Sales Hub

Recording of a HubSpot Admin Hug session (hosted by Deanna Giloff) focused on Sales Hub product updates and demos. Speakers from HubSpot (Melissa, Sasha, Will Hughes, Clay, Ryan and others) presented new public-beta features including the Meetings experience, Sales Meeting NoteTaker (live and in‑person), Prospecting Agent, updated Tasks/guided actions and related manager/aggregation views. Much of the session is a live Q&A covering integrations, language support, betas, privacy/consent, and roadmap asks.

Foreign. Welcome to another wonderful session of the HubSpot Admin Hug. I'm very happy you are here and you're joining us, making this your weekly connection with all of the other admins in your life. I am your host, Deanna Giloff and always a big, big, big thank you to all the community members in the front and behind the scenes that are helping out while we have Kyle on paternity leave. If this is your first hug, well let me be the first to welcome you and let us know in the chat where you're joining us from and how long you've been using HubSpot. And to all of our regulars, I'm happy to see you again. And we have another jam packed list guest list today, so we're going to breeze through Housekeeping nice and quick and get it through it. So here's your housekeeping resource list. You're welcome to look at this at any point in time. This is always available to you. Your upcoming events are here. I've got everything except for one. We've got a guest that wasn't able to join us, so I'm going to have to find another guest for us in the middle of November, so keep an eye out for that. I will send out a notification as soon as that is available, but all of the remaining 2025 events are loaded here and I'm working on 2026. So if you've got any suggestions, make sure you're putting those in the feedback form and we'll get them up. I did put in sessions for when we don't have hug meetups just for, you know, a block on your calendar. Take, take that time, use it for your own personal self development. You've already got it blocked off hopefully and you'll be able to use that time for yourself. All right. If you do miss a session, we do have those events on our YouTube channel. You can check those out, watch them at half speed, watch them at 2x speed. Give yourself the ability to go in and research and find all of those things that you were looking for during sessions. We also have a wonderful LinkedIn group. Make sure you're going in there chatting with your fellow LinkedIn activity admins and if you have any questions or you've got any needs, go ahead and feel free to use that. That's your channel. I make sure that anything that I find that's of value to you, I'm putting it in there. So feel free to do the same thing. We also have a space on the HubSpot community. It is also another space that you can go and engage with other HubSpot members. You can go join the HubSpot admin group, you can go look at other groups, but that is all there. There are wonderful posts by our other boot camp members, like Debbie, she's putting the Bootcamp in there for you guys as well. So make sure you're checking back on that space. The show and Tell is coming up in the middle of November. If you haven't gotten your submission in and you think you've got something awesome to share, put it in there. Even if you have something that you think, hey, you know what, this saves me some time. I want to share it with the rest of my admin group. Put that in there as well. I want to hear from you. We're going to keep. We're going to do those a lot more regularly next year, so get one one a quarter. So the more you share, the more I can invite fellow members up here and share your amazingness. The Super Admin Boot Camp is already full for 2025, but it looks like 2026 is coming again. And there are a ton of other boot camps that you can go ahead and get on the waitlist for and register for for next year. So make sure you're doing that as well. We have this wonderful platform, Bevy, she does what she does and sometimes we're at the mercy trying to try turning it off, turning it on again. If you're not seeing what's going on, if you can't hear what the speaker is saying. If you're having some trouble, try rebooting, making sure you're using Chrome and get that re going for yourself. We do this every single week. We are here, but I need your help figuring out what's on the calendar and who we're inviting to come share with their amazingness with us. Make sure you're submitting those ideas for the upcoming hugs. I want to hear from you. Otherwise you get to hear who I want you to hear. So make sure you're doing that. Connect with myself, with Kyle, with Janine, with Janine and the rest of the other admins. Those are all there. She's sharing those in the chat. We also have a space hiring for HubSpot. If you know of a role or if you know someone looking for a role, make sure you're using that. As many jobs as I can find that are adjacent to HubSpot as possible, I'm putting those in there. So that's another resource for yourself and for your fellow HubSpot users. All right, I am done talking. I would love to welcome the sales team and go ahead and Melissa and Sasha, you go ahead and take it away.
Hey, everyone, I'm Melissa. I'm the product manager on the meetings tool here at HubSpot, and I've been working closely with my coworker Sasha here. So I'll let Sasha, you introduce yourself as well.
Thanks, Melissa. Hi, everyone. I am Sasha. I am on the transcriptions team here in Sales Hub and my team handles all things sales meeting note taker. So definitely happy to answer any questions that I can about that with Melissa.
Nice. Um, well, both me and Sasha were inbound this year and it was absolutely amazing. Um, I think we were like, totally swamped the entire time. Um, but it was a really, really good, busy feeling. Uh, this was also my first year doing any kind of like, speaking events at Inbound, which was super nerve wracking, but very, very rewarding. Uh, getting to meet a lot of new people and get a lot of good feedback and just get to see some people face to face is always nice. So I'll share my screen for a little bit and we can take a look at just. I mean, I guess what this event is all about is kind of like a recap of Inbound. So I'll show you some of the things that Sasha and I showed off at Inbound this year, and then we'll share a little bit about what we have coming up too.
