SalesVu/PayPal-Zettle: Retail Flow

A SalesVu technical-support trainer presents a comprehensive retail workflow demo (March 2025) showing SalesVu POS on iPad plus the web back‑end and PayPal‑Zettle integration. The walkthrough covers cashier tasks (login/clock‑in, starting bank, customer lookup, product selection via categories/search/sku/barcode, modifiers, discounts, split payments, receipts, refunds, shift close), e‑commerce storefront behavior (browse, filters, PayPal checkout, AI recommendations), PayPal Zettle handheld terminal usage, and detailed inventory and purchasing features (manage stock, count sheets, transfers, inventory adjustments, purchase orders including import and partial receive, and automatic PO creation). It also explains discount types, reporting and dashboards (sales/profitability, labor, inventory, marketing, security), employee/location management, integrations (QuickBooks/SOHO Books), and support resources.
Questions this video answers
Threshold quantity; Max stock days; Storage capacity.
The vendor receives the PO automatically by email.
Let me walk you through SalesV solutions for retail from the POS perspective as a cashier of a gift shop and also from the back end from a management perspective for reports and more things. Now the first thing I would do is find my name and log in before I take any orders and before I do any transactions of movement on the positive. I can also clock in from the previous screen or I can also do it from here. What I would do is simply find my name and clock in with my PIN code as well. The system will show me an alert that I have successfully clocked in with the date and the time. Now the second thing I would do is managing the initial bank. So in here I can simply check that everything sounds zeros and ready to go before I take any sales for the day. Now I can manage the cash for what I want to have in hand as in starting bank. Or I can add any sort of reason that could be for changing changing the cash for the customers for buying supplies or things like that. So that would be the second thing I will add in here. And we can see that the amount has been added successfully on the device. Now I can start taking customers in. The first thing I would do to take an order will be finding the customer. On our CRM we can see a list of all the customers that we have already in our system. So if someone is coming here and would like to get something again, we can see their closed orders. We can see their history from the POS as well. We can also see if there's any comments related to this customer. We can see any billings or invoice information and we can simply see the overview if we need to add any details or change them. Now if we need to add a new customer, all we need to do is add their basic information from here. And if there's anything that we need to add or any other fields that are important or relevant for our customers, we can also create them on the back end. Now for this example I will just pick Violet. Now I will add some products to the order on the top. We have categories and we also have subcategories. As you can see, all of our categories and subcategories can have images. These will be so much easier if you have new employees that they can explain a little bit more about the product. Or if you want to see more information of the product, you can simply hold your finger and describe the product with any sort of details that are in here. You can also see the current quantity on inventory as well. And if there's anything that it's modifications of the product, like in this case the ring sizes. We can see all of that in here. Now talking about modifiers, there could be other modifiers that can change the price because of the size of the bottle or other special details. In this case, we can see that because of the ounces on the other bottle of the perfume, the price could change a little bit. So this is how we can also do it on sales view. Now, there are multiple ways to find products. We were finding products by looking into categories, subcategories, or simply scrolling in here. You can also use this bar and find products by the letter. Or you can also find products by the name this way. Or you can also find products by the sku. So the system will automatically recognize the numbers or the letters of the products that you're looking for and it will start showing the products that match with this search immediately. Also, you can use a barcode scanner to attach products to the order. We can use the back camera of the iPad or we can also use a barcode scanner. In this example, I'm just going to use the back camera of the iPad to attach a product to the order. Now we can see that the product has been added automatically. Other things that can be done from the SalesView POS is viewing the products as a list this way. You can also have them as, you know, color coded instead of images. You can also see the products that are out of stock either on a list with this name, like the way it's showing here, or you can also have a banner. There are multiple ways you can decide how you want to show the out of stock products. If you want to remove them and allow the sales or just show the banner, allow the sales or stop the sales, it's up to you. We can also add a quick product from here and add the specifics of the product from the pos. And we can also rearrange the products in different ways. You can sort it by A to Z by the product name, the prices, or simply rearrange them with your own finger by tapping and holding and leaving the product in a different position. Other things as well that can be done from here is changing the quantity of the products. If you want to change the quantity for two of the same item, you can do it directly from here. If there's any change of mind from the customer on the details of the product and they want to choose a different size of a bottle, you can also do it directly from this screen. And you can also use any discounts or coupon codes. So if there is any sort of discounts that are special or specific to your business, for example border return discount, just incentivizing this recycling piece for the customers, you can always apply this discount on the spot. Now there's also coupon codes that can be done through your marketing campaign which will be we will get to that on the portal, but they will also flow as well on the POS by simply adding the name of you know the coupon code. You can also have the availability to add discounts on the spot by simply tapping on the percentage icon and changing the percentage to whatever you'd like to give to your customer just as a nice reward as well according to the permissions of the employee that can do these discounts on the spot. Now from here we go to the payment screen. You can do multiple ways of payment. You can split payment by product by amount. You can also select what is the different payment option, credit card, gift cards, cash as well. And in this case it will be.
