Today we'll be covering the process for submitting tuition and fee invoices for approval in ema. Very important to note, once Step up receives funding, we generate the invoice for the school to approve. Next, the parent guardian will approve or deny the invoice. Please note schools are unable to submit an invoice for approval until the student's funds are available in ema. Now to begin this process, you're going to log into your school's EMMA account. You may now view a student's expected payment for the school year. You'll start by clicking on the Roster tab at the top of the page. Then you'll select the student account you would like to view. At this point, a pop up window will appear showing the expected payment for the student for the current school year. After a student has been enrolled and funded, you will receive an invoice for approval. Once you submit the invoice, the parent guardian will need to approve or deny it. Schools can view invoices awaiting parent guardian approval as well as any that have been denied. You may choose to invoice one or multiple students by checking the box to the left of the Purchase order number column. Once you choose the student or students to invoice, a pop up window will appear. Click yes to confirm the selected invoices or no to make further edits. To access invoices pending approval or denial by the Guardian, or to access Guardian contact information, you'll click the In Guardian Review button under the Tuition and Fee Invoicing tab. Then, when resubmitting invoices previously denied by the guardian, a pop up window will appear to confirm your submission. You'll select yes to proceed or no if further edits are required at this time. The ability to edit orderly invoices has been removed from ema. If you receive an incorrect tuition and fee invoice, you should withdraw the student. If necessary, re enroll the student from the first day at the correct tuition and fee amount. For instance, if you receive an invoice for a withdrawn student who never attended your school, simply withdraw the student back to the student's start date with zero days of attendance. Similarly, if you receive an invoice that is too high or too low, withdraw the student from the first day of attendance and re enroll at the correct amount. Schools must now withdraw a student. If there are issues with an invoice, follow these steps. To withdraw a student. First select Enrollments on the dashboard, then click the Roster tab at the top of the page, select the appropriate year, and next locate the student on the roster and click the red X next to their name. If any errors are found, the only way to fix them is to withdraw that student at zero days, with the last day of attendance being the same as the start date entered by the school as indicated in the highlight it feels on this slide. Once the school has identified the student they need to complete the withdrawal form in the pop up window, you will notice a new fax export option on the Billing Reporting tab. This functionality is not yet live and will be coming at a later date. Regarding rollover funds for the 20242025 academic year, EMA will only generate invoices for the lower of the enrolled tuition and fees or 25% of the annual scholarship amount. If students have any remaining balance from previous years, they can choose to use it for eligible private school tuition in the marketplace or pay out of pocket and request reimbursement from the school. We hope this information was helpful. If you have any further questions, we ask that you please contact us here at Step up for Students at the information provided on this screen.
