us on. On the hook for more.
The thing is, I've listened to this a few times now just for my own enjoyment. It says, call the number on your caller id, which I think means it's a scam call. They don't even know what number they're calling from. Not. There's no Comcast account connected to this phone number, guaranteed.
You can.
You can also play the other. I thought my voicemail would have been the first. First one.
Oh, sure, sure.
It's a pretty ridiculously dumb one also. So then we can get into the meat of this.
This is great. Beginnings here. Here we go.
Testing, 1, 2, 3. From your boy, Rob Jones. That was Tony the Tiger. I think it flopped, though. I should have done, you know something about. This will be a great voicemail.
All the other voicemails we have, Breeze was able to generate an excellent summary. Bullet pointed takeaways. It even said, like, you really need to renew your Comcast. That one. It was like, I have. There's nothing here. I don't know how to summarize it.
There you go. That's why I'm on the show stumping AI and breeze.
Since 2019, I'm unable to provide a summary for this call. There is no relevant info information available in the conversation transcript. If you have more details or another request, feel free to share.
I will take my. Chris, you can kick me off stage at any time.
No, no, no. Where'd he go? We need him. We need him. Here's the funny thing. Before we get into the next one, one I was trying to decipher, if that was like Tony the Tiger, if it was more of those let's get ready to rumble. Like I was, I thought maybe you're going in that direction. But, you know, either way, I loved it.
I'm all up for doing a. Like a jingle for this, as I've been known to do, and recording different voicemails and cycling them once every two weeks. All right, another. Another part of this is, you know, George mentioned raw real. There's also hopefully an element of fun that we can bring to the show because that's what HubSpot has done for me. And what it's done for a lot of people is make solving problems more fun. And so to not be myself and ourselves and have George doing the clone voice, the robot voice, which is awesome, by the way. It's not genuine and I don't think people will believe it as much. All that said, we're 10 minutes in, Kyle. Let's get to the first actual voicemail now.
Five legitimate voicemails. So let's. Let's get down to work here. Here we go.
Yeah. Hi, my name is Ryan and I had a question. I created a custom object for cases and I want to know how I can automatically associate contacts with a case case record when those contacts are already associated with the same company that the case is associated with.
Thanks for any help.
Look forward to hearing back.
Just to summarize what I got out of that, Ryan has created a case custom object and he wants to associate with companies. No, with contacts when the case is already associated to a company.
Yep. Yep, that's what I got out of that, too.
Heard that as well. Is there a way that we can show this or do we want to talk through it again? Audience, bear with us. We're figuring some of this out live, which will be weird for a minute, but what's the best way to answer this in a way that shows value and shows that we can help out?
At some point we're going to have to share our screen showing HubSpot. That is just the thing we're going to have to do on this show. Producer man in the background. I don't know which one of us wants to share our screen. I probably shouldn't since I have the voicemails pulled up in HubSpot. But George or Casey, if you want to, we can make that happen.
He wanted to associate cases and Casey has case in her name. So if we're drawing straws, she just drew the short one for screen sharing on the case.
I was going to volunteer as a tribute either way, so teamwork.
So I will mention just while Casey's getting that pulled up for all your. Now, depending on how you define objects. For any object that has an object settings page, there's an associations tab where you can go in and you can turn associations on and off. You can even set some rules about one to many sorts of associations. In general, that is your best place to start with a question like this, just to take a look at that. There's also always the data model overview where you can see what is associated to what if you want a more visual layout.
See that's where my brain went was when you're creating a custom object, you can literally tell it what you want it to associate with when it's actually in motion. So know that it's already going to be a thing. When you're creating the data model of like your CRM one, there's that. But then also I'll throw a little tip and then I'll shut up in case you can go is like if you didn't do that and then you want to do something a little different, it might be some type of automation or automating association to that thing that you could play with. But Casey, go ahead.
Take it from here. Okay, so I just created a test custom object record. So in here I could add my account obviously so Apple for example, and save that however. Right. I am correct that like that's not automatically going to pull all the Apple contacts into this custom object.
Sure. Yeah. And I do I, I suspect that's what's actually wanted here because there's not anything that's going to restrict you from manually adding those contacts.
