This meeting is being recorded.
All right, Jim. I will monitor people as they come in. We'll have people jumping in. Well, welcome, everybody. I'm excited to have you guys join us today for our webinar. The topic is how to use AI to automate the three critical pillars for your insurance agency's growth. As you guys know, this is a timely topic, and I wanted to host this webinar for a specific reason. If you could. If you could mute yourself, please. If you're on the other end, we just want to eliminate background noise. If you have questions. By the way, guys, a little housekeeping. Feel free to put a question in the chat box. We will definitely make sure we get the questions answered. But if you don't mind, please mute yourself. But here's the reason I wanted to do this. I wanted to bring this topic to you. Our industry tends to be late adopters to things. Case in point. I still have people who tell me they don't believe in social media, and we all know that has to be part of your marketing strategy today. However, I will tell you with as lightning fast as AI is starting to disrupt and become a part of our everyday life, say what you want about it being good or bad, you can't be a late adopter on this one because if you're gonna sit and wait and see, you will be left behind. That's how fast this stuff is moving. So I am excited today because I have a good friend of mine, Jim Carter.
Joining us on the webinar today. And I'll. When I introduce Jim, I will tell you how Jim and I met and why I wanted to bring him in on this webinar specifically to talk to you guys today. But if you think about some of the problems we struggle with in the industry right now, some of the challenges I see with agencies and. Jim, do I have the ability to move slides, or is that you who.
Has to do that? That'll be me.
Okay, so if you could move your slide ahead of the problem. When we look at the problems right now, guys, you know, number one.
Priorities. When I look at insurance agencies right now, I look at what producers are focusing on right now, I get. I get a. To look. Get a good observation of what's going on in the industry. And I see a lot of agencies and a lot of producers who are not focusing on the right priorities. Case in point, it's August 9th. Most of you on this call are producers. Some of you might be behind your sales goals right now. And, you know, you got to get after It. But then I go look at your priorities every week and I don't see business development at the top. So, number one, a challenge we have today in this industry is we are not focusing on the right priorities, which, by the way, is easy to do because many of you wear multiple hats.
Right?
Right. You're a producer, you probably manage book you have, you might even be running the agency or at least running your sales team. So you have multiple roles to play. The second problem that we have out there right now is a lack of marketing, sales and account management processes.
We are no longer in an industry that sells products. You guys have to sell a process. And one of our biggest goals with this webinar today is to show you how to use AI to create, to legitimize your marketing, your sales, and your account management process. Because in this industry there are three things you have to do well. You have to have a good marketing strategy to attract the right prospects. You have to have a sales process to turn them into clients, and then you have to have a rock solid account management process to keep them as clients. So we're going to show you, Jim's going to show you today how to use AI to do all three. And the last challenge we all have right now is bandwidth.
If you are a boutique independent agency.
And you go out and win two or three larger groups, you tend to be capped because of current bandwidth. Right. All it takes is two or three good sized victories and all of a sudden your team is kind of capped at its growth. And often that's because you lack a solid process to take care of your clients that you can rinse and repeat. And so the ultimate goal of the webinar today is to show you how to scale your agency using AI. And a lot of that scale comes by way of automation. And so what I want to help you guys do today is grow your book faster.
Take your business farther, and actually do it quite possibly in less time.
The way we have built agencies in this industry has changed forever. We don't do it the way we used to anymore. And there's ways you can scale today without having to go hire a ton of new people. And that's the ultimate goal.
So I'd love to introduce Jim because Jim Carter.
Is somebody I got to know. Jim, when did we, when did we join fast foundations together?
2019.
2019. So, guys, my story is real short. Most of you know my story, but I'm just, I'm going to talk to you what it, how it relates to today's topic When I had to build my own marketing strategy about seven, eight years ago, I didn't go and look at what our industry was doing and just repeat what our industry has done for 30 years. I said, no, I'm going to go look at what other industries are doing with their marketing and I'm going to bring those strategies and those principles back to my advising and that's how I'm going to grow my business. And it worked. And so, as we build and bring the complete game marketing playbook to the insurance advisor community.
What I want to stress is everything we teach isn't what we have been taught in this industry. And I'm dang proud of that because it's stuff that works today. And Jim is one of those individuals. Jim does not come from the insurance industry. I met Jim at a mastermind that he and I were both a part of for entrepreneurs trying to build small their small business, small business Start. And Jim is somebody who comes with a lot of expertise in the tech space. And now he's an AI specialist. And I wanted to stress the fact I brought Jim on for this webinar and not somebody from the industry. I know we often say, well, you don't really understand our industry. But here's what I also know, guys. There's a lot of people in this industry who like to call themselves experts. Won't be long before somebody in the industry calls themselves an AI expert and they're not. I wanted to bring somebody from the outside who is a true AI specialist. He refuses to call himself an expert because this is so new to everybody. But I wanted to bring Jim on to let him show you how you can use a platform like ChatGPT to scale up what you're doing today in less time. So, Jim, thank you for being a part of this, my friend. The floor is yours.
