Hi everyone, this is Aaron, the Customer Success Manager of Gas Engineer Software. Gas Engineer Software is an all-in-one job management platform used by over 5,000 heating and plumbing companies here in the UK. By using Gas Engineer Software, you can schedule your engineers, manage your jobs, go paperless, look more professional, and get more done with less staff. I'm going to show you one of the workflows from the initial customer's call to marking that invoice as paid. This will cover setting up a customer, booking the job in, on-site record creation, and getting paid.
So a new customer has called and the first step is to add their details. First, you need to add a customer and job address. This is really easy to do, and once saved, this information is stored on your software. Then go to the Jobs tab and click Add New Job. Then just fill in some details which will already be saved for you if they're an existing customer.
But you can create a customer and a job address here as well.
Once you have created the job, you can quote the customer. Creating a quote is a breeze, and our line item templates will make them quick and easy to fill in. All our records can be customised so your logo is on display. Once you're happy with the quote, you can send it to the customer via email for approval. Once that customer accepts, it's time to book that job in on your calendar. Click the time slot you want and fill in the information. Then choose your engineer you wish to assign the job to and save. It's now booked in and will show on your and your engineer's calendar. You can create a customer, site address, and job all from the calendar, so you can start the process here if you wish.
Next, I'm going to show you how an engineer will create the record from the app. The workflow shown in this video can also be done via our app, both on Android and iOS devices.
Therefore, you can choose to run your business through your phone without the need of the web portal. Going via the calendar is the easiest way to access your jobs for the day. Find your job on your schedule and tap on it. You can scroll down to the bottom and create new record. From this point, you can create an appliance which once entered will be stored under your customer's job address for the future. Fill in the relevant record and send it to the customer whilst on site, then complete the event, and then you're ready to invoice the customer.
Lastly, I will show you how easy it is to invoice a customer, how to mark that invoice as paid in a few taps, and this can all be done via the app as well as the web portal. I will also show you how missing service reminders will become a thing of the past.
You can invoice the customer from the app, but from the web portal on the calendar, any event that looks like this are complete and are ready for invoicing. Go to the job and find the quote. Open the quote here and you can convert the quote to an invoice. Add any agreed extras or changes to the invoice and then approve and send. Once you've been paid for your work, you can easily go into the invoice and add payment.
And for all those forgotten service reminders, when you have completed the service or installation, that date is logged and we will send a reminder to you and your customer nearer the time that their service is due. If you're struggling with managing jobs, engineers, or your customers, or you just want to look more professional, Ditch the paper and get more done with less staff.