From the chat. From the chat. Really quick. One of the interesting things, George, you mentioned this or alluded to it earlier, but from Riley in, in the chat, can you also be sure to indicate what hubs and tiers are required for a given solution? I feel like there's usually more than one way to. What is it? Skin, A cat or skin. Yeah, there's more than one way to knock this out. And so given, given the context for like if you only have Pro or if you have this, you know, this is one way to do it. Or potentially if you have Ops Hub that can sort of automate some of this, that, that might be helpful for the, for the audience and users to understand what's requisite.
Well, I can really make part of that conversation simple. And the fact of like if you don't have Enterprise, you're not having the conversation about custom objects, right?
That is generally true. There's also the new object library if you're turning on and off like services or courses or those. And I recently learned there is a little bit of weirdness with being able to turn on some associations in those. This is a thing HubSpot is aware of and we are working on that weirdness should go away eventually. But yeah, for fully custom objects, you're going to be at the enterprise tier. And for this, for the idea of automating these associations, we did recently launch a workflow, Actions for associations. And then there's also. I forget if this is beta or live. I can never keep track of these things. Workflows recently got a lot more power in terms of how they see across associations. It used to be when you're working with one object type in workflows and you want to do something with an associated record, you could go down based on an association label or you could do most recently update or most recently created or something like that. But we now have the ability you can update all of them. You can also, if things aren't associated, you can just do matching based on labels. I suspect this is a thing that would have been very difficult six months ago, but it's actually pretty straightforward now. I'm staring at your comment, Riley. I am the worst at remembering what's in what tier. I assume everything I just described in workflows is just at the pro level and you don't need Operations, Hub or anything. This is just new standard functionality in workflows. So real quick, if you just want to skip the trigger here, Casey. Yeah, yep. I don't know. Whatever you think.
Yeah, because in theory we're connecting because I think the trigger would be when the account, the company record gets associated with the case. Then we want to assign the case to all the associated.
So can we take a step back just for one second?
Because I was about to go here.
Here's where my brain goes and I actually just bear with me for a second. If there was a way that you could create a list with a set of filters based on when you would want the cases to drop in a custom object. You could have a custom object list that would be being created to which Because. Go ahead.
I'm just. Yeah, yeah, yeah, yeah.
You could have those custom objects could be dropping into which then that list could be the trigger for a workflow that would then set the association. So now you've basically created a river where if this happens, go into list because list. Now it becomes into this workflow and because of this workflow it now gets associated to these things. Now from that point you can test it and play with it. I'm not sure how many of those workflows and lists you would need and how scalable this would be, but that's if I think about the fundamental pieces of HubSpot and how you could make them play together, that's where my brain goes.
Yeah, there's. This was a great first call or third call, the first real call. But there, there could be more and I blame myself for the, for the voicemail. There could be more context given to see if this is the best solution for what problem they actually have. I don't know if it was mentioned this, this is obviously it sounds like the right move and there's a couple options. But why did like what is the need for the case to be associated with the contact and at what time? So anything. There's a couple more like elements of info that that could help really nail this one down. Casey, you were about to go.
I was. No, I was. Listen, I've been, I do this sometimes. I have a kind of janky workaround that I've been doing.
It's.
Only running I think when the custom object association happens so that like to your point, the trigger but the lists can. So the list would be a list.
Of.
Companies that have that associated object and that would trigger the workflow.
Depends on the filters. Is where. Where I. Where I'm going. It depends on the filters. Also I'm watching the chat before we go into maybe the next question. And also Rob, I do agree we are on a show where if it was not a voicemail and it was a real call we could ask additional questions to then get true context to go deeper. But hey, for a first I'm down for this one thing I want to say on the list, Ryan. Yes, lists do have a severe delay. However, if you're dealing with court cases, so does the legal system. So you might be okay in this use case that we're talking about about also Riley, thanks appreciate it.
Before we jump, I'll just give what I've been doing in some of the sometimes for this just for context, I've been using a sync property so associated record ID sync. So I create a new property sync and then I was using the customer order custom object for this demo and then I sync the record ID here. Everyone following so far?
Yes.
Yep.
Keep laying it down. Keep laying it down.
So most recently created to keep this updated. So I would do this. I'm guessing Chris is going to on Monday be like casey, clean up that mess that you made on the show. But we'll. We'll cross that bridge when we get to it. Then my trigger here is when.
Record.
Change, property value changed and then you're seeing.
Oh, can we back up why you continue to do this, Casey? And you used a very particular word. You said janky.
I think it's actually pretty elegant.
Can I say genius? You use the wrong word when. Because that's actually pretty.