Connected to PayPal so you can use the terminal to pay with card.
You can also send the receipt via email or sms. In this case we have the cost automobile attached from the beginning so we see her information. We can update this information, change it on the spot or simply select the one we prefer. Also if we want to print a copy, all you need to do is connect a bluetooth printer and then a blue button right here will show allowing you to print the receipt. Now other things that we can do is for example in the case of returns or some refunds, we can also find the products in here by the order screen. You can go through the open orders, closed orders deleted, open return and more. You can find orders by the sources. If there's multiple POs or online orders, we have the way to find orders by the employee who took them by the shipping status as well. And also if you want to find by the customer card information. Now if we go to closed orders and let's say we have a customer that would like to return an item, all we need to do is find the order using our filters and then we go to refund. Now we can select which way we want to refund the order, we can select the product, and if the product is in perfect shape and condition, we can always return it to inventory by simply checking this box. Next we're going to select the payment mode to refund. In this case we're going to do it with a gift card and finalize the refund process successfully from the same pos. You can always get in touch with our team on the bubble shop. On the top you can open the cash drawer. You can also make other refunds from this specific page. And then we have the clocking icon, the management, the bank management. And then we have other settings for other things you want to set up on your end. Now before I close my shift, I will go to the piggy bank. I can see all the total sales, the subtotals for everything, how much was received on different payment methods. And what I'm going to do is simply deposit to save what I have here or manage cash. In this case, I'm going to simply deduct again what I used in the beginning and I'm going to have the reason for change as closing bank. And now I'm going to deposit to save all the current cash that is in the payment device. Next we're going to close out our shift, making sure everything's on zeros, ready for the next shift to open. Last but not least, I will simply go to the clock icon and clock out for today. Okay, now for the E Commerce site.
This is another demo example account that has different kind of like categories. So we see here bikes, components, accessories, bike apparel. We see some discounts and things that are going on, right? There is a lot of information in here. We can also go down through all the products or even go through categories on the top as well. Again, another kind of like free shipping or any sort of ban that it's informative or for discounts, anything that can appeal customers that can all be created on sales view. Now we also have, you know, different kind of like filters. So this helps for products that may apply for different categories or subcategories. And you don't want to rearrange these products only by the brand in this case because then you don't have to configure everything on the back end. It's just for those kind of like tricky things that we have filters and also to narrow down the information for the customer on their end. So here we can see the product that applies with my search, I can click on the product. If there's any description to it, I can see it. If there's, you know, in this case multiple colors or options, images I can see it, or the sizes, I can change the quantity, I can add it to the wish list and I can see similar products. Right? So these AI recommendations give you an opportunity to upsell on every step of the way. If you have new additions or bestsellers, they could be shown in the Beginning while similar products or you might also like could be further on the purchasing path path. So as we can see here, we're just going to add two items to the cart and then we're going to proceed to checkout. Now here I can do two things. I can check out as a guest and add all of my information or I could simply log in with my email and password. So this way everything will be saved. All my information is just going to be so much easier and I can just simply browse through the products and continue with checkout in a quicker way. I can select here what is going to be the delivery preference, shipping or pickup. So I can add here the pickup address or select the pickup address and continue with the payment processing. The next step is selecting the payment option. Now I can use here PayPal to close the transaction. So if I click in here I will be redirected to my PayPal account and I can use pay later options depending on the amount of the transaction. Or I can use my cards that are saved already to complete the purchase. Now I will be walking you through the PayPal Zettle Handheld Terminal. The first thing I'm doing here is starting a new order and adding a few products. With just using the barcode scanner I can simply scan this in a couple of seconds and the products will be added. You can see that the products that have a discount they will show right away on the order.
