Editing Issued Records On Gas Engineer Software

Learn how to edit an already-issued certificate in Gas Engineer Software on the web portal or mobile app. Change appliances and comments in the certificate editor, but edit customer name or contact info in the customer record first, then re-issue. After editing, approve and email the certificate to the customer or approve without emailing.

In this video, I'm going to show you how to edit a record both on the web portal and the mobile app. Let's start with the web portal, which I've already got open here. The first step is to find the job address which the record is for. You can do that by heading to your job addresses and then searching for either the customer name or the job address itself. Click on the job address to open it in more detail, and then once on this page, head to the history tab down here. This shows all the relevant activity according to that job address. And you can see at the top that there was an issued certificate which we're going to edit in this example. Click on that and it will open up a preview screen where you can see the record. On the right-hand side, there is an edit button which allows you to open up the, uh, certificate editor. Here you can make any changes, whether it be like adding an appliance or changing some comments. As a note, if you're looking to change the customer name or customer details, the better way to do that is to head to the customer's contact your software, edit it there, and then come to this page and reissue the certificate without making any other changes. Their details will automatically be updated. Once you've made all the changes you need to make, you have two different options. You can either approve and email the certificate, which will issue it and send a copy to your customer, or you can simply approve it, which just issues it in your system and does not send anything to your customer. So we'll go ahead and do that. Here. And that's it, process is done. The process is very similar on the app. From the home screen, tap on existing records and drafts. Choose what category of certificate and then choose the specific type. This page here shows a list of all the certificates of that type, both issued and draft. You can filter at the top by clicking on issued to only see issued certificates, and then you can search for the customer name or the job address. We'll use the same one we used in the web portal example, and once you've found it, simply click on it and then click Edit. Here you can make all the changes necessary. Tap on Next, Next, edit the appliances that you need to, and once all is done, click Save, then Next, and then once you're finally on this page, you can click Approve. There's two different options here, just like the web portal. You can either email a certificate, which will approve it and send a copy to your customer, or you can simply click Preview, which issues a certificate but does not send a copy to your customer. There we go.
