Upload a Contact List in Listing Concierge / Quick Tip

Learn how to upload a custom contact list to Listing Concierge in CB Desk. First, check TCPA rules: avoid automated calls or texts, verify Do Not Call lists, and get permission before contacting. Then download the CSV template, fill it with your contacts, drag it into Mailing Options, and the system fills any gaps with radius defaults.

We appreciate you being here since this program is optional and discusses best practices for your consideration. If you are thinking of adopting any of them, please make sure to review the requirements in your area region with your broker, branch manager, or manager, including those related to contacting consumers. We do want to highlight the importance of the Telephone Consumer Protection act, better known as tcpa. The general rules are that it's okay to call people if the person recently gave you their phone number, but remember to check the DNC lists regularly if they haven't spoken to that person in a while. You will also want to check the DNC list any time you don't have permission. Automated calling texting platforms should never be used. Pre recorded messages in artificial voices should never be used. You will be personally liable for any violations of the tcpa. We'll mention the TCPA a few times throughout this presentation.
Today I'm going to be showing you how you can import a custom mailing list to your listing concierge order. This is going to be for any mailed items including the postcards or the silver envelope mailers. To get started, we're going to go on to Listing Concierge via the CB Desk and then we're going to find the relevant order and select Manage Order. You can upload a custom mailer list for any product that is going to be mailed out. If you have any questions on which of the products that are going to be sent via mail, you can ask your listing Concierge coordinator or check in the individual product information either here in your Product tracking section or under the Products and Services tab on the left hand side. For this example, I'm going to be showing this with the Silver envelope mailer. So I so I'm going to use my product tracking menu and just click on the Silver Envelope Mailer option. When I'm ready to send my Silver envelope mailer to production here I'm just going to click the blue button in the top right to select Next and then I'm going to make sure that I have my return address included on the list here and then select Next again. Now the next option is going to complete my checkout and I want to make sure I click into the section here that says Delivery method and I can just click on on that tab here I'm going to have my drop down menu of delivery methods which is going to be mailed or shipped. I want to keep mailed because we want these to be mailed out to either that Radius or that custom uploaded list that I'm going To show you how to do to add that custom list, we're going to select the Mailing Options tab here and it is going to extend our options available. You'll you will see that there is an option for the agent information and the seller information as you both will receive a copy of each of the mailed pieces pieces and then right beneath that is going to be an option to upload a contact list. This is optional. Again, if you do wish to just have a radius around the property address, that is something that you can default and just check the settings down below. However, we are going to show you how to upload that list. So I'm going to click that option to upload a contact list and from here I can either click to upload or drag and drop my list. However, I don't have my list prepared quite yet because it does have to be done in the specific format that listing concierge is asking for. To get a sample spreadsheet of that format, I'm just going to click on this blue eye icon here. It's going to open up this Delivery terms dialog box here. It does show the format that it is required. However, if I click on this little blue download symbol, it will download that directly to my computer. When I click to open up that sample CSV file that's going to be the preferred format for uploading my contacts. You will see a few sample names and addresses. Feel free to select over this and eliminate the addresses to start adding yours in. However, for the purposes of my video, I'm going to keep these sample addresses as my test subjects and make sure I save my changes. This should automatically save in that preferred CSV file if you're using Excel. This will also work if you are using numbers on Mac. However, you might need to make sure that you are exporting it out of a numbers file to a C CSV file. From here I'm just going to drag and drop in my document and automatically it's going to upload those contacts. It's telling me I have four addresses which matches my current count of my total of 50 of quantities. So any deficit that you have for your order. So let's say you have 25 mailers that are going out and you only have a list of 10 addresses that you prefer. The other 15 is just going to default to that list radius. So you don't have to worry about filling those exact numbers. You just want to make sure that you're not putting over the amount that your order is going to get and it will definitely tell you if you are over that number to continue from here. I'm just going to click yes and those contacts are going to be uploaded to my order and to complete the steps to approving my order. All I have to do is hit continue and follow the next few options until I get that confirmation and and my order will be sent to print and will be mailed to my preferred mailing option. Thanks for joining me. Make sure to stay tuned for additional quick videos, tips and tricks on how to use Listing Concierge and all of our other CB products.