Yeah, I appreciate it, man. Thank you. It's a beautiful intro. It's crazy how much can evolve in just a few short years. It's wild to think what we've all been through since 2019. So I'm going to reframe it real quick. When I met Andy, he was still and he was working through this, he was working through his path. And one of the really cool things about a mastermind is accountability. And not a lot of you maybe know this, but Andy and I, we decided ourselves that we were going to be accountability partners to grow our businesses. And we have had a call every Friday, God willing, since 2019. Every Friday. That's how close we are. I consider him and he's closer to me than most of my family. I'm just going to say it that way. So I really appreciate not just how much you've influenced and helped my life, brother, but how much you're doing this for everybody else. I mean, you guys, it's a Beautiful Wednesday. There's 30 of us, you know, here. We're going to learn, we're going to have some fun. I don't like talking to an empty crowd. I see about half of us have video on and half of those are blank screens. So do me a favor, just drop your LinkedIn, drop an Instagram account, wherever you like to be connected on social. I'd love to, after we're done here, be able to check out, say hello, connect, that kind of thing. But just show me that there's a little bit of a pulse, little bit of a life in here. And I really want to make this about as interactive as we can. So even if you can't have your video on, your video on, it's all good. But I just love to know that you guys are alive, you're listening, and just know that we are going to have some fun. I'm going to talk about technical topics, but I'm going to try to make them as simple as possible, no matter where you are, on the scale of you are technical, identifying or you're not. So again, please just drop in a social media link so I can check you out a website, an email, whatever it is, and we'll be connected. So just really quick, want to share a little bit about my story since, you know, Andy's. I started really early in technology. This is when I had hair. And I don't know for anybody I'm dating myself here. Who ever went to an old tech shop, a computer store. Anybody here remember Egghead software? Or am I, you know, maybe quite possibly the only person who ever did that? But this is a fun photo that my grandmother found with me at her coffee table on one of those little speak and spell computers. And I still have it, but I get, I keep it right here behind me. It's a good memory. And I really found this, this very early passion for technology. Andy mentioned. I've been in this for a while and you guys, I don't know really anything about insurance more than I have some. And I know I need it and my business is covered. But every time Andy talks about it, I have to keep asking him, what is this? What is that again? Can you remind me what that is? You guys, you deal with a lot like this is a crazy industry so like why not get a little bit of help? And that, that's really the, the ethos here is I try to find creative usage for technology to make everybody's life better, add positive social impact, just give yourself some grace and try to find a way to lean into technology. And Andy mentioned that we met in the Fast Foundation's mastermind. I actually acquired this mastermind with my business partner rt. So now I'm a co owner of it. We continue to rent and now I'm a public speaker, I'm a trainer, I'm an AI specialist and I integrate. I'm also a family man. I have two beautiful daughters, happily married this year for 15 years. And I just find so much joy. It actually looks like I'm wearing the exact same shirt. I just realized that in that middle photo, same shirt is today standard issue. V neck is my, my mo but my, my point of just sharing a little bit of this is it's a journey for all of us. We're all figuring it out. This AI thing is wild. We have never seen this much technology so accessible drop to all of us this quick that I'm not surprised that fewer people than more people are taking action on it. So my big goal today is to really dive in and just give you solid focuses, action plans and actually show you in almost real time what this kind of technology can do for your industry. Eddie and I are going to tag team a little bit. I'm going to run most of this, but I want this to be as interactive as possible. So please drop questions in, edify things. If you see something that looks great, tell me please because I'll talk more about it. And we have time at the end for Q and A as well. So if that sounds good, throw a thumbs up and emoji rocket ship, you know, whatever you want in the chat. Just again, let me know that we got something. Thank you for some thumbs up. I appreciate you. And let's get into it. So our focus today is really all about understanding the potential benefits of AI and its impact on your business. We're not going to talk about random businesses. We're not going to talk about growing a plumbing company. We're going to talk about timeless technology that is now very timely, which is now applied to your industry. So I'm going to try to customize this the best I can for you. Now our goals are, are fairly simple. I want to find ways to streamline processes for you. I want to find ways for you to sell more business and we want to grow your agency by leveraging this power. And this power is evolving by the hour because we're going to hang up on this call and I'm going to check my feeds and there's going to be new AI tech that comes out. It's wild. So it's really important that we pay attention to what's available today, and we don't sleep on it. If something is on your heart, if you're feeling like, yeah, you can use this, try it. And I've got a lot of examples in here. I've got free resources to offer you guys, and I just want you to lean in. Sound good? So let's dive in. Andy mentioned there are three massive pillars that he sees across the board. The first one is marketing. Right. And this is all about attracting those into our world that we know we can serve. So, quick little show of hands for those that are on camera who's doing any kind of marketing right now for their business. It could be sending emails, it could be posting on social media. It could be sending DMs, you could be sending out flyers, you could be hitting the streets. It doesn't matter. Okay, great. So I saw a few people didn't raise their hands. That terrifies me. We have to be marketing. Right? And Andy will be the one to call you out as well. So, Andy, I want you to talk about this challenge that you've brought up to me and why we're talking about this one, though, today.
Yeah. I think one of the biggest struggles we have right now in the industry is the way we've been taught to market and intermix the words marketing and prospecting. We've been traditionally taught to do cold calling, networking, emails, and I was taught how to palm the pavement. And the thing today is the market is noisier than it's ever been. And I have come to believe content is the secret sauce to success. Every one of you loves being in front of a prospect and educating them. The problem with that, though, is you don't get to be in front of a prospect all day long. Right. You don't have five prospecting meetings every day. Well, content is an opportunity to make sure you're in front of your prospects, even when you're not actually in front of them. And it keeps you top of mind so your prospects never forget who you are. The reason some of you are not getting opportunities is because your prospects forget about you. They don't see you enough to recognize your name. And so what we want to do with the Marketing. How we can use AI is how can we develop a better marketing strategy with messaging to make sure you stay top of mind with the right prospects.