Yeah, I think that's about the smoothest way you could do it. I'm finally caught up now. I thought we were talking about how to make the actions work. The enrollment is the tricky part and I understand that now.
Well, wait, it gets jankier because you can only create associations. This is a company workflow, so I can only associate on companies. I can't copy that association. So now proper custom property number two. If we're associating contacts, let's call this temp match id. And then this is just a single line text. I can't sync from a sync property to be clear.
Yep, yep.
So now what this workflow does is it edits, edit, record, edit, record, not edits. And now I can change to all associated contacts. This is what you were talking about? Yeah, that temp match ID that I just created. And then now I'm going to update that there. I would review and publish this. Now workflow number two. This one's going to be a contact workflow. When data value changes though.
Yeah.
Riley Powell said bring on the daisy chain workflows. While you're doing this, interject with a direct message. I. I very much appreciate our sales and delivery team at rp. This isn't the amount of. Of clarity needed to not only create an elegant solution, as you mentioned, a genius solution or whatever you want to call it, but the amount of clarity in. In figuring out what the actual problem and in state is just from this first call, an example is pretty, pretty amazing to me. So there we go.
Yeah. Now. And this is why I needed that id because now I'm going to match properties and I'm going to match that temp match ID to the record ID on the custom object.
So.
And then you can choose whether or not you need to apply a label.
I'm just saying that's what I got for you right there. Let's go. Love it.
That was great, Chris. How we do?
We ready for another call?
Yeah, yeah, yeah.
I'm exhausted.
By the way, Casey, you got some kudos in the chat. Tricia is there for you.
Genius being recognized. Bam.
Yeah, that's it.
Hat tip. There you go.
Big guns. I don't have them, but big, you know, I'm going to give the guns on the show.
All right, we ready?
Yep, ready.
Here comes legitimate call number two.
So the HubSpot issue that has been plaguing me for the. The two years that I've been using HubSpot is it's honestly report building. And it's so ironic because I'm actually an MBA in data analytics. So like I like understand you. What type of data is my independent variable? What's my dependent variable? If it needs to go on the x axis or the Y axis. But where I get caught up a lot of the time is when I go, well either one, either I clone the report and we have so many reports that I'll try to clone one but like the source data is, is not what I actually need it to be and then you can't like, you know, kind of back out and reroute. So I try to repurpose existing reports to make it easier on myself. But sometimes that doesn't always work depending.
Legitimate Voicemail.
Wow.
Not sure what's going on with the audio there.
This is an issue with my computer, not with the voicemail itself. Voicemail is not the only thing that is sort of frozen right now over on my end. Apologies for that.
I definitely thought it was like a service issue on the voicemail.
I had this ready just in case. But stand by for, for some of these technical difficulties we're experiencing them.
Oh shoot.
Play the music, Chris. All right.
So I, but I think I, I think I got. Actually my wife is calling me. I gotta go. I'm just, I'm just kidding. I'm kidding. Here's the thing. There were a couple things that scared me about that question. One, it's been an issue plaguing her for two years.
Yep.
Issue number one. Two, she's got an mba. Oh. So then my. And I know we're gonna have to have this answer on certain shows of like it's not possible in HubSpot. And so one of the things that I've always taught is that whenever creating a report one of the things that you want to do is make sure you're grabbing the right not original source. That's a totally different conversation. The in custom report builder, you have to grab the.
Ah.
We'Re. Hang on. I gotta now open HubSpot because I'm again, that's the 53 year old guy losing his dang mind of like what it's actually called.
While you're doing that. Kyle did Comcast Cancel you already for not paying your maybe.
What happened? Yeah, yeah, that's it.
I'm getting there. I'm getting there. Because it's gonna be dumb. Everybody's gonna be like, george, really? You couldn't remember. Hang on, I'm getting there. When you're creating a report, primary data source. So like, one of the things I always teach is like, listen, you've got to make sure you're picking the right primary data source. And because there's no real way to build the report that you're trying to build if you've got the wrong primary data source. And so if I hear. I've had that issue for two years and I have an MBA in analytics and I'm trying to repurpose reports, which by the way, the thing that I do love in HubSpot is that many times you can clone, convert and move forward with your day. But if you're trying to build a report that is a custom built report that uses a primary data source, and now you're trying to clone it for something that is a report that isn't actually using that as your primary data source, you're screwed. This is where I go to. I wonder how many times in this show we'll have to actually say that's actually not possible at the current state of HubSpot. Or how many times we'll say, huh, you stumped me. But that's where my brain goes. Maybe other people have other ideas of why this wouldn't be working or why it would be an issue when trying to clone reports and repurpose them in other directions. And yes, thank you, somebody. Rose. I hope I said that right. If not, you can smack me if you come to Inbound in San Francisco. The data source. That's the word that I was trying to come up with as the old guy on the, on the show.
