How I Scaled To $60M Whilst Working Less (3 Productivity Systems)

Matt Ryder scaled Seventh Level and Sales Sniper to $60M+ revenue while working less, using three systems: the OODA loop for fast decisions, 60-90 minute deep-focus blocks, and an "If I Die" document that records every critical process so the business runs without him.

Most business owners think they need to work more, not less, in order to scale their business. But when I was scaling seventh level and sales sniper to a combined yearly revenue of like 60, 64 million dollars a year, I was actually working less and not more. You see, I used to work like 18 hours a day, seven days a week when I was running like a gym sales company and I was doing sales over a number of different time zones and countries. But the problem was I couldn't scale past a certain level. You see, every decision that was made, every email, every issue was had to run through me and I was the bottleneck. Then I learned a system that changed how I operate a business by in this video I'm going to teach you the exact productivity system that I use. The OODA loop decision making framework was brought in from my experience in special operations. I'm going to show you how I structure a day around 90 minute deep focus times and the if in case I die document that allows the business to actually run without you. Because what I've learned after hitting forecast 23 months in a row is that if you're the bottleneck in your business, then you do a business, you just have an expensive job. And that's what's keeping most kind of seven figure people to getting to eight figures. All right, so the OODA loop is observe, orient, decide and act. It's a very old, not mine at all. Right. So shout out to whatever military person, which I'm sure that Aiden, my editor can Google and put here. Right. So wo on to that guy for figuring out this decision making process. Now where I learned this was actually like, I was never like a leader in the military. I was a sniper basically in special operations sniping someone has to die in order for you to get promoted. And I liked doing the actual job. I didn't want to have to do anything else. So I had no ambition to kind of climb the ladder and so. But one of the things that you always tried to do was disrupt the enemy's OODA loop. Right? Because an OODA loop is what causes you to make quick, good and decisive action. Decisive? Yeah, actions. Right. So it's a decision making process designed for high stress environments and it's like a mental fallback position. Okay. So you know, think of things that you learn ingrained. It's like a fallback position. Right. So one of the reasons why you're taught how to dismantle a machine gun blindfolded is not because you're ever going to be asked to do that. For real. But you will be asked to, to fix your weapon when you're getting shot at. And it's probably good that you look up at the people who are potentially shooting at you instead of having to look down in your gun. And then getting shot in the face, and getting shot in the face is always less than ideal. But is it really? Is that up for debate? It allows you to have a mental fallback position. Okay, so you observe what's happening, you orient towards your goal, you decide what to do, and then you act, right? And you decide what's. What is what looks to be the best possible course of action. Now, notice I didn't say like the perfect course of action or the thing that definitely wins, right? Because you can only know that with hindsight. So instead of getting paralysis analysis by trying to decide out of all the variables what is like the highest likelihood and best, you just go like, okay, cool, we observe, orient. Yep, that way go right. And then you act. Because a lot of the time acting with, you know, a level of intent and acting with at least taking the time to take in some information is a hell of a lot better than acting with no information and probably better than hesitating, taking forever, and then probably not acting anyway, which is where paralysis analysis comes from. Like, if you're looking for the perfect, you're probably never going to find it. And that is one of the things that stops people from being able to scale a business or become better at anything, including sales, is because they're trying to find the perfect. The term good enough has been vilified, but good enough means literally good enough. You should just do it, right? It's good enough, mate. Off you go. Now, one of the things that stops people from really progressing in sales and in business from going to like say seven to eight figures is that they get paralysis analysis. So they either make decisions with absolutely no input, right? Which is a lot of you, right? Like trying to a, B test A, B, C, D, E, F, G chests when you have like basically no traffic. Like, that's ridiculous. And you just go off vibe, right? Which is stupid enough as it is. And then you got the other half of you that like need every piece of information imaginable in order to make a decision. There's a middle ground, okay? And, and like war is a, is a hyperbolic analogy for business. Like, I don't think that sales people are warriors and I think that most of you would fold like lawn chairs when it comes to combat, especially the high ticket ones that scream up being an Alpha, like you're all fake and gay, you know exactly who you are. But the thing about war and business is that they are both stressful. Like business is stressful. And you, Aiden, I'm keep it going. You just got to work this out. But war and business are a decent analogy because like they are both stressful and they do require some teamwork and they require strong leadership, etc. High stress requires simple systems because most people freak the out in high stress environments. And so you, you want to have something that is simple and easy to fall back on and makes the decision making process easier, easy and you can rely on it, right? And so that OODA loop system is a proven method that allows you to make a good decision. Not the best, but a good consistent decision in high stress environments. Okay? So now that you're making those decisions now you need to have some space, right, to be able to like do the things that you require. Okay? Because if you have like 50,000 tasks that are getting thrown at you every single day, it's really difficult to sort of nail down what to do, how to do, et cetera, et cetera. So what I use is these deep focus times. So in my diary there's like these 60 to 90 minute blocks and they're called deep focus time. Now that is the only time that I do tasks. Okay, Now I have an ea, but you guys can do this yourself or you can get a va. You have those deep focus times. And in that is like a hyperlinked email with the context or a task or a contract I have to sign, a read or an email that I have to reply to, right? So every single task is going to go in there and I'm not doing any of that other stuff outside of that time. So like