Show of hands, how many of us have a massive team, a video studio, a full time editor, copywriter, and everybody that we need to be a complete production studio to be able to do all that? Anybody? You do. Awesome. I see one hand. Fantastic. Now you're shaking your head. You're lying. All right, I'm not going to hold that against you unless you do it again. Now I don't either. They're just handy, right? Like we're functioning humans. All entrepreneurs, all in business. All. Maybe not all entrepreneurs, excuse me, but we're all, we all have this passion to be able to get out and share our message. So I want to show you first, I think you guys see the pattern that we're just about to evolve here is for each of these three, I'm going to show you how we can use AI to drastically reduce that overhead. To make you think, do I need to go hire that massive team? Do I need to have all these people? Or can I start with assets that I already have? That's going to be the first thing here. So think about this.
Just even this zoom recording, there's going to be a lot of great stuff on here, Andy. In fact, I know for a fact we're going to use pieces of this recording to create social clips and put it out there. But we're going to do it smart. We're going to use AI, we're going to use these tools that are available to us, you guys, most of them are free. And I'm going to explain that as we go. So what I want you to think about is what assets do you already have? You have trainings, do you have workshops, do you have open enrollments, webinars, which Andy told me most of you guys do. So just think about the video assets and things that you already have and I'm going to show you how, with a video as simple as this zoom recording, how we can turn that into social media clips. Okay? So most of us have, at least, I'd like to say all of us, every one of you, if you've ever been on zoom and hit record, you've shared something of value that you believe can go out and affect somebody in a positive manner. You've got what we call a long form video. All right, so here's an example of me monologuing again, standard issue V, neck in a slightly different blue colored shirt. Life is simple. If we want it to be guys. So most of us have a video like this somewhere on their hard drive. In this case, judging by the title that's on the little, you know, quicktime thing that I put up, this was me recording myself on a podcast with a buddy of mine talking about AI. I dropped some really good stuff on that and there's no reason that it should just sit on only his podcast. So what do we do? We think about how we can use this long form video to do more with it. So I want to show you how simple it is. We can use an AI tool or AI tools to be able to go from a full video to, to short videos. Andy can talk about the importance of how video works on LinkedIn as one of the primaries for your industry. But I'm going to show you the newest, most incredible AI tool that I found and it's called opus. And by the way, if you go to my site, Jim Carter me, I have a whole section called AI Tools. I collect these, I document them, I test them, and they're all searchable. And I even built a robotic GPT gym that you can type with and it'll find you an AI tool. So all of these I've got linked up screenshots, descriptions, you can check them all out. Opus is a really, really cool new AI tool that you just upload a video, you set a couple parameters, or don't, doesn't matter, and hit go. And it uses AI to figure out the best moments in that video. So this is a quick little video, like a overview of I just uploaded that video. It used AI, it made sense of everything. It found those clips, it added the captions, it actually gave a virality score and then it went in and did highlights and you can pick and choose and show what you want. This is called Opus. This site, you can go to my site and you can search for it. I have everything. The direct link to this site is called Opus Pro and you can see how simple it is to work with this. So with one step, you guys, one single step, take your video, upload it, hit go and you've got social media ready video. Is it perfect? No. Does it have to be? Absolutely not. But it gets the job done. We're in a volume game, so I need you to get more volume out and AI tools like this are going to help you do it. So that's the first one I wanted to show. Now that's if you've got a single video, right? What if we've got a podcast, a recording like this, where there's multiple. This is me on an interview with a buddy of mine, James, if you want to do more with that, if you want to go from portrait to square. Another great AI tool that I found, this is all, all free to test you guys. There's no, there's no paid anything with any of this. This one's called Video AI and this one is really great because you upload it, you can change a bunch of styles, formats. It's got all kinds of templates. Again, I'm just gonna zoom through a lot of these because I want you to find one that sits with you and I want you to try it. This is an example of just clicking around with the basic video that I uploaded. You can find a style you like, a call to action you like, however it looks, whatever you want. You can see how in this video, I'm just trying to change it around and show maybe this can go into horizontal, maybe this will go into portrait, maybe you can go into square. And this is a really fun example of just how much you can customize it without having to be a video editor. So in this example, I picked a template and I'm starting to move things around. Let's say I want to get rid of his logo. Let's say I want to maximize the screen. It puts captions in the middle. These AI tools are out there, they're available and they get the job done. So that's really the theme of this. First one is stop sitting on those assets. Have those content assets start paying you dividends. Just get more out there. Just continue to get your message out so that way your target ideal customer can be aware and they can see you.
Jim, if I could chime in there, two things, guys, from this that I stress and I want you guys to take away. Number one, when we work with agencies and producers and I tell them they need to be creating content, which content is oxygen to your business today? I get two pushbacks every single time. Number one, what am I going to talk about? And two, I don't have enough time to create the kind of content you're telling me to create. Andy. And I get it. What Jim just pointed out to you is it's not about coming up with new content all the time. Repurpose the content you already have. Record webinars, record open enrollment meetings, you have video. Or start doing it today, because that's all the content you ever need. And then when it comes to creating a lot of it, use that tool Jim just showed you to take one video and turn it into a month's worth of content if you want to.
