In this quick guide, we'll walk you through the process of creating a quote, estimate, or invoice using our web portal and app. First, let's start with the web portal. Open up your web browser and navigate to the portal. At the top right corner of the screen, click on the Create New tab. From the popup, select Certificate, Quote, or Invoice. In the next window, you need to choose the type of record you'd like to create. In this example, we'll create a quote, but the process is the same for an estimate or invoice. Now select the job you're creating this record for. You can search for an existing job by entering a job number, address, customer name, or start fresh by clicking on "New Job." If you're adding a new job, you'll be prompted to enter the customer's name and job address. Fill these out whether you're searching for an existing customer or adding a new one. After this, click Create, and you'll find yourself on the editor screen. You can start adding line items by clicking Add Item. For each item, input the description, unit amount, price, and VAT, which defaults to 20% if applicable. If you're not registered for VAT, this can be removed from your invoices in your settings. Save your entry. For faster input, use a line item template by clicking Use Template. Select an existing template or create a new one by filling in the details and saving them. When you're ready, choose to save the document as a draft or go ahead and approve and email it to your customer. Alternatively, click Approve and Preview for issuing without sending immediately. Next, let's cover the mobile app. Open the app on your device. Tap on New Estimate, Quote, or Invoice from the main menu. Select the appropriate record type: Quote, Estimate, or Invoice. Choose or add the job you're working on. Just like on the web portal, you can create a new job directly from the mobile app by clicking the Add New Job button at the bottom. This next screen is where you can put together your quote or invoice. Tap the plus icon to manually input or use a template for line items. New templates can be created by clicking Add New Template. Continue adding all necessary details for each line item. Just like for the web portal, if you're not registered for VAT, this can be removed from your invoices in your settings. Once done, you can save to draft or tap approve to finalize the record. Finally, select email to send it directly, or preview if you want to double-check the record. Check the email details, and when ready, tap send. And that's it! Your quote, estimate, or invoice is now complete and will be organized accordingly in your system.