I think one thing people often use the single object report. I never use single object report anymore.
Oh, well, pardon me. No, I'm just kidding.
Do you use single object report?
It's just every time that I can.
Every time you can. Oh, well, well, but that's so. Well, so you know what, George? The reason. That's why you can't clone reports. George, that's why you can't clone reports.
Right.
There's an element of this too. Looking at the transcript, which somehow I have in an email. The audio didn't play, but it did mention, I guess the rest of the voicemail went on to mention there are some changes in the marketing department affecting data Consistency and one of the things they're looking at doing. They're interested in modeling deal conversions using both account and deal level data. That said, like to play devil's advocate and because I'm bleed orange and I'm wearing orange hat right now, I'm more reticent to say it can't be done in HubSpot just to be kind of devil's advocate here. But because it's come so far and the reporting is an insane like insanely improved and more robust even since a year or two years ago. So part of this could be a change management or people like there could be other type of user or them not the marketing department not being aligned or on the same page as an option. I know we don't have all the. All of the context but we've seen that where this. Somebody has done something or there's changes that weren't communicated to an admin or the. The. The team managing and that created some confusion to your original point, George, An MBA and analytics in two years. Seems like something should have. You know, a solution should be available.
Yeah, well, well, and here's the other thing. Words matter. And I'm glad you read that transcript because you said a word that was like warning. You said deal in account level. Which then makes me want to ask the question, wait, is Salesforce involved in this master equation that you're trying to do as well? Because that adds a level of complexity to what you might be trying to do as well. Yes.
100. I don't know if I want. Kyle, how do we get the rest of the voicemail? Or do you want.
I. I mean it is. It is 100 a failure on my computer's part. I'm happy to try to play the second half of it. I don't know what we're wrong the first time.
Where do we go to the next question?
Well, I guess I'll just at least say that like George, you were saying the single data source. Why I like custom reports is you can change that if you're in a single object report, you can't change that if you're cloning a report and you suddenly find like, oh, actually I need the company records, not the deal records. If you're in a custom object report, you can change that and I will show you.
See, I need to get better at it.
Here is the primary data source, which if you're in a single object report is very important.
Okay, we get it. We get it.
But if you're not. If you're. But if I choose contacts and I'm trying to build the report from contacts and then suddenly I'm like, oh, that property is not here. Oh, I actually need deals. You can just go in, edit data source, change that to.
This.
Can I take opportunities, something that I teach all the time? Yes, please search before scroll, whatever you're trying to do. Ladies and gentlemen, please search before scroll. Okay, I'll show.
Here's. Here's the problem. You and Chris and your silly renaming of objects. I would have typed deals in.
Oh, oh, true, true. Yeah.
Because all my Chris knew.
Chris knew exactly what I was doing. All right, but that's if I just suggest that you check out custom reports if. And then multi data.
So it's interesting too, because. And not that. Well, no, like, what's interesting is even if you were doing a report that you only needed information off of a single object, it might behoove you to still use the custom report builder to do that. Because then when cloning, this goes. By the way, this goes against everything that I typically teach because I'm like, well, you go into the custom report builder when you need to see when the vectors align or when they go against each other. It's two objects. But if you thought about this differently, it could be the death of Single Object report tool in HubSpot because it's already there in the Custom Report builder.
I also find it easier to find properties from this.
Without a doubt, without another benefit. Hands down.
I think it is intuitively true that the Custom Report builder has gotten a lot more love from HubSpot's product teams in the last year. 2, 5, 10. It's been a while since the Single Object Report builder saw a really significant upgrade in UI.
Or I mean, anything.
To what both of you are saying, though, I think the happy medium is like if there's a. Is kiss right? Keep it simple, stupid. If there's not a reason, if you can do it from single object and there's no need to involve the customer, some of that may be a matter of preference. But I will say, like, growth in a company begets complexity. And the more. The earlier you start introducing potentially unnecessarily complex ways to do things, the harder it gets down the road. I think that might have been part of the whole cloning and, you know, pulling from data sources problem that she was mentioning here.