That's it. And Lisa saw your question, within reason. A lot of these AI tools do one thing really well. So the Opus One, for example, it'll find the ideal clip and it'll clip it for you. But if you wanted to cut a specific piece out, it starts to give you little tools for it. But it's also easy enough to just take that video, open it up in something as simple as QuickTime if you're on Mac, or use a. Microsoft has a free video editor. You can go in, add a little clip, get rid of the section you don't want, hit export done. So what I'm just trying to show is have these tools get you 70% of the way there, 80% of the way there's 98% of the way there, and add your final touches to it or don't, and people probably won't care as much as we think. So getting. Getting into the habit of just getting momentum is the goal for today. I hope that helps. And then, Brian, good to see you, buddy. Good to see you again. We checked in a while back. I'm glad you're here. The videos do show the text. So both of those services, explicitly, those services, they will add the captions on top of it. It. So that's an added benefit of using both of those. You don't have to add captions now you can go in and also create it. Like if you saw on that, it said chat G, B, T. Right. Rather than pt. It'll get typos wrong and stuff like that. But again, it's 90% of the way there in my book. Massive win. All right, that's social, that's marketing, that's awareness. Let's talk about what we all love. Sales. Who here loves a great sales call? God knows I do. Right? Sales is your lifeblood, right? If. If that's the lifeblood, like Andy said, marketing is the oxygen to be able to breathe. So how do we sell them? Right. If the first way is attracting them, now we need to sell them. And Andy, this is your zone.
Yeah, the challenge here. Yeah, the challenge. Here's what comes up time and time again with sales processes. Number one, most too many agencies and producers lack sales process. However, even more frustrating is getting a prospect stuck somewhere in the pipeline. The old famous ghosting we all hate. What we've got to get better is coming up with a more effective way to follow up with our prospects, especially right after that meeting that discovery call. Or that intro meeting when they're hot. We have got to find a way to come up with an effective follow up to attract them or intrigue them and encourage them to move forward. Jim is going to show you how to use AI to become more effective at that.
We're going to dive right in. So like all of, all of us, we have to work smarter on sales calls. If we're talking about, you know, let's think about our close rate, whatever it is, 1 in 10, 1 in 5, 1 and 2. We just, we need more volume in order to be able to move forward faster. So my favorite way, and you might see this in the Zoom room, is using an AI note taker. Anybody here already know what an AI note taker is? Experimented with it tested one. Okay, I see a couple hands up. Fantastic. Just throw in the chat, please. Do you like it? Do you hate it? Has it changed your life? Is it too complicated? I would just love that very real feedback while anybody in here types in. It has changed my world. One of the things that I absolutely hated in business is recapping a zoom meeting. Who here loves to rewatch their own zoom meetings and listen to themselves to talk for hours and then retranscribe? No one, not one person raised their hand. Thank you. That helps to know I'm not alone on this island. An AI note taker is fantastic. Mine is running right now. It is going to transcribe, it is going to organize, it is going to highlight. And the best part about it is we can start to do more with that. I'm going to show you how we can start to really think creatively with this. So please follow along. I'm not going to go too technical, I promise. But I want to open your. I want to open you up to just a different way of thinking about this. Now, quick show of hands. Who here has a Chat GPT account? Even if you've just typed in like write me a blog post and you hated it and you close it down. Okay, perfect. Thank you guys for sharing.
I'm going to show you over the course of this webinar how we can start to do more with ChatGPT. I got a lot of resources that by this time next week, you're going to feel better than ever about using it. That is my promise to you. So what if you could train ChatGPT on that call? Think about that. How cool would that be? Be able to ask ChatGPT questions on your sales call about your sales call so it can help you with your sales Process kind of fun, right? Think about having it draft your sales email that recap well. If you've trained it on your sales call, it knows what you talked about. How cool would it be for it to help make sure you don't forget anything. Help make sure that if you said, okay Andy, I'm gonna follow up and I'm gonna send you that, that PDF that we talked about. How many of us love hitting that send button and realize we never attach that damn PDF. Pardon me, but I curse.
It's hard, right? So how can we have it keep us accountable? That's another way to think about it. As a bonus, we can use a reminder feature with your email to help make sure that we have follow ups. That's an AI feature as well. But we're going to help this sales process at lightning speed and I'm going to show you how we're going to do it. So, AI note tickers, my favorite is the one that is in our Zoom room right now. I see Andy's already putting them in here. Fathom is my personal favorite creator of this. He actually created the software called Userway, which is one of the Most, the biggest SaaS companies for accessibility on the Internet. And this guy just gets user experience and he's obsessed with it and I love it. It's been one of the best onboarding processes I've ever seen. And it's free for individual use. They make their money off of big team accounts. So there's something really special about that. Now for those of us that still have in person meetings, doesn't mean you still can't use an AI note taker. Next time you go to a meeting you can say, hey, do you mind if I just like hit a transcribe button so I can make sure I don't miss anything? And the person's going to say, yeah, of course. You can use something like Otter, which also works for Zoom teams, by the way. This works for not just Zoom, but Teams and for Google Meet. So whichever video conferencing software you're using, it works. But Otter is fun because they have a, they have an app as well. So you can just sit, sit there and let it record. And now think of the power of what's possible when you have that entire transcription of that meeting. You can go back, you can go forward, you can ask it questions. That's what I want to get you thinking about. So I'm going to show you really quick. This is just Fathom's homepage of how cool this one notetaker is if anybody has used it, you know, but as simple as it is, and this is on my screen to the right over here. It's listening, it's watching, it's taking notes on everything that I'm saying that Andy's saying. It's recording the stuff in the Zoom chat and it summarizes it for you. You can call out most, the most important elements to understand what goes on there and then you can capture a summary and do more with it. And this is the simplest, quickest process and it just makes life so much easier. So recapping, sharing with your team, following up, logging this in your CRM, whatever it is, stop spending time re watching Zoom Recordings. Just use an AI tool. That's my challenge. So now we're gonna take it a little step further. Let's think about if we were to use ChatGPT to learn that recording. So you've