Other things that we can do is.
Change delivery status if it needs to be shipped. We can also add additional charges. For example for the shipping or service charge we can also add other types of discounts like non time based discounts. It could be for staff members, birthdays and we can also add customers. This is important if you're integrated to a ticketing company. So here you can add the member and if they have any discounts that apply to them to products here that will show automatically. Next we can use any payment method. Here we see two different types of payment methods. We can split the bill and we're going to close the transaction with cash. Now we see the information of the customer. We can send the receipt via email or sms. Now I want to show you how you can add products by using other ways.
Not only by scanning but you can.
Also select View catalog and simply browse through categories, the products and different things that you have already on your menu. So then you can simply tap on.
Them and add them to the order.
And same thing here, just continue to pay and select the payment method. It now we're going to talk about inventory management here you'll see different sections. Here we're going to go through Manage Inventory and we can see all of your different categories, your different products. You can see what's on stock and the quantity as well. You see the basic information and then there's different actions that you can do. You can add a stock and add, you know the quantity according to a new purchase order that just came in. And you can set up the cost, price and the reason. In this case it's new stock and we can see that the inventory has been added successfully. We can always remove stock. Here you can say how much you know for example is missing. It could be returned. In this case you can set that note as well. Very important to keep track of everything and every movement, movement. There's also count stock. So if you're counting the stock right is let's say you have 25 and you actually found 10 more on the back. You can add that and have the reason or the adjustment right. It could be a different kind of reason and you can add that as well. Also you can edit the product information. Anything related to the name, the price, the tax or the description as well, or the image. Now I want to quickly show you the main screen of the back end of sales view. How you can access through things, how you can go through everything. So basically here you can simply log in with your details from any computer, phone, laptop. I'm with my computer, so that's, that's this today's setup. The first thing you'll see is the dashboard. You can see the different information for different locations. On this drop down menu you can see information such as sales transactions, inventory, employees, gift cards and so on. On the left side menu we have different things here. If we go into manage, you'll see first the dashboard where we are at orders or full orders, history from past transactions, current transactions. And you can use different filters to find all your orders. Then we have reports. A very robust section for different kind of reports that you can access with one click. Or you can create your own reports. Discounts, you can create all sorts of discounts. Discussions is basically having an internal chat with your team about something and highlighting things that you see through your reports, your orders or anything else in the portal. And you want to start a conversation with someone about that topic. Inventory management, same as report, very robust. There's a lot of different sections in there to manage your purchase orders, vendors and so on. Employees. Here is where you can add your employees, have your permission set up, have their information, documents, schedule and more things like that. Accounting Here is where you can have Soho Books, QuickBooks integrated with us. There is also sales accounting customers, all your customer information, customer groups and so on. Quote of invoicing if you do any recurring billing, any sort of subscription, here's where it would live. Then we can move on to catalogs where you can have all your master catalog, all your products, services. If you do classes, activities, events, subscriptions, group experiences and gift cards. That's where you set up everything that you sell schedule. It's basically where you manage table reservations, service, appointments, classes booked, activities booked and the events schedule streamline operations. This is where the information of your locations live. Each one of them have different, let's say address, a phone number, different devices and things like that.
Right.