Well, potentially. But here's also the PSA that I'll say. If you're sitting here and you're watching this and around this question of like reporting and you don't have or have not watched the custom report builder training on HubSpot Academy, well, then come on. Or if you're sitting here watching this second psa, by the way, and you're like, yeah, reporting's hard in HubSpot and you don't have the reporting certification that Jory kicked butt and took names on with a bunch of people. Okay, then you got a next step. Just.
I'm glad this, this quote from John is getting put on the screen. I think this is really significant. There are some downstream implications, I think, not only on dashboards. If I'm remembering right, when you embed a report on if you want to add a report to a card in the middle column of the CRM, I think that has to be a single object report.
You will get a notification that tells you if you want to use advanced filters on dashboards, you have to have at least one single object report on this dashboard.
Interesting. Going back to the original call, again, my apologies that all my technology died there for a moment, I'll take the blame on that. Even though I did not choose this particular technology. I feel a little bad. I feel like we are answering this question by saying like user, you're doing something wrong. Stop complaining about HubSpot. Reporting is a really complex area. And I can imagine for someone who has, has an MBA in data data analytics, they have used some pretty advanced tools that do some pretty crazy stuff. And it's conceivable that HubSpot has kind of does not do a lot of those things, right? Like if you've been running regressions in R using custom code you wrote yourself and that kind of stuff, like HubSpot's not, not that tool. You know, and similarly, like English, HubSpot is designed. We, we want the interface to be as, as simple and straightforward and basic and opinionated as possible. And if you're used to just an open playing field where you choose the pieces and you build whatever you want, like an Excel spreadsheet or something. HubSpot's also not that tool. And so it is. It's not terribly surprising to me that an MBA in data analytics might find the customer portability limiting and confusing. I think it probably is the case it can do some things this person has not noticed. But I, I think it's also fair to say, like it's, it's totally possible an MBA in data analytics wants to do stuff HubSpot is not built to do.
And a million percent. I mean, I wasn't. I will, I will never. Number one call back in and Kyle's computer and audio will work better next time. Two is the. The kind of. The host dynamic is just weighing out other options or possibilities. So it's very possible with an MBA and analytics that it is a HubSpot problem, but also not jumping to that was I think is important. Three, and this is the second straight time more context equals more clarity.
Yeah. So yeah, I do have to mention this. And again, like there are times where I sit back and There are other HubSpot users that do things that absolutely amaze me and I'm like, I didn't know that it was impossible like these. By the way, the words that are going to come out of my mouth. Do not call me and ask me to help you with the words that are about to come out of my mouth. But like data sets and formulas and like now that you can even take like in CSVs into data sets and like there's just all sorts of kind of like crazy cool that kind of like. I don't know if said human has dove that deep into like what you can do or not, but there's some pretty freaking fascinating stuff on that whole side of the fence, which is a hashtag nerd alert. Like past my pay grade maybe. But yeah, we.
We have two other calls so we can move to the next. I wanted to. To ask really the. I guess everybody on the call for this specific call and problem because I used to say this all the time. I think it's more, especially with Wednesday, it's more relevant today and from this it's more relevant today than ever. But have you seen HubSpot lately? Is the question. So what I'm asking is like when may. When may this have changed or updated to. To a different level. Obviously the call is recent from this week. But when. When would custom reporting have upgraded? Within the last week, two weeks? Months? Because the. To your point, Kyle and George, your point? Like it. It's constantly evolving and changing. So the stuff that may have been a problem a month, two months ago or impossible two months ago, there's a good chance that that's being fixed or worked on or that some other release feature has come out.
Yeah. So Casey, we do a show the customer platform show every day.
I've been there.
Yeah. I'm trying to call back if I remember any update since I started, which was about maybe a month and a half two months ago. I don't specifically remember a custom reporting product update, but maybe we can like jump over to the. The portal and just see in the last 30, 60, 90 days. If there's like a rep, any report, update, maybe we swing back around towards the end of this Rob and answer that. I look. Yeah, Spot has put out since then.
Love it.
All right, let's. Let's hear another call, huh?
Call number three.
We'll see how this goes. All right, ready, set, go.
Hi there.
My name is Luna Ramirez. My Phone number is HubSpot. Question for you is about adding attachments to quotes in HubSpot. So, for example, if a customer wants their own references like exhibit A, exhibit B attached to the quote, essentially, I want to know what's the best way to do that. I guess I just find editing quotes really difficult and it feels like it requires coding every time and the downloaded PDF always breaks a little weird. So I would love any insight or tips. Thank you so much. Bye.
