How to Use Monday.com to organize your tasks, team, and more! [Part 3]

Melissa Dlugolecki walks through Monday.com features for task management and team collaboration. The video covers organizing projects, managing course launches, and streamlining business workflows with practical tips from a live conversation.
I'm guessing maybe editing. So you created something and it's done, but you haven't gone back to like fully edit and release it. Really close. And that would be. That would be best. Like when you're working with you now, this model is set up for you to begin preparing to have a team. Just like law of attraction, we step into it before we have it. Right. Your law of attracting Monday boards here. But done would be where like for example, or even if you have a business partner, right. Brian and I are doing things, whatever on our own throughout the week and we put it to done. Well, it's only on our Monday meeting that we actually go through the done stuff and agree together that it gets to go to complete. Meaning was this done the way that I expected you to do it or the way that you expected me to do it? Like, because some. And this is really good. Same as our team member, Jolene. Right. Jolene is the greatest. I'll ask Jolene to do something and if I'm not clear enough in directions, she could think it's totally done, but it's actually not. So done is like this is done as well as I think I can do it. But as a team, we agree that it's complete and like complete in excellence. This really helps. Like, so you don't have those moments of you give something to like a VA or an assistant and like you think it's all set because you don't have a system in place to monitor it. And then all of a sudden, like three weeks later you go and look at it and you're like, that's not what I wanted at all.
Right.
So it's just a way to do that. And then on your own. Yeah, you can move it to done. And then you review it now every Monday. Yep. I'm going to pull the board back up every Monday. Yeah, you. You could make, you could make an automation for that. Sydney. It's easy enough to move things down on groups. So like basically you'll have the on deck open, right. And in progress. And I tend to just like go here, move to move to group in progress.
Right.
Otherwise you could create a status here and you just move it.
Right.
You just click that status and it will move it. It really depends on what you prefer. But yeah, that would be easy enough to do. You could create an automation with a notification. Like when the hits on something. Put a notification in Slack or notify me in Monday.
Right.
There are so many things you can do. These are the suggested timelines that I Use the actual date. Like you would have an actual in here. Timeline is a quarter, week, month, person in charge and what part of the business. Product, operations, marketing, sales or finance. Okay, so those are the three main boards. I could show you, you know, anything that you want. I referenced an attendance board. The way that I do that you duplicate your client board into its own attendance board and then you change all the columns. They have a checklist option. So it's just like the old teacher attendance books checklist.
Right.
But you can just do it in Monday. You just have the date up top and just check. And the roster.
Right.
Very easy way to do it. You can put in your monthly revenue. Like you can have a board in that. It's like the monthly revenue goal and actual clients and actual. And have a way where you are monitoring all your monthly KPIs. Yes. I will show you the course. So this was when I was building out Momentito. Where is it? Where is it, where is it? Ah, here we go. So this was when I was redoing the. My. One of my first courses move. And so it was the section of the course. So the intro. What do we need? What pillar? What type of content is it? And what's. What's the status? And then again to phase one, who's assigned to it, phase two, and so.
On and so on.
Right.
So this was. And this was a really, really robust course. If I was doing a smaller course, I would actually probably follow it. Like the workflow or like I do with my podcast. Course content idea, course content to be recorded or created, course content done, course content uploaded, course content published. And that's what I do for my podcast for a launch. It's hard to answer. I don't do anything cookie cutter. So I'd have to know more or less what you're looking for in terms of like any launch for me would be reverse engineering, like your monthly goals. But you mean Nikki.
Yeah, because I think that in my current space is like what I'm having. The biggest challenge with is reverse engineering my launch and feeling like I have week by week items to focus on. And I think what you said going back to like the monthly goals, but I'm getting overwhelmed with the big picture of it and not having like this week. Is this, this week? Is that kind of like a breakdown.
For your course in.
Yeah, for like, for.
Like. Do you mean you're having a hard time with like this that. For you preparing for it or for like the client's actually going through the course?
Oh no, the Course itself is actually done. So that's helpful because people are already in it. It's more for the actual launch itself. That's a good question. So leading up to the launch, knowing that the actual course is complete, I might make a couple small tweaks, but it's 98% ready.
Yeah. So I think that'd be looking at your monthly goals and like it's probably going to be really big in marketing and lead generation, referrals, collaborations and KPIs for how many reach outs, how many collaborations, how many signups? Like, I would, I would say you're in a phase with the course being the launch being done to really put your energy into marketing and Legion.
Yeah, that makes sense.