Sounds good. All right.
Okay. So at Inbound this year, we had two things go to public beta. We had our new meeting experience in the sales workspace, which helps you with meeting prep and follow up. Go to public beta. And we also had our sales meeting note taker go to public beta as well. So let's take a quick look at our meeting prep experience. So here's a meeting that I have coming up later today. I can click on it in the sales workspace and I'm taken to this meeting prep section. So here you can see all of your full meeting details. You can make any adjustments to the agenda or the description from here if you needed to. You also see anyone that's attending your meeting, so you can jump into their contact record, take a look at the company that they're associated to. But also we wanted to do a lot more here. We didn't want this to just be like a duplicate of what you see on your calendar. We have so much data in HubSpot. We really wanted to find a way to help you sift through all of that data. And get the most relevant context before going into a conversation. So what we have on this screen now is a place for you to store all of your internal notes for that meeting. So whether these are notes that you've left for yourself prior to going into the conversation or notes that you want to leave here just as you're taking the meeting, or maybe these were even notes left for you by another one of your reps on the sales team. You can see all of that info here to make sure you're like talking about the right things on the meeting, or I mean opposite, like not talking about certain things you want to make sure to not talk about. You also get some updates from the prospecting agent here. In this case, this meeting was booked for me through the prospecting agent. So I have a quick link here that lets me go back through that email history with the prospecting agent and make sure that I'm fully up to speed with what's already been shared in those emails. We also have a section for pain points and tips. Something that we really wanted to do here was make sure that we're providing an option for you to not have to go back through a ton of email threads and re listen to calls that you've had in the past and go back through all of your notes that you've logged when we can use AI now to help you aggregate all that data together and identify pain points that have come up in those recent conversations. So here you can see that there have been some, like budget constraints, some adoption concerns, some concerns over the success of the sales team. And because HubSpot knows who you are, we have your domain here in the portal. We're also suggesting some tips for you based on your industry, like what your company does and those interactions that you've had with the prospect. We also surface any recent webpage visits. So if you wanted to get a little bit of a recap of what this prospect has been looking at prior to the meeting, that could help you kind of assess what you want to talk about. And then we have a summary of all your recent activities too. So once again, just saving you time, making sure that you're not having to jump through like all of these details. We just surfaced them all for you. We also surface any associated deals that you have to so you can take a look at your deal score. Any deal insights, buyer risks, company research, all that good stuff and what's really cool and exciting. And what Sasha has been working on is our new note taker here. So for this meeting, I know that My notetaker is set to join that conversation. So whether it be a zoom meeting, Microsoft Teams or Google Meet, your note taker will join that meeting alongside you to automatically record and help you get all this data into HubSpot that we'll use for the post meeting experience too. So what I'll do now is I'll show you jump into a meeting that I had previously. Let's take a look at this one and here's what our post meeting experience looks like. So you can get the full like audio and video, you get the full transcript of that conversation and then from that transcript we're going to give you a meeting summary here, any keynotes and a breakdown of all the different topics that were discussed in that meeting. So giving you a quick way to get up to speed or even share this conversation with some of your coworkers so that they're in the loop on what happened in this meeting. We'll also show any action items that were extracted from this conversation as well. So you have like a quick link to send a follow up email here and then in this case I've actually already checked off my follow up items. But if I had said like I'm going to send you this KB article after the meeting you'll have a quick little Create task link to remind yourself to send that KP article. So that is what we showed at Inbound. We do have some more exciting things coming too. Our dream for our meeting preparation experience is for it to be like a lot more adaptable and dynamic. So if you were going into a discovery meeting, we know that you all have a lot different context that you would need going into a discovery meeting versus a demo meeting for example. We're working on that to make sure that you have the most relevant context. We'll also be working on admin customization so that admins are able to craft a perfect arena for meeting prep for your sales reps. We're also working on a composable interface that lets you interact with Breeze to ask questions as you're preparing for that meeting. I'm actually going to be recruiting some beta testers this week for that, so if anyone's interested in turning your meeting prep space into more of like a composable interface, let me know. I think my my email and LinkedIn will be shared after this meeting, so I'd love to find some people that are already interested in the meeting preparation experience to help us turn it into something even better. We'll also be working on tailored meeting summaries. I'VE gotten a lot of great feedback from y' all saying that this is cool, but you want it to do a lot more and, like, be a lot more specific to, like, what your business cares about. So that's something that we'll be focused on as well. And then Sasha here is going to be focused on our notetaker and making sure that we have a lot of improvements coming there to get it ready to be live for everyone one day. I think one of the biggest things that Sasha has been talking about is better language support. So for anyone interested in that, for the note taker and anyone interested in giving more feedback and helping HubSpot grow their note taker into something really helpful, definitely reach out to Sasha as well.
