Today we're diving into a topic close to my heart and probably close to yours too. If you're here watching this video about data, is HubSpot data a mess? Is your HubSpot data a mess? If so, don't worry. You're not alone. And more importantly, you're in the right place to turn what might be chaos into clarity. Imagine a world where your HubSpot data is clean, accurate, and actually saves you money. Sound like a dream, right? Well, I'm here to help you make that dream a real reality. Real reality. Reality. Real. Either way, let's start with the basics. What is data hygiene and why is it important? Think of data hygiene as spring cleaning for your HubSpot account. But maybe we do it more than once a year, you know what I'm saying? Like, maybe spring comes around four times a year, or even six. You see, it's all about ensuring your data is clean, accurate and up to date. And you need that year round for business success. Clean data is the foundation for making informed business decisions and optimizing your marketing strategies. Let me tell you a little story. Back in the early days of my career, I thought more data was always better. While I love me some data, more is not always better. In other words, I was wrong. You see, it's not about having more data. It's about having the right data. I remember the frustration of sifting through endless messy records trying to make sense of it all. But when I finally started prioritizing data hygiene, everything changed. Decisions were easier, campaigns were more effective, and yes, we even saved money. So why does poor data hygiene cost you? Well, inaccurate data leads to ineffective targeting and wasted marketing dollars. Not to mention wasted time. Your sales team might waste time chasing dead leads instead of closing deals. And we all know time is money. So don't let your dirty data waste your time and your money. Here's the good news. HubSpot has Some fantastic built in tools to help you manage your data. Use the Deduplicate Management tool to streamline your data and keep your database in check. And remember, establish clear data entry protocols from the get go. Trust me, it's easier to keep it clean from the start than to go back through all the data from the beginning of time. Time, Time. Okay, I don't know when the beginning of time was for you, but let's move on. You see, it's all about working smarter, not harder. Now let's discuss common data hygiene issues in HubSpot. The usual suspects are duplicate contacts, outdated information and incomplete records. These can inflate your database size, increase your HubSpot fees, and lead to failed marketing and email campaigns. But don't worry, there are solutions. That's right, leverage HubSpot's workflows to automate data updates and and clean up tasks. Automation is your best friend here. You can do in minutes what might normally take you hours. Which leaves you more time to go golf or spend time with your family, whichever you love more. For example, you can create a workflow that flags and merges duplicate contacts, keeping your database streamlined and accurate. Regularly train your team on best data practices to ensure everyone is on the same page. And remember, improving data hygiene is a team effort. Integrate third party tools that's another thing that you can do because sometimes HubSpot built in tools maybe aren't enough for you. Consider integrating third party tools that specialize in your specific data cleaning needs. Tools like in cycle data management and deduply in the HubSpot marketplace can provide advanced data cleansing capabilities, ensuring your data remains accurate and up to date. And I know the next conversation you might be asking yourself is Operations Hub versus third party? But hey, that's a totally different video because these tools can help you identify and correct errors, standardize data formats and remove duplicates more effectively. Now yes, HubSpot Operations Hub can do much of that, but maybe you don't have Operations Hub. Then lean into these third party integrations. Make sure you set up error notifications. Mistakes happen, but it's crucial to catch them early. Set up notifications for data entry errors and follow up promptly. HubSpot allows you to create notifications that alert you when data entry errors occur. This way you can quickly address any issue before they snowball and they will into bigger problems. Prompt actions ensure that your data remains clean and reliable before someone uses it and makes it a mistake that potentially erodes your brand and trust with your potential buyers. Create a data governance plan. A well defined data governance plan is essential for maintaining data hygiene. Outline who is responsible for data hygiene tasks and establish clear data entry updates and maintenance protocols. Assign roles and responsibilities to team members, making sure everyone understands their part in maintaining the data quality. Regularly review and update your data governance plan to adapt to changing business needs and make sure ongoing data cleanliness is actually happening. You see, improving data hygiene is not a one person job. Again, it's a team effort. Regularly train your team on best data practices to ensure everyone is on the same page. Provide ongoing education on the importance of data hygiene and how to maintain it, and encourage a culture of data cleanliness within your entire organization. Trust me, your future self will thank you later down the line. When everyone understands the value of clean data and their role in maintaining it, you'll see a significant improvement in data quality. Implement a routine cleaning schedule, whether it's monthly or quarterly to prevent data decay. Regularly review and update your data governance plan to adapt to changing business needs. By prioritizing data hygiene, you can save time, reduce costs, and improve the effectiveness of your marketing and sales efforts. Maintaining clean data is an ongoing process. It requires regular audits, continuous training and the use of automation tools. By making data hygiene a priority, you can ensure that your data remains clean, accurate and reliable. We've covered what data hygiene is, its financial impact, common issues, and how to improve it in HubSpot maintaining clean data is an ongoing process, but trust me, the financial and operational benefits make it worth the effort.