Team, I have an idea. Just hypothesizing protocol here for what we do on the show. How about we start by coming to an agreement about what the question is? Yes, yes, I am understanding this question as this person wants to generate a quote in HubSpot and they want to attach sounds like PDF documents to it. Is that what we all got out of it?
I feel like that's what I heard as well. Yes.
I'll lead by saying I'm pretty sure that's not a thing in HubSpot. I'm trying to visualize it. A quote itself can be generated and downloaded as a PDF and you can't attach a PDF to a PDF. I suppose you could clone them and have multiple pages, but is this a thing out in the world outside of HubSpot that we would expect to see a quote with documents attached to it? I'm just, I'm just curious what the state of the art is here. I know our quoting tool is not like world class.
You can add a link. You could add a link in the quote.
Yeah, but not.
But you'd have to link to a PDF that has to be hosted somewhere. So that's not like. That's not great.
HubSpot has gotten much better at attachments on CRM records. That used to be real bad. And a year or two ago they did a major overhaul. And if you're attaching a whole bunch of things to a contact record or a company record or a deal record or whatever kind of record, you can search those, they have shareable URLs and things. And also file properties have gotten much better. You can have up to 10 files in a single property. And those are also, I believe, formatted as URLs. If you customize your quote template with a file property and it had those PDFs uploaded to it, that might actually work really smoothly. I've just never done it before.
You'd still have to send it separate than the quote.
Right.
You would just upload the file to the deal and it would just come with two.
Something like that. Yeah.
So, Rob, once again we run into. It would be great to ask additional questions of context to the thing because while we all agreed that, yes, it sounded like they wanted to attach PDFs to a quote, my brain immediately goes to, well, why wouldn't it be attached to the deal? Because that's where the quote is attached and that's probably where the human is going to go to. Or, or if I was Chris, I might say to the order, like to the deal or to the order, I might say, like that's where I would envision them to being, being attached. But then also, I'm super curious if we could somehow use the new property, that is a URL property that got released today in beta in a way as a custom property for a quote template to.
Then potentially I let. Chris, can we put my screen on screen real quick? So here I am, I'm built. I'll zoom in a little. I'm building a custom property. This is a deal property. I'm just calling it references. I'm making a file property. Interesting thing. Number one that I either didn't know or had forgotten is that you can choose whether these are private, meaning these files can only be accessed by users inside your HubSpot account or public, meaning these files can be accessed by anyone with the files URL, which is recommended if you want to share these on content like website pages or I would presume quotes. This is a promising step. I would say you create a public file type property. I did it on the deal record. Then if we go to help me out, I want to go to quotes. Is that in here somewhere? Yeah, there it is. And if I want to edit my quote template, I could put. I don't know, what do we like?
Oh, it doesn't matter.
We'll do this one.
This ain't Hollywood. Just pick one.
Yeah. All right, so then if I wanted.
To add a.
Property.
Would you have to custom code it? Would I have maybe. No.
They also, they also said in the call about how quotes, I, I, I guess I just want to acknowledge that, like, quotes do sometimes need custom code.
Yeah.
Well, and two, here's. I don't know how Much. We want to mention other people, places, apps during the show. Again, it is show number one. But I. I'll tell you too where my brain went immediately at this question, other than like digging into the fact of, like, is this really the question and is it possible in HubSpot was there are apps that add to additional quote functionality, like quote.
Yeah, yeah.
Right. That may actually get you closer to something that you're trying to do by looking at a tool that integrate. Now, I don't even like to use integrates because it's not like it integrates with HubSpot. It becomes a part of your HubSpot when you're getting into these types of spaces and places.
I do like the. I don't know how to get it added. I think you might need to go into the, like, code of this.
That's scary to me. I don't know how to do that.
Well, actually, Kyle, go up to the top references or terms. That works. Actually, this works. Any of the text properties.
Oh, yeah, we can personalize.
I think you should be personalized.
Yeah, yeah, yeah, yeah, yeah. So. Oh, this. But the deal we could pull in.
You could do that file.
I don't know if you can hear me.
Will that. That'll be a link, right?
I guess that's what I'm wondering. Yeah.
Preview this bad boy.
Well, the thing is, I don't have a record that has a value in that file property, so I'd have to go work on that. But, you know, I love this create button here.