Thanks, Melissa. Yeah, just to add, I saw a message about language support in the chat, so that is coming. We don't have an exact timeline yet, but language support is coming and we are continuing to make a bunch of reliability improvements to the note taker as well. So stay tuned. And yeah, definitely fill out the form in the chat if you are interested in being part of the NoteTaker beta or Melissa's beta that she mentioned earlier.
And then I do a horrible job keeping up with chat as I'm chatting. So I've read none of that. So would y' all want us to start looking through those now or do you want to save that? Towards the end of the hook, we.
Had a bunch of them put over in the Q and A, so we could probably collect that at the end and it's likely some of those will get answered as conversations happen. So that gives everyone else enough time to go through and we can answer them at the end.
Awesome. Sounds good. Well, thanks for letting me chat, y'.
All.
I'll pass it to Will.
Awesome. Hey, y'. All. Pleased to be meeting everyone, apparently. I'm so excited. I joined this meeting twice in a pursuit of troubleshooting some technical issues. Being joined by my colleague Clay here. Clay, would you like to introduce yourself?
Hi, I'm Clay, work with.
Well, awesome. So we both work together on prospecting agent and on research. So today I'm going to walk you through, like a brief high level of what we shipped at Inbound and talk a little bit about the future. Are we able to kick the other me from the meeting? I can, like, hear myself.
I can't. I can try. I'll keep trying.
Interesting technology. So let's get started and I'll show you. So the prospecting agent works very simply. You think of one. I want to Configure my campaign which we call a selling profile. We now let you set up multiple of these. So set your message, your tone and your goals. Then begin enrolling prospects. And as you enroll prospects to the agent, it's going to start pulling the latest CRM data, the latest info from their websites, recent news for each contact in their company and it's going to draft hyper personalized outreach and follow ups that either fire out of your reps inbox based on contact owner or whatever property or you I have lots of small dogs or it's going to propose it for them to approve manually and send off on your behalf. The three ways we put it to work typically are one cold out on outreach we see a lot of teams using this to just outreach. I apologize, give me 30 seconds. Thank you. So using it for cold outbound, using it to scale their outreach. Very good at sort of using research or if you have any information on these prospects in your CRM event, follow up. So again another thing where it can leverage the latest CRM data you have if you took any notes as you're meeting with those contacts, it'll be able to reference that in the email and inbound follow up if you don't want to miss any leads. The prospecting agent is a great way to do that and always ensure you're following up in a personalized way. And then there are two fundamental approaches we have. There's adaptive which is our sort of you give the agent the guardrails, the agent responds and drafts outreach and decide what's to do based on the latest signals and engagement or scheduled outreach which is you know, the outreach is drafted, it sends on a fixed schedule but it's written with AI and what's coming next. You know the good part with all these, a little bit of preview. So we're looking at multi channel support, improving our processing agent setup experience, integrating directly with segments to allow you to scale the agent more easily and integrating directly with tasks to help your reps have a complete workflow. So if you're interested in any of these things, please reach out to me w hughesubspot find me on LinkedIn. We'd love to get you in that beta very soon now. A very brief demo, just showing some of that off so you can see the agent. I give it a bunch of contexts via workflow and now it is drafting outreach based on them and it's telling me hey, you can approve this outreach. So here you can see it's, it's leveraging my own methodology. I'VE taught in it which is doing this quick question and then following up with a well researched question, you know, trying to get their attention. You can do this because the agent is so customizable. So you can train things like specific value props, it's pitch. You can choose what mode it's in whether your reps are have to approve emails for it to send them out or they fire out automatically. You can even support up to 200 languages. So whatever the preferred contact language is of the contact in the CRM, our agent can draft emails in that language and it has smart matching. So again you can throw a bunch of contacts at the agent and it'll know based on contact owner who I'm going to send out of. And then one of my personal favorite parts is custom instruction. So you can here's how I gave the agent my specific instruction. Starting with that quick question. You can tell it to tell a joke. I can say, hey, be sure to mention any recent growth signals you see in the news. If they have a product launch, definitely mention that. All the way to don't use more than 20 words in an email. If it's an executive, just like you would train a rep. That's our intention. So you can train write these prompts and then help the agent follow and we'll even tell you what it's understanding and when it's not understanding your prompt. So the idea is you can train these as basically microgpts and then as you enroll contacts your reps don't have to worry about. Where do I go? We serve them to them the silver platter in the sales workspace. So they get a personalized queue of all the emails that need to be approved by the rep that are firing out of their inbox. And we've also announced that we now have customizable research from the CRM. So you can see, thanks to Clay's team, you can now totally customize the customer research agent. Have it look for exactly the type of de research that your reps and your team need. So that's a brief overview. Happy to open it up to questions or just sort of see what's put in there and we can respond or I guess I will trade off the third person. So we're going to keep QA to the end is the plan.
