Which ClickUp Plan is right for you? Free vs Unlimited vs Business vs Enterprise

ClickUp offers four plans: Free, Unlimited, Business, and Enterprise. The video breaks down which features come with each tier and who they're built for, so you can pick the right one for your team size and needs.
Wondering what ClickUp plan is right for you, whether you should go business, unlimited, enterprise, or just stick with the free plan. Well, you are watching the right video. In this quick video, I'm going to break down the major differences between each of the ClickUp plans. Talk about who tends to end up on which plan and where you should start if you're not sure which plan is right for you. And of course in this video, I'm going to be talking about two times as fast as normal people do. So if you're struggling to keep up, there's nothing I could do except tell you to go down to the bottom and use these speed speed adjustments to slow this video down. And for those of you who do enjoy fast videos like I do myself enjoy. So first things first, let's go through the four major categories of ClickUp plans. That is going to be the Free plan, the unlimited plan, the business plan, and the enterprise plan. When it comes to deciding what plan is right for you, these are your four options, with the option to pay monthly or annually, depending on your preference. Now, just to give away the punchline before we get too far into the video, if you are unsure which plan you should use 95% of the time, you you're going to want to go with the free plan first, explore things, and then upgrade from there. The only exception to that is if you require certain privacy or security settings, which are only available on higher plans. But we'll talk through those one at a time. So just to recap, the Free plan is what I'd recommend to just about anybody who's starting out with ClickUp and want to try it out for themselves. ClickUp's Free plan is really generous, but one of the major kind of pains that you're going to see come up again and again throughout the Free plan is this 100 uses limit. And what seems to throw people off is this 100 uses isn't about being able to have 100 active custom fields or 100 dashboard widgets. It's about how many times you use the thing, period. So if I use one custom field, delete it, create another custom field, and use that. I am using two uses of the custom fields. So while the free plan does include most features you would expect on other plans, most of them you're only getting to use for a hot second and then they are taken away from you and as you max out that a hundred use limit. So while the Free plan is a great sampler, you're going to pretty much want to build your workspace assuming that those limited features are not there because playing with them once or twice is great, but you don't want to build your system around custom fields if you're planning to stay on the free plan for a long time because you're going to use up that 100 use limit much faster than you think. The major downsides to keep in mind about the free plan of ClickUp are the hundred use limit on a lot of key features including custom fields. The fact that in ClickUp any everyone has full permissions. You don't have the ability to limit things by comment only or view only like you can on paid plans. Third, no future recurring tasks appear on the calendar. So if you have a task repeat on other ClickUp plans, you can actually see those future recurrences on a calendar. If you're on the free plan, you will not be able to see things except for when they are currently due. So if I had say, record a video due every Monday, I'm only going to see next Monday and the Mondays after that. It's going to show up as if there are no tasks due there versus on the paid plan, you you would be able to see that. The final major drawback of the free plan I mean of course there are lots of little limits, but the final major drawback are the integrations with file storage tools. So things like Dropbox, Google Drive OneDrive box. On the paid plans you can actually use those tools to attach files without actually storing them in ClickUp. So where there's the attachment option, you can click on it and say attach Dropbox file attached drive file. That way you don't have to drag and drop things directly into ClickUp or manually look up a link in a separate browser window. But on the free plan you do not have that option. Which it'll be tempting for a free plan user to store a lot of files directly in ClickUp, but but if you do that, you run the risk of hitting another limit of the free plan of ClickUp, which is you have limited storage, which if you are, you know, kind of being a little silly with your storage and uploading a lot of files to ClickUp. I definitely recommend linking things in ClickUp, putting a Dropbox link, and storing your things in another tool. But if you don't take that advice and you store a lot of things in ClickUp, that is one other reason why people sometimes upgrade from the free plan because they max out their storage, which is one of the main differences between the free plan and the unlimited plan that comes next up. The hierarchy is storage, which is what the name unlimited is really referring to, because a lot of the other things are still limited. So with that, let's talk about the Unlimited