And I would do it with your. So if it were me, what I would do and what I did for the launch of Elevate, like I didn't have a Elevate launch board, the workflow board that we just looked at, I just input all the things that needed to happen for the launch. Just like I do post launch, all the things that get to happen to keep it running and to prepare for the next launch. So that for me comes down to the monthly goals and like strategy and getting clear on like what your strategy is going to be for lead gen and marketing and then uploading that into your workflow board.
Yeah, that makes sense.
Good. All right, I saw another question in here. The course board again. Yes. But Jack said I'm going to wait for you to get back. Oh, there you are. You could have taken your time. It's fine. Feel free to come up mute if you guys have any questions on this. All I did was I put the, the title of what was going in the content. I did groups. So you have, on Monday you have board and groups and items. So this is a course content board. Phase two is a group. Phase one is a group.
Right.
These are all my groups and these are all my items. And so then I just sorted them by what pillar, Mind, Body, Belly, Video, PDF, Loom, and then the status. Now, if the course wasn't so robust, I would have done it differently. But this is one of the most robust courses I've seen or created. So I built the board this way. Otherwise I would mirror this board in a workflow board. Does that make sense? Also, like, don't let that like overwhelm or apply to you. If it doesn't, I don't want to pick the one thing you're walking away from because we can go in a Monday black hole.
Right.
I think For a lot of you, leads. Leads and workflow would be your top two. Yeah. I have a quick question about workflow. Yeah.
So essentially the complete. The group, right. I think it called complete on the workflow. Like that just grows and grows and grows as you get shit done.
Yeah. What I like to do. And I'll just show you ours, I've tweaked it a little bit. So what I do now.
Is.
We'Ll put all of the meeting agendas up top now and we do it by month. So this is our November board. So I do all the agendas up top for our weekly planning. And then this is. We put some reoccurring in there, but that's what we follow. Right. Reoccurring is mostly for like the team, but then for example, there's like an elevate old workflow folder where September and October's workflow boards were. Anything when before we started November, I went to October and we looked at does anything need to be carried over or moved?
Right.
But I keep those because I just like to look back at them.
Right.
Another one you can see that you could start building would be there's a search feature now they used to not have. Oh, maybe it's not in this one. Might be over here. So Business Playbook, this is an older one, but this is where all of your SOPs, all of your applications.
I.
Put our email sequences in here, case studies. Like you can put all of your stuff in one spot. So when you're looking for things, it's all in one spot. Or when your team needs something, it's all in one spot. Or essentially, if you were to come to Tulum, lose your computer and never leave or go get on a sailboat. Alanda, your team could run the business with you based off of the Business Playbook.
Right.
Obviously it's not going to be you, but you know what I'm saying? So that's another one too, that actually the Business Playbook starts with one document, guys. And you're like, oh, okay. So I just did the welcome email. I'm going to put that under the product section of the Business Playbook and title it welcome Email. So next time I'm doing a welcome email and scrambling for it, I know where it is.
Right.
I'm teaching you all the things I wish I did sooner.
Okay.
All right. Any other questions or ways I can support you? Yeah, it is. Honestly, being a blank canvas is great for. I mean, both are great, right? Both are great. But it is nice to not have to like Redo, you know, like, you do what you've done.
Right.
Sometimes it's easier to build a house from a foundation than to, like, do a repair of one you're living in.
Right.
But either way works. I've been doing more repairs of the one I'm living in for a while.
Right.
Just constantly adjusting and adjusting and adjusting. So both work, but a client board looks like again, sure. So source, like sources where they came from initially. You can make these whatever you want and call to action. Could be what was. What actually supported them in taking action. Why is this stuff important to tracking clients? You want to know what's working.
Right?
I remember when Megan, Chelsea, if any of you know her, was like, I feel like I should be posting on Instagram. Or we looked at. None of our clients were coming from Instagram. Like, well, do that later when you have more time if you want. But crunch on time. Let's not worry about that.
Right.
Email contact, if you have multiple people who could be enrolling status. This is something I visit every week. Payment length of how long from point of contact to them joining. That's not super important, but more, if you're just curious, start date, end date, contract onboarding. And then again making sure you have phone address, whatever it may be. And so this was. We had ours by levels.
Right.
So that's how I would sort people in different groups of being a column. Like. Like if you have different tiers of clients, you can just put them in different groups. All right, squad, anything else? Oh, Cindy, so great. I saw her message. You are so welcome. And I just want to get a picture. I'm going to tag Monday because I don't want them to sponsor me. They're not gonna, but I'm just gonna keep asking. Okay. We just did a Monday.com training call here in Elevate and. Com. This is my official request. Sponsor me. All right, I love you guys. I'll see you soon. Bye.