Yeah, let's do that. Just because they're all being collected in the Q and A tab and being upvoted so that we focus on the top ones. So we want to move through then.
Awesome. Sounds great. Ryan, your turn. Cool.
Sounds good. Thanks, Will. Looks like I can't share my screen still.
There we go.
Give me one second here everyone. I'm the product manager for Tasks and guided actions within HubSpot and essentially what I wanted to showcase today is that as many of you know, there's a lot of different execution experiences within HubSpot and we're trying our best to unify it. So what you see here is one aspect which is Execution Queue, where you have a three panel perspective which is really good for high activity workflows. But for some people that prefer task queues, this where you basically work out a task over here within the CRM, see if I can pull that up. You'll see that you're brought directly into the record. The goal is how do you find a middle ground approach where we can unify this whole execution experience together. That's essentially what our team is working on. We're still going to anchor on the background. When you're working on a task, you'll still have the record in the background view, but now you'll have this updated task list similar to Execution Queue, where you can get a lot more context to your upcoming tasks. This allows people to work not only high activity tasks, but also if you want to work more, what we call data rich perspective, you can still do that here within this view. I would say the second thing our team is also working on is repurposing Guided actions, which is our recommendation platform. We're now trying to make that more like suggested tasks and bringing that into the task framework. Right now you're seeing suggested tasks or these guided actions within the summary tab, but now we're expanding this not just within the task tab within the sales workspace, but also tasks within the CRM as well. And think of these as HubSpot ingesting a lot of these first party data signals to let you know when's a good time to perform a task that you might have missed. So for example, over here we noticed that you just had a meeting, something that maybe Melissa's team has curated. We're able to recommend, hey, maybe you should follow up with them if you haven't yet done that. And same thing also goes for re engaging like a deal that you sent an email to but haven't yet received a response back. So really making sure that we're integrating with people's existing workflows is another part of our team's mission with the suggested Tasks and recommendations system. But yeah, that's pretty much all we have on our side. But pleasure to meet everyone and happy to answer questions afterwards.
Love that. Yes, I do hear beeping also everyone. So you're not losing it. So sometimes.
Yeah, my fire alarm's going crazy right now. Trying to diagnose that while trying to do this at the same time.
You know, it's fine. So it's just a group of friends here. While Ryan gets his car alarm sorted and everyone else gets their questions in, make sure you go over to the Q and A about your favorites. Add any that you've been thinking of. If you missed getting one from the chat into the Q and A, go ahead and get that there. Now, I'm going to give you another minute or so and while my car alarm is not going off, the lawn people are here. So I have lawn going on while I'm trying to talk. So I think that should give you enough time to get your questions in there. But let me see. All right. Oh, we've got a ton in there. All right. It looks like Francesco says we use Microsoft Teams. Do we need to install the teams app in HubSpot to be able to use Note Taker? Does it only work for meetings scheduled via HubSpot?
You do not have to have the teams integration in order to use the Note Taker. All that you need to do in HubSpot is have your calendar connected. That's how we can make sure to see the location of that meeting and send that Note Taker into the conversation. The meetings also don't have to be booked through HubSpot. You could book them through your external calendar. As long as they are synced into HubSpot at the end, you should be all good.
Awesome. Michelle wants to know, does the Note Taker only join meetings booked through HubSpot link which you went through? What if it gets scheduled outside of HubSpot and the Google Calendar integration is connected? Can they can it still attend? So yes.
Beautiful.
Love that. When will service Hub seated users have access to meeting Note Taker?
Such a good question. We are only in sales seats right now, but there's a lot of active talk happening now about how and if to expand in the future. So I don't have a timeline right now or a definite answer, but it's for sure something that we're all talking about.
Let's see. Stacey wants to know, can the company research agent also include CRM record history? Have we pitched them in the past? Why did we lose? Who are we talking to before?
Yes and no. So it does have the ability to look at the CRM. It has the Ability to look through the record and it can look at notes and everything like that. But it's not every single time running the research, running through every single transcript. That's, that's been, you know, every call, every meeting, every email. So it can find information, it can search the CRM, but there might be some limits as to how deep it can go.
And there was some talk in the chat itself about sales or service seats also having a use case for meetings as well. Just because those two conversations are happening at the same time. Let's see, resort, we got some new ones coming in. Amy wants to know is there or will there be a central place for meeting reviews? For example, in Gong, the sales manager can pull up all of the reps meetings together.
So right now we have a meetings index page in beta. We're actively working on some enhancements there so that you can get all these like meeting summaries and some of the things that I showed off when I was demoing earlier right there on the meetings index page. But we also have some other teams starting to think more about kind of aggregating that data for a better manager view. So nothing, nothing specific I can share just yet, but you will see some small improvements coming in that area.