plan. So on the unlimited plan there are a few limits I want you to keep in mind. The main one is around custom exporting, so if you're looking to export things out of ClickUp pretty often it is a limit of five exports, which is pretty low in my opinion. It's pretty surprising to see that here. And one that I want to make sure I draw your attention to the other major limit of the Unlimited plan, which I'm just going to keep making the joke. The limited unlimited plan is that you have limited widgets. So while you can have as many uses of the widgets as you want, you cannot use every widget that's available. And recently a ClickingApp member asked us what exactly you get on the Unlimited plan, like what widgets are included, what aren't, and if you're not aware clickingup is my membership community where I teach people how to use ClickUp to build out stronger processes in their business. Super fun group. But the important thing to note is she asked, and here's the answer. These are the widgets that you are able to get on the Unlimited plan. You can take a screenshot if you want. And moving on, these free videos are only possible thanks to the clickingUp members who pay for this content. So thank you for that question and thank you to all of our members for supporting this content. Now, a few other limits to keep in mind with Unlimited which include Activity View, Timeline View and Workload View, which are all limited when you're on the Unlimited plans. So if you foresee yourself using those views very often, that might be a reason to upgrade. And although you can use Sprints on this plan, you do not get access to Sprint Points and some of the other reporting features around Sprints. If you think you might be needing those features, it might be time to upgrade. Overall, the people I see end up on the Unlimited plan are typically personal users who want a little bit of extra features that the free plan doesn't include or and for them it's not important to have Sprints or certain dashboard reports. Those are just kind of cherry on top stuff that's not important to those teams and how they're using ClickUp. Next up we have the business plan aptly named because if there was one type of user for this plan, it is definitely businesses and teams who are operating a larger organization inside ClickUp on the business plan that's truly where you start to reach the point where you do not have limits on just about anything. That said, there are still a few limits to keep in mind on the business plan which could make or break the decision to go to the enterprise plan. That includes limited customization of the workload view, so they don't really show it that way here, but the ability to customize how you're grouping things and how you're factoring in capacity that is limited to enterprise. So as a business plan user you are stuck with grouping workload only by assignee in the default formatting. The next real limit around the business plan comes to Single sign on. So ClickUp is quite Google friendly I guess because they use Google themselves. So a lot of the features you'll see, including Google Docs, Google Sheets, Google Drive, Google Logins, very Google Centric, and on the business plan that is a bunch. So Google Single Sign on is the only single sign on that is enabled on the business plan. If you're not familiar with what single sign on is, leave it to say you don't have to create your own unique login for ClickUp. You can use a login you already have for something else like Google or Microsoft and use that same password and login for ClickUp. When you're on the business plan, you are limited to only using the Google Single Sign on integration. If you are a business that uses Microsoft or you're using another program, you are out of luck with Single sign on. And this is usually a deal breaker for the Microsoft shops out there who really want to keep all of their passwords and logins centrally managed. The next major restriction of the business plan is HIPAA compliance. So like I said at the beginning, privacy and security are some of the major reasons that people upgrade and HIPAA is a big one. So if you require HIPAA compliance to store your data, and if you're someone who doesn't know what HIPAA is, odds are that doesn't affect you because if you need it, you would probably know that you need it. So if you need to have HIPAA compliance in wherever you're storing your sensitive information, you are going to need to upgrade beyond the business plan. The other main reason I've seen folks upgrade or or just add on to their ClickUp is the limit of automations. So you are limited to 10,000 automations on the business plan, which sounds like a lot. In fact I think it is a lot. But some plans do hit that limit, which is one reason why they might choose to buy additional automations a la carte, which you can do inside ClickUp or upgrade to the next plan. I will also say if you're someone who finds yourself using a whole lot of automations, check out this video here for how to get the most bang for your buck out of Automations. Because there are a few frugal little tips I sneak in there for how you can get more bang for your buck out of ClickUp Automations without having to upgrade to a higher plan. As you might have guessed, the business plan is where pretty much every team will end up on