ever heard somebody in AI talk about training AI, you probably like retracted in your seat and you're like, no, I'm not, not going to be a developer. I don't want to write code. I want to break that, that fallacy that training AI now just means it can be as simple as having a conversation with it, feeding information. You don't need to hire a developer to train AI on anything anymore in most cases. And that's a big revolution in this tech. So think about this. You open chatgpt, you drop in everything about that call and then you share information about your business and your services and your pricing. I'm just talking like flood it with information. This is me, this is my business, this is what I do, this is my pricing. This is what I get to do, this is what I like to do. This is the information I need. It's just like if you hired a new team member and they were like, cool, what do we do here? You're like, oh, well, this is what we do here. This is how we show up. This is we like to talk. That is the mindset of working with AI because it's going to absorb all that, take it all in and then ask ChatGPT to take what it learned and create a sales email to that person about your business. You will be amazed. And you guys, I practice what I preach. All of my sales calls now. I use my AI notetaker, I take notes. After the call, I go back and I open a brand new session on ChatGPT. I say, learn everything about this transcript from a sales call that I had Jim with Andy, prospective client. Learn all these Notes, learn all the takeaways. I just feed it all of this information, and it's wild. It's really, really wild. And I'm going to show you in the next section a little bit more with these prompts about how to put it all together. But I want you to just think how simple could it be where you don't feel so overwhelmed because you have to recap and you have to go back into your history and figure something out. Start using AI tools like this to help with your sales. So again, if this is resonating, please just drop it in the chat. If somebody's already doing this, if thinking about doing it, if it sounds interesting, I just love to see that one or two of you are feeling like this could be something that could apply positively to your business. All right, Ron, thank you. I appreciate that, man. Hopefully we'll get a few more in here. All right, so, Andy, I want to keep things moving because the next section is where it gets really good. So we're going to talk about account management and how to keep them. So.
And I want to just make. I want to make a quick point.
At the end here, guys. Jim's actually going to show you a list of some things you can literally start doing as far as prompts and stuff like that. So he's. He's going to show you some true ways to get this going, because our goal is by the time you leave here today, you can take action on some of this stuff. So let's talk about account management. What I asked Jim to do on this one is I see a lot of agencies struggle with onboarding a new group. There's nothing worse than kicking off a relationship on the wrong foot. And what most agencies lack is an onboarding process, or if they have one, it's stuck up in here between their ears and nobody else knows it. What I wanted Jim to do with this is show you how you can take an onboarding process, number one, and automate it and simplify it to make it very streamlined and easy for the new client, who will love it. But two, this then allows you to use it as part of your sales pitch when you're proposing to that prospect. So Jim's going to walk you through how you can take an onboarding process and set up a solid process to bring a new client in. Because I'll tell you what, you're about to see.
The best agencies out there that we have got a chance to work with, this is what they're doing. Take it away, Jim.
All right. And then Bull. I want to. I just want to acknowledge what you mentioned there, that you're just saying scared to be on. Thank you for being honest.
This is not easy, but it can be. And it's a mindset thing. This is like if you had an executive assistant that was sitting next to you. That's also not easy. Training somebody on everything and having them get into your head and wondering if they're going to get it right. What I want to show you is a way of doing this with almost that kind of productivity and that mindset, but to hopefully not be scared about it. I built these prompts, I built these ways of continuing to do it, and I want to share that with everybody. So I just want to acknowledge you. Thank you for being honest. That's why I asked. I want to make sure that we feel that this is doable. And you guys are more than welcome to connect with me after this. I have information how to stay connected, where I can support you. I'm here for you. All right? So I just want to make sure I could say that now I'll put this all together.
In our marketing section, we made your content social. We took something as simple as a raw video and we created social ability from it. In this case, we got to think about the value that's in that training and we get to consider how much can be used with just a transcript as well. In our sales section, we were able to automate notes and being able to send quotes, for example. That alone, I hope, would produce a ton of manual effort and a lot of repetitive tasks to kind of see how this is all starting to unfold. But we also started blending in the business aspect. Now it's more customized. Now it's about the business. It's not about attraction anymore. It's about starting to really get somebody to invest in us. So I'm going to take all the best of that and I want to walk you through a mindset and then we're going to do it together. So let's think about again, if you have that ChatGPT account, training it on that entire recording, think about that open enrollment video where it talks all about what you do and everything else. Remind it or teach it about the pillars of your business. Andy explained how his business is different than yours. And as he led into this, you should be able to explain how your business is different than his. Those are the things that set us apart. There's not a lot of people doing what I do, so training ChatGPT on how I'm different allows it to help give me ideas for copy me ideas for what I can work with and how I can sell myself better, so on and so forth. Asking it to write an outline of the top things that you want to deliver to your clients is another idea. This can be sent out weekly, monthly. You can, you can work ahead if you feel like you've been behind for too long. Using AI to write an outline to get stronger at everything. And we're going to consider what this is like in an onboarding series, which is coming next. It'll draft those emails for you. You can schedule them in advance. You can even have it write subject lines for you. And I'm going to show you how all of this works together. So we're going to do it. We're going to workshop this. I'm not going to do it live because of the time it takes for it to write, and you don't want to see me fumble with typos. So I prepped all of this and I ran through an entire workflow for this for you guys. And I think the mailman is here. My dog just started barking, but Zoom does a really good job of cutting that out. So if it gets too loud, I'm going to mute for a hot second while my kids are keeping the dog to the side. So, Andy, I'm going to, I'm going to reveal all four of these really quick. And I just want, I want to ask you to speak to the importance of these, because this is what you told me you see the top, top performers doing when they're getting everything together.