Awesome. All right. And I did drop the link for the feedback in the chat again just so that if anyone has any additional follow up questions or the team's not going in enough detail for you and you did ask the question, you want to contact them more specifically on your use case, you can go ahead and add that back there. Let's see. We have, let's see. Tobias wants to know there's a lot of repeating work when setting up market ICP and selling profile and prospecting agent. Could this somehow be made smoother?
Yeah, definitely. Something we're thinking about right now is how do we help the project or the prospecting agent plug into sort of the Legos or company intelligence that you've already built. Things like icp, like segments. Definitely something that's very big on our mind and hoping we're looking to get you some exposure in that beta. So if you're interested in that, love to hear from you and get your early feedback.
Is this meeting note a pro or enterprise feature?
The meeting note taker and the experience that I demoed where you can see that post meeting screen are both for sales pro and enterprise.
Elaine wants to know can you stop the recording while on the call if the client asked to not have it recorded?
Absolutely love that.
Good answer. Carolina wants to know we Found that the insights and news that the prospecting agent pulls from other companies are not often related to nor relevant to the industry. Is there something we are not setting up right, like the buyer intent or are there plans to target those insights to match each company's industry better in the future?
Can you repeat the question?
Yeah. Is there a setting basically that needs to be turned on so that things like buyer intent or industry are able to be turned targeted more specifically so that irrelevant or uninsightful insights are being pulled in?
Is this referring to the company research or the emails that are being sent?
This is prospecting agent from other companies. It looks like it was about the same time that meeting, the meetings were being discussed. So Carolina, if you have additional details you want or anything more specific, could you put that in the chat for the team.
At a high level, a way to get them the agent to focus on particular set of signals. You can use those instructions I showed you and say hey, be sure to mention these signals if they've recently occurred. You can have it sort of directed to like pick particular pieces of content, but definitely the configuration signals like letting you have a finer configuration of the email and like what signals are being pulled in. That's exactly what we're thinking about and something we're hoping to bring into this next phase in this data.
Let's see. Does the prospecting agent take into account previous conversations or is it only for new prospects without any outreach? When we tried the prospecting agent about a month ago, it didn't take into account the communication history of the contact.
Yes. So we do look into the communication history of the contact. We list the specifics in the knowledge base. Off the top of my head, I think it's the past year. It can access the form submission, page views, call notes, meetings, any notes and then email opens and email sends. But it does bias towards what's more recent. So if you're looking at to do very nuanced sort of hey, reference this old interaction we had or hey, I'm really trying to to do say re engagement, you can kind of sort of instruct the agent to do that via the custom instructions I showed.
Could you all for the different betas that you shared, could you share those links in the names of them in the chat so that everyone can go in and find them in their own portals and sign up for them if they're interested and then if it does apply to a specific tier, just share like is it pro or enterprise or all that would be great. Then that will answer Rachel's question. Let's see. I wish there was a way for super admins to remove meeting scheduler links once a user is deactivated. Sounds like a feature request from Stephanie and a thumbs up from Melissa. I'll double click on that one. I agree. Let's see. Jake wants to know can you quickly touch on the new in person Notetaker through the HubSpot app? Jake, I think you're going to have to add a little more detail to that.
We do have a different beta that I did not talk through but we have an input meeting Note taker on iOS. So if you're using the HubSpot app and you're going into an in person meeting, you can click on that meeting in your app and there's like a little like microphone icon I think it is that you can click on and it will listen to that in person conversation. I think just one big difference to call out for the in person meeting notetaker is that the data that you get from that in person meeting will still surface on the screens that I showed earlier. If you pull up a meeting on your desktop and you're looking at that post meeting experience with the in person note taker, we're only storing a summary of that conversation. So that's just something that I want to call out. Like we're not keeping the full transcript or like the audio recording, we're just keeping a summary of it. But yeah, I can. Anyone else that has questions on the in person notetaker, I can definitely connect you with that team as well. But that is my spiel on what I know about it.
Sounds like that. Have to check that one out. Let's see. Jake wants to know.
Kim?
Nope, we just did that one. Sorry. Paul says what is the expected migration timeline for the updated sales workspace? We already have the current workspace so we're still in the current version that may be interested in having those CRM views sooner rather than later. Any timeline on rolling that out fully? Anyone know?
No.
Something that we'll have to push push it into the rest of the team and find out.
Yeah, I don't think we have the right people from that.
No problem on the call. That's okay. Let's see. Suzanne says are the pain points pulled from calls and emails recorded in HubSpot. So you kind of touched on that additionally.
Well.
Let'S see. Michelle says what if we are using a meeting recorder like Fathom Michelle, that was definitely before all of those other questions. If there's anything you want to add to that I know Melissa touched on how to add the different meetings from all the other sources, but if you have any further questions, definitely put that in the chat. Joshua wants to know what's the story around other note takers being able to pass in transcripts and media if we don't use the HubSpot NoteTaker.
So for third parties that do want to provide transcripts to HubSpot, there is an API that they're able to use and I think it's it's just a matter of if those third parties choose to pass in the transcripts.