Yes.
Real quick deal with references. How about that?
There we go. By the way, while you're building this, Kyle, I'll just let you know that LinkedIn user says y' all are doing a great job. Exclamation mark. This is awesome.
So doing a great job, everybody.
I think that file. Yeah, that's a handy thing. But also to your point, George, that there's other tools out there if it's difficult.
Yeah.
One of my value props for this is being less of an expert and being able to ask questions that may be obvious or dumb or what. However you want to call it. She referenced something breaking and one of the comments from Daryl says most likely custom code for the quote layout.
Yep.
Is. Is the layout or formatting what they're referring to? Because a PDF breaking linguistically doesn't make sense to me. But are they talking about how it's actually formatted and look and that's what they're having trouble with?
Well, I think.
And I think Daryl might be saying that you Would need to do custom code or a custom layout for what we're trying to do or what we're suggesting, I think is what maybe his statement was.
But suspect. That's doable. All right, we'll skip that real quick.
We're getting that real quick.
Oh.
I don't know.
Yeah, just add like a.
All right, New basic. Great. So. Okay. Oh, yeah, let's. Can we preview? Not yet. Okay. Next.
Yeah, just create this bad boy.
That'S looking like it's just like a file ID number, which is not.
It might be, but still not what we want. Which is why I originally went to like, the new. The URL URL property. Because then too I could put it like. So where I go to like comments to buyer or terms like you can. You can do snippets that you can.
Snippets are great. Yeah. Yeah.
You can add personalization tokens which could be the URL property. So like, there's, like. That's where my brain was going with this.
Yeah, let's.
Let's see what we get. Do we get a number or. Or a URL here? There was a number.
Oh, so all.
We can stop sharing my screen as I embarrassingly click around and accomplish Nothing.
Now, remember, LinkedIn user says, we're doing great. So I will.
I will. I say this a lot. I'm gonna say it again, and it won't be the last time I say it. I am primarily a researcher. You asked me stuff about HubSpot. I'm gonna do what you just saw me do. I'm gonna sit and I'm gonna click around. I'm gonna try stuff, and the first thing's not gonna work and the second thing's not gonna work. And then I'm gonna come back to you with a loom that I show you the perfect answer and I look like a genius because you don't see the seven first drafts that all did not work.
Interestingly enough, Kyle, like, we. This is the third. I mean, we're at 254 right now. The three calls. We had a bunch of voicemails. We. It's interesting to me, and I'll put this out here of still having like the voicemail call in to maybe have problems that are able to be solved or discussed or get our opinions on that require less show and tell. But. But people could submit a video voicemail, like showcasing the context potentially of the problem. Now, the anonymization or whatnot may be tricky, but we would. At least we wouldn't have to show that we would at least have more video context, that we could then go into your portal or Casey's portal and be able to work through the problem.
I. I don't disagree with that. And if that's how we do in the future, I'm open to any of that. I. I do want to double click on something that Kyle said, though, because I hope everybody who watches this first and maybe last episode. Just kidding. We're gonna keep going. But whoever watches this episode, like, there's a superpower to what Kyle was talking about. We all. We always call it, like, in super admin. It's sleuthing. Right? It's. How do you. How do you become a great detective of the things in and around your HubSpot ecosystem so that you can, like, know this connects this to that? And so what if you pull this string and can do this thing? Like, it is a superpower. So if, like, you're watching this, I would want you to focus on, like, how do I become a super sleuth pertaining to HubSpot and all of the things that are needed for the hub or hubs that you're working in.
Yeah. So we are coming up on time here. We have actually gotten a few voicemails while this show has been going on. Thank you, everyone who's calling in there is one I would like to end on. I think it merits squeezing in right. Right here at the end. Is it okay if we listen to one last.
There. This is Trisha Miriam, and, you know, before I get to my question, tomorrow's my birthday, and it would be so great if y' all could wish me a happy birthday. That would just be, like. That would be the best. That'd be the best gift. So there's that.
She goes on and has a question. We don't have very much time, but I just want to say happy birthday, Trisha.
Happy birthday.
Happy birthday, Trisha. I'm hope. I hope it's full of flowers and dogs and time outdoors.
And dogs.
Because I'm like, I don't know what Trisha loves, but I hope you get it.
I was on mute. Happy birthday, Trisha. I will. If the BACKPACKER audio worked, we can figure that out. You can call in and I'll do, like, total requests live and play people's songs maybe in a subsequent episode. But happy birthday.
