Now, creating amazing salon policies is only half of the battle. The real challenge comes when it's time to actually implement them effectively and consistently in your business. So today we're going to explore exactly how to leverage systems to enforce your policies automatically. That just removes that emotional burden and creates a streamlined experience, both you and your clients. Now, I have worked with so many talented nail techs who all have these amazing policies written down somewhere. But when it comes to actually enforcing them in real life situations, they struggle. Now, they make exceptions, they create inconsistencies and ultimately undermine their own business protections. Now, the solution isn't about just being more assertive or finding the right words in difficult conversations. It's about implementing systems that are going to do the work for you. Now, let me be very clear about something that we did already cover back in module one. Every nail business should be using an online booking system. Now, this isn't optional. If you want to run a professional, sustainable business, your booking system is your most powerful tool for implementing policies effectively because it removes the emotional element and it also enforces rules consistently without you having to be, let's say, the bad guy. Now, the first key to successful implementation is choosing the right booking system. You can head back to module one and find all the information about the different ones and what to actually look for. In this instance, when we're looking at systems in line with policies, look for one that allows you to set up automatic deposits, enforce cancellation policies, and send automated reminders. So systems like Timely, Fresh or Booksy, they all offer these features and they are worth every penny of their subscription fees for the headaches that they will save you. Now, your booking system should require clients to accept your policies before they can complete their booking. That creates what's legally known as a click wrap agreement, a digital contract that's enforceable if you ever need to dispute a charge. It's that simple. Now, once your booking system is in place, the most important rule is this. Direct all booking transactions through the system. Now, this means clients book online, they cancel online, they reschedule online, no more just send me a message or give me a call if you want to cancel. These personal communications open the door to negotiations and emotional decisions that undermine your policies. Now let me share a real example from a nail tech that I work with. She was constantly stressed out about enforcing her cancellation policy because clients would message her directly on Instagram with last minute cancellations and sob stories. We completely changed her approach. She set up automatic replies on Instagram. That said, I'm currently unable to process this book and change through direct message. Please make all changes, request the booking system at and gave them the link. Now, what was the result? Well, when clients had to cancel through the system, the cancellation fee was applied automatically according to the policy that they had agreed to. No negotiation, no awkward conversations, no expectations, no exceptions. Her cancellation rate dropped dramatically, and when cancellations did happen, she was compensated properly without even having to ask. Now, this approach completely transforms how you handle cancellations. Instead of a difficult personal interaction where you feel like you're asking for money, it becomes an automatic business transaction that the client initiated themselves by agreeing to your policies and then cancelling within that protected window. The same applies to late arrivals. Your booking system should be set up to send automatic reminders that include your late arrival policy. When a client is late, you you simply provide the service for the time remaining in this slot. The system already told them what would happen, they agreed to it, and now the policy is being followed. No negotiation, no apologies for deposits. Your booking system should automatically take either a percentage deposit or even a full payment at the time of booking, depending on your policy. Again, this removes any awkwardness. It's just how your system works for everyone. Now let's address something important. Some clients might try to circumvent your systems by contacting you directly. This is where you need to be absolutely consistent in directing them back to the system. No exceptions. So when a client messages it to cancel, your response should always be the same. Thanks for letting me know. Please cancel through the booking system so that your cancellation is properly processed. Here's the link. Now, this isn't being inflexible or impersonal. It's being professional and friendly. Your booking system is part of your business infrastructure, just like your nail products or your salon space. You wouldn't let your clients decide which product you used on their nails based on how they felt that day. So don't let them decide how your booking policies work either. One of the most common questions I get from nail techs is how to implement new systems with existing clients, so I'm going to share this with you now. The key is clear communication I and a firm transition date. So send an email or a text to all clients announcing your new booking system or your new policies. Explain briefly that this change will create a more streamlined experience for everyone and give a specific date when all bookings will move to the new system or the new policies and then stick to it. So, for example, you could say something like, from the 1st of September, all appointments will be managed through my new online Booking System system. This will allow you to book, reschedule or cancel appointments at your convenience. 24. 7 Please note all bookings will require a 50% deposit and cancellations within less than 48 hours. Notice will incur the full appointment fee as per the terms you'll see when booking. Now, during the transition period when clients try to book or change appointments via message or call, consistently redirect them to the system. Oh, I'll be happy to get you booked in. Please use my new booking system. There's the link. It'll show you all my available times and secure your appointment for you. For those few clients who push back against using your system, be direct about why it's necessary. My booking system ensures all clients receive fair and consistent treatment. It protects my business from losses due to last minute cancellations and also protects your appointment. It allows me to focus on providing exceptional service rather than managing appointments manually. It's an essential part of how I run my business professionally. And remember, not every client is the right fit for your business. If someone consistently resists using your booking system or complying with your policies, they are showing you that they don't value the professional experience you're creating. It's better to not have clients like that than to maintain relationships that undermine your business structure. When clients do follow your policies, properly acknowledge and appreciate it. A simple thank you so much for walking through the system. It really helps me to run my business smoothly. It reinforces that they're doing the right thing and it contributes to your professional environment. Now let's also talk about how to handle situations where a conversation about a policy is unavoidable. So maybe a client is questioning a cancellation fee that was automatically applied. Now in these moments, never apologise for your policies. Instead, explain them matter of factly. The cancellation fee was applied automatically by the booking system because the appointment was cancelled with less than 48 hours notice. This policy protects both of us. It ensures I'm compensated for my time that I couldn't rebook and it also ensures all clients have fair access to appointment times. Notice there is no I'm sorry or oh, I feel so bad about this or unfortunately in that response. Your policies aren't something to apologise for. They are professional standards that protect your business and protect the client. If you have staff or you have team members, you must also make sure that they are trained to direct or all booking activities through your system as well. Create a simple script for them to use when clients try to book or change appointments directly. Oh, I'D love to help you with that. For all booking changes I'll need you to go through our online system so everything's properly recorded. Let me send you the link now as we wrap up this masterclass. I want to emphasize that using systems to implement your policies isn't about being impersonal or being inflexible. It's about creating a consistent professional experience that protects your business and actually improves the client experience by setting clear expectations. When policies are enforced systematically rather than personally, clients understand that these are simply your business practices, not negotiable rules that might change based on how convincing their excuse is. Now, the most successful nail techs I know all use robust booking systems that automatically implement their policies. They understand that trying to enforce policies through personal conversations is emotionally draining and inevitably it leads to inconsistency. They've removed themselves as the barrier between the client and the policy, letting the systems do the work while they focus on what they do best, creating gorgeous nails and exceptional experiences.