I'm going to resort because I saw some more upvotes happen. Are there any plans for meeting based workflows? Would love to automate the booking of meetings based on a set of triggers or criteria like a known date, time property and a record being assigned, for example.
I want that too. It feels like forever Slowly making progress towards the concept of a meetings based workflow and I feel like each time I'm doing one of these talks we're even closer but still not quite there yet. So it's something that we're still actively thinking about. There's just a little bit of cleanup that we need to do on some meetings properties to make sure that no one gets themselves in a horrible state because workflows can do so many amazing things. That's probably what's taking the longest amount of time is making sure that we're doing our due diligence and not letting any of you all get in a bad spot. One day I hope to announce meetings based workflows, but for now it's still a deep work in progress.
All right Melissa, we'll hold you to that. We'll bring you on the hug, share it all with us and we'll all be very excited about it. I'm going to read both the question and the answer and then you guys feel free to add additional details. Paul wants to know can the link in the meetings note be more obviously surfaced in a record or have its own quasi index page? Right now the only way to access the meeting notes seems to be by going to the contact record. Then activities and expand expand the activity for that meeting and then click View Meeting and Melissa, you said you're correct. Some of the improvements to visibility and findability are very high on the list. We have a meeting index page and public beta and we're actively working to make sure the summary's notes are available. There is anything we'd like to add?
Nope, that sounds good.
Perfect.
Love it.
Jose Wants to know. I'm getting lots of pushback from my sales team in the US and EMA to have customer calls recorded. Any help arguments to help adoption on this would be greatly appreciated. From other CR admin in other organizations.
I put like the longest spiel in there but if any admins want to chime in, I feel like that'll be a lot more valuable coming from you and how you're talking about it with your teams. I love it.
This is a good opportunity for any admin who have that. Those resources or have that talk track to share with your other admin to say, hey, like I'm happy to tell you how I was able to do that. Caitlin, is that a volunteer? I'm going to hit approve and let you volunteer. If it wasn't, go ahead and tell me you were just clicking buttons because that happens. That's okay. It does happen. Gene, I'm going to hit your button. Go ahead and. Okay, here I am.
So we're not there yet. I think this is probably a struggle that all admins have with stuff like this, but we're really trying to emphasize how the handoffs happen. So so much with our process is just lost because we have pretty long sales process and a pretty long order process with multiple departments involved. So it's just hammering and hammering and hammering on how much information happens in those meetings that the salespeople just kind of they know in their head. But there's multiple people within the organization that need to know and you know, scrolling through all the emails and hoping that you're going to find the nugget. Most of that stuff happens during the meeting. So I would suggest you just really emphasizing what the value it is to, you know, in, in your handoffs from sales to the other parts of the organization. That's I think that's the only way I think we're going to be successful with it.
Let's see. Karen, you said you would want to share your thoughts as well. Can you go ahead and hit request for some reason Bevy showing me two of everybody today and I don't know which one is you. All right. And while that happens, I will go back over to the Q and A real quick. Keep us moving. Let's see. Most voted. So many questions still in here. Let's go.
Will we be able to change the.
Cadence of outreach days between for the prospecting agent and will SMS be supported soon? So slightly different team, slightly different question. I will make sure that this goes over to the HubSpot side of the house and I can.
I can handle that for the prospecting agent at least.
Okay.
So currently in the adaptive SIM mode, we do support changing the minimum days between emails as well as the maximum number emails and sending, and we're looking to bring that very, very soon to the schedule. So, best of both worlds, being able to see and build that sort of sequence of outreach, have it be multichannel, but also have AI content in those outreach steps.
That's awesome.
All right.
With the meeting note taker, will it keep internal meetings out of the CRM as long as the domains are on the never log list?
So the note taker will not join internal meetings and internal meetings won't sync to the CRM. Except there are some stipulations there. So, like if you're meeting, like if I were to book a meeting with Will today, like we're both on the same email domain, Will is not a contact in my portal, so that meeting will not get synced into HubSpot. But if I had added like Will's Gmail address and I had added Will as a contact in my portal, my CRM is going to see Will as an external contact and our meetings will come in. So, like, one thing to call out is that with emails there is this concept of a never log where you can say, don't sync in emails from these specific domains. That is not something that exists for meetings today. It's something we've gotten feedback on, so it's definitely something we're going to consider in the future. But right now, meetings does not have a never log concept.
Are you exploring ways for admins to manage meeting links in bulk? For example, ensuring all of the reps use the same calendar link for a campaign or account review, or automatically creating default meeting links during new user onboarding.
Sorry, I froze. At probably the worst time ever, I heard something about meetings and that was all. Do you mind repeating?
Yeah, sure. Are you exploring ways for admins to manage meeting links in bulk? For example, ensuring all reps use the same calendar link for campaign or account review. Or automatically creating default meeting links during new user onboarding.
Ooh, nothing specific in the works right now, but I like that idea.
