Learn how to customize invoice payment terms, bank details, and document numbering in Gas Engineer software. Set your sort code and account number to auto-populate invoices, choose prefixes like Q-U-O for quotes or I-N-V for invoices, and adjust sequence numbers so numbering continues from your old system instead of restarting at 1.

In this quick video, I'll show you how you can edit your invoice payment terms as well as the numbering system used for certificates, records, quotes, and invoices. This is especially useful if you're new to the software but don't want to start from scratch with invoice number 1, etc. To do this, you'll need to log into the web portal. Once you're there, click on the settings cog in the top right-hand corner next to your name. On this General Settings page, you'll see a section for Invoice Details and Certificate Numbering. Click Manage under there, and this is where you can edit all your settings. So for payment terms and bank details, you can simply add your sort code, account number, etc., as well as your payment terms here. All of this information will appear on every single invoice that you issue with the software, so you don't have to keep retyping it. And just down below is the numbering settings. On each of these, you have a prefix. You can have this if, if you'd like. So for example, for quotes, we have Q-U-O here, and for invoices, we would have I-N-V. This can be changed to anything you would like. And just underneath it, there's a number for each one as well. The number that you see here on this settings page will change as you use the software because it's the next number to be used for the next record that you create of that type. So for example, on this test account, we've created 43 quotes, so the next one would be 44. What this does is it allows you to pick up where you left off as you're starting using the software for the first time. So let's say you'd created 700 quotes. You could have 701 here as your next number, and that will allow you to keep everything seamless and connected. Thanks for watching. If there's any questions, don't hesitate to let us know.