So here is where you add each one of those locations. Dynamic catalogs if you do something similar to a branch menu and it's only time based, right. That's where you create that on premise apps where you have a list of all of your devices throughout all your locations on all sales view. And here is where you can manage them and quickly see if they're updated and other things. And then we have all the website set up, the web store, the QR code ordering that is connected to it. Then we have the message center a way to communicate with customers, any feedback or reviews, things like that. That's where you can see it in there. Then we have grow which is basically other features of SalesView to help you grow like loyalty, marketing automation, customer satisfaction and worth of mouth marketing. Last but not least we have support section in which you can see your subscription to SalesVu and manage your own subscription to add new devices or more locations. Knowledge base articles There is a training portal, there is videos if you're more visual support access support tickets or chat with support. It's basically asking for help. Here you can have someone chatting with you in less than five minutes. You can submit an email through support ticket and they will respond in less than 24 hours. Or if you want to ask support to ask us to access your account. And you can always schedule a demo to anyone in our team to find out about new features or any updates on sales View.
Perfect.
So I'm going to start with inventory management and right here we can see all the different sections. So I'm gonna go through each one of them and talk about in more detail. So for inventory manage inventory here we can go through different locations. Each location which have will have the inventory that's available specifically for that one and everything will be Tracked separately. But it's very easy to access one location from another. So we see the list of products here. We see the on hand quantity, we see the unit, the threshold. So you can have notifications set for whenever you reach this threshold level. And that can be different for each product according to its inventory cycle. Then we have deduct inventory, quantity, last cost, price, final retail price, different sections or areas where the product is allocated. We have the purchasing unit of measure different from the purchase, the unit that is being deducted from the vendor and the unit cost for the new po. And we have the inventory cycle that is calculated out of automatically. So for example here on quantity to order, I can go for a product that has very low stock. Let's say I'm just going through my inventory management and I'm going to create an EPO according to, you know what, how much stock I currently have. I have the vendor, I have the unit cost. So all I do here is create an upo, right? So I can do it directly from here, but I can also do it from purchase order section which I'm going to go through in just a little bit. So before I go into purchase orders, I just want to say that there is different information that you can filter down using this screen. So here on the top we can filter down not only by, you know, the location, but you can go through categories, subcategories, products and components, filter it down by vendors or you can even filter it down by, by the threshold level. So to do this you can say.
Here.
For the products that have a quantity less than the threshold level. So this way you can actually see these products specifically and make those pos automatically for, you know, those exact products and not waste time going through all of your different items. Now you can also filter by tax, this could be, you know, GL accounts. So you can create those kind of like separate departments or yeah, related to your actual product catalog. And then from here you know, create those pos. I already created one. So that's why I'm now going to go directly into purchase orders. But before that, just know that every time you create a po, the vendors get that PO automatically to their emails. Because under this section all you see here is the vendor information, right? So you can add them and add their contact information and also add products to vendors. So now if I go into purchase orders, I can see first the product, the purchase order I just created right here. So if I go into view, I can see all the details. I could even add any comments or change anything, right If I need to change the quantity, the retail, final retail price, things like that, I can also partially receive the order, right? So instead of 100, let's say I only received 30, right? You can add here the invoice number. And when this happens, you'll see that a new line item is added. At the end, you'll see that this has been received and this amount will be added into your quantity on stock automatically. And then you have these items that are missing. So that's why there is no receive date and that's why it's still kind of like pending in here. And this is still going to be open until you have those products physically with you. Now there is a new feature called automatic purchase order creation in SalesView that will allow you to create automatic purchase orders based on different criterias. So this could be by the threshold quantity. So basically it's going to the manage inventory and just going to settings and you can define what that criteria. So I was just talking about threshold quantity. There's also max stock days and storage capacity. So basically the threshold quantity is having a trigger that can create a purchase order whenever you reach that quantity of that minimum stock that you have for every product. The max stock days is how is something to help you to determine how many days of inventory you want to keep on hand. So it tells you how much inventory you need to cover the sales for the set number of days and triggers a po, an automatic PO whenever your stock is insufficient. And last storage capacity is just to tell you how much, what is your maximum stock that can be held on at your capacity at your facility or location. So you can, you know, prevent you from ordering excessively of your products and have storage issues. Right now there is another feature that allows you to import PO without doing the whole process manually. So what you can do is instead of doing all the new PO and all of that, you can import it. So then you upload, upload the invoice and that way create the new POD or attach it to an existing po. And then this is just a quick example of how it would look like. We have the vendor detail the purchase order with the products, SKUs units and unit cost and all that information. Now once we have all of the PO created, we can see it under new pos, open purchase orders and then we can select when it's paid or unpaid. And at the end to validate this