I like all of those ideas. As someone who has to go, no, no, don't click that. Don't. No, don't click that. Click that while you're watching the screen. Definitely helpful. Let's see. Amy says, is there a way to access these recordings transcripts existing to automate whether a meeting was completed or not?
Not right now. I would love for like workflows Once we have that functionality one day, to be able to see like, oh, this meeting has ended. Oh, it has like a transcript. I'm even like seeing these participants speak in the meeting and be able to like automatically mark it as complete or, you know, automatically know that it wasn't a no show because we're seeing like active conversation happening. So not possible today, but I would love for it to be possible in the future.
Yeah, we got another request. Request for enrolling the workflow. Let's see. Karen says we don't use companies or related functioning functions. Is there a way to remove prospects from the sales workspace? It's caused confusion for our teams.
There's no way to currently remove it. Although in the. I'd be curious which version of the process or sales workspace we're using right now. Because in the new update it's definitely de emphasized. It's only on the summary.
That's not the same Karen, but that's the Karen from before. So I'm going to click that button and let Karen share with us the ability to help sell the space to the team. And then Karen, while this Karen's talking, if you could put your information in the chat, that'd be great.
Thank you. Sorry, I didn't know you had to raise your hand to be able to. To speak, but I just wanted to share. So we are using the Fathom note taker and we have for some time and I'm looking at the HubSpot note taker and doing a little bit of an internal comparison. But how we kind of explain this? I mean, our team was super happy to have the calls recorded because it's just created so much inefficiency in terms of being able to share information with the wider team. But a big concern for me as an admin was, you know, to make sure that we got consent from the customers that we are recording their calls. And so very often what the team may say is, you know, hope you don't mind. I've got the recorder on so that I can be fully present in the call and super happy to share this with you as well. So you can, you know, share it with your team and any of the stakeholders who were in part of the meeting. And so that's been, you know, fairly well received because obviously they can get the same summary, you know, or a variation of a summary that we send to them. And it's super helpful. I mean, I'm not sure if HubSpot does the same, but it actually creates tasks or actions for you off the back of the summary. So if someone said hey, I'm going to share this or I'm going to follow up with this person, it outlines all of that in the summary. And so it's kind of helpful to use that in your follow up email with the prospect that you should be sending fairly soon after you've had that meeting to say, you know, here's the other meeting notes and it summarized these actions. So that's how we've kind of gotten around it because it's helpful to the prospect as well to have detailed notes that summarize, you know, both parties next steps. Yeah, it's not always, not always applicable. So I know like in the German market I often, I mean even for myself as a rev ops manager, like I'll have a call with a vendor for some reason I won't put the note taker on just because I know that they're sometimes funny about that stuff. But we rarely had a prospect that was like, hey, can you turn the note take off? They've been quite receptive and our prospects are predominantly in Europe and the us so just to put that out there.
You're on mute.
Of course I'm on mute. I'm never on mute until the time I'm on mute and then I can't click the button. Let's see. Darren wants to know, are there any plans for mat based meeting experience? Some tools used in the field management we use include pin drop and radius to enable scheduling meetings when a rep is in the area.
Sorry, the ask was a map based.
Map based meeting scheduling with the rep. Round robin but location based. Neat.
No active plans for that, but I'd love to learn more. So if you want to reach out over email or LinkedIn, I'm curious.
Darren, that's your invitation. Go ahead and reach out. Let's see. Heather, put this in the chat. I moved it over. Can you customize the notes and summary formatting to a specific format? I also have that question.
Not right now, but I feel like that's our biggest piece of feedback that's come in. So it's really, really high on our list. We're starting to look into it now. Yeah, sneak peek into the future. One day you'll be able to do that. I feel like that's what a lot of the other note takers provide today. So we would love to get up to par with that area too.
What does multi channel support mean for the Prospecting agent calls LinkedIn. Big question mark from Michael.
Exactly that. So calls tasks LinkedIn all the channels you're used to using now.
I resorted everybody. So if you went in and upvoted, I'm trying to find you. Casey wants to know is there a future where the meetings notetaker and meeting follow up agent are connected so the transcript can get added automatically?
Might need more details on that one.
All right, Casey, you're up in the chat or come off. That works too.
Hey Casey.
Hello.
It just felt easier. I'm actually making lunch so it felt easier to. To talk than to explain. So there's a new agent in the, in the many agents that I was really excited to try called the. What is it like I caught. I keep calling it the meeting.
Oh, is it the call recap agent Agent.
That's exactly it. That's exactly what I'm thinking of. But right now you have to paste the transcript. You have to paste the full transcript in. I was really excited about it because I naively thought that it was connected to recorder and everything already.
Yeah.
And it is not today, but I definitely think that it should be. I actually have a to do item on my list this week to get more up to speed with the capabilities of that agent and figure out how it can better plug into the meeting experience. I'm hoping that's our, our intro into getting the more like customizable meeting summary is through that call recap agent. So I have a little bit of research to do but I hope it's going to be a good addition for us.
