The video is a concise tutorial aimed at sole‑trader gas engineers, showing how to manage day‑to‑day work with the Gas Engineer Software mobile app and how to complement it with the web portal for admin tasks. It walks through creating new records (estimates, quotes, invoices) directly from the home screen, navigating the calendar in day or week view, accessing customers, job addresses and jobs via dedicated tabs, using the search bar and quick‑add button, and leveraging built‑in tools such as the gas‑rate calculator, history and draft tabs. The narrator explains which settings are available in‑app (engineer and company details) and which require the web portal. The portal section demonstrates the business dashboard (earnings overview), setting up accounting integrations with Xero, QuickBooks or Sage, configuring service reminders and email templates, and checking invoice statuses, highlighting how these features simplify back‑office work for a sole trader.

Gas Engineer Software is the perfect tool for a sole trader, helping them manage jobs and keep things organized all while out in the field. While office staff will almost exclusively use the web portal and engineers the mobile apps, sole traders fall somewhere in the middle. You'll be using the app most of the time, but it's still good to know what you can do on the web portal, and we'll cover everything in this quick video. From the home screen of the app, you can do almost anything. Creating new records is as simple as clicking on 'New Record' choosing the record that you want, and adding it to a job. Creating a new estimate, quote, or invoice is very much the same. Simply click on 'New Estimate, Quote, or Invoice', choose the one you want, select a job, and then you'll be taken straight to the editor window. Your calendar can be accessed down here and defaults to a schedule view like so, with all your different jobs. Clicking on any of them will open up more details about the customer, job address, and job itself. You can also click on new record from this page right here as a quick shortcut. You can also change the calendar view from day to week like so, giving you a different overview of your, your work. Your customers and job addresses and jobs can all be accessed through these three tabs over here. You can use the handy search function up here to find the one you're looking for quickly, and you can also add new customers or job addresses by using the orange button at the bottom. We've also got a handy gas rate calculator inside the software over here, together with a history tab so you can see all your old recordings. And this tab over here allows you to quickly reference your old records and drafts. They're broken down into different categories, and you can also filter by issued, draft, and use this button down here to access older records. Most settings are available in the app, such as your engineer details and company details, but some will have to be edited on the web portal, which we'll cover in a second. When you're sitting down to do some admin, the web portal makes some of the tasks far easier and has some additional features. For example, on the web portal, you can have a direct overview of your business and see how much you're earning and getting paid straight from the dashboard. You can also set up accounting integrations to automatically sync your payments and customers to Xero, QuickBooks, or Sage, To do that, simply head to your settings and then click Manage under Integration Settings. On this page over here, you can see the various accounting software options. Clicking on Connect to either of them will follow some basic on-screen instructions. You can also set up and customize your automatic reminders by again clicking on Settings and then this time heading to Service Reminders and Email Templates. This page has all the different templates for all the various emails sent out by the software. You can also check invoice statuses much more easily, and lots more.