po, what you can do is upload the invoice. That way you can make sure that all the products are already in it. Compare the Information and it will tell you what items are missing or what products were added and they were not on the original po. So it's all kind of like more automatic instead of doing a manual process in this case. Now another thing on inventory management is a section called count sheets. So you can create count sheets for specific items, categories, subcategories like book inventory count bracelet, daily count, mid year inventory and whatnot. So what you can do here is create the count sheet with the products that are added. With the number of products you can decide if they are going to be auto committed or not. Which means that whenever you count the inventory, that count is being automatically updated in the backend or not. Or there needs to be like an extra step to approve that. So what can do here is see the counts. So if there's been, you know, certain days already kind of like counted. So we can see here the products, the employees, the quantity, right for each one of these times that the inventory was counting and then if there's one pending, what we can do is use the iPad and count these products by scanning the barcode. So that's what I'm going to show now. Now, now this is the backend in the iPad. We're scanning on inventory mode the different barcodes. So what we saw here previously is just a list of all the items that we created on the count sheet. And what we're going to do is simply use the back camera of the iPad or any Bluetooth barcode scanner and go through the count sheet products. So once we scan the barcode here we have a barcode as an example. The quantity will pop up automatically and you can enter the quantity that you currently have. Now you can do this with every single item or scanning all the barcodes that you received when the purchase order comes in that way update your inventory count. Now you can commit, auto commit or not. Now I'm going to go into AI. So what about AI on inventory management we have this ask sells you AI different things. So you can ask how to increase sales revenue or you can ask things more specific towards your inventory management. For example, I need a PO for the gift shop location. Which products with the products that have the inventory below the threshold. So now this is the purchase order request. We have the different items. If you want to know additional insights or recommendations, this AI feature will give you this specifically and you can see, you know it will be prudent to review the vendor's capacity to supply these items. Explore different options con given the the consistent out of a stock status of These items, maybe you could do a market demand analysis, right? So it's different things related to your inventory stock, how it has been managed, not what is happening right now, but from the information that is stored in your cells, your account previously and it will take all of that into account for these insights and recommendations.
Right.
So there is multiple things that you can you related to your inventory, to your reports, to find items that are not meeting the margins, for example, and things like that. Now adjustments here is where you will see those kind of like positive or negative changes. In this example for today we have here the date and the hour, we see the purchase order number with the change which was a positive change. Now if we go back to other, other notes or other kind of changes, we see here the missing products or damaged products or not sellable product not found, promotional giveaway, transfer quantity. So because you can do that, you'll also have a way to track when these products are being transferred automatically when you do these changes. So every company has its own reasons. You can set up your reasons and then go into this drop down menu and filter by those reasons just so it's easier for you to keep track of, you know, what could be something that is really causing some, you know, some big changes in your inventory. And if it's being very common, how to tackle that. Now going back and I'm going to talk about inventory transfer, since we talk about that very briefly, you can select the source. In this case I'm going to go from the primary source and I can select the destination. Let's say this east side gift shop. Now I can see the product name, I can see the source available quantity, destination quantity. So I could simply add the transfer quantity here according to how much I have on both sides. So let's say for today I just want to transfer 20 and another 20 on these two products and then the quantity will be updated automatically as we can see and as we talked before, we see this as well on the adjustment report. Now let's talk about how to add products to receive the orders from your customers. So if we go into the master catalog, we can go into product listing and depending on the location you can see you know, the different products. So here all you need to do is to add a product. And when you create a product, you can set the price, msrp, I can select the name, you can add any description, category, subcategory at the inventory setting to be tracked, add UPC codes, SKUs and modifiers which are different options for the same product. Now if you Want to create discounts, what you can do is go into discounts. So here we've created a few examples based on that. So you can get for example a customer discount type. And I'm just going to go here into Edit. But all you need to do is go to a discount. So we can create the discount name based on the customer, the reseller level, whatever it is. We have the operator and the discount value. And then what you can do is select the products that apply to that specific customer base group and offer any sort of like discount that is for a certain period of time. And it could be for all the products in the order or just one product in the order and simply save it. So in this case we have the distributor level one, there could be level two, level three and based on that they can get different type of discounts or percentages. Now there is this other type of discount that is volume based discount. So buy X and get a percentage off. So this is the volume discount. Again I'm going to go into Edit and in here we have the name, the type and the percentage. So the idea will be like buy this amount and get 100% discount on the fifth item or something like that. So in this case we have specific hats and hoodies kind of categories. We have the start and end time for the time based details, the recurrence pattern. This is something that maybe would only apply during the week and then we have the product. So for getting five items of the 0% Irish T shirt then the next one will be 100% off. Right, so this is just a quick example.