Cool.
Because yeah, I mean I think it would be good for adoption of the meetings tool if the reps are getting some sort of like benefit being their call recaps are sent automatically.
Absolutely, I agree.
Thank you, Casey. Jeremy has a qualifying question for every full time employee in their company is a HubSpot contact. So will the meeting functionality still ignore those from the domain? She had said it. It will ignore them from the domain, but only if they're a contact.
So yes, if you are storing internal users as contacts in your CRM, I imagine you could end up in some weird spots. I will say though that if you do choose to do choose to do that and you're in the same scenario like I described with me and Will earlier, where both me and Will, our emails match the email that I have in my CRM, like the domain that I'm using, then that is considered an internal meeting and we will not sync those in. But if you have like a different email domain associated to Will and you're storing him as a contact, we will Think that that is an internal meet or an external meeting and we'll sync that into your CRM and if you let us, we will record it.
So basically, if you've got them stored in there and you don't want it recorded, say don't record. All right, let's see. We've got a few more minutes. Let's try to get a couple more in here. When prospecting agent references CRM activity, what if there are emails that contain sensitive information or emails that were one contact, maybe an executive that shouldn't be shared with other contacts at a company.
It shouldn't reference like other emails of other contacts at a company in outreach to a different contact. That's sort of a guardrail we've intentionally set. So as long as that data hasn't floated up to the company record, it shouldn't be leveraging that.
Okay, Beverly wants to know any plans to add hidden fields to meeting forms so that we can potentially add some additional source tracking. I like that question, Beverly.
No active plans right now. I feel like the question that's always in my head is like, how far do we take the meetings form versus when do we just start using the full does everything HubSpot form for all of that and just plug it into meetings? What I would hate to do is build almost the same version of HubSpot forms but like a meetings equivalent. So. So a lot more research to do there. But hidden fields is definitely one of the big asks that we've had so aware of that feedback. It's great feedback and I will keep it in mind for sure.
Yeah, I'm going to speak for a lot of users and they can feel free to tell me yes, no, maybe. So a lot of times when I'm using a meeting link, I'm like, man, I really wish, I really wish, I really wish. I'm just going to use a regular form and then redirect to my, my meetings link later. So I know, I know that's a pain because I've definitely experienced it even very recently. So I will fill out the feedback form and share that as well. So make sure you guys do that too. All right, let's get a couple more questions in here. Are there any chatter around subtasks? I heard that is something that projects is going to have but would be something for all tasks in general. So tasks on any sales activities. Deja, if you have any additional feedback or use case, go ahead and put that in the chat. Let's see, Karen got lots of Karen's today. Follow up on the customization of sales worksheets workspace not wanting to see prospects. We have not yet been migrated to the new version. Is there a way to get bumped up on this list to do that migration now? Is that something that would be have Karen put their contact information on the feedback and let you know or is there something that they need to wait for when it rolls out?
They they should be able to opt in. I wonder if we took the opt in out for now but we can check on that for you Karen.
That would be great. So many little questions. Let's see lots of requests for that beta list so if you haven't put that in there please go ahead and do that. It here's a very generic question but I think it's a good a good level set. Tracy wants to know is the prospecting data good for B2C and if so, let them in. Let her in.
Personally I think it's more of a stronger fit for B2B but I have seen customers use it for B2C with workarounds with using instructions to get the output of the emails to more resemble what they want. But I think primarily probably is the way I think about it.
Let's see. Shell wants to know who do we have to hit up for the map beta access. It's not out yet, not built yet. See does the prospecting agent work with contacts, companies or both Basic questions. Those are good.
It works with you can enroll companies we will force you to pick some contacts that ultimately you want to sort of enroll outreach to. So at the end of the day you need a contact with an email address if you want to just use the resources research, functionality and isolation like Clay was talking about the customer company research agent that does not require contact for you can get that deep research CNA.
Perfect. I'm going to share the team's LinkedIn profiles in the chat. Is anyone opposed to their email going as well? Are you guys good? Beautiful. I'm going to do that as well and like I said, I will also share the feedback form the chat and the Q and A with the product team. So all of this amazing information, your feedback, your thoughts, your feelings are all being shared with them. So know that you are being heard. So don't be afraid to ask for what you want because the only time, the only, the worst thing that's going to happen is no or nothing. So there you go. Ask for what you want. I will gather all of the links for the betas from the chat. Make sure those are included with the recording and as always, you can go to the YouTube channel, get the recording, watch it back, watch those demos on slow because I know that's what I have to go back and watch it on half speed so that I'm following along, zoom in and see all of the things that are amazing. Thank you guys so much for joining us at the admin hug. I know there's a lot of questions. There's always a lot of questions from the admin. This, this is the group that is diving in and getting their hands dirty and figuring it all out. So definitely a great group to listen to and hear all of the different feedback from. I will see all of you on Tuesday next week. Have a wonderful week. Bye, everybody. Welcome to the.
