Generate a Client Email Using CoPilot / Quick Tip

Tom Pelton shows real estate agents how to use Microsoft Copilot to write client emails, starting with TCPA and Do-Not-Call compliance rules. He walks through signing in with your Coldwell Banker account, prompting Copilot to draft a five-star review request with a Google link, then editing it in Word. Always proofread and add required disclosures before sending.

We appreciate you being here since this program is optional and discusses best practices for your consideration. If you are thinking of adopting any of them, please make sure to review the requirements in your area region with your broker, branch manager or manager, including those related to contacting consumers. We do want to highlight the importance of the Telephone Consumer Protection act, better known as tcpa. The general rules are are that it's okay to call people if the person recently gave you their phone number, but remember to check the DNC lists regularly if they haven't spoken to that person in a while. You will also want to check the DNC list anytime you don't have permission. Automated calling texting platforms should never be used. Pre recorded messages and artificial voices should never be used. You will be personally liable for any violations of the tcpa. We'll mention the TCPA a few times throughout this presentation. Foreign As a real estate agent, you can tap into AI tools like Microsoft Copilot, our recommended tool to create reports, presentations, emails, and marketing materials. It can help streamline tasks and boost efficiency. Remember, AI isn't always spot on, so it is essential you proofread and ensure the information is accurate because ultimately you are responsible for the content. When using AI generated content, consider adding a disclosure. For example, content generated with AI assistance also stay compliant with copyright laws, ethical standards, and fair housing regulations. Lastly, exercise good judgment, protect confidential information, and review AI generated content.
Hey everyone and welcome to Copilot Tips. Today we're going to be learning a little bit about Copilot and some of the things that can do for you to help you with your business. And so the first thing that we need to do is open up a web browser and head over to copilot.Microsoft.com once we get over to Copilot, we're going to want to sign in and we're going to use the Sign in button here in the top right and we're going to select Sign in with Work or School account. And from here we're going to use our Coldwell Banker login. This is going to be that login that you use to sign into mycbdesk.com so I'm going to go ahead and put my email address in here and it's going to take me to our Organizations page. So this might look very familiar to you. We're going to go ahead and type that in, sign in and we're going to go through our verification. So I'm going to go ahead and send that code to my phone and we're going to type this Code in and click on verify. So now we'll be logged into our work account with Coldwell Banker Realty. And this is a great way to use Copilot because we will be in a commercial data protected environment and this applies to this test. So use discretion when sharing personal and organizational data. So what is copilot? Copilot is a conversational AI assistant designed to help you with a wide range of tasks. Whether you need information, support or assistance with productivity related activities, Copilot is here to make your life easier. Think of it as a smart, friendly companion that can help provide answers, offer insight and help you stay organized. So what are some things that Copilot can help us achieve for our business? Some of those things are going to be crafting a blog, developing social media copy, writing a bio, helping you with your property descriptions, looking at market analysis, helping you with reports, writing emails to clients, writing email campaigns, the list goes on. So again, any of those productivity activities that you would do, it can help assist you in writing those things. So now that we're logged into Copilot, let's go ahead and use Copilot to craft an email to our client asking them to leave a five star review you on our Google Business page. Let's go ahead and say craft an email to my client asking them to leave a five star review on my Google Business page. Please provide an example review. Now I asked them to provide an example review so that it helps your client write a review. Here is my Google Business review link and before you write this email you definitely want to go into your Google Business page and copy the link so so that way they can click on that link and go straight to your Google Business page and we'll go ahead and paste that URL into the prompt and we're going to click on submit. So as you can see here, it has written this email in a matter of seconds and if we are looking at this email we have a subject line, it has a spot where we can put our client's name and it has the body of the email here. So I hope this message finds you well. It was a pleasure working with you recently and I wanted to take a moment to thank you for choosing our services. Now of course I want to remind everybody that when you're using AI, when you're using Copilot, you want to make sure that you're bringing this into something like Word to review this and make sure it's following any guidelines. And we're also putting our own voice into this and I'm going to show you how you can do that. But we can see here that we have some information. Now if I really, really wanted to, I can actually say, you know, my client's name is Anthony. And what it'll do is it'll rewrite the email and put Anthony's name in there. And we have a business name here. Now you can go ahead and insert your business name there and if you wanted to, you can simply type this here and it'll rewrite that email for you. Or we can copy this and paste this into another document. But there's also another way to do this as well. If you choose the export option, we can actually export this to our Word account. And since we're logged into our Coldwell Banker issued Microsoft account, then this will export into our online Word account. So if we click on this, it'll export that. And now we have the draft that we can work on here and we can go ahead and put our business name in. We can, you know, change certain things. And as you can see here too, we have that example review. And this is really going to help your client with the words that they might need to say on your Google business page. So I hope you enjoyed today's copilot tip. Please stay tuned for more in the future and we'll see you in the next one.
Sam.