I think so.
We.
I would love to hear in the chat, people. Was. Was this a success? Hi, Trisha. Hey.
Yeah, put in the chat. Put in the chat. Love it. Keep it. Keep going.
We are actively Seeking feedback. This is the first time we've ever done it. Thank you to those of you who called in and made a success. We, you know, we'll do it again and next time, even if nobody calls in. We've got a backlog of like three or four voicemails we need to get through. I feel like we owe that to the Internet at this point so we can commit to that and if people keep calling, we can keep going. But if there are, if you have suggestions of how we can make this better, more worth your time, I at least am hungry for that.
Yes, I would agree. I would agree.
Yeah. The context, the video concept, not showing that whatever, but having some context. My favorite part, honestly, is reading the chat, which has been going off and people helping each other in the chat. There's a ton of Daryl earlier, both actually. It's possible to build a layout with URL properties, rich text. We have some smart audience members tuning in, so hopefully we're helping to level up a little bit and wish people happy birthday along the way.
Yes, absolutely. We're a fun bunch. So we are here ostensibly to answer HubSpot questions, but simple requests like a birthday wish. Absolutely. Send our way million percent.
Is there a almost opening intro part which I feel like people might want. Kyle, your thoughts? George, your thoughts? Casey, your thoughts on the. The announcement from Wednesday? Potentially we could answer voicemails for the 45 minute latter half of the show, but start off with OpenAI and HubSpot. Here's. Here's the hot. Here's what we've learned in a week.
I. I definitely think there could be a Hot Takes opening section for sure. Without a doubt moving forward.
Love it. Well, we do want feedback, Casey, go ahead. Sorry.
Oh, I was gonna say Riley suggested Jeopardy style to Gamify, but that stresses me out.
As much as we struggled to answer some of these questions, if we had to answer them in the form of a question, I think my brain at least would just go offline.
What is wrong with you, Chris?
Yeah, I think he was suggesting we'd get points for who got the question right.
Oh, geez.
I love it.
Is the answer ever really correct?
This is. This is the part where again, some of this was my. I've been urging Chris to do this. I think there's an element of the producer coming in and giving feedback to end the show that I want to try out. So if, Chris, if you're around and wouldn't mind, tell us what we got right. Tell us what we can do better. We want to Improve. I know the audience has been doing that, but, Chris, lay it on us.
Are you gonna roast us for the last.
Not a roast, but some helpful feedback potentially.
Hang on, guys. I'm ready. So, Chris, you can start. But I'm ready. Don't make me mad. I'll play the music, brother.
A technical piece of the quoting issue, I think is often when you can iterate and you have multiple quotes on a deal, the ability to attach specific PDFs, that might change as you change quotes. Like, none of our solutions that we talked about would have solved for that. So coming from the industrial manufacturing space, sometimes they like to put like 10, 10 attachments in the email and T's and C's and up and down the line that change depending on what the quote looks like. So in those cases, you know, it's. It's tough sledding right now and would require a lot of custom. Custom work to be done. But all of the options, a lot. There's so many options available to do that inside of the custom cards in the middle of the record now with file management and. And stuff like that.
So where the heck Were you 15 minutes ago?
Yeah, how is the show as a whole, Chris? Are we all fired? Do we get renewed for a second season? What. What's. Again, what's happening? Give us the Hollywood Insider.
I'm trying to make Rob proud with his request for, like, being the producer that comes in and corrects everybody. No, this was amazing, folks. Like, I. I'm so grateful that we could get together in a moment like this. I do think begs the question of, do we need to figure out the live calling? Like, because most HubSpot situations. Can anybody actually provide a compelling voicemail that does not require a little bit of digging? Because would it be too easy if you can actually leave a voicemail and. And we can just immediately solve the problem? I don't know. I'm interested in the live element. I'll just say that.
But yeah, LinkedIn Live if we want that.
Hey, we gotta do what we need to do. Serve the people, right? And great job keeping everybody in line. Rob.
Thank you. It is. It's a pleasure. We'll work. I have a bunch of notes and we'll definitely workshop that. But I think based on Chris's feedback, based on the chat, based on the audience, we will see everybody at 2 Central next Friday, June 13th, playing some knockoff music.
George?
Yeah, that's 3 Eastern for everybody. That just. Just so you know, 3 Eastern. It gets good if you give it a second Chris hates this song, by the way.