So when you see the typical agency, now, these four steps are probably more geared for benefit advisors. If you're a commercial advisor, might be just a little bit different, but most agencies, when they're onboarding a new client, it looks like this. Hey, we're going to send you over the AOR template letter templates. All you gotta do is put it on your own letterhead, sign, send it back. We'll submit them to the carrier. Step two, then we need a list of all the. The of your. All of your, you know, your census handbook, plan designs, recent invoices, copies, policies, things like that. Then they do a welcome call where they get to meet the account management team. Account management team tells them how they're going to take care of their account, what they can expect as a client, and then last, be a strategy call where the advisor who sold the account now meets with the new client. They sit down and go, all right, we're working together. Let's Set up the game plan, the blueprint for your success. So this is what a good onboarding system might look like for a new client.
And one of the things you told me that I wanted to highlight here for everybody is a key to this is transparency in being proactive, letting somebody know what's coming up, showing that you have a process. Because I used to run a fairly large digital marketing agency, and the number one catalyst to a new client understanding whether or not they were going to like working with us is how much did they feel taken care of right from the beginning. Those first touch points are everything, so.
And Jim, if I could just mention something there.
Sorry.
The word transparent, guys, is the most important thing. We don't want our new clients getting any surprises right out of the gate. A surprise being, oh, I didn't realize you wanted that too. The more transparent you can be up front and letting them know exactly what is coming next every single time, the more trust and credibility they're going to have for you out of the gate.
Thank you. So, again, just to make sure that we're on the right track, show of hands, who feels like this applies to them and it doesn't have to be perfect. You don't need all those things for your business. Please keep your hands up just so I can see. I just want to make sure I'm talking to the majority of the group. Okay, fantastic. So for everybody who has their hands up, this is for you. Okay? For those of you that didn't raise your hand, I hope pieces of this still apply. But like always, I want you to find yourself in this example. I want you to think about, oh, well, I still onboard a client. Maybe I don't need those things, but how could I put my own world into this? How could I train it on the things that I need? And how can I have a tool like this help me? So everybody should be able to take something away from this. All right, so this is where it's going to give guys ChatGPT.
First of all, it's free.
That we should just. We should end on that. But I do Recommend Drop the 20 bucks a month upgrade to chat GPT Plus. It's worth it where you're willing to try it and use it. I use it every single day of my life, along with other AI tools and other things. But I mean, God knows I blow 20 bucks on worst things a month. I also have two kids, so that goes without saying. So if you're willing to try this, you can try it with the free version, but you're going to get a lot better responses if you upgrade and use what they call GPT4, which is their latest, most advanced way of working with AI. So that's my ask for you be willing to part with $20 out of your wallet or your purse and just try it and see what you get out of it.
And working with ChatGPT, for those of you that have experimented, you understand it's as easy as just talking to it, asking it questions. You're chatting with AI, and that AI is called GPT. That's it. ChatGPT is a piece of software that lets you chat with AI. That's really the explanation of it. It's that simple. For those of you that haven't, you get to open up a new chat and you get to talk to it. And I wrote this to think about how can we use this to help you with an onboarding flow. So I'm not going to read everything on all these, but I am just going to kind of coach through this. So one of my favorite ways of teaching what's called these prompts, is getting AI to act in a way that you want it to act. There's a lot of different frameworks and things like that. All that can get overwhelming. Throw all that out the window. If all you do is you say, hey, chatgpt, I want you to act as a trusted advisor to my agency. Just that alone, it takes all the information that it knows and it says, okay, I'm going to be talking to somebody who owns an agency and they want me to advise them on the best things possible for that. That alone is going to save you tons of bad responses because you're getting it to show up the way you want. This is like saying you've got a coach for your agency. Great. So we move on. And now we say together, we're going to build a workflow, an automation, a process. Pick a fancy word, doesn't matter. To onboard a new client, this comes in many steps and requirements. I'm going to train you on what you need to know for my business, how I like to write emails. You'll walk me through all I need every time, ask me questions if I forget something, and draft emails for me every step of the way. Pretty cool, right? Like, if this was an employee and you're just like, I need all this stuff, that this is what we're talking about. And when you hit enter, it says, absolutely, let's build a comprehensive workflow for onboarding a new client. Here's an outline of everything that I need to proceed. So first, I need to understand your business. Next, talk to me about your email style. Third, what are the steps, so on and so forth. Right, Wendy, you had asked a minute ago, and I did reply in the chat. I see you acknowledged it here. Rather than typing out what your email style is, say, here's a sample of an email that I like to send. Learn the writing style. That's my email style. It's that simple, guys. Like, this is like magic wand status. Think about what it would be like for a computer to just get it. I know it sounds wild, but, like, you have to play this game with me for a minute. This is why you're here. This is why you're still here. I know you're curious, and I want to show you the power of it. So when you give it all this information.
