Now that we've covered how to collect and store client data securely, let's talk about keeping these good habits going with some best practices. Now, managing client data well isn't just a one and done thing. It's an ongoing process that with a few small steps, can make a huge difference in how professional and streamlined your business feels to clients. One of the most important things to keep in mind is collecting as much useful information as possible just during the booking process. Don't just take a client's name and phone number if you can help it, encourage them to fill out a full client profile in your booking system. Having that extra detail on file things like the email address, the birthday, and even preferences like the favorite colors or their favorite nail shapes can be so valuable down the line. It gives you everything you need to connect with them more personally and it also makes it easier to market directly to them with certain services, certain promotions, reminders, or simple offers as well. Now if they have shared their preferences, you can also use that info to make their experience with you just feel that little bit more personalized and memorable. Now every now and then I want you to also just make sure you do a quick check in on your client's info. So if it's a regular client, just make sure none of the details have changed. Every now and then it ensures that all the contact details and the preferences are up to date. It helps you to avoid sending reminders or promotions to old email addresses or numbers that might not be active anymore. And the idea is just keep things relevant so it ensures that your data stays accurate. Now we touched on this in the last video, but it is so important that it is worth repeating. Make it a habit to double check that both your digital and your physical data is secure. For digital records, make sure you are using updated software, strong passwords and two factor authentication. And if you do still have any paper records, so store them in a secure place and consider transitioning to digital soon to make things easier to manage. This one is important. Respect communication preferences from your clients and your students. Not everyone will want to receive your market messages and that's okay. So if someone does opt out, just make sure they are removed from your marketing list, but they're still receiving essential reminders like appointment reminders. Your booking system should be able to easily separate those clients who want marketing updates from those who prefer only appointment related messages. By honoring the preferences of those clients, you are just simply building trust with them and you're showing the clients that you respect their boundaries and you give them what they want. So to wrap it up, here are the key best practices to remember Review your data regularly to keep it accurate and up to date. Use client preferences to create a personal, memorable experience Prioritise security and compliance with up to date software and limited access and respect your client's preferences for how they want to be contacted and especially when it comes to marketing messages. Once you build these best practices into your routine, you will find data management becomes a bit of second nature. Not only will it make your life easier, but it also shows your clients that they're valued and that their information is just in safe hands.