unless they have some kind of business reason to upgrade to enterprise. Pretty much any team. If you have a team of more than say five, you should probably plan on ending up on the unlimited plan because it's probably going to happen. Oh, quick note though, some of you might be scared about the price of the unlimited plan or the business plan or all this stuff I'm showing you today, especially once we start talking enterprise. I want to remind you that in ClickUp you are only paying per member. So even though you're seeing things like $9 a month, that does not mean every single person in your business is going to be $9 a month. Because ClickUp's guest access is very generous. You can actually be pretty clever with your access levels in ClickUp to really save a huge amount of money by making sure that you're only giving users the access level that they need. And I actually went into a whole deep dive about this topic on this video up here where I actually showed you a calculator of different ways to save money using ClickUp by distributing guest levels and member access. So if you're someone who's watching this video and starting to stress out about pricing and you're doing that math in your head thinking everyone needs to be a member, please do watch that video first. You can probably save a lot of money by making sure you have people only at the right level of access. Okay, that was a total tangent. Let's go back to this video and wrap it up with a conversation about the enterprise plan. So the enterprise plan is like the business plan on steroids. It includes a few standout features that make it really well enterprise. The first of which is the ability to white label, which you've probably heard me talk about. It's more like white labeling. ClickUp's actual ability to mask its domain. It needs some work and for that reason I would not recommending upgrading just for the white labeling because it doesn't really it's like gray labeling at this point we also have additional single sign on options, so this is where our Microsoft shops can be happy. We have more ways for you to set up single sign on access. We have HIPAA compliance included in this, which is the flip side of what we talked about on the business plan. We have an integration with Tableau if you're someone who needs that integration. We also have additional permission options on this enterprise plan which just allow you to restrict a few additional options. Again, this is one of those features where I thought it would be really impressive and I'll show you on the screen right here. This is what you see. If you do have the Enterprise plan, these are the additional permissions. It's nice that you're able to manage your public sharing all in one place to make sure things aren't being shared too publicly, but these permissions still aren't super useful for day to day use. We still can't restrict certain custom field being edited or restrict certain parts of a task being viewable by actual guests. Overall the permissions are nice, but they're really not something I would recommend upgrading for because the permissions that are added, very few of them are ones that people actually have problems with to begin with and the permissions problems that people do typically have are not yet addressed by the custom permission. So eventually this might be meaningful, but not really at this point. The final bonus feature of the Enterprise Plan, which you can probably see by the website where it says contact us is because you're enterprise, so you get the virtual red carpet rolled out for you and the ClickUp team will actually help you onboard and provide different training depending on what your agreed upon custom rate. While ClickUp has still not yet been transparent as to what actually happens in this enterprise plan and if any of you have gone through it, I would love to hear a play by play in the comments. The discussions I've had with people who have gone through the Enterprise onboarding describe it as kind of like a basic setup where they plug in a few templates into your account, allow your team to ask some questions and and just give you a point of contact for deciding whether or not you want to upgrade further. So to recap everything up here, I would recommend you start with the free plan if you're not sure where to go. I went through all the feature differences on each plan, but the best thing you can possibly do is start with the free plan. See when you start to need the features that are limited and say ah, okay, I'm ready to upgrade now, it should be very obvious to you what you're going to be getting if you upgrade in each moment. If it's not obvious, you probably don't need those features yet. And if you're a small business, like many folks who watch this channel and every dollar counts. So be mindful of when it is time to upgrade. When you do need to upgrade, make sure you're only upgrading the right number of members, which again we talked about in that other video I linked. But I digress. Thank you guys for joining me for another video. I hope this was a helpful breakdown of the feature differences inside of the ClickUp plans. If you have any questions, feel free to leave them in the comment below explaining what your specific scenario is. Happy to give you some guidance and otherwise enjoy the process. It.