It says, great, I can move on. So the time that it would take you to train this, now it knows it now you don't have to do it again. And that's what's really, really powerful about this. So let's say that you gave answers to those questions, and again, you trained it. No code was written. No. You didn't have to hire a developer. You didn't have to call me. You just, you typed, you copied and pasted. You gave it the information about your business, and it says, fantastic. I, I asked it to mock all of the answers to these questions and move forward with a fictitious business name and the way that it sells and everything. And it made all this stuff up. This is the power of AI and said, cool. Here's everything I learned about this fake business that you just asked me to create for you. And move, move along. This isn't like, I'm not trying to hide stuff under the curtain. Like, this is the power of what AI can do. So I said, great. Here's your agency name. Secure Future Insurance Agency. I don't know, you guys tell me, does it. Is that cheesy or does it actually play? Very cheesy. Very cheesy. Okay, great. Well, you know, I didn't ask it to get creative on that piece, but so life insurance, health insurance, auto insurance, home business. Here's the value proposition, here's the target audience, here's everything, right? Your email style, professional yet warm detail, but concise. It made up a style that it wanted to write in. So I just rolled with it the workflow. For this example, just say I trained it on those four pillars that Andy gave me. Agency of record, collecting materials, so on and so forth. And it's going to do all of these things. And then it says, hey, let me know when you're ready to onboard your first client. What do you think we're going to do next? We're going to onboard our first client. His name is Andy near.
Says, great, let's begin. So he, here's the initial contact.
Welcome.
We're onboarding him. It wrote the subject line and it said, hey, Andy, I hope this email finds you well. My name is fill in the blank. If you tell it your name, it'll put your name in. And I represent this agency. We specialize in everything you told it. Having the privilege to serve customers. It builds value prop. It establishes the story and it says, this is the first step to get started is I need to collect this agency of record.
Be delighted to discuss. Happy to set up a call if that's more helpful. You let me know. And it then says, once Andy responds to this, here's the rest of the steps in our process. It's now your trusted advisor. It's now keeping you accountable. It's helping you move forward with making sure that Andy is taken care of. And it's reminding you along the way of everything that you need to serve him. So let's say that Andy doesn't need a call and he just sent over that document. It'll say, fantastic. Let's move on to step three because we don't need step two. Remember, it understands this process. It keeps up with you and it encourages every step of the way as long as you keep going. And now it says, hey, Andy, thanks for promptly sending that over. Much appreciated. And these are the next steps that I need from you. You guys see where this is going, right? So the ability for you to change, just get it out of your head and continue to say, this is my process. Remember these things. Oh, I changed my process. Update.
Sounds overwhelming, but it's actually so simple because you're just having a conversation with something to help you in your business. Just show of hands. If we're, if we're, if we're on with this, if this is resonating, if we feel like this can help us, fantastic. Thank you guys so much. And it doesn't end. There is really the ethos here that I created that in 10 or 15 minutes.
So think about the power of what that can do for you. Compounding over days, weeks, months, quarters. I'm not going to read all of these, but I just want. Just entertain me for a minute and let your eyes just kind of dance around this grid of all of these different ways that you can have Chat GPT act as somebody for you. You can have it create standard operating procedures, you can have it build an SOP out of the process. You just trained it that is 100% yours. You can have it be a business strategist, consultant. You can have it act as an HR consultant or your coo. You can have it think about being your sales director, give me ideas for upsells or cross sells. What are the best ways to close sales for this? When you now know my business, the abilities are truly unlimited. And this is why I'm so passionate about AI and why I love not knowing much about this industry but just showing how impactful it can be by using standards and being able to dive in and just show that a lot of this stuff is traverses all industries. But where you can start to find ways to truly use this, I really believe it's going to pay dividends for you. And that's really all that, that, that's it, that, that's what I want you to start to embody is how can you start to use this today? So this is really what's next for you, is you're all going to be receiving. It's a video series that I recorded and I just call it a jumpstart. So I've got a step by step for how to set up ChatGPT for success. You're going to receive that. You're also going to be able to watch this video and it's how to start with chat GPT. I dive right in in about 20, 25 minutes. I show you all of the most important things you need to know about it. And if you've ever heard about generative AI, which is like you can create images, you can, you can work with media like that. I also touch on that. I show you how to work with some of that generative AI stuff. So if all you do is watch the first 20 minutes, I hope there's value. But if you're willing to stick that, stick that out a little bit longer, watch it on 2x. You can get the whole thing done in three minutes. You can see how powerful AI is right now with generative AI, just to open you up to new ideas. And then I just want you to try one of these tools and I want you to test some of these prompts. You're going to get a copy of this PDF. You can copy and paste everything that I put in here, all the links, check it all out, whichever one kind of sits on your Heart, give it a shot and just be willing to lean in. And you guys, this is what I do. This is what I love. Brian can test it. We, we had a call a little while back. We talked about how it could work for his business. And if you feel that I can support you at a deeper level, I have this link. Feel free to book a call with me. We can talk about it. I offer everything from just pointing in the right direction to truly being your coach with this or helping your business. And I now also work one on one with a very small set of companies where I implement AI for them. So I can build these prompts with you and your team, I can deliver them to you. I can find ways to actually put this all together, build these workflows. And I love it. I love it, love it, love it. Because we can get so far not with so little effort, but with thinking smarter. And that's really where I want to leave it is find something in here today, please, to be able to get ahead of the curve. Because one of the things Andy, you were talking about is in this industry, unfortunately, there's a lot of status quo and people don't jump onto new tech for a long time. But you're here because you're interested. So just continue that interest. You can go to YouTube University, type in a topic, and you'll probably find a really great how to on how to do something. And I encourage that. Be very aware of what's possible by just leaning in. And that's really my challenge for you today. But I hope that one thing that we talked about in this section, whether it's in marketing or sales or keeping the people that you already are selling to, really adds a lot of value to your life.
