Navigating the Service Marketplace for School Providers

This webinar (YouTube video) guides Florida school providers through using the EMMA Service Marketplace: logging in, managing school EMMA business accounts and users, adding locations and service offerings (address, hours, descriptions, required docs), and handling personal provider requests to join a school business for invoicing. It clarifies program-specific rules (VPK/school readiness vs. K–12 services), one-address-per-location constraint, and that each campus must have its own EMMA account. The presenter also instructs how to accept/decline or remove linked personal providers and reminds schools to have at least two users.

Welcome to Navigating the Service Marketplace for School Providers. Here are a few acronyms that will be used throughout the presentation for your review. Please feel free to review this as needed. If you are a school, do not create a Service Provider business account. Your School EMMA account is your business account. Please contact us if you have established one so that the information can be merged or the separate provider account may be deleted. During this presentation, we will provide this QR code and link to a form designed to collect any of your concerns or issues you may encounter while creating your provider profile. Please make sure to save the link or scan the QR code before logging off. Today's Session Today we will be covering how you navigate your school provider account, personal accounts, and how to join a business as a personal provider or and or approve requests to join a business. Let's begin. First, you will log into your EMMA account. If you have forgotten your username or password, please be sure to click Forgot Username to retrieve your username or forgot password. To retrieve your password, an email will be sent to you to reset your login information. A reminder to add contacts and users as needed. We encourage schools to have at least two users. A reminder that users have access to all functionalities within emma. On the left hand side of your dashboard, click on Service Offerings. Service Offerings allow you to view the locations and offerings associated with your school. Make sure this is your physical address that is on file with the Florida Department of Education. Please note for schools with multiple campuses, each school site has to have their own EMA account and state the services provided at the school site. The process of adding services is straightforward. The school provider must start by adding a location and providing all the necessary information about that particular location. When adding an address or contact information, it will not update your profile. Parents will only see the address entered here. Click Please note that only one address is allowed per location. As we mentioned before, the business is your school. Under Locations, the business will enter the the physical address, contact information, location of services offered, the session type and hours of operation. Please make sure to input your business hours for them to be visible on the Marketplace. It's important to note that this information will be visible to parents, so please ensure that the address and phone number listed are familiar to them. This is how parents will see your business. Now that you've added your location, you can add your services. You may enter multiple locations, however, each must be under the same tax ID and bank account for invoicing purposes. The description box is where you can specify who or what the service is for Descriptions can be updated at any time by going to Service Offerings clicking on the eye icon which will then take them to view the service. School providers will have to list each of the services they provide. These service offerings are tied to locations. If your school has personnel that offer services on campus, please note that payment will be issued to the school directly for VPK or school readiness providers. In the drop down you will see programs offered by VPK and school readiness providers. This is the service you will offer to FESUA preschool recipients only. FTC and FESEO is only available from kindergarten to 12th grade. If you are a school with FESUA preschoolers, you can select programs offered by VBK and school readiness providers to to choose the tuition and fees for school readiness. This is applicable only if you are approved as a VPK provider or a county school readiness provider. Select the service category Service Type Add Rate per activity, add a brief description, choose the location where these services will take place, and then upload supporting documentation. You may repeat these actions for as many service categories that need to be entered. To include more services, simply click on the Add a service Offering button approving a request to join the school provider account. For some services such as preschool tuition and fees, the school just needs a business account with approved service offerings. In order to receive funds from scholarship accounts for other services such as therapies or part time tutoring, it is necessary for individual providers to create accounts and seek approval for the services they are credentialed to provide. These providers can request to join your business so that you can handle invoicing and billing on the provider's behalf. For example, if a teacher provides tutoring or a speech language pathologist contracts with the school, they will need to create individual provider accounts to be approved to provide services. Then link with your business so you can submit invoices for services on their behalf. To guide these individuals, please direct them to our provider website where a webinar recording and additional resources will be provided so they can create the most appropriate account type.
