Learn how to create and customize HubSpot meeting links to streamline your scheduling. The tutorial covers calendar integration, form customization, and adding meeting links to your email signature.
As a professional or as a business owner, scheduling meetings with clients, prospects or team members can sometimes be quite a time consuming task. Coordinating different schedules or finding a suitable time slot as well as managing multiple communication channels can be quite a challenge. This is where HubSpot meeting links can come in handy. This feature allows you to create and share personalized meeting links, making scheduling much easier. It is a URL that you can share with others to schedule a meeting with you and and it eliminates the need for back and forth emails or communications to find an actual and more suitable time slot for the both of you. But how do you create a meeting link? Check this out. So now that you're in your HubSpot portal, you're going to go to this gear icon right here and you're going to go to your calendar section. The first thing you're going to have to do before actually using a HubSpot meeting link is to sync or connect your own calendar. I've already done that. Once you get to this page, if you haven't done so, there's going to be a button that says Add Calendar and it is going to be very easy step by step process in order to connect either your Gmail or Outlook account. So once you have that set up, we now proceed to create your own HubSpot meeting link. You will go to sales and you go to meetings. In this case you will see right here that HubSpot has already generated one on one meeting link. It is already set up, but I'm going to actually go through the process of creating this one from scratch. We'll go to create scheduling page at the top right here. We'll hit that and we're just going to choose one of one right here. I'm going to call it Meet with Jorge. That's also going to be the event title, the location. If I already have Zoom, I'll just choose Zoom. That is also one thing you're going to have to do to integrate Zoom with your account or whichever actual video conferencing tool you prefer in the Manage extension section. So Meet with Jorge. That is the description that is good to go. I'll choose a meeting type, choose prospect call just for the sake of this video and then we'll hit next. On the scheduling front, you can actually choose a little bit of how you want to customize this ending for the URL. I'll leave it as is meet with Jorge. 30 minutes is fine. I'll actually maybe choose that. They can book anything from 15 minutes to an hour central standard Time is good Monday to Friday. And there's some additional settings. I usually leave these by default, but if you want to actually have something else in the meeting link, such as any custom image, you'll see the changes reflected over here. But with mine it's perfect with the organizer avatar and there's other settings right here that you can actually check such as set period of rolling weeks where people can actually book in your calendar. This week and the next is fine. I don't want anybody to come into my calendar link. And maybe scheduling something in 2025 where I don't even know what's going to happen then. So a minimum notice, time buffer time, start time increment, booking page language and date and time format, all of these are elements that you can actually further customize. So if I say this is correct for the schedule, I'll go to the form section here. I'll customize it further. First name, last name, email. That is good, but that doesn't tell me enough info. So let's say I also need maybe company size, obviously company name. So I'll just search for company name, I'll hit save and then I may also need. So if I consider this info to be good enough for me, maybe I'll put that over here and maybe I'll put the name first. This is how my form is going to look like. I'll probably add the recaptcha section right here to prevent spam and it looks better like that. So any additional settings I can choose that, I'll leave these as pre populated fields with known values in case there is contact form resubmission and then I'll choose a confirmation which is just to display a default confirmation on the page which is going to look like this. Or I can actually just redirect them to another page and with that I'll hit next and I can set up an automation which basically just sends a confirmation email to the person who books the meeting with me and or pre meeting reminder which can be sent maybe an hour before our meeting or a couple minutes before, such as maybe 15 will do. And that's actually good enough for me. So I'll create the scheduling page and hit this button right here. So now that you have your meeting link set up, I'm going to show you what you can actually do with it or where you can actually place it and use it now that you have created your own meeting link in this case we can see it right here. I'm going to click on it and actually verify that the information is correct. And you can see that you can actually book a time with me at any of these times. If we go and grab this URL right now, we're going to go back to our meeting section, go to this gear icon at the top, and you're going to choose the email tab. You're then going to add it to your email signature by clicking Edit Email Signature. You will see that mine is actually coded in HTML, but for the purposes of this video, I'm just going to click delete it provisionally and you will actually put this into your signature like this. You can choose any copy that you like, grab that text, hit this button right here that says insert link and you're just going to paste in the URL and then hit apply. And then you would hit save and that would actually get you to have your own meeting link inserted into your email signature. Now you know what a HubSpot meeting link is, how to create your own, as well as how to insert it into your email signature. Remember, education is great, but the execution is where it's at. So take this knowledge, apply it, and be the hub hero that your organization needs today. Thank you for watching and see you on the next video.