That's awesome, Jim. I want to add one thing to this. My biggest takeaway as I sat here and listened to you was the way you prompt chat. GP you said it well. It's as if you're. You're training an employee, right? And think, everybody listening in. Like, think about everything he did there to prompt chat. Imagine you're sitting in your office trying to train an employee on how to do this. How many meetings would it take as a team for you guys to get together and try to come up with a process and then try to write the emails. Heck, you probably might even have to hire a person or two. And all of a sudden you're out $100,000 plus in overhead. Now you can have a chat, a conversation with a chat and train it and it'll do all that work for you. This is what I'm talking about when I say scale without the overhead. This is where everything's changing, guys. And Jim's right. You and I both know our industry loves to be late adopters. They love status quo. This is your chance to get far ahead of the curve in this industry if you adopt this right now.
So any questions, we're going to stop before the top of the hour here. Any questions you guys have for Jim based on what you heard today, this was massive. Jim, obviously connect with us on LinkedIn if we're not connected. What questions you guys have for Jim for the few minutes we have left.
And what I can do, Andy, is if anybody does have a live question they want to ask, why don't you do the virtual hand thing? And I will just address the ones that I see in the chat right here just to get it moving while we guys think about if we have any. And Andy, if I'm happy to stay a little bit longer, if there are an extra couple questions, if you got to go, that's all good too. But I do have a little extra time.
Yeah, I think we, we have a hard stop.
All good. Okay, so I'll run through these as fast as I can. So. So, Mark, I see your question. What about software platforms to help manage the Drip campaign? Any recommendations? Big question. It really comes down to your business and how many switches and triggers and everything you need. But I've worked with all of them between running an agency and doing it myself. If you're looking for simple, elegant and just gets the job done. My favorite is Flodesk and it's what I use personally for my newsletter for all the marketing for fast foundations. And it's, it's flat rate and they just don't, they don't track anything. You can just email 10 people or 10 million people and it's all within reason. Um, so honestly, that's my favorite. It's actually just enjoyable to work with and it works for me. It runs both of my entire businesses. Um, Andy, I'm sorry, I saw you answered that, but those. Are those your preferences as well? And then, Wendy, does it integrate into email using Brisbrain? That might have been a specific question about the email marketing platforms, but just in case that question was about ChatGPT, the answer is no. ChatGPT is a separate piece of software that you just, you have sandbox where you can just chat with it, work with it, and put your information in. But it's also very easy to copy and Paste, do whatever you want with, go back, update it and work with it. So just consider ChatGPT a totally separate software platform, no different than a Google Docs, no different than Asana, or, you know, something else. Lisa, thank you for sharing. I'm really glad it was helpful and Rhett's Mastermind course cover how to use these tools in more detail. To be very clear, the jumpstart that I recorded is all about just AI here. But in my Mastermind in Fast Foundations, we implement AI into almost everything we teach. And if you're interested, actually I'm just going to throw it in the chat here as one extra value add for you guys. Give me a second while I type it out.
Chatgpt.
All of you guys will click this link.
Right there. That should load this page hopefully. I think I broke my. There we go. You're more than welcome to watch this at Fast Foundations at the Mastermind Live on stage, I taught prompting and this is a totally free video and if you want the prompts, just throw your email in there and I'll email to you. I taught again, standard suv, NEC life is simple, right? I taught how to work with ChatGPT to build an entire business in 30 minutes. We built an entire personal branding business step by step from my Mastermind members. So you can follow along with how I like to do prompts. I talk about a lot of the similar things, but I get into the storytelling aspect of why you don't just say, write me a blog post. I explain, you have to train it, you have to have it understand more about your business. So I hope there's a lot of value in there. All you guys, totally free. Check that out. And if you want the prompts out, check. Just throw your email in and it'll send it over automatically for you. And you can copy and paste and you can learn more about the art of prompting when it comes to ChatGPT. So I hope that's helpful. And last question I see here, recommend any AI platforms for spreadsheeting, RFP results or reporting?
Kind of a big question because there's a lot going on there.
I've got a couple of recommendations for you. So since we're just doing this live. Hold on a second. Trying to get out of full screen. Okay, so.
Check out this site. It's called GPT for work. This is a fantastic way that you can implement AI into both Excel sheets and docs. It requires a little bit of tech where you have to set up what's called an API key, but we're Talking fractions of pennies worth of usage. So if you're willing to get a little bit more tech, this is kind of stuff I like coaching and like just implementing for people. You can check this out. And then inside of Google Sheets, for example, you can just trigger some AI commands and it'll do all the work for you. So that's, that's one, one recommendation that might point you in the right direction. And then the last thing I would mention is checkout the feature of ChatGPT called Code Interpreter when you're a Plus member. So if you upgrade, you pay the 20 bucks a month, a new feature comes alive and it's called Code Interpreter. And you can just upload data files and then start having conversations with it. It's wild, it's fantastic. And again, this is the stuff I love working one on one with people to show them. Hard to talk about that in just a couple minutes, but experiment with that and try it. And if you go back on my site, Jim Carter, me and you go to the newsletter section, go back about four issues and I talk about Code Interpreter. You can read all about the reason that I love it so much. So that's another resource for you as well.
Yep, we got about one more minute. I think we're done.
I think we're done. There was one final question about.
How.
About using AI to handle service inquiries instead of chatbot.
Also a big question comes with a lot more refining questions of what's needed. But AI is at the point where you could create a custom chatbot for.
This meeting is being recorded.
Foreign.
This was massive. So Jim, thank you for everybody else who took the time to be here.
Thank you.
I hope you got a ton of value. The comments in the chat, I got LinkedIn messages saying it was a home run, Jim. So thank you very much. Be on the lookout for the email folks with the recording and another opportunity to connect with Jim if you want. So awesome.
