SalesVu POS System: Employee Scheduling and Human Capital Management Module

SalesVu's employee management module lets you create staff profiles, set access levels and passwords, build schedules, track hours and labor costs, handle time-off requests, and run performance reviews all in one place.
Hi. In this video, I'm going to show you how to use SalesVu's employee management feature. You'll find this feature under Features and Employees. First up, you will need to create your employee information in this account. We already do have some employees set up and what you can do here is you can make them either active or terminated. You can also edit any information necessary. You'll be also adding new employees from here as well. All you need to do is fill out their information and follow the steps. You can set up different access levels for different employees. You'll be actually prompted to do so when you're creating employee information. If you want to change existing access levels, you can do so here. We have web access levels which describe what the person can do. Here on the SalesVU website, you can restrict them from viewing reports, creating discounts, changing inventory, etc. The payment device access levels are all about what the person can do on the pos. So you can restrict them from opening the cash drawer, applying discounts, and deleting orders. For example, with the role access levels, you can restrict your employees from changing the role of the POS to customer kiosk and back. Next we have passwords and pins. Here you can change passwords and pins for your employees to sign into salesbead.com or sign into the POS. Under Locations, you can set up what locations your employees have access to. This will also allow them to clock in and clock out at a certain location. Under hours, you can see the hours worked by a certain employee. By default they are going to be seeing the current month. If this information isn't correct, you can change it by selecting the location you want to work with and editing the clocking time. Clock out time, deleting the entire shift or adding a completely new shift. Next up we have labor report Here under Labor Report, you can see the compensation earned by your employees working their hours. You can see their total hours, what was normal hours and what was overtime, the compensation that they earned, whether it was hourly, overtime, salary, and you can also set up commission rates for your employees. You can also see their total sales written up under their name, if they earned any bonus and what were their tips. We also have this labor cost ratio which compares how much money are you paying to this employee and how much money they're generating for the business. You can set up employee compensation. Under compensation, select the employee to view their current wage. The wage can be monthly or hourly and you can also set up a commission rate. If you need to edit this information, simply hit edit or Add a new compensation Next up, let me show you how to create a schedule in our scheduler. Simply click on the day you want to schedule the shift for. Select an employee the time of the shift and you can also assign a color to this employee. You can make this a repeat shift. If your employee has a study schedule, you can notice that some of the shifts have solid colors and some have stripes. The solid colored ones are already published and your employees have been notified about their shifts either by email or by text. The striped ones have not been published yet and are simply drafts that you are still working on. When you decide you want to publish all the shifts, you can simply click Publish, Notify all and this will publish all the shifts that were not published yet and will also notify all your employees about their upcoming shifts. Your employees can also sync their calendars with the scheduler. They can either sync the entire schedule or just their own. In this case, I'm simply going to sync my own. Here I can see all of my upcoming shifts. I can also sync this with my Google calendar. The schedule is now synced with my calendar. Another thing that can be handled using SalesVU are time of requests and shift rate requests. You can either put in time of requests for your employees into the system or they can do it themselves by signing into SalesVU. If you put in a time off request into the system for your employees, it is automatically going to be considered as accepted. If your employees put in the time of request themselves, it is going to be considered as pending and you will get notified about the new time of request either by a text or by an email. This depends on your settings. Then you can go into the system and either accept the time of request or deny it. To add a new time of request, simply click here. Put in the date and time, select the employee and put in a message if you need to. We can see the newest request appear on top. Now, when you try to schedule a shift for that employee at the time of their time of request, you will not be able to. You'd be able to do this if you went back to time of requests, denied them their time off, and deleted their time off request. As discussed before, your employees can also trade shifts with each other. In order to do so, they need to sign in to CL3 with their email address. Go to Shift Trade Request and search for the shift they want to trade. This will now notify all the other employees about a new shiftrade request. They can go to their email boxes and accept this Shift trade request. This will also notify the requestor that their shift has been traded. Now when we go back to the scheduler, we will see that the shift has been traded. Your employees can also message each other using SalesVU or you can use our messaging feature to quickly reach anybody from your employee directory. You can select everybody or just some select people. Once they send this message, they will receive this as an email. This will be also accessible for them when they sign into SalesVU. Under Documents, you can store any documents that you want to share with your employees, such as any training material. Of course, you can make a document private if you wish to. If you want to share this document with others, they will receive a notification about a new document. Performance reviews are a good way of sharing your thoughts and assessing your employee's performance. Once you publish the review, the employee in question will receive it as an email. If they log into SalesVu, they'll be able to comment on it if you allow that or Shift Discrepancy Report is a powerful feature that will show you whenever somebody keeps clocking late or early all the time. You can either select all the employees or just select employee. You want to select the date range and you can also set up an acceptable discrepancy. This report will show you when the shift was scheduled to start and when there was the clock in, clock out and what was the discrepancy between the two. Of course you can print this or export this as well. In notification settings, you can decide how you want to notify your employees about certain things. For example, we're notifying all the employees by email about all these things such as new schedule, time of requests, shift rate requests, etc. But we're only notifying them by text about certain things. In the employee directory, you can quickly access employee contact information, whether it's their email or their phone number.