if you need me to reply to an email, it's only getting replied to at that time. Now if there's something urgent that comes through, like I'll be notified of that. But there's not many things in life and business that really are that urgent that don't actually involve your family, right? So it can wait until tomorrow, like I promise you. Right? And if it can't, then like everyone's hair is on fire and your business sucks anyway. Everybody stay calm. What's the procedure? Everyone, what's the procedure? So in my deep focus times, right, I have nice itemized things and I'm not checking email, I'm not doing anything outside of that particular time, but it allows me just sit there and nail through tasks one at a time. And if the time goes over, right? Then, like, I stop and I will just copy and paste everything into the next thing and I put done next, everything that's done. And if that backs up, then maybe I need to allocate more time for that, right? Or I need to condense the things that I'm actually doing. You know what I mean? So, because, like, I don't want to be so taken up with admin and tasks that, like, it takes away from my ability to actually think through problems. So now that you have a way of making decent decisions that's consistent and now you have, now you're getting all your tasks done, what you need to do now is actually put something in place so that your business doesn't fucking implode the moment that you have a nap. Now, I'm going to, like, do a quick aside here, but I see so many business owners talking about how, like, their staff is like their family and they love them and they want to take care of them and it's the most important thing to them yet. Most of these bags, right, they can't read a P and L, They've never done a forecast, right? They don't know what a balance sheet looks like. They, like, have absolutely zero. These are business coaches, mind you. Have absolutely zero business acumen. They don't have a war chest of money, right? So that if something does go wrong, they continue to pay people. So all of that is complete and total nonsense, right? Those people are. I could tell you that right now, like, oh, this. But I say, like, yeah, my employees are a cog in the machine and they're all replaceable, which is the truth for all of you out there. You're all replaceable. I'm replaceable, right? Everyone's replaceable. If you're not replaceable, you don't have a business. You have a personal brand, right? But if you're like, work for somebody, of course you're replaceable. You probably replace someone else. It's the way that it is, guys, right? But, like, if you work for me, I have forecasted my business. I have a war chest of money that I've saved up so that I can pay everybody if something goes wrong. I understand finances, I understand a balance sheet. I have a diversified marketing strategy that has multiple lead sources to make sure the business isn't leveraged of any one thing. I have a documented process called my if I die document that every single decision is made. And aside from this, if I'm speaking to anyone here who's like the breadwinner For a family. You should have that for your family. If something happens to me, I have a highly secure drive and the right people have access to it, including my wife. That has literally everything that you would have to do in case I die to make sure that everything's fine, right? There is an action plan in place. If I walk outside and get hit by a fucking bus, everything will be fine. I know that for a fact, right? And if you don't, you're an irresponsible fuck and you should do better. Like that's a real thing. You fucking suck. If you haven't got that, you suck as a person. Do you understand the words that are coming out of my mouth? You're not doing for your business, then you're just a shitty business owner, right? So all of that, like, you know, I care about my thing, but then it's like, yeah, but like the moment something goes wrong, you had no idea what was going to happen. There's no one who can take over the decision, right? And so everything goes to shit. Everyone loses their job and their income immediately, right? So do you really give a fuck about them? I say no. I say no, right? There's that old adage. It's like you ask 100 fathers and 100 of them would die for their family. It's like, yeah, would you eat healthy and go to the gym for them? You fat count. Exactly, right? So anyway, back to a regular program, the if I die document. You should have it for your family, you should have it for your business. Okay? It's a really important one. But what it is, is, it is, it is a document that documents all my decision making process, where everything is what everything is, like the important aspects of what you're doing, your day to day task. A list of like how to get into everything, right? And it's a document that like if you've got 30 people that rely on you for income, like just have something in place in case you like what if you want to go on holiday. I remember before I had this stuff set up, I had like big companies and I would go on holiday and like these. I had this Italian guy who's a fucking, like that would run everything. And every time I went away for like two minutes, everything would catch fire. Everything. And so I was like, no more of this because it was significantly impacting my ability to have any off time whatsoever because so many dumb decisions were made. So I put in all this, like all these things, like these are the bureaucratic steps that have to be taken. Like these are the things that I have to know. I have to know these exact things, right? I remember I went on holiday once and the guy offered, he like something happened. So he said, oh well, don't pay us for two months. It cost me 450 grand because of a flippant comment like that. Crazy shit, right? Anyway, back to your regularly scheduled programming. These are things you need to have in place to keep your sanity as a business owner. These are things that you should have in your life just to be a nice like breadwinner, mother, father, whatever. You are like the person who is responsible for the financial stability of your family. You should have these things in place. Okay, just to summarize, okay. If you're stuck at that seven figure one to get to eight figure level, the first thing you should do is have a good decision making process. The OODA loop is a fantastic one. Then you want to have the ability to get all of your tasks done in a nice short strategic time. And you have them time booked out so you can get all of the tasks done, all the emails, everything that you need to in a specific time block because it makes life way easier. The last thing that you want to do is have an if I die document which documents exactly what you're doing, why you're doing it, and you do that month on month. Then someone can take over, have a look and everything doesn't go to shit in case you want to take a fucking nap. All right guys, hope that was helpful.