As the head of retail I would like to check the reports and the stock management as well. Our report section has a very robust dashboard that allowed you to get this report with one click. We have sales and profitability reports such as only one sales and profitability master C reports, sales and analytics and charts, average ticket discounts, orders, tax P and L and modifier support. Next we have shift and staff for labor report, shift cash adjustment, cash drawer access, shift discrepancy hours, employee closeout, tip and transfer, payout and additional charges report. Next we have inventory and vendors total cost of inventory, purchase orders, sales by vendor inventory adjustment and discrepancy report. Next for marketing programs we have the customer retention loyalty report, Marketing automation, Customer satisfaction, Gift card and E Commerce abandoned cart report. Last but not least for security we have the activity log report which will track track every single transaction or movement in the POS devices, kiosk and on the web portal for each one of your Employees and we also have the employee device login report. Now some of the reports I would like to get as the retail manager will be the best sellers report, the categories report, and things like that. Now you can create your own reports. We have different ways like the way you want to view your report by pie line or bar or table. We have different periods. You can customize your date range. We also have advanced options that would let you create the reports by products categories or subcategories and break it down by the pos, employees and stores. Now what I would do as well is to save the reports I need to have a quick access to in a way that I can simply click on the save reports and maybe change the date for what I would like to get. This way I will save so much time from creating each one of the reports every time and I can just have a quick access. Now from here I can see which one is the best selling item by simply clicking on these arrows that allow me to reorganize, rearrange the products and see which one was the product that had the most total sales. Now I can see how much was the quantity sold, the date range, and I can see information such as the SKU or the barcodes. I can also see the category sales in a pie chart. This way I can see if my most profitable item is having a good percentage on the sales on the past month. So I can see the breakdown of each one of the categories in this pie chart by a specific date range. I can also compare the sales between all of my employees by a bar chart. This way I can see their performance into each one of the locations. Or I can even break it down by locations or by devices as well. Now all of these reports can be scheduled into your own email or multiple people as well. You can add any email addresses in here and have you know the report title, such as Best Selling product monthly or in a weekly basis as well. You can select what frequency you'd like to get this report and add the time and the date in which you want to have this on your email. This will save you so much time for you and your staff members as well. These reports can also be exported and it can also be printed. Now another very important report that I would like to show you is the only one Sales and Profitability Master Report. This again is a report that you can break it down by products categories. You can also break it down by employees, events and stores and have the way you would like to see it if it's on a table or a different period or from a specific date range. Now this report will allow you to see all the product information such as the name, the category. You can add SKUs or barcodes as well to the reports. You can see the net margin percentage, the percentage of profit of each one of your products. You can sort by which one is the most profitable product in the last month. You can see how much has been sold in that day range. You can also see the sales net of refunds, any discounts that have been applied, the net sales, and then you'll see the tax information for each one of the products. If there's any products that don't have any tax information, you can also assign this as well. The percentage of sales, the total cost for each one of the products, the average cost, and then we move to last cost price based on your purchase orders, average retail price. And then we'll see the inventory information for the start and end quantity, the total asset value, and finally the total retail value. Now this is a report that can also be scheduled. You can also export it. And if you like to customize your columns as well, like adding the vendor information or maybe removing some other information, you can simply check the boxes according to what you like to see